MORE LANGUAGES! HERE 2023/2024 6 GAs 5 RMs IFMSA MEMBER SINCE 2018 AEMPPI ECUADOR AMERICAS REGION
Dear and worlwide IFMSA family!
My name is Angelo, 22 years old and a 6th year medical student from Ecuador (the Middle of the World), and a dreamer and a believer of the IFMSA culture My journey started 5 years ago, casually, in a PreRegional Meeting with the IFMSA VPM as a trainer. I did not know the journey was going to walk until this candidature, however since that moment, I knew that my path and my revolution was going to be in internal and membership development, starting at local and reaching global level Dear IFMSA friends, here I am presenting my candidature for Vice-President for Members 2023/2024, to continue working for our vision and our members. We believe in a world in which all medical students unite for global health and are equipped with the knowledge, skills, and values to take on health leadership roles locally and globally, and that has been always my biggest motivation:
OUR MEMBERS.
Each one of our members who believe in the same vision as more than 130 NMOs and 1.3 million medical students worlwide. Each member that I have met during this path, has taught that nothing is impossible, if we believe in what we do. Now, I want to continue this revolution lead by youth. Organize and improve the community that the IFMSA has created for 72 years, through communication, safe decision making, transparent information and the engagement with new generations.
Since 2018, I have worked in all the different areas where the VPM has tasks. I have coordinated the Americas Region as Regional Director, organized a RM and the 1st IFMSA physical event in the Americas after the pandemic. I have supported and guide the NMOs from my with their follow-up, and created activities to increase their engagement and awareness of opportunity. I have experience on Membership Tracking and reviewing Membership requirements as CCC; development of the internal structure of the VPM IT and understanding of the MRC and MFC as Membership Development Assistant and understanding the role of the NMOs with my experience as Head of Delegation and national VPM, final but not least, worked in organizational development as Internal Development Assistant in my Local Commitee. I lived the dream from working locally to globally! Not only working in different tasks, but also settings I have been in the IFMSA, attending the President’s Sessions in the pre-pandemic, online and the returning to the physical events.
I will always believe in what we do and the reasons we do it! It would be a honor to serve you as your next Vice-President for Members and continue fighting against the status quo, and working for our beloved IFMSA!
Yours, Angelo
This plan of action was created taken in consideration different documents of the IFMSA, the C&B, Strategy, my experience, and knowledge that I have gained with my work and experience in membership, and internal development
As members of our Federation, we shape our present and future. We work for a WORLD in which all medical students unite for global health are equipped to be health leaders.

REGIONS, OUR HEARTS.
Our Regions are the beats of our Federation, they are the first contact with global and regional health of our members My objective will be to develop and maintain a safe and supportive space for Regional Directors to share concerns and receive support from the VPM. With the RDs, I will work to:
Establish regular and transparent communication with Regional Directors through monthly group meetings, bimonthly individual check-ins, and team building activities and follow-up on action points from individual and group meetings with RDs
Foster collaboration and communication among Regional Directors through regular networking
Encourage the organisation of Interregional Sessions or Activities, with two or more regions, during General Assemblies.
Support the RDs in achieving their goals outlined in their Annual Working Plan, Regional Strategy, and Regional Priorities
Create spaces for them to share ideas and best practices of the RMs and Regional Development, during TOMs or online activities.
REGIONAL MEETINGS
Organizing a Regional Meeting will always be challenging. There is a great amount of documents and processes to be coordinated, which can overwhelmed and stress RDs, NMOs and OCs.
I have experienced different settings of our Regional Meetings: physical, online and hybrid RMs, and attended as general delegate, head of delegation and Regional Director. To support the organization of the Regional Meetings and the Regional Directors, I plan to:
Establish regular communication to support RDs in the preparation and execution of RMs (agendas, plenaries, sessions and OC communication) including the preparation and reporting timelines. Be available to the RDs and advice on how to handle challenges that may arise during the planning and execution of the RM. The status of the RMs will be discussed during the bimonthly meetings, 1:1 OLMs and RDs spaces on TOMs. (A special 1:1 OLM will be conducted with each RD elect to check the status of the RM and the handover provided) Provide support and information to the RDs during the process of creation of the Priorities Report for the AmRM and the selection of the TO members attending to the RM.
Gather feedback from RDs on their experience with the Regional Meetings, to understand what is working well and what areas need improvement.
Facilitate coordination between RDs and the EB contact person to ensure smooth execution of Regional Meetings.
Recognize the RDs for their efforts in organizing the Regional Meetings
REGIONAL MEETINGS DATABASE
I plan to Support the RDs in the management of the data of their RMs, creating and maintaining a database of past Regional Meeting information and other relevant information for RDs to reference and to learn from
It will include RM Contracts, Priorities Report, Budgets, Final Report, Survival Kits and Invitation Packages.

COMMUNICATION
The VPM, in collaboration with the International Team, will work to improve the communication and branding of the IFMSA. The following tasks will be carried out:
Develop a consistent visual identity for the VPM and its related-work, including the use of the official logo and color scheme in all communications and materials.
Create visually appealing templates for all official documents and reports, including cover pages, headers, and footers;
Encouraging the use of multimedia and visuals in communication, such as infographics, and images, to make information more engaging and easy to understand.
Keep the IT and TO updated about the number of NMOs, countries and medical students represented by the IFMSA, to update it on current documents, webpage, etc
With the VPPRC, create a library of visual assets happening during Presidents and Regional Sessions, such as photos, illustrations, and graphics, that can be used in official IFMSA communications.
Add a shared workspot, with the TO, in the NMO Master Board., where the IFMSA opportunities will be shared with the NMOs (with each deadline and brief description), so NMOs can be always updated about the current opportunities of the Federation.
Create a visual representation of the membership tracking of the NMOs, in the form of dashboards, charts and graphs, to make it more accessible and understandable for the NMOs and the VPM.
By implementing these tasks, we will be able to improve the communication and branding of the IFMSA, and increase the sense of belonging and connection to the organization. Additionally, the use of visuals will make the information more accessible and understandable for the NMOs, and the historical data will help the IFMSA to keep track of its progress and to set goals for the future.
ACCESIBILITY
SWG on Language Barrier and Accessibility
The SWG to ensure that all members of the IFMSA, regardless of their language background, have equal access to information and opportunities within the organization. The group will work to identify language barriers that may prevent members from fully participating in IFMSA activities and decision-making processes.
The SWG will:
Gather information on the primary languages spoken among IFMSA members and which languages are most commonly spoken
Use this data to create a language map of the IFMSA
Create a list of recommendations to address and overcome the challenges posed by language barriers within the IFMSA
Updating and translating our IFMSA
Updated information is key for NMO engagement and accessibility of information for our members Develop multilingual resources and materials for members, increase the accessibility and understanding of IFMSA policies and programs.
At least two IFMSA manuals will be updated, with TO members and IT members (until Feb 2024):
IFMSA Manual for NMOs
Presidents GA Preparation Manual (or Involvement Manual)
After updating these manuals, a SWG will be opened to translate the How to IFMSA? Manual to at least 4 of the IFMSA’s official languages (July 2024)
Previous experience: I have created and translated other resources in the IFMSA, like the IFMSA Americas 101.

MEMBERSHIP TRACKING
Create a permanent NMO Membership Status - Board. The board will include current status of membership of the NMOs and the timeline of change. It will be shared with the NMOs and different teams at local and international roles. It will be updated after any change of membership status, and shared monthly in the NMO Server.
Support the Regional Directors in creating and executing their NMO Follow-Up Plans, and ensure that the support process is effectively implemented.
Facilitate the involvement of appropriate Executive Board members, as needed
NMO RISK SCORE
The NMO Risk Score is a system to determine the risk of an IFMSA National Member Organization (NMO) losing their membership in the IFMSA.
The NMO Risk Score will provide a comprehensive and standardized evaluation of the risk status of each NMO, which will assist the VPM and the RDs in addressing any potential issues proactively. It can also be used to track progress over time and assess the impact of different initiatives aimed at supporting NMOs
It includes a numerical scale and classify and is based on the results of the last three years of the NMO in the IFMSA. The categories will be:
Credential form submission: NMOs that consistently submit their credential form on time and in the correct format.
IFMSA.org updated information submission: NMOs that consistently submit their updated information on the ifmsa.org on time and in the correct format.
NMO Report submission: NMOs that consistently submit their reports on time and in the correct format.
Membership fee payment: NMOs that consistently pay their membership fee on time.
Compliance with Privacy and Data Protection policies: NMOs that consistently submit their signed and stamped Data Processing Addendum and Standard Contractual Clause.
Overall engagement: Regional Directors will provide a score based on the NMOs activities and engagement with the Federation, including their overall performance.
Based on the NMO engagement with IFMSA activities such as Regional Meetings, General Assemblies, trainings, meetings and their involvement in decision making
1 2. 3 4. 5 6. NMO Risk Score 1 2 3 Credential form submission At least 1 GA At least 3 GAs At least 5 GAs IFMSA.org updated information 1 year 2 years 3 years NMO Report submission 1 NMO Report 3 NMO Reports 5 NMO Reports Membership fee payment 1 year 2 years 3 years Privacy and Data Protection policies 1 year 2 years 3 years Overall engagement
The total score would be calculated by adding the scores of each individual factor, and then the NMOs will be classified into:
NMOs that have a strong relationship with the Federation and require little support and guidance to maintain their performance and engagement MEDIUM
NMOs may have some challenges in engaging with IFMSA activities, or may have limited communication with the Regional Director and the IFMSA These NMOs require some support and guidance to help them overcome these challenges
They are at risk of losing their membership These NMOs require immediate attention and support from the Federation to improve their performance and avoid losing their membership.
It is important for the VPM and the Regional Directors to closely monitor the NMOs and provide them with the necessary support and guidance to help them improve their performance and engagement with the Federation
MEMBERSHIP REVIEW COMMITTEE
The VPM is responsible for ensuring that the Membership Review Committee (MRC) works efficient and streamlined. With the IT, we will work to create a supportive and inclusive environment for the MRC members, ensuring that they are equipped to perform their duties in a sustainable manner. I plan to:
Regularly check-in with the MRC throughout the review process to ensure that they have the necessary resources and support.
Provide training and support to committee members to improve their technical knowledge and skills.
Facilitate communication and coordination between the MRC members to ensure consistency and fairness in the review process.
Provide feedback and suggestions to the MRC members to improve the review process.
Incorporate the feedback and suggestions from the MRC (MM24) and other stakeholders to improve the process for the next review cycle (AM24).

MEMBERSHIP FOLLOW-UP COMMITTEE
The alignment of members is a task that has been discussed for almost 6 years, I have worked in the MFC and its implementation for two terms To continue doing it, I aim to:
Meet past VPMs, to undertand the major difficulties to implement the MFC and their advice on the possible solutions
Create and set an appropriate data and workplace for the MFC, in order to have the information organized, be suistable and ensure a great handover between MFC members.
Collect the feedback from the MFC to improve in the next cycle. With the VPM IT, provide training to committee members to improve their technical knowledge and skills.
Facilitate communication and coordination between the MFC members to avoid loss of motivation in the review process.
DATA ANALYSIS
The VPM plays an important role in managing and collecting data from the NMOs and RDs, which can be used to improve the decision-making process and long-term planning within the IFMSA This includes tracking NMO engagement and activity levels, and gathering feedback from the members to continuously improve the organization.
NMO Report
Support the RDs in the creation of their section in the NMO Report, helping to create measureable and sustainable questions.
Provide help to the TO in the creation of questions and its timeline
Share some graphs and summaries of relevant questions
Track historical data of the NMO Reprort of the IFMSA and represent it through graphs and maps.
MEMBERSHIP DEVELOPMENT
CHANGE WORKSHOP!
It has been a long time without a workshop to develop the leadership skills of our members. I have worked directly in the development of the workshop, now with the help of the MDA, I plan to:
Evaluate current documents, past applications and feedback about the Change! (former Presidents') PreGA Workshop.
MDA will liasion with the CB IT to improve the proposal and status of the workshop
Conduct at least 1 workshop during the term and collect feedback from participants, to improve for the next General Assembly (or workshop).
OPPORTUNITIES FOR NMOs
Our leaders should be in constant connection and development It is important to develop skills in our NMOs and grow together. With the VPM IT, I plan to:'
Organize at least 3 NMO Sundays. Sundays with one or two online training sessions for NMO leaders
Continue past efforts of VPMs to implement the IFMSA 101 Moodle Course, with the MDA work to implement it. Create a communication strategy for the launch of the course, to increase the interest of our members. During GAs, I will try to create spaces in the Presidents' Sessions agenda for trainings for our NMO Presidents; I aim to have at least one training/teambuilding session during the term.

MENTAL HEALTH
Inside the IFMSA, we are always facing challenges and work that can affect our wellbeing, especially our mental health Building a sense of community and fostering a culture of mutual support and collaboration with the will be essential to experience a healthier term.
Establishing regular check-ins and mental health support for RDs and the VPM International Team throughout the term, with a focus on providing support during the preparation and execution of Regional Meetings and General Assemblies.
Developing a system for RDs and the International Team to provide anonymous feedback on their experience working with the VPM, identifying areas for improvement in communication and support.
Encouraging RDs and VPM Team members to take time off and prioritize their mental health when needed, and providing support for them to do so.
Work with TO members and to create a Mental Health Protocol for General Assemblies, and tentatively Regional Meetings.
The intense nature of the GAs, the pressure to perform, the stress of traveling, and the cultural differences can all take a toll on the mental well-being of delegates.
This protocol should prioritize the well-being of delegates and provide them with the support they need to fully participate in the decision-making process. The protocol should be inclusive and accessible to all delegates. It should also be flexible and responsive to the unique needs of each GA.
Pre-GA mental health screenings, using the Pre-Evaluation Form, to ensure that attendees are prepared for the event and have access to necessary resources and support.
A Post-GA follow-up, using the post-evaluation form, to assess the effectiveness of the protocol and to gather feedback for future improvements (Tentative questions)
On a scale of 1-10, how overwhelmed do you feel with the tasks and responsibilities associated with the General Assembly?
On a scale of 1-10, how well do you feel equipped to handle the workload and responsibilities of the General Assembly?
On a scale of 1-10, how satisfied are you with the level of support provided by the IFMSA in regards to your mental health (before/ during) the General Assembly?
A variety of self-care and relaxation activities during the GA and resources, such as yoga and meditation sessions, journaling prompts, and stress-management tips
Coordinate with the TO, regular check-ins (during sessions/plenaries) and debriefings to ensure that attendees are coping well and to address any issues that may arise.
A list of external resources for attendees to refer to during and after the event
The provision of a quiet room to rest and disconnect from the event.
By implementing this Mental Health Protocol, I aim to create a safe, supportive, and inclusive environment that empowers all attendees to fully engage in the event and to return home feeling refreshed and energized
