What can I be doing right now to ensure I’m not a total stress case? Awesome question! When planning over a year in advance, it can feel like your vendor team is a bit MIA (but it is critical to secure your team as soon as possible in the mountain west due to popularity of the area). This is a great time to remind you to slow down in the planning process, particularly if you have a wedding a year or more out. Many vendors are either really busy executing events in the current season or taking a breather. However, if you’re feeling like you don’t know what to do next, here are a few things that everyone seems to forget about until the last minute.

1. Create organizational systems I know, how boring does that sound? But when you’re planning a wedding for 50 people or more, it’s really important to start streamlining your communication with them. Create a spreadsheet with all of your guests names, addresses, phone numbers, and email addresses. Have columns that say “Sent Save the Date”, “Sent Invitation”, “Accepted for Rehearsal Dinner”, “Accepted for Wedding”, etc. If you do it now while you have more time, you won’t be scrambling later to organize all the information.
