3. The registration procedure and the registration deadline will be announced by the Academic Affairs Committee. Please be aware, due to pre requisites, a level placement and/or a capacity control, the students may not be able to register for desired courses.
5. No credit will be given if a student registers for the same course for the second time.
4. The final grade will be determined by averaging the grades of the first semester course and the second semester course. The credits and GPA will be weighted accordingly.

■ ADDING, DROPPING & CHANGING OF COURSE REGISTRATION

1. Adding or changing an elective course, or changing 12th grade Major (science, non science) once the classes begin, may only be granted within the first 7 days, with good reason, and only with prior approvals of the subject teacher, the department chair, and the Academic Affairs Committee. In a very rare and exceptional circumstance, the Headmaster may approve the change after this period, but any change after the 1st term grade submission date will not be accepted to maintain fairness in calculating Keio University recommendation points. Please note that students changing courses after the first 7 days of classes may encounter difficulty making up and catching up with missed course materials. In case of a student changing courses from a science major to a non science major and if the student has taken the 1st term exam of Science Major Subjects, the student’s 1st term grades will be naturally determined based on the grade the student receives on the 1st term exam. Specifically, Science Major’s Required Honors Chemistry grade will be carried over to the Non science Major Course Social Studies (Economics, Politics, or Cultural Studies Research), but the other science elective course (either Physics or Biology) will not be changed since both of these courses are also provided as non science major courses.

2. Dropping elective courses will only be allowed during the first two weeks of the new School year under unavoidable circumstances only, as determined by the subject teacher, the department chair, and the Academic Affairs Committee.

Any student who has been assigned JHL may change a course only if the following conditions are met: both the English department and the Japanese department must approve the course change; the course change can only take place at the end of the first quarter and may be accepted for changing from JHL to Language Arts only.

Since 10th grade chemistry classes are broken up into two levels, these additional regulations apply:

To be recommended to the School of Medicine, the Faculty of Science and Technology or the Faculty of Pharmacy at Keio University, students must major in science in the 12th grade and satisfy the following conditions both in science and mathematics.
6) As a general rule, students enrolled in 10th grade elementary level chemistry are not eligible to be a science major. It is highly recommended to be enrolled in 10th grade intermediate level or honors level chemistry by the end of the School year and fulfill the final grade requirement.

11) Students enrolled in 12th grade intermediate level physics are not eligible to be a science major.

Mathematics Requirements
For a length of time designated by the School, the absence will not significantly affect the grade.

The due date of submission of the form requesting a leave of absence is the United States Eastern Standard Time 1700 of the week before the scheduled first day of Final Examination (For example, if the scheduled first day of Final Examination is Tuesday, May 31, the due date is Tuesday, May 24). Unless the form is submitted to the School by the due date, no request for a leave of absence will be accepted.

Support shall include, but is not limited to, a “Student Goal Contract”, “Weekly Student Assistance” and “Progress Reports” from Subject Teachers and Resident Advisor. “Permission to Play Sports or Engage in Club Activities” may be denied to students by Homeroom Teachers, Head of House, and Subject Teachers.

Students who receive one or two failing grades and earn a GPA of 1.8 or higher but lower than 2.2 for the year must be discussed at the promotion/graduation meeting in order to make up for the failed subjects. The result of the meeting will be a proposal to the Headmaster, who will make the final decision. If approval is not received, the year must be repeated. If approval is received, the student will be promoted with an Academic Warning only if the failed subjects are “satisfactorily made up” during the summer. If a student fails to satisfactorily make up the failed subject, the year must be repeated.

6. Once students are recommended to Keio University, they are not allowed to register at any other institutions of higher learning as matriculating students. Recommendation to Keio University may be nullified if the student is found to be in violation of this rule.
3. The following criteria will be taken into consideration in the decision

Students wishing to be enrolled as freshmen in Keio University Faculty of Letters, Faculty of Economics, Faculty of Law, Faculty of Business and Commerce, School of Medicine, Faculty of Science and Technology, Faculty of Policy Management, Faculty of Environment and Information Studies, Faculty of Nursing and Medical care, and Faculty of Pharmacy must submit a formal request for recommendation to Keio University and be recommended by the Headmaster in their graduating year.

The Non academic record consists of attendance, awards, evidence of positive School citizenship, and extracurricular activities will be decided later.
10. The School cannot answer any inquiry regarding the final decision of recommendation to Keio University including how the decision is made.

4. The parents of 12th Grade students wishing to be recommended to Keio University must submit a formal request by KANYOS, with their preference filled, to the Headmaster by the end of April. The announcement regarding the submission of this form will be posted on KANYOS.
9. Students wishing to go to the School of Medicine, the Faculty of Science and Technology, or the Faculty of Pharmacy must take science major courses in the 12th grade. Read “5 B’s Requirements for Students to be Recommended to the School of Medicine, the Faculty of Science and Technology, or the Faculty of Pharmacy of Keio University.”

If they are recommended to the School of Medicine of Keio University, they must enroll.

Defined as days when classes are held. Commuters are permitted on campus from 0700 until 1900 Weekday drop off and pick locations for commuters are the main entrance to Classroom Building, North and South House.
In the morning and before 1800, commuters check in (first arrival time on campus) by dropping their “Commuter IDs.” into “Commuter Boxes” outside the Administration Office.
A student who has forgotten to bring his/her Commuter ID to School must fill out a Temporary Commuter’s ID to replace their “Commuter ID” at the administration office.

A student who has forgotten to check out (pick up his/her Commuter ID) must call the North House Office or leave a message at 1 914 701 3561 before 2030.
4. If commuting by a School bus is extremely difficult, a parent may drive the student to/from the School only with a prior written authorization from a School official.
Commuters are permitted on Campus from 0900 to 2000 Drop Off/Pick Up Point on these days is the main entrance to the North or South House or the Classroom Building. When arriving and departing the campus on weekends, a commuter will check in and out of campus by dropping off and picking up his/her “Commuter ID” at the Guard House.
All students are required to enter the campus either through the Guard House; students must check in at the Guard House once on campus. A student who has forgotten to bring his/her Commuter ID to School must fill out a “Check In/Out Card” to replace their “Commuter ID”.
A student who has forgotten to check out (pick up his/her “Commuter ID”) must call the North House Office or leave a message at 1 914 701 3561 before 2015.

iii. During lunch time, all students should remain in the Dinning Hall until the bell rings. Students are permitted to wait outside the school building outside the North door entrance to the school building, but are not permitted to enter the building or to walk to the turf field or gymnasium.
ii. When an official School event is conducted, all students should respect the importance of the event and refrain from engaging in any non academic activities in the academic building. Examples of such events include but are not limited to a National Honor Society Induction Ceremony and Drama Performance.
5. If absence is known beforehand, “Absence Report” (Appendix) should be submitted by KANYOS to the School in advance. Students and parents are strongly encouraged to avoid unnecessary “Unacceptable Reason” absences.

If a student finds any errors on the record on the KANYOS, he/she must submit a “Correction Form for Attendance” on KANYOS within 10 School days on which the absence/tardy/early leave occurred. The correction form must be approved by the subject teacher A student should never fail to check the attendance record with or without absence because he/she cannot make any corrections after the ten day deadline even if the error was due to the School.

9. Attendance Record on the Grade Report

Attendance summaries are also shown on the grade report for each term. The classified statuses are the same as on the attendance record. The number on the grade report is the accumulated total of the number on the record. Corrections with the properly submitted “Correction Form” will be reflected. If a student finds an error at the end of term, but had not submitted a correction form to correct the error within the above deadline, he/she cannot go back to it to make corrections.
ii. If School delay is announced due to inclement weather for a commuter’s home district public school, his/ her tardiness/absence between period 1 and period 4, which are equivalent to our School’s 2 hour delay hours, will be regarded as “No Count”.

8. EXAMINATION & REPORT

1) A student arriving no more than 20 minutes late is allowed to take the exam; however, the students cannot take an exam if he/she is over 20 minutes late.
2) A student may leave the examination room after 20 minutes. After you leave the examination room, please go to the library or an empty classroom. You must not hinder other students who are working on their exam.

If the School closes after the students have arrived, the School automated telephone system, telephone, or fax will be used to contact commuters’ parents, and the School will arrange for the Keio Bus students to be taken home.
