Part A: Introduction & Contact Details

At Snowy Mountains Grammar School, we are committed to developing the whole person –intellectually, personally and physically. Aligned with this commitment, we are pleased to offer membership to a well-equipped commercial-style gymnasium facility located on campus, available to specific student cohorts and groups and all staff members.

Our Snowy Mountains Grammar School Gymnasium supports our students and staff to prioritise their health, fitness and overall wellbeing by engaging in physical activity, setting our community up for lifelong wellness.

To use the Snowy Mountains Grammar School Gymnasium, members will need to complete a satisfactory induction and follow the guidelines in this Handbook as well as school policies and conditions.

This handbook guides inducted members to use our gymnasium in a way that is safe, effective and in line with the values and policies of our School.

Specifically, the purpose of the Gymnasium Facility Member Handbook is to:

• Ensure that the gym is used in a safe, respectful and effective manner by providing clear guidelines to staff and students

• Provide practical information about access hours, membership fees and sign-in/ signout procedures

• Ensure that the gym is a safe and secure environment and functions effectively by outlining supervision requirements and technology use

• Promote a positive culture within the gym by outlining expectations for behaviour and conduct

• Ensure our gym is a clean, organised and well-managed facility by providing guidelines around food, drink, clothing and gym protocols.

Part B: Gymnasium Membership

Only SMGS Gymnasium Members can use the facility. Members are:

• All Years 7 to 12 students during scheduled PE classes or Sport Academies

• All Years 10 to 12 students who opt in for individual training outside of school hours MUST be inducted and registered for use by a qualified person (see this Handbook)

• All Staff who opt in for individual use MUST be inducted by a qualified person (see this Handbook) AND must pay the membership fee each term or volunteer for the supervision schedule.

For the avoidance of doubt, the facility is NOT to be used by the following persons:

• Spouses/partners of staff

• Children of staff (unless attending SMGS in Years 10 to 12)

• Alumni (unless current staff)

• Parents of SMGS students past or present (unless current staff)

• Casual staff (except on days employed by SMGS)

• Any other individuals unless approved by the Principal in writing

Membership Fees

Annual membership fees for students are included in tuition fees.

Annual staff membership fees are used towards providing qualified supervision of students beyond general staff supervision for those who do not wish to volunteer their time supervising students on a weekly basis. For those who volunteer their time to supervise weekly, the fees are in lieu in recognition of not requiring further staffing costs during those times. The staff membership fee is calculated each school term commencing the first day of the new term and includes the school holiday period trailing that specific term time. These supervision sessions are arranged by the Director of Sport Office.

SMGS offers a discounted paid membership for all permanent or contracted staff members at a significantly reduced rate.

Only those staff who are members will have key access to the Gymnasium.

Gymnasium Membership Induction

Before using the gymnasium facility and equipment, all members must complete an induction led by a qualified exercise professional appointed by the School

• Certificate IV in Fitness (Personal Trainer)

• Certificate III in Fitness (Gym Fitness Instructor)

• Bachelor ’s degree in Exercise Science/ Health & Physical Education/ Human Movement Studies

• Physical Education Teacher

• or equivalent qualifications.

Personal Training Sessions

If students or staff would like to access private Personal Training (this will be a user pay system), please contact the approved qualified Personal Trainer outlined on the Contacts Page to make arrangements. Further information can be accessed via the Sports Office. Please note, this feature may be coming soon.

Part C: Gym Operations

Hours of Access

Junior School Students (Kindergarten to Year 6)

Junior School students are not allowed access to the gym; access begins from Year 7.

Middle School Students (Years 7 to 9)

Middle School students may access the gym during their PE classes, elected Wednesday Sport (where places are offered by the Director of Sport) or through specialist programs (i.e. Sport Academies) and only under the direct supervision of PE teachers and/or exercise professionals.

Senior School Students (Years 10 to 12)

Senior School students may only access the gym during the following designated hours and must always be supervised according to the Supervision Schedule. Senior School students are not permitted to use the gym unsupervised by an approved/inducted staff member, PE teacher or exercise professional. Failure to comply may result in a suspension or a loss of gym membership.

Term Time Access For Students

Students can access the gym during term time according to the published schedule. Any access outside of regular term time is only allowed if a specific schedule has been provided in advance for that period. Please liaise with the Sports Office (Director of Sport).

Holiday Closures

The gym is closed to all students without exception during the Easter and Christmas shutdown period. Staff who are members may use the facility only if accompanied by another staff member who is on school grounds and is aware they are in the gym. This is for safety reasons and emergencies if required.

Gymnasium Facility General Guidelines – Reservations and Use

Reservations

Gym reservations should be made by completing the booking in Sentral, the School's internal reservations system. Reservations are required for PE classes, Wednesday Sport Program, Sports Academies or one-off special events according to the following advance notice:

In the event of scheduling conflicts, the Director of Sport will consider the priority system previously mentioned to resolve the issue. The Director of Sport will work with members to try to find alternative times or spaces within the school as needed to accommodate activities.

Sign In/Out Procedures

All staff and students must sign in and out when using the gym, with the exception of PE classes (roll marking to occur as usual). This is a condition of ongoing membership.

You can sign in/out using one of the following two options:

Option 1: Use the iPad/tablet at the gymnasium entrance and follow the on-screen prompts to sign in/out for each session.

Option 2: Use the QR code on the wall with your mobile device to sign in/out for each session (Note: the QR code option is coming soon).

Please note: Failure to sign in for each session may result in a temporary suspension of gym membership and access to the gym. If repeated, this may lead to an extended suspension.

Gym Use and Supervision Requirements for Middle School Students

After being formally inducted, students in Middle School (Years 7 to 9) are only permitted to use the SMGS Gymnasium within the following programs:

• Scheduled PE classes (by exercise professional)

• Wednesday Sport elective (by exercise professional)

^Class B free-weights are those where failure of the muscles may risk entrapment by the weight or result in falling weights. Examples include barbell squats, barbell bench presses, barbell shoulder press, barbell triceps curl, barbell clean & jerk or overhead movements. A spotter is essential.

Gym Use and Supervision Requirements for Senior School Students and Staff

After being formally inducted, Senior School students (Years 10 to 12) and Staff may use the SMGS Gymnasium according to the Middle School student schedule above and as stated below.

Clothing, Footwear and Personal Hygiene

• Appropriate clothing must be worn at all times, including appropriate shirts. No singlets or sleeveless shirts are allowed as a replacement for a full shirt with sleeves. Clothing must allow for correct and safe body movements when using equipment. Members are not to wear loose, dangling clothing while using the equipment due to the potential of entanglement in moving parts. Clothing with offensive logos, branding or wording is not permitted.

• Members are not to wear loose, dangling jewellery while using the equipment.

• Suitable enclosed fitness footwear must be worn at all times. Sandals, thongs, Ugg boots or similar footwear are not permitted.

• Students are required to tie long hair back as per School guidelines.

• Deodorant should be used before, during and/or after using the gym.

• For hygiene reasons, all gym members must train with their own towel placed on equipment when in use, such as benches and pin-weighted machines.

• Students are not to place towels or items on moving parts of the equipment to prevent entanglement. If towels are not supplied by the student, no training will be able to occur.

Food and Drinks

• Water is permitted in the gym. Members should bring their own drink bottles (no glass). Please ensure caps are replaced after each use. A water station is provided within the facility for refills during sessions.

• Members are encouraged to consume water before, during and after all sessions.

• No other beverages or food are allowed at any time.

Sound Systems and Music

Specialist professional music compilations for commercial gymnasium facilities are provided for users of the gym. The playlists are accessed via an iPad located next to the sign-in iPad at the gymnasium entry. These playlists have a wide range of music for various workout purposes and are updated by providers.

Please be aware that personal playlists from the iPad or from any personal devices are not permitted. This removes various issues of concern, such as offensive and explicit lyrics, issues of connectivity and removing risk of software viruses connecting to our system.

Speaker volume between 8.15 am to 4.30 pm (Monday to Friday) is required to be kept to a minimum to respect the office spaces during business hours.

Audio-Visual Equipment

Two televisions are provided in the gymnasium facility. The supervising staff member is the only person permitted to set these.

CCTV

Be aware that CCTV may be in use within the gymnasium facility 24/7 and accessed by approved staff only for operational, safety and security purposes.

Part D: Available Equipment

Gymnasium Facility Overview

The equipment in the gymnasium is commercial quality The equipment includes cardio machines, pin-weighted cable machines, free weights, sled and additional fitness equipment. Pin weighted equipment pieces have instructional guidance on correct use.

Most cardio equipment comes with virtual SMART consoles, offering features such as preset geographical work out routes from around the world, plus Netflix, YouTube and the ability to connect personal devices. The use of these features will be at the discretion of the supervising staff member.

Change Facilities and Personal Item Storage Areas

Until the new changeroom facilities/showers are completed, students and staff are required to use their current changeroom and toileting facilities. Once building works are completed, changeroom facilities and showers will be located adjacent to the facility for the use of students.

Students and staff are not permitted to change in/out of clothing in the gym. They must use the current PE changerooms/bathrooms provided located in the long shed.

Students are to leave school bags and unnecessary personal property outside of the gymnasium or in lockers where they will not present a risk to others e.g. tripping hazard. Students are to be aware that personal property is the responsibility of the owner.

Part E: Etiquette and Safety

Rules for Exercise

For optimum student and staff safety in the gymnasium, please ensure the following:

1. Warm-up prior to commencing any intense work out.

2. Lift only the weight you are capable and comfortable to do so.

3. Safety collars on all bars are required at all times.

4. Use all equipment only as instructed and as intended for proper use.

5. Familiarise yourself with each piece of equipment prior to commencement.

6. Always use a spotter for any lifting risking entrapment of a weight of any kind.

7. Return all equipment back to the rack/storage when finished each exercise.

8. Stand clear of all others exercising to avoid injury.

First Aid

All staff members supervising the gym and those using the facility should be First Aid qualified, with current CPR certification and provide immediate assistance in the event of an injury or medical emergency.

A First aid kit and an Automated External Defibrillator (AED) are both located within the gym.

Students and staff are to report to the supervising staff member if they feel unwell at any stage, during or after completion of a workout such as feeling faint, dizzy or experiencing pain. This will enable appropriate medical attention to be organised if needed.

Gymnasium Etiquette for Students and Staff

To ensure our SMGS Gymnasium is a safe, inclusive, supportive and productive space that promotes fitness, learning and personal growth for all members, the following gymnasium etiquette must be followed:

1. Respecting

Other Gym Members

o Be considerate of members’ personal space and privacy.

o Do not engage in unsafe or disruptive behaviour that could injure yourself or other members or prevent them from fully engaging in their activities.

o Share equipment and space in a fair and cooperative manner. Be mindful of others waiting for equipment. Avoid remaining on one piece of equipment for too long.

2. Respecting the Gym Facility and Equipment

o Treat all gym equipment with care and use it for its intended purpose.

o Equipment, including weights is not to be left on the floor, in any walkways or around the gym as this poses a hazard. Return it to the correct storage place.

o Report damaged or malfunctioning equipment immediately to the supervising staff member.

3. Cleaning Up After Use

o Wipe down equipment after you have used it with your towel including benches, machines and mats to maintain hygiene and cleanliness.

4. Encouraging a Positive Atmosphere

o Foster an inclusive and positive atmosphere where everyone feels respected, comfortable, supported and motivated to participate.

o Maintain a positive attitude during individual and team activities

o Assist in maintaining an appropriate noise level in the gym

Policies and Procedures

All current and relevant SMGS policies and procedures, including Student Code of Conduct and Staff Code of Conduct apply to the use of the gymnasium. Members must comply with all rules of use, policies and procedures relating to the gymnasium

Student and staff gymnasium members should also be familiar and comply with the School’s policies regarding Media Use while in the gymnasium and associated areas. No one is permitted to record and/or take photographs within the gymnasium and associated areas without following the appropriate procedures to gain necessary approvals.

Students and staff are required to familiarise themselves with the Emergency Evacuation procedures and route to the oval.

Inappropriate Behaviour

Any member observed or known to be using rude, offensive or abusive language or engaging in unsafe or disruptive behaviour in the SMGS Gymnasium, may have their membership suspended or revoked for an extended period, at the discretion of the School.

Appendix with Staff Information

Supervising Staff Checklist – Before Gym Use

1. Open Gym

• If required, ensure any security alarms are disarmed.

• If required, unlock any areas of the gym and associated areas for access during the sessions.

2. Set Up and Inspect Equipment

• Ensure all equipment is available and ready for use.

• Confirm that all safety equipment (e.g. first aid kits) is accessible and in good condition.

3. Check Cleanliness and Safety

• Check the gym floor and surrounding areas for cleanliness, removing any rubbish or obstacles.

• Ensure all associated facilities (e.g. toilets, change rooms, storage areas) are clean and safe for use.

• Check for any potential safety hazards and address these immediately.

Supervising Staff Guidelines – During Gym Use

1. Staff who are undertaking the responsibility of supervising must actively observe students engaged in physical activity and remain within the facility at all times.

2. The level of supervision must consider the number of students, number of staff and activities occurring within the gym to remain vigilant at all times.

3. Ensure the maximum occupancy of the gym does not become unsafe and manage entry of arrivals if capacity has been reached. Note that the capacity depends on ages and activities.

4. Students who are not actively exercising (i.e. loitering, socialising) will be asked to leave for inappropriate use of the facility.

5. A student may be asked to leave at any time if behaving in an inappropriate manner – unsafe, being disruptive or disrespectful. This must be reported to the relevant leaders including Head of Year, Director of Sport and Head of Faculty – PDHPE.

First Aid and Reporting Injuries and Medical Emergencies

Supervising staff are First Aid qualified with current CPR certification and must provide immediate assistance in the event of an injury or medical emergency.

In the event of an injury or emergency, supervising staff members are required to follow the standard reporting process. Ensure that a report is completed accurately, thoroughly and given to the Director of Sport and the Business Manager within 24 hours. Contact with the student's parents or guardians must also be made as soon as possible to inform them of the incident and any necessary follow-up care or action should be arranged as needed.

In addition, staff must notify the Director of Sport, who will monitor the situation and take appropriate action.

Supervising Staff Checklist – After Gym Use

1. Check, Turn Off

and Secure Equipment

• Confirm all equipment is present (use previously Available Equipment list) and stored correctly in its designated storage area.

• Ensure all storage areas are securely locked as necessary.

• Ensure that all gym equipment with electrical components (e.g. cardio machines) are switched off and unplugged, if applicable.

• Ensure that all electrical equipment (e.g. sound systems, televisions, air conditioners and fans) are turned off, if applicable.

2. Check Cleanliness of Areas and for Safety Hazards

• Remove any remaining rubbish or items from the gym floor and surrounding areas.

• Ensure associated facilities used before and after the gym (e.g. toilets, change areas, personal item storage areas) are clean and that no personal items are left behind.

• If any personal items are found, take them to Reception as Lost Property and notify relevant staff and students.

• Inspect the gym and associated facilities for any safety hazards (e.g. wet spots, obstacles) and address these as needed.

3. Report Maintenance Issues

• Document and report any damaged or malfunctioning equipment, furniture or fixtures to Facilities Manager and Director of Sport.

4. Exit Procedures

• Ensure all doors and windows are locked in the gym and associated facilities.

• Ensure all lights are turned off in the gym and associated facilities as necessary.

• Set any school security alarms as required.
