Everyday life at the Boarding School

House Rules, Duties and responsibilities

In general In any responsible community with commitments, it is important, that you are familiar with the rules and responsibilities at the Boarding School. We expect that you show consideration towards all others, which includes no loud music or other inconsiderate behaviour, no partying in the rooms or other places at the Boarding School nor in the surroundings. We expect that you do your duties in the main kitchen, hall kitchen and other chores. Always respect the decisions of the Teacher on Duty, and we will respect you.

A boarding school student can at most live at the boarding school for the standard time it is expected to take to complete their youth education. This means that if you move into the boarding school in 1.g/Pre-IB, the boarding school student in question has the room for a maximum of 3 years. If the boarding school student has retaken another year at day school, the boarding school student in question must leave the boarding school after the standard period of three years and thereby find another place to live for the last school year. When starting in 2U/2.g, the standard time is 2 years and so on.

Boarders’ behaviour that takes place in the boarding department is covered by the school's study and rules of order to the same extent as

these rules find applies to conditions that occur outside the school, cf. SOR bkg. § 1 piece. 3.

Curfew You need to be in your hall at 10.30 pm at the latest and in you room at 11 pm on school nights. In the weekends the curfew is at midnight. You must sleep at the boarding school on school nights. (Family excepted) You are not allowed to sleep in another boarding student’s rooms on school nights and in the weekends, you need to tell the Teacher on Duty, where you sleep, if you are not sleeping in your own room. Ask for permission if you wish to stay out longer than curfew permits. By every Friday you need to have filled out a weekend list on Lectio, where you inform us about your whereabouts

Domestic chores You must keep your room clean and tidy.

All boarders take shifts being responsible for the tidying and cleaning of the hall kitchens. On top of this all-boarders help out in the main kitchen.

Smoking/Snuff/Alco hol and narcotic substances

As a boarder you are not allowed to smoke or use snuff.

We have a no smoking policy at the Boarding School of Birkerød. If you smoke or use snuff you will receive a warning and if you smoke inside boarding, you will also receive a fine of DKK 1000

Consumption of alcohol on days prior to a school day is not permitted. Usually, permission to bring and drink alcohol on school grounds is only granted on Friday or Saturday. Only a few ciders and beers max 5% alcohol per boarder is allowed, if such permission has been granted by the staff at dinner. You are not allowed to store wine, beer or hard liquor nor the empty bottles or cans at the Boarding School.

During the beginning of the school year and the exam period, it is prohibited to drink alcohol at the Boarding School.

During your stay at the Boarding School any possession or use of narcotic substances of any kind is strictly forbidden and will result in permanent expulsion from the Boarding School, effective immediately. The Boarding School staff can always ask you to take drug tests accordingly. Bullying Bullying is totally incompatible with the ideology of Birkerød Boarding School and is prohibited in any form. Bullying can lead to a permanent expulsion from the Boarding School.

Sanctions/Interventions

If the here mentioned rules are violated, the Boarding School staff and/or the headmaster can make use of sanctions such as written warnings, demand of counselling/treatment, a temporary expulsion or a permanent expulsion.

If the School staff experiences a permanent inappropriate attitude from your or your parents, which is in contrast with the school’s values, interests or practice, the Boarding School can choose to resign your room. Guests You are welcome to invite guests to the Boarding School, but they must leave before curfew. If a guest stays overnight, permission must be obtained from the Boarding School teacher on duty, and this can only happen during weekends. Remember to write it on the weekend list. If your guest needs to dine with us on school nights, inform the kitchen staff in good time.

When guests are visiting the Boarding School, the same rules apply to the guests as to the Boarding School students, and it is your responsibility to make sure the guest(s) obey(s) the rules of the Boarding School completely.

No guests are allowed when we have boarding activities and parties. Sickness If you fall ill, you must inform the staff on duty by a text message, and the staff will try to help you in any way possible. We can help you call your doctor if it is necessary. You need to stay in your room if you are sick and ask the teacher on duty to bring you food. If you are ill for a longer period or need more care, than the boarding school can provide, you may need to be send home or to your contact person, until you feel better.

In some cases, the hall teacher in coherence with your doctor can demand, that you begin mental counselling/treatment to ensure your health and care.

The Daily life In the beginning of the school year new boarders will experience, that they do not have the same privileges that the “old” boarders have. This is because, we need to get to know the new boarders and trust must be build, before they can have the same privileges as the “old” boarders.

Remember to fill out the weekend list on Lectio before Friday 10 am regarding your plans for the weekend.

Remember when you dine together with all the other boarders in the dining hall, you need to dress accordingly and wear shoes due to hygiene and safety. Use the disinfecting gel so we can avoid spread of diseases.

If you want to eat at the main school or knowing that you are going to be late for dinner, you can order a lunch box at the boarding kitchen. Please do so the day prior. You are not allowed to bring food for yourself or others out of the dining hall.

The rooms and halls of the boarders

Fire safety

Due to safety regulations, you are not allowed to put items in the halls. Place your shoes in your room. Your wet laundry needs to be dried in the dryer, outside or in your room.

The hall kitchens are open from 7.00 am to 10.30 pm on school days and on Fridays and Saturdays it is from 9.00 am to midnight. You need to clean up after yourself in the hall kitchens.

Write to the janitors, if there is anything that is out of order or something needs to be fixed in your room, hall bathroom or hall kitchen. The notes to the janitors are hanging next to your pigeonhole.

The Boarding School has smoke sensors and alarm bells in all central rooms and alarms in all boarding student rooms.

For your personal safety, no use of open fire is permitted at any time. This includes all types of incense and candles, which is not allowed in the rooms. It is prohibited to have refrigerator, toasters, boilers and other electrical equipment in your room.

To ensure clear escape routes, no items of any kind may be placed in the hallways.

When the fire alarm goes off, everybody must leave their rooms, close the doors, and then make their way immediately to the football field between the Boarding School and the main school. Wait for further instructions there. Several fire drills are held each year.

Pets Pets are not allowed at the Boarding School.

Wakeup call Weekdays from 7.00 a.m. for those who want it or need it.

If you are not capable of getting to classes on time in the mornings, you will be asked to meet the staff on duty in the dining hall every morning at 7.30 a.m., until you have shown improvement.

Keys You will be issued with a chip key, so you are able to open the outer door from your hall and your room. The outer doors are locked from 11.00 p.m. until 7.00 a.m.

If you lose a key chip, it will cost you 200 Danish kroner to receive a new one. We will withdraw that amount from your deposit.

Mail/Packages

Postal mail is handed out daily in your personal pigeonhole. You cannot order packages to be delivered to the Boarding School; you need to send them to a postal office nearby the school.

Hall kitchens There is a kitchen in each hall, and you have your own cabinet in that kitchen. The boarders of the hall are responsible for cleaning the kitchen.

When you have your hall kitchen duty, the kitchen needs to be clean every night from Sunday to Thursday at 10.30 pm.

Laundry There are washing machines and tumble dryers available. Washing powder is automatically added to the wash. It costs 10 Danish kroner for a wash and 10 Danish kroner for drying. In order to put money on your laundry chip you must contact the teacher on duty

Weekends and holidays

The Boarding School teachers must know about your whereabouts in the weekends and holidays, and these must be accepted by the teacher. To do so, you need to fill out a weekend list every weekend and a holiday list before every holiday. Both lists are on Lectio.

Holidays The Boarding School is closed during the following holidays: the autumn break, the Christmas break, the winter break, the Easter break, and the summer break. The Boarding School always closes at 7 p.m. on the last day of school, and opens the day before the first day of school at 2 p.m. (7 pm after the summer break)

You will be asked to inform us of your departure and arrival times when you travel to and from the Boarding School.

Weekends Before each weekend you must fill in a form with information about, where you intend to spend the weekend. You must be back at the Boarding School by midnight on Fridays and Saturdays and at 10.30 pm on Sundays or have made other arrangements with the teacher on duty.

Activities

The Boarding School is an active community, where you, as a boarding student, commit yourself, helps others and have a great time together with your fellow boarders and teachers. We are beginning the school year with a mandatory Intro Trip.

Semper Ardens Clubs

Boarding School parties

Every week the Boarding School offers different kind of Club activities. It is mandatory, that you attend at least one club activity a week. Every third month the club options change. Examples of clubs are soccer, culinary, meditation club, etc. Teachers and boarders run the clubs.

Three parties are held over the year: Intro, Christmas and Graduation Dinner Party. These parties are for boarders only and guests are not allowed.

Every month we have hall meetings, where we discuss everyday issues. Once a week we have room checks, where all rooms need to be clean and tidy.

Grand Assembly Grand Assembly is our house meeting, which is held two times a year where all boarders and teachers discuss issues that concern the whole Boarding School.

Study Hall

Participation at Study Hall As a Boarding School we aim to give the boarders the best possible conditions for studying. The main school provides study hall for the boarders, where they can get help with their homework from a teacher. At Boarding school, you can focus on your homework alone or in groups.

We have a great tradition at the Boarding School where boarders help each other with homework. The study environment at the Boarding School encourages the boarders to share their knowledge with each other no matter if you are a first-year student or a senior.

For starters all boarders need to attend Study Hall two times a week

A typical day

07.00 am – 07.20 am: Morning wakeup call if needed

07.20 am – 09.00 am: Breakfast in the dining hall

08.00 am – 11.20 am: Teaching at the main school 11.20 am – 11.55 am: Lunch in the dining hall

11.55 pm – 03.15 pm: Teaching at the main school

03.15 pm – 04.30 pm: Afternoon tea in the living room

04.30 pm – 06.00 pm: Leisure time, boarding clubs and study hall.

06.00 pm – 06.45 pm: Dinner in the dining hall

06.45 pm – 08.15 pm: Leisure time, boarding clubs

08.15 pm – 09.00 pm: Evening tea in the living room

09.00 pm – 10.00 pm: Leisure time, boarding clubs

10.30 pm – 11.00 pm: The Boarding School closes for the day and a teacher says goodnight

11.00 pm – 07.00 am: Everybody is home and quiet if still awake

Absence

Expectations and demands

Your stay at the Boarding School is conditioned by your active participation at the main school. Hence, you must attend lessons and live up to the academic expectations of the main school and the Boarding School. We cooperate with the Student Counsellors at the main school regarding absence from school.

Once every two weeks the Boarding School teachers evaluates the boarding student’s absence from the main school and our aim is that the absence of the boarders is below 5% for the year. If the boarding student have high absence, the hall teacher will arrange meetings with the boarding student and try to find out reasons for absence and hereafter act on them. With further absence we will contact parents.

We expect that parents are updated on their child’s absence and grades. You can do that on Lectio. You need to get your child’s password to do so.

Parents and contact persons

Expectation to parents

The expectations from the Boarding School are that you, as a parent, support the Boarding School house rules and the duties and responsibilities that are set in place for each boarding student. We will contact you in serious matters. You are always welcome to contact the hall teacher, if you have any questions or concerns regarding your child.

Parents are obligated to contact the Boarding School; if a situation or new knowledge arises that have impact for a boarding student and their everyday life. Remember to inform us about changes in phone numbers or e-mail addresses.

Contact person If the parents do not live nearby and an emergency should occur requiring parental supervision, we must have a named contact, who can act as a guardian living on Sjælland. This has particular importance if the parents live outside Denmark. This contact person must be able to respond and arrive within short notice and be responsible for the boarding student in place of the parents.

Moving in, moving out and use of your room

Moving in

Address You need to change your address to the Boarding School and by that you will also be assigned a doctor and dentist in the local area.

•If you are below the age of 18 and have a registered address with your parents in a Danish municipality, you can keep it. There can however be advantages to having a registered address at the Boarding School (doctor, dentist, etc.)

•Your postal address should be at the Boarding School and must contain your room number (you will get the room number, when you move in).

•If you are above the age of 18, when you move in to the Boarding School, your home address must be changed to that of the Boarding School.

How to do it

Change your address at the website of Rudersdal Kommune (Danish) https://rudersdal.dk and change your postal address at https://www.postnord.dk/en

All citizens in Denmark must have a Mit-ID to get access to your own digital mailbox, where all the communication with the government agencies takes place. Order Mit-ID on https://www.borger.dk

Bank For parents - remember to sort out a monthly payment arrangement with your bank for the boarding fee.

Payment Payment of your deposit must be settled no later than 14 days prior to moving in and the monthly fee must be paid by the 1st of each month.

Insurance belongings & accident

Internet and TV

You must make sure that you have a personal and home insurance, or that you are covered by your parent’s insurance policy. The Boarding School does not have an insurance, which covers loss of personal items or you as a person.

It is a good idea to get a blue health insurance card for use for travelling in Europe.

There is wireless internet at the entire Boarding School.

You must act responsible when using the internet in regards to yourself, so that study and bedtime is kept. Our IT-staff log all internet traffic and the Boarding School staff have access to this information.

Doctor and dentist

When and if you get ill, then it is important, that you have a doctor nearby the Boarding School. When you register your address to be at the Boarding School, you will be assigned a doctor in Birkerød.

If you are below the age of 22 and have registered your address at the municipality of Rudersdal, you will be offered free dental care.

Starter Kit The Starter Kit pack contains, amongst other items, various school accessories, a laundry chip with 150 Danish kroner on it and club gear such as a water bottle with logo, two club t-shirts with logo, a laundry bag, a bed sheet and a cover mattress – all items belong to the student after payment.

SU scholarship Danish citizens 18 or above can apply for SU. If you have any questions about SU, you can ask gymnasiets SU counsellor Allan Jørgensen. See www.su.dk

Main School expenses

Rooms in general

Study trips and various social events are paid separately and are therefore not part of the boarding fee.

Each boarding student has his/her own room, which is fully furnished. (See pictures of a room and dimensions on our website). You may of course also bring your own items that can make your room cosier and personal. But you may not:

• Remove furniture from your room.

• Drill in the wall, use tape or sticky tack instead.

• Paint, paper the wall or change curtains.

Your room obtains a box madras, desk, closet, a ceiling lamp, a hanger, curtains and a shelf.

You need to bring a desk chair and desk lamp yourself. Besides personal items, bring a duvet, a pillow, bedding, towels and toiletries.

Bed dimensions are is 90 x 200 cm.

For fire safety reasons, you are not allowed to use your own curtains. Nor may you store or use candles or the like in the room.

You are obligated to keep your room clean and tidy. There is room check once a week.

Bathrooms There are two bathrooms in each hall and two showers in each bathroom. The bathrooms are shared by boys and girls. You have your own sink and cabinet. Once a week, you need to remove your items from the sink due to cleaning.

Facilities At the Boarding School, you will find a small study room, cinema, creativity/music room, storage room for suitcases, dining hall, tearoom, TVroom, four study rooms, theatre room, two small gyms, an outside terrace with a bon fire area and an indoor sports hall. We also have a Club house with a lounge room with a pool/Ping Pong table, painting room, board game room and a PlayStation room.

Moving out

Address As you move out, you must remember to change your registered address at Folkeregisteret (borger.dk) and to change your postal address at Postnord.dk. Otherwise, the Boarding School will continue to receive your mail.

Moving out/ Deposit/ When you move out, the room must be cleared and cleaned. Staff will inspect the room and its inventory together with you in order to assess, if

Key chip you have used it responsibly. Lack of cleaning, loss of key chip or damaged furniture will be deducted from your deposit.

Resignation of a room

If a boarding student wishes to resign their room, the parents must in writing send us the resignation two month in advance. (At the latest the last day of the month). Hence the parents must pay the boarding fee the month, where they send the resignation and the following next two months.

Also remember to inform the main school of your resignation if you are also leaving the main school.

When applying for admission at the Boarding School the applicant’s parents must provide the Boarding School with the information necessary for the calculation of the fee. The applicant’s parents must also permit the Boarding School to obtain further information about their income from the tax authorities.

If adequate information regarding the income is not available, the Boarding School is entitled to charge the maximum fee.

The parents of the boarding student are obliged to pay the entire fee, even if the boarding student is aged 18 or above.

Before moving in, a deposit and a starter kit is paid for. Upon moving out, a final settlement of the deposit will take place with deduction for damage and/or inventory losses that cannot be due to normal wear and tear.

In May, parents will receive a form regarding income that must be filled in and returned in order to calculate next year’s fees.

The board and lodging is paid monthly in advance, no later than the first day of the month. Payment is due from August to June (11 months). The fee covers board and lodging, consumables and access to the internet.

If a boarding student wishes to leave the Boarding School, a notice of leave must be given two months in advance (notice is allowed up to the last day of the month). Fees are due for the month when the notice was handed in, and the two following months.

If the monthly fee is not paid, the Boarding School has the right to expel the boarding student.

If for other reasons a boarding student is expelled from the Boarding School or Birkerød Gymnasium, payment is due for the whole month wherein the expulsion has taken place.

We expect the boarders to follow Birkerød Gymnasium, IB, HF & Boarding School's Study & Order rules. (See the school's website).
