This legislation serves to outline under what terms a club will be deactivated, and changes recognition standards a. Annual Club Relations Auditing i. Club Relations will then meet with Rules ii. 60 days will be given to eradicate any problems b. Changing meeting and enrollment standards i. Every club must hold three meetings before becoming recognized ii. There must be at least fifteen members in attendance iii. All attending members must match up with GetInvolvedHU members c. We would all have to thoroughly check our records to see if they did reach out 2. Yields time to Chairman Kutsch a. 60 days is plenty of time to correct an emailing issue 4. However, some communication is required constitutionally, such as asking for an SGA representative to attend an election. They have to do this according to our constitution.

If you have plans you’d like to work on over the summer or all semester long this seems limiting and like it punishes the hard workers. I think it’s an idea but not the right idea b. President’s Report Mid Semester Fall 2016 – 82nd Senate

Introduction

Upon election, Vice President Shepherd and I realized that our senate would be graduating a significant number of seniors in Spring 2017 semester. Recognizing this, a push for younger, first-­‐year senators became of the necessity.

As an organization, the Student Government Association wishes to further enhance the vision and goals set forth by Hofstra University. With this responsibility, the Student Government Association (SGA) provides and allocations resources to students and student organizations at large. These resources range from budget allocations to club office spaces.

With the Spring 2017 semester approaching quickly, SGA is preparing for club office spaces to further evaluate individual organization’s use and impact. In regards to budgets, a moderate amount of organizations are seen on a weekly basis and the Appropriations committee has been working diligently on SGA’s rapport and funding guidelines.

Continuing, providing resources may not always be monetary or a physical space. The Rules committee has focused on changing the guidelines for SGA-­‐recognition. As President, I recognize budgetary constraints clubs face and while there is a huge numbers of organizations, having inactive clubs are a weight to all clubs. Thereof, the Rules committee created standards for recognition. While these standards are now part of the policy series, they are questions SGA has asked for as long as I have been here. But having a structured and written documentation of the expectations Senate holds when an organization comes to a SGA-­‐Recognition Hearing is helpful for both Senate and said organization. Also, the Rules committee has been diligent in ensuring club constitutions abide by the SGA standards and remain non-­‐exclusive in nature while also balancing the numerous club elections that requires an SGA representative to attend.

SGA’s role is beyond simply providing resources. As an organization that embodies the current feelings, attitudes, and topics of undergraduate students on this campus, SGA focuses on building community. The Spirit committee and Public Relations committee are constantly working on building school spirit and encourage students to support the athletes on this campus that bring notoriety to Hofstra University. Additionally, the Public Relations committee actively engages students during weekly “FaceTime with SGA” in the atrium to get immediate feedback from the student body. Commencing the initial interaction, feedback is evaluated and dispersed to the appropriate channels to begin new initiatives and goals. The committee has also continued to implement many countdowns to prepare the students for events of great stature.

Finally, SGA wishes to create a community that students wish to be a part of and to ensure a lifelong commitment to the university as alumni. Such a task requires that the current feelings of attending a university are positive and we use our Student Services committee to

have initiatives where they try to make Hofstra a better institution to attend. Soon, SGA will be launching its annual Student Appreciation Week where in an attempt to collect a statistically significant sample of students, SGA and partnering organizations and departments show students how much we appreciate them. SGA exists for the students – and while simply put, every piece of legislation passed or Senatorial Action Implemented, it exists for the students to have an enhanced experienced in college. A prime example: last semester a Senator, who is now a chair, came up with an idea to extend both the library hours on the weekend and the fitness center hours during the week—through many meetings, reports, and charts, the chairperson accomplished this task and initiative to benefit the students. We are incredibly proud of when our Senators take an action into their own hand and this translates to the Student Services committee. This committee is where SGA prides itself on being the largest and most intensively practiced committee because it exemplifies the purpose of SGA. We are excited to continue to change the university one initiative at a time.

All of this would not be accomplishable without the continued support of the Vice President, Whitney Shepherd. She has been incredibly diligent in her duties and in her position of Chair of Chairs. Of course, the SGA Advisor, Assistant Director of OSLE, Karl Koeppel, has been integral in the success of the organization thus far and we are grateful for everything he does for us. I also thank the current state of SGA with the help of administration. The continued support that we received from Student Affairs and the Hofstra administration at large is simply incredible. Administration has been receptive to all of SGA’s goals and initiatives. We would not be here without them. Finally, I thank the students for entrusting their faith in SGA. We hold the student’s opinion very closely and wish to help them attend a university that they wish to be a life long member of.

There are some overarching trends that appear from the data, which may aid the organization as whole or individual initiatives.

(1) Demographics a. During polling, only 12% of students polled were Seniors. While graduating, to enhance the idea of lifelong membership to the Hofstra Pride, engagement with Senior Students should be a priority. Reasons for low percentage are: i. Timing delays between when Seniors are in class vs. polling ii. Seniors may not care because they knew they were graduating in a few weeks iii. Younger Senators may be intimidated by approaching Seniors (2) Commuter Students a. The polling outcome generally reflects the distribution of students who are residents compared to students who are commuters.

(3) Beyond Super-­‐Majority Support for Expanded Commuter Parking a. With a percentage of 74%, students overwhelmingly are in support of expanding parking on the Academic side of campus.

(4) Relocation of First-­‐Year Student Parking a. With a high percentage of students polled who are first year students, it is no surprise that the data is not statistically significant in support of relocating the First year students.

(5) Sustainable Park a. Again, 89% of students polled are in support of a space to lounge b. Interestingly enough, the space was converted into a green-­‐space/park area.

Cabinet Retreat – September 4, 2016

As part of the President’s and Vice President’s duties of office, a cabinet retreat was put on to emphasis a cabinet visions and begin intensive training with the newly elected (or returning) members of cabinet. While the day was concise, major topics included a discussion about the newly used task management system called ASANA. Also, Vice President Shepherd trained chairs to prioritize commitments and handle conflict resolution. Other topics included: (1) Goal Setting (2) Implementing Student Affairs Expectations (3) Running a Committee and Planning Effectively

Also during the Cabinet Retreat, Vice President Houston Dougherty and Joseph Fitzpatrick came to a luncheon to meet the newest members of cabinet. The time was used to understand what administration expected from members of cabinet and to have cabinet meet some individuals who they may regularly have contact with.

As part of Welcome Week, an event called Bingo for Books occurred in the Multipurpose Rooms. Cabinet was asked to attend and aided in calling bingo numbers, dispersing prizes, and checking cards. Mostly, it was a chance to meet the Class of 2020 and continue regular face-­‐ time with the students.

Debate 2016 – First Presidential Election

As many will know, Hofstra hosted its third and historic presidential debate, which was the first for this current election cycle. Many SGA cabinet members and senators (along with Associates and Justices) served as volunteers for the debate. Among hundreds of applicants asking to volunteer and just under 400 to be selected, SGA was well-­‐represented to aid in implementing the debate and making this grandiose event happen. These are just a few of the many jobs we were happy to serve in.

SGA Retreat

While I was unable to attend the retreat because of personal reasons, Vice President Shepherd did a fantastic job along with the executive board to begin building the SGA family.

SGA worked on committee mission statements and visions and also went to Bounce for a fun and interactive way to get to know the newest members of the SGA family.

Pride Expo 2016

For the first year, SGA was an official Co-­‐Sponsor to the Pride Expo which deputed at Hofstra. With the purpose of engaging alumni and parents, organizations were forced to pair up with at least three organizations and create an interactive expo. Creativity was certainly at it’s finest.

SGA supplied resources in a variety of ways: (1) SGA tabled and had a prize wheel to engage the community at large (2) Each expo will be reimbursed (upon paperwork approval) $500 to encourage disenfranchised organizations who previously not afford to participate to become part of a Hofstra tradition.

(a) S.A.2016.81.001 – Referenda Questions 1. These questions were passed in order to have questions to ask students during the Fall 2016 Election voting. Questions were to be answered using “yes” or “no.”

(b) S.A.2016.81.002 – Club Recognition and De-­‐Recognition Legislation 1. Passed recently with the hopes of streamlining new organizations seeking SGA-­‐ Recognition by creating organizational standards.

2. Additionally, standards and protocol were created for dealing with organizations that may be deemed inactive or requires loss of SGA-­‐Recognition.

Preparations for Student Appreciation Week

As mentioned briefly in the introduction preparations have begun in the late Spring Semester for this fall’s Student Appreciation Week. The Student Services Chair has been working nonstop to secure partnerships around campus to put this event on. Public Relations Mid Semester Report Hello Everyone!

Before I begin, I’d like to say that it is an honor and pleasure to be standing before you today. I think very often about the trust that this position carries with it, and I assure you all that I do not take it for granted. This organization is so incredibly important to so many on campus, and the chance to be a part of shaping its present and future is something I am so very proud of. That being said, let us begin.

Social Media:

My highest priority this year has been to maintain a consistently high profile on social media. As of today, on Facebook alone, the SGA account has posted original content 63 times.

There have been 54 days since the start of the school year. That is an average of 1.16 posts per day, which does not even count the posts on the account before the school year started. I’d like to briefly go over some metrics for the highlights of our social media year thus far. (These metrics are accurate as of this Monday, before the event this week that did generate a great deal of traffic)

Before the school year began, we had a social media countdown to familiarize the student body with Cabinet. There was a total reach of 9,880 people, with the most viewed post having over 1,200 views on Facebook alone.

Because of continued collaboration with DSA, OSLE, and the library, we have continued to help broaden the social media reach of their own promotions, reposting such events as movie screenings with the library, and We the Civil People, both of which had a reach exceeding 1,700 students. We the Civil people was also one of the most engaged posts of the year on Facebook, with many students sharing and commenting on the timeliness of the event.

By formalizing roles for committee members, we have been able to do countdowns for several events in a timely manner.

The most successful content on social media thus far has been the #SGAspotlight campaign, which highlights individual members of SGA and their past, current, and planned future contributions. These posts have consistently accrued the greatest amount of likes, views, and shares on both Facebook and Instagram. They also have forced people to become more aware of goings-­‐on in SGA, as the nominations for the spotlight are entirely drawn from suggestions. o In response to such a positive internal and external reaction, this particular promotion has been updated to twice a week, and it has been really rewarding seeing the response

to these, especially since they each help better acquaint the student body with what it is we do

We have had, up to this year, a good presence on social media during events, but that is something I’d like to improve upon even further. Given our fantastic shirts and exceptionally large body this year, we should be a very visible presence around campus during events. Going forward, I’d like to have a designated person at each event who will take pictures and have them promptly sent to me. Any way that we can increase exposure to individual faces is something that I’m looking to implement.

Finally, something that I’d also like to expand over the rest of the year is the use of Facebook Live streaming. The Live video at the “What’s Happening at Hofstra” event generated a great deal of engagement. I’d like this to be a consistent presence at our most important events over the rest of this year, starting with some use during Student Appreciation Week.

Learned how to make Hofcasts – will coordinate with social media for more reach I worked with Student Services Chair Rita on redoing the flyer for the New York Times subscription.

Fall 2016 Mid-Semester Report 81st Senate Rules Chair Normandin Fall Elections The Rules Committee facilitated the Fall Elections of the 81st Senate. 54 interested students attended Election Information Sessions to learn more about the election process. 27 of these students submitted a completed election packet and ran for either a Senator or Justice position. With a vote by 452 undergraduate students, 8 students were elected as Senators and 6 students were elected as Justices, bringing the total number of students holding positions in SGA to 49 members.

Clubs Seen A total of ten clubs have attended the five Rules Committee meetings held thus far. Five of these clubs came seeking SGA recognition, and five came to update their club constitutions. Pride Student Veterans Organization (PSVO) attended Senate twice after originally not being recognized. Both Colleges Against Cancer (CAC) and American String Teachers’ Association (ASTA) are continuing to have conversations with the Rules Committee about returning to Senate in pursuit of recognition this semester.

Club Elections The sign-up process in which clubs request the attendance of an SGA representative at their elections has been moved to a form on GetInvolvedHU. This change has helped to facilitate and organize the conversations taking place between clubs and the Rules Chair. The process by which members of SGA sign up to attend elections had also been moved online to a Google Form. This change again helps with organization and documentation of election attendance.

Thus far, SGA members have attended a total of 34 club elections. These elections are a great way for members to spend face time with students and to represent SGA on campus.

Legislation SA.2016.81.002: Club Recognition/ De-Recognition was passed through Senate on October 13th, 2016. This legislation clarifies the existing criteria and adds new requirements that clubs must meet prior to becoming eligible for SGA recognition. The legislation also adds a process by which SGA may derecognize clubs that are found to be inactive and/or not utilizing SGA services any longer.

SA.2016.81.002: Senate Absence Guidelines1 aims to clarify the absences given when Senators miss only a portion of Senate meetings.

Referenda SA.2016.81.001: Fall SGA Election Referenda Questions was passed through Senate on September 15th, 2016. These questions provided insight as to student awareness of the extended Library and Fitness Center hours, as extended through previous SGA initiatives. The questions also polled student knowledge of the new Ramen noodle food station and gaged the student interest in extending recycling resources on the residential side of campus.

SA.2016.81.003: Student Appreciation Week Referenda Questions2 aims to poll students on their support for various future initiatives.

Legislation Lessons In an attempt to acclimate the new Senators, Legislation Lessons were given on the items that comprise the Senate agenda, the language one uses to make a motion, the types of debate in which Senate participates, and the general Club Recognition Hearing process.

Appointed Positions Senator David Durand was originally appointed as Ethics and Conduct Chair. Senator Mike Amadio has recently been appointed as the new Ethics and Conduct Chair and plans to bring related legislation to Senate in the near future.

Committee Initiatives Rules Committee members have taken on various internal and external initiatives. Senator Mike Amadio plans to move internal SGA documents to an online forum to both increase efficiency and promote greenness. Senator Sabrina Bekios is working to increase transparency in the differences between the OSLE and SGA club recognition processes. Senator Polina Mustazza would like to create education videos about SGA’s services. Chair Abby Normandin created a committee minutes template to have consistent formatting in the Senate agenda. Chair Abby Normandin also updated and finalized the list of active clubs and organizations on campus, and which of these are SGA-recognized. There are currently 216 active Hofstra clubs and organizations, and 144 of these are SGA-recognized.

Registration Committee The first Registration Committee meeting was held on October 21st from 10-12 AM. In attendance were SGA advisor Karl Koeppel, OSLE advisors Denise DeGennaro and Gillian Atkinson, Fitness Center advisor Shaun Fean, SGA Club Relations Chair David Durand, SGA Rules Chair Abby Normandin, and SGA Senator Mike Amadio.

A total of eight clubs were considered. Five of these passed through the committee and are now recognized by the University. These clubs include the Student Organization for Animal Rights, Distributive Education Clubs of America (DECA), American Medical Women’s Association, De Moda, and Society of Women Engineers. The recognition of two clubs is pending. One club was declined.

Office Hours Rules Chair office hours have been held from 2-4 PM every Monday in the SGA office, room 242 in the Student Center.

Summary The Rules Committee, consisting of seven entirely new members, has undergone training on the purpose of the Rules Committee, the types of Senatorial Action, and how to write legislation. It has also studied SGA’s Constitution and Policy Series. Five meetings have been held thus far, seeing a total of ten clubs and organizations. Three of these clubs were ultimately recognized by SGA through Senate. Internal SGA elections were held, resulting in fourteen new members (eight senators and six justices). SGA

representatives have mediated a total of 34 club elections. The sign up processes for clubs to request representatives and for SGA members to attend elections have both been moved online, to GetInvolvedHU and Google Drive, respectively. Two referenda have passed through Rules, one of which passed Senate and was included on the Fall SGA Election ballot. Four legislation lessons have been given at Senate. The position of Ethics and Conduct Chair has been appointed. Nine initiatives have been started out of the Rules committee. The first Registration Committee meeting was held, recognizing five new clubs on Hofstra’s campus. Ten office hours have been held and will continue to take place on Mondays.

The company, Color My College, supplies all the necessities for the run and we will work with them again. This event would be only open to Hofstra students and the colors would be just blue and gold

Fall 2016

The first ever Pride Expo occurred; it was successful. SGA cosponsored the event and tabled to show our support. The prize wheel used drew in the crowds of parents, students and faculty.

SGA will table at the event and we will be face painting and putting tattoos on. The game is to promote the exciting start of the basketball season for both the men’s and women’s teams. The event starts at 8pm and will be successful

Events have been planned out; Monday will be a Trivia Wing Night, Tuesday will be tabling with a prize wheel, Wednesday will be the Pep Rally, Thursday will be signing the banner and Friday is where we hand out cookies and tickets.
