It seems like yesterday Worth Ross was passing me the gavel. It’s no secret that technological advancements are occurring faster and faster. If you’re like many people, when you watch TV you may be streaming your shows exclusively through providers such as Netflix, Amazon Prime, or Hulu - ‘cutting’ the proverbial cord from traditional cable programing. Many people no longer have a home phone, relying exclusively on their mobile phone to communicate.

If you’ve ever had to deal with roof replacement at your properties, you know it can be a time-intensive process. Typical roof inspections require contractors to set up a ladder and take tedious measurements when assessing roof conditions. If the contractor is thorough, they often measure twice to ensure the accuracy of their initial work. Utilizing drone technology cuts down dramatically on time and can exponentially increase the accuracy of the measurements and lessen the amount of time property owners and mangers need to spend in this phase of the project.

As a result, property owners and managers can feel more confident in the precision and accuracy of the assessment using this inspection method. Information can be gathered for the otherwise hard to measure areas including peaks, valleys, and ridges and other components such as walls, gutters, and windows can be more accurately assessed as well.

Now, let’s fastforward to today in 2018 - Enter the software company revolution. Over the past decade or so, a slew of new software companies have emerged, providing solutions to management service, digitizing workflow for services such as architectural requests, tasks management, delinquent assessment collection, accounting, compliance coordination, work order fasciliation and digital file management. A management company would pretty much be irrelevant to the market if it did not provide at least an owner/member portal into community communications and account information, a 24 hour call center, software driven accounting services, monthly reporting on financial positions, online payments, payment/lockbox services through the bank and tracked communication techniques. Mobile applications are also making big waves in the use by management companies and association members, providing better compliance resolution and association functions with owner input. These apps are ultimately connecting the dots between in-house databases, in-the-field service and member interaction. From the perspective of an association member in 2018, if something requires taking several hours out of your day to handle, it better be of paramount importance.

Where will association management company services go in the next 5 or 10 years? Oh how we would all like to know that definative answer. Certainly, many of the same services will still be in place. However, with the ever-evolving use of social media, management through those vehicles will become commonplace at some point. People like personal connection and most social platforms provide communication through what is called “push notifications” which is more instant than even text messaging. The feeling of communication being less formal will become more welcomed and recieved in a better light. More and more people are reaching out to companies like retail stores, oil change companies and even banks through social media platforms. There’s just that sense of knowing who the person on the other end is a little better that promotes communication. Additionally, the peer-to-peer network is uncompromising. Friends can like, promote, comment on and recommended companies to their entire network in a click of a button. Companies can provide more promotions to more people instantly over social networks. You can even pay for goods and services through social networks. Consumers drive ecomomy more now then ever, and smart companies are realizing that to be a part of someones social network is more valuable than any other marketing tool available.

Once upon a time, management companies found a nice nitche in which newly developing Property Owners, Condominium and Homeowners Association communities were being born and the requirement for a company to manage those affairs was in good demand. At that time, those affairs were mostly just making sure the bills were paid, filing taxes, skeleton accounting spreadsheets, procuring insurance, responding to owner requests and lots and lots of paperwork and filing. Association management was merely a boutique industry. Just as early as twenty years ago, HOA management services were beginning to solidify their place in the market. more recent past - Twenty years ago, if you were a Community Manager and recieved twenty emails over the course of a day’s work, you were pretty busy. Additionally, more than a few voicemails was a lot to take in, find answers to and respond to in an orderly fashion. Owners and members were completely complacent with a 24 hour response time as that was considered to be the norm and actually quick. The only way to communicate with your management company was to make a phone call, fax in a form, email or visit the office personally. Speaking of visiting personally, owners and members were quick to get in a car and drive to their association’s management office to speak to their associate, taking several hours out of their day to start a conversation on a concern, request or Paperquestion.-Twenty years ago, accounting departments had printers which never stopped. Visiting the accounting department provided sounds of continuous spooling, printing engines, carbon copy paper, Avery labels and color coded file cabinets. EVERYTHING was printed and filed; including emails, forms, deeds, letters, invoices, check copies, deposits, hand written call logs, inspection reports, contracts, and any and all related documentation. All accounting entries were manual, usually on a saved document which was created in Windows 98! Digital operations were mostly handled out of shared computer spaces, hard external zip files and thousands of Excel spreadsheets.

How do management companies continue to stay on the cutting edge of customer service demands? That’s a very tricky question in today’s environment of instant messaging, networking and peer opinions. The easy answer - Always be straight forward yet expeditious with responses, never underestimate the power of influence through extremly large social networks, delegate responsibilities to specific personnel for providing instant communication with thorough knowledge of the management company’s organization and engage with those networks regularly providing relavent, valuable information. Management companies will no doubt have difficulty developing strategies to minimize time used on standard operating procedures and devote resources to social networks and instant messaging, however, it is something to start thinking about now. The lines between business and pleasure are blurring. It is believed by many economists that the line will continue to become more fuzzy as time proceeds. More and more people are finding ways to live the lives they prefer while handling just as much professional responsibility. The future holds exciting changes, if you are up for it. Property, Condominium and Homeowners Associations are well known today, expected to provide value to homeownership and mostly appreciated by owners alike.

We are often asked about what standards an agency should use regarding Outdoor Fitness Equipment. Well Good News! The ASTM has completed a new standard for Outdoor Fitness Equipment. Below is the Scope: 1. 1.1Scope This specification establishes parameters for the design and manufacture of outdoor fitness equipment as defined in 3.1.30.

The EPA on its web site states: "Green roof, or rooftop garden, is a vegetative layer grown on a rooftop. Green roofs provide shade and remove heat from the air through evapotranspiration, reducing temperatures of the roof surface and the surrounding air. On hot summer days, the surface temperature of a green roof can be cooler than the air temperature, whereas the surface of a conventional rooftop can be up to 90°F (50°C) warmer."

Green roofs can be installed on a wide range of buildings, from industrial facilities to private residences. They can be as simple as a 2-inch covering of hardy groundcover or as complex as a fully accessible park complete with trees. BaseTern The City of Milwaukee has created an interesting approach to dealing with storm water management as well as foreclosed properties: BaseTern. The City of Milwaukee is exploring cost effective and innovative approaches for managing storm water to help neighborhoods be more resilient to extreme storm events. One approach that is being studied is the BaseTern, an underground storm water management or rainwater harvesting structure created from the former basement of an abandoned home that has been slated for demolition. By using this existing basement cavity, the City saves on demolition costs of the old structure and the construction of the new one. The structure would be underground and covered with turf and possibly urban gardens to fit safely within the neighborhood. Green Roofs Life is better when we live with nature. Unfortunately, many of our cities are still concrete jungles, but things are looking up…and to paraphrase Kermit the Frog: It’s getting easier to be green. Many communities have begun or expanded their Green Roof Programs.

Civic Crowdfunding Times are hard and it is always hard for agencies to be properly funded. A new technique of fundraising is called Civic Crowdfunding. The City of New York explains that: Green roofs have vegetation that absorbs rainwater, provides insulation and combats the heat island effect, where urban environments can have higher temperatures than surrounding areas. • Some fish stocked in community ponds are meant to be harvested. Catfish can be carefully placed on a stringer or in a fish basket and taken home for dinner. Small sunfish and largemouth bass can be released back into the pond.

Learning to fish as a youngster can turn into a lifetime of outdoor fun and relaxation. Fishing is possible all over the state of Texas in public lakes, ponds, and streams as well as many privately owned community ponds. The autumn months are one of the best times of the year to enjoy a day out angling. The weather is more comfortable and the fish are fueling up for the oncoming winter by consuming as much food as possible. Therefore, everyone from experienced anglers to children are more likely to have a successful day catching fish this time of Communityyear. ponds provide a valuable angling resource, if they permit fishing. Though you must obtain a state fishing license if you are age 17 or older when fishing in public water, a state issued license is not required in privately owned community water. Most of these small ponds already contain bass, bluegill, and catfish which are ready to jump on the hook. If not, ponds can be stocked with fingerling fish that can grow to catchable size within a year. Fish stocking is relatively inexpensive, and if done correctly, will produce a self-sustaining population that should never require restocking. Be sure to note if the community pond allows fishing and abide by their rules. Many are catch-and-release, and some restrict fishing to community residents. Do not fish near fountains to avoid getting fishing line tangled in the pump motor (causing expensive damage). Choosing the correct fishing tackle can be overwhelming for the inexperienced angler. It can be as simple as a cane pole, hook, weight, and bobber or as complex as a wide assortment of rod and reels and various artificial lures. For community pond fishing, we recommend keeping it simple. The fish are usually hungry and ready to bite a variety of baits. The best fishing gear for young kids is either a cane pole or an easy to use spincast rod and reel. Baitcasting reels should be reserved for the more experienced fishermen. Channel catfish and sunfish are the most common targets of urban pond fishermen. If going for catfish, we recommend fishing on the bottom with a slip weight placed approximately 8 inches above the hook to keep the bait on the bottom. Catfish hooks range from a variety of circle hooks to small treble hooks. Catfish can be caught on a wide variety of baits including earthworms, dead shrimp, hot dogs, and various commercial “stink” baits. On the other hand, anglers targeting sunfish should use a “split shot” weight and a small “J” hook suspended 12-16 inches under an easy to see float or bobber. Sunfish are easily tempted by small pieces of earthworms or live crickets threaded onto a tiny hook. More experienced anglers can target largemouth bass. Bass feed aggressively in the fall and are often attracted to anything that moves through the water.

Angling Tips for Beginners

• If fishing with groups of kids, be sure to have someone in the group who is experienced in untangling lines and freeing snagged hooks. These minor obstacles are always part of the process of teaching young children how to fish successfully.

• If someone is baiting your hook for you, ALWAYS put your pole down first. Trying to thread a worm onto a moving hook is asking for trouble.

• Keep your bait still when fishing for catfish and sunfish. Constantly moving your bait makes it difficult for the fish to locate the source of the smell and zero in on the bait. This is a tricky task to accomplish with young kids!

• Handle the fish as if they were your pets. Never fling a hooked fish around or drag them across the ground. Also be gentle when removing the hook from the fishes’ mouth. If you are inexperienced, then have someone do it for you.

• The number one rule is BE PATIENT! Kids often have short attentions spans and can easily get distracted if the fish aren’t biting immediately. That’s why they call it “fishing” and not “catching”. Patience will be rewarded more times than not. Once they see the first fish flopping on the end of their line, they will be HOOKED!

In that moment I realized I was being associated with the Monster. What is the “Monster”? It isn’t technology per se. Like so many other developments, it isn’t the thing that is inherently monstrous; it is, instead, the manner in which it is used. I made my apologies to the caller for the ending of the call before I could devote my full attention to this unfamiliar resident. “Good morning. I’m your new manager,” I offered. “How can I be of assistance?” As she began to talk, I felt the necessity to forego slipping into the comfortable, leather executive’s chair behind my new desk. Instead, I took a seat in the chair next to hers. She was sweet and meek as she began to share her story—her history of the frustration she felt at the hands of the prior Management Firm and the anguish she had felt time and again as technology slid at bobsled speeds down the e-slopes of e-mail at a dizzying pace with disorienting frequency. “No sooner do I grasp one procedure than there is a newer, better, faster, ostensibly easier procedure rolled out.” Her voice trailed off to weak resignation.

All of those nutrients are seemingly in endless supply, and it’s not something that can be duplicated in someone’s front yard or backyard. A key way to combat these inherent deficiencies and give your trees and plants what they need to grow and live for a very long time is to fertilize.

Worth Chapter of the Community Associations Institute (CAI) has partnered with the other Texas chapters of CAI to launch the free HOA Hotline - a resource for homeowners and board members owning homes/units in condominium, townhome and subdivision community associations and have questions about the operations of their association. The Hotline is staffed with local non-attorney experts knowledgeable in community association best practices. Please contact the hotline by filling out the form at www.dfwcai.org/hoa_hotline. If you prefer a response by phone, calls will only be made during normal business hours. We urge homeowners to take advantage of this FREE resource. After all, isn’t it better to resolve issues quickly and reasonably now before they get out of hand later?
