Dear Key Clubbers, Kiwanians, and Advisors, Over the past few months, the Eastern Canada District Board and I have been working hard to plan the 2017 District Convention in Niagara Falls, ON. Every year, the Eastern Canada District of Key Club International holds an event where hundreds of Key Clubbers from all over Eastern Canada come together to not only celebrate the achievements throughout the past service year, but also learn ways to change our homes schools and communities in the new service year. This event is known as the District Convention (DCON). From March 31st, 2017 to April 2nd 2017, Key Clubbers will be given opportunities to meet others, share ideas, participate in workshops and recognize the accomplishments of members within the District. There will be a variety of different workshops ranging from Key Club 101, executive-focused workshops and this year’s District Project, Sleeping Children Around the World (SCAW) to help Key Clubbers grow in knowledge of Key Club and in themselves. I am positive that there will be something new and fun for everyone.

Of course, DCON isn’t just about business. It’s also the epitome of fun. You don’t just meet Key Clubbers, You meet your best-friends. You don’t just participate in workshops. You learn for your communities and for yourselves. The options are endless when it comes to the District Convention! The board is excited to announce that this year’s District Convention theme is “Hooked on Service”. Not only does it go fantastically with the beautiful and iconic Niagara Falls, but is also extremely denotative in its meaning. Key Clubbers are passionate young leaders who are ready to change the world. There is no way that we fall in love with the act of giving and of service along the way. The ECD Board and I invite all attendees to bring their divisional spirits, and to dress-up on Saturday night in any water-themed costume, whether it be a pirate ready to rock the seas, or Dory from Finding Nemo. It’s also important to note that a crucial aspect of District Convention is the election of the next year’s District Board of Trustees. This involves the election of the District Secretary-Treasurer and the District Governor, as well as the appointment of the District Webmaster, District Editor and District Translator. Electing the future leaders of the Eastern Canada District is vital, and that is why it is so important that each club sends at least two representatives for voting in the House of Delegates. Please ensure that you have looked through the Information Package, as it will help you in planning for District Convention. DISCOVER: NIAGARA FALLS The 2017 Eastern Canada District Convention will be taking place in the great city of Niagara Falls, Ontario. Niagara Falls is not only home to exciting attractions such as Clifton Hill, but also the iconic and breathtaking Niagara Falls.

No matter where you decide to explore in the vast city of Niagara Falls, whether it’s grabbing a bite at one of the city’s known restaurants or visit the unbelievable parks, there is something here for everyone to enjoy! We can guarantee that a lot of amazing memories will be made in Niagara Falls during the 2017 Eastern Canada District Convention.

INTRODUCTION Hooked on Service? Have no fear, the 70th Annual Eastern Canada District is here! The Key Club District Board and District Convention Planning Committee invite you to come and have the time of your life at Convention! DCON is not only an event full of fun, but also is an excellent opportunity to learn about the organization, servant leadership and volunteerism. This year, the 2017 District Convention will be held in the Crowne Plaza Hotel in Niagara Falls, Ontario from March 31st to April 2nd, 2017. The Crowne Plaza hotel is located near the main attraction of the city and has a prestigious and beautiful view of the falls. The hotel itself is chic, modern and ready to offer you its various facilities. We are so excited to celebrate the new service year with you all! For informational purposes, we would like to emphasize the following points: 1. In order to attend District Convention, membership dues must be paid by February 1st, 2017. 2. REGISTER EARLY! Each club is encouraged to register prior to February 1st, 2017 in order to achieve early-bird registration status. Early-bird registration is $190. On February 2nd the cost will increase by $30 per member ($220). The final registration date is March 10th, 2017. 3. REMINDER: Saturday’s lunch will not be provided by the District. There will be a time slot for free time, where Key Clubbers will have the opportunity to visit and explore downtown Niagara Falls. There are a wide range of restaurants in downtown Niagara Falls, where the hotel is located.

Club Presidents: Please ensure that your club has filled out the Annual Achievement Report and Club Elections Form (either online or in paper). The Annual Achievement Report and Elections Form can be found in this package. If you require assistance filling out these forms, please contact your Lieutenant Governor. These forms are mandatory!

Each attendee is required to bring a completed copy of the Medical Form and a signed copy of the Code of Conduct form found in this package. Advisors may want to collect these forms prior to departure for Convention, as they will be needed for registration purposes.

REGISTRATION CHECKLIST Pay Dues! Dues must be paid by February 1, 2017 in order to attend DCON

Select a method of travel The District is not responsible for transportation of Key Clubbers to and from Convention. It is advised that you coordinate with clubs in your division.

Fundraise for Convention Hold fundraisers to reduce your club’s cost for District Convention. Hold a bake sale, car wash or any other event! As well, be sure to contact your Kiwanis Club to seek financial support and ideas for fundraisers.

Complete out of province travel forms If your province requires paperwork to be filled out for travel out of province, please make sure you have the papers filed well in advance!

Get copies of passports ADVISORS: If your club will be flying, get a copy of government issued documents from your club members.

Confirm your attendance

In order to confirm commitment of attendance, please submit your forms and money to your club. The faculty advisor should then fill out the online registration form If you are flying, be sure to look out for seat sales (usually occur in January) Create budget for Convention, and determine a registration cost for your members. Depending on the circumstances of the club, each club will have a different cost for DCON (e.g. transportation costs will be different). Ask Kiwanis for financial support if necessary. Convention Rules and Code of Conduct The District Board of Trustees and the Sergeant-at-Arms Committee hopes every delegate and visitor enjoys the convention. To insure the comfort and pleasure of everyone, the following “Convention Rules and Code of Conduct” has been established in which each individual is expected to follow. Every member will respect the authority of the Sergeant-at-Arms committee, Key Club Administrator and designated staff. (2016-17) must be paid for each Key Clubber 1.! District and International dues for the current year (2015-16) attending the convention. 2.! One adult chaperone for every 10 Key Clubbers in attendance is the mandatory ratio of supervision. Every club that registers for the convention must have adult supervision. 3.! Only advisors or chaperones may pick up their club’s registration materials upon arrival. 4.! Every member of a club’s delegation will respect the authority of the Sergeant-at-Arms, or other persons so designated by the District Board or District Administrator. 5.! No female Key Clubber shall be allowed in the room of any male Key Clubber and no male Key Clubber shall be in the room of any female Key Clubber. 6.! A retiring hour of 12:00 Midnight will be observed and enforced. Key Clubbers are expected to be in their own room at this retiring hour and they are expected to remain there. An unnecessary noise at any hour is a violation. All chaperones shall make sure that those Key Clubbers for whom they have assumed responsibility are in their rooms at curfew. 7.! No alcoholic beverages or drugs of any nature with the exception of prescribed medication will be permitted in the possession of ANYONE attending this convention. 8.! No smoking will be permitted by any Key Clubber at any time during convention. 9.! Gambling, use of fire crackers, fireworks, in brief, any action unbecoming a Key Clubber will not be tolerated 10.! Care shall be taken not to deface or destroy property, or throw objects from windows or balconies. Balconies are off-limits during the convention. Furniture shall not be removed from any room. Any damages are the responsibility of the person(s) occupying that room. Any misuse of hotel property and other disruptive and distracting behavior will not be tolerated. 11.! No Key Clubber may change his/her room assignment without the express consent of the District Administrator. 12.! No poster or campaign material is permitted on any cloth or other surface that could be damaged by the tape or other material used to affix it. Only masking tape is allowed when putting materials up in areas approved by the hotel. 13.! You must wear your convention name badge at all times in a visible position. 14.! Key Clubbers will not leave the hotel un-chaperoned at any time. All Key Clubbers are expected to conduct themselves as responsible young adults and are expected to attend all sessions and activities. Pending a decision by the District Board, gross misconduct on the part of an individual or group of individuals could possibly result in disciplinary action leading to the suspension of that club’s rights to function as a Key Club. Violations involving destruction of property, possession, consumption or use of alcoholic beverages or controlled substances, vandalism, theft, gross insubordination, violence or sleeping room violations (boys in girls room/girls in boys room) will result in immediate dismissal from the event. Infractions of the Convention Rules will be reported by the Sergeant-At-Arms Committee to the District Board and Adult Advisors. Appropriate action will be taken for any infraction including the immediate dismissal of any delegate or visitor. Anyone dismissed from the convention should understand that they must pay their own expense home and a letter will be sent to his/her parents, school authorities, and the President of their sponsoring Kiwanis Club detailing the reason(s) for dismissal. Key Club Annual Achievement Report 2016-17 Each Key Club is required to complete and submit this report prior to its district convention, according to the guidelines set by its own district. WORKSHOP PROPOSALS Key Club members attending District Convention can run their own workshops at District Convention! If you have an idea that you want to share, or think you would run an interactive Page 9 workshop, please consider sending the District Board a proposal. If approved, you will have the opportunity to run a workshop during one of our workshop blocks on Saturday! This is an excellent way to share some of your ideas with a group of motivated leaders and to practice public speaking skills. We want this convention to be about you: the members.

Steps to running a workshop at DCON 2017 1. Think of an idea! Be creative! What do YOU want to tell over 300 Key Clubbers from all around Eastern Canada? What would YOU want to learn? How can you help Key Clubbers?

2. Pick your team!

Who would you want to run this workshop with? You may decide to run your workshop alone or in a group of up to 5 people. Once again, as it is your workshop, pick people who you feel comfortable with!

3. Create an outline for you workshop!

You must present a workshop that is approximately 45 minutes long. The outline should be an overview of your workshop. Start off with the 5 Ws (Who, What, When, Where and Why) and include information about the main points of your workshop. This must be submitted to District Governor Kejie Zhang (governor@keyclub.ca) no later than February 1st, 2017. If you workshop is approved, you will be notified no later than February 15th, 2017.

4. Create your presentation!

If your workshop is approved, you must submit a copy of your presentation (PPT, Prezi, PDF, etc.) no later than March 15, 2017. Your presentation must be final (minor adjustments are allowed).

5. Run a professional workshop at DCON 2017!

If you follow the guidelines, you should be able to present a great workshop at District Convention! The ECD Board is here to help you throughout these steps!

DRESS CODE All participants are expected to abide by the designated dress code for the entire event. • All shoes must have a back strap or covering on the heel. • At no time will any clothing with any inappropriate language or graphics, holes or rips, or bare mid-riffs be allowed. • Any shirts, shorts, skirts or dresses deemed to be of inappropriate length will not be allowed. All short, skirt or dress lengths must be at or below the fingertips with arms held straight down against the body and shoulders relaxed. • All participants are required to wear their convention identification (name badge) at all convention events.
