If You’re Financing an Apartment Property…

T

o those fortunate enough to own rental housing free and clear, I congratulate and commend you.

Wonderful position to be in, especially in Orange County where apartment properties typically sell for at least $150K a door.

But for the bulk of investors, ownership of residential income property requires financing. Loans are a key cog in most apartment operations, whether large or small. So as we head deeper into 2014, let’s take a closer look at the rates and terms AAOC members are likely to find in our marketplace.

To begin, residential income lending falls into two distinct categories:

(1) 1–4 unit properties and (2) 5+ unit properties.

• 1 unit:

3.625%, 15/15 fixed

• 2–4 units: 3.875%, 15/15 fixed

1–4 unit non owner occupied loan features • 30 & 15 year fully amortized fixed rate loans readily available • No prepayment penalties

The Fannie Mae and Freddie Mac conforming loan limits: • $417,000, 1 unit • $533,850, 2 units

• 75% loan to value maximum As of this writing (2-9-14) interest rates for zero point loans up to confirming loan limits on non-owner occupied properties were approximately: • 1 unit:

• 2-4 units: 4.625%, 30/30 fixed

• $645,300, 3 units • $801,950, 4 units By now everyone should have gotten the memo that there are no more “stated income” loans for 1–4 unit properties. The so called “easy qualifier”

loans went extinct about 2008. ALL borrowers now must provide tax returns, W-2s and other income verification documents. As a consequence the “debt to income ratio” calculation to qualify borrowers is once again credible (unlike when stated income loans were routinely offered by banks).

The 1–4 lender marketplace rests on a more structurally sound platform at this time thanks to the elimination of easy qualifier financing.

5 + unit loan features • 30 year fully amortized fixed rate loans NOT readily available • Prepayment penalties on almost all loans • 75%–80% loan to value ratio maximum • Debt coverage ratio of 1.15 or higher (this means that net operating income must equal at least 115% of the new mortgage payment) For loan amounts from $500,000 to $2,000,000 apartment lenders often provide hybrid loans that offer full 30 year terms, with interest rates fixed for the initial five, seven or ten years, after which the rate and payment adjust

• Five year fixed: 3.25%–3.75%

quarterly or semi-annually for the remainder of the thirty year term.

Some stated income loans exist in this category.

General rates in effect for these loans as of this writing:

• Seven year fixed: 3.6%–4.2% • Ten year fixed: 4.1%–4.75% True, interest rates are up about .50 to .75 percentage points from last spring, but the market for apartment loans remains healthy and rates remain relatively low (within about a percentage point of all time lows).

• Five year fixed: 3.75%–4.1% • Seven year fixed: 4.25%–4.7% • Ten year fixed: 5%–5.25% Such loans typically carry “step down” prepay penalties that gradually decline during the fixed rate portion of the loan and are fully eliminated by the time the interest rate begins adjusting.

For multifamily loans of $3 million+, Fannie Mae and Freddie Mac typically offer the lowest interest rates in the market. Some features of these low rate loans: • “yield maintenance” prepayment penalties (which are onerous) • higher origination costs due to more extensive third party reports and attorney opinion letters • Balloon payment at end of fixed rate period General rates for $3 million+ loan amounts as of this writing:

Let’s take a look at some of our current files.

Orange Permit parking ordinance: Parking is always an area of continuing concern to cities in Orange County.

Subsequently, you will find it mentioned on City Council agenda somewhere on any given council night (yes, we at AAOC check all of the City Council agenda). Most recently we worked with AAOC members and the City of Orange to re-review a recent parking issue. The matter was heard by the City Council and the results were mixed. AAOC and its members in Orange got more than they had, but less then they sought. We look forward to continuing to work with the good folks at Orange City Hall.

Santa Ana The Proactive Rental Enforcement

Program “PREP” has been in operation since 1992. It requires the City of Santa Ana’s Community Preservation Division ensure all residential rental properties in Santa Ana be maintained in full compliance with the applicable provision of Santa Ana Municipal Code as well as California code and CA Health and Safety code. The Apartment Association has a representative on the PREP Rental Housing Task Force. We have been counseling AAOC members with property in Santa Ana and advising them on the program’s aspects, as well as cataloging feedback from member’s experience with city officials.

Anaheim The City of Anaheim is proposing a Quality Rental Housing Program and the Apartment Association of Orange County has been keeping a watchful eye, every step of the way. One important component of the program is the routine, periodic survey of multi-family rental housing units. These surveys

will allow the city to identify and work with owners to correct problems and avoid code violations. With the input from the Apartment Association of Orange County, the program has been revised since the original City Council workshop in August 2013 based on AAOC concerns and objections. We will continue to work with the City of Anaheim, and their elected councilmembers, to ensure any proposed ordinance is fair, workable, and respects the rights of all stakeholders.

Election Fever

A

t this writing (in early February) two important dates come to mind: January 31, marking the constitutionally imposed date just passed for leftover 2013 bills to move to the opposite chamber or die; and March 7, the final date to file campaign papers to run for federal, state and many local public offices in the 2014 June Primary Election. Happily, several contentious bills opposed by AAOC and its real estate oriented allies failed to make the January cut…a pleasing result. As to the other date, a scramble among many wannabes for various offices high and lower does not seem far removed from an NFL scrum.

Midstream shifting of sights upward or downward has a domino effect among candidates who similarly move with

the tide from one office to another opportunity. In any event, the table will be set on March 27 for congressional and state offices when the Secretary of State certifies the list of candidates for the June Primary.

This election has a new wrinkle for statewide office seekers, i.e., the seven constitutional positions plus the Insurance Commissioner, and Senate candidates in even-numbered redrawn Senate Districts. They will experience “top two” voting for these offices first used after their last elections. And there will be no popular initiative measure to assist the ride to office; they are all now relegated to the General Election in November. A very predictable result of several voter-approved changes in the election process is that members of

the same political party will emerge from the primary only to square off against each other again in the November General Election. That was the experience in a number of Assembly races in 2012 and it has spawned a call in some quarters to eliminate the primary altogether.

There are two legislatively approved measures currently scheduled to appear on the June ballot. Proposition 41 would revamp a CalVet bond measure to provide $600 million in funding for multifamily housing projects. The purpose is to kick-start a money flow that has been largely absent in these days of stingy budgets. The other, Proposition 42, would enshrine in the Constitution the obligation of local governments to adhere to the dictates

of the open government aspects of the popular Brown Act and Public Records Act disclosures. This measure will put to rest the state-county food fights over payment obligations for these services that have become commonplace in the public lexicon.

Looking ahead, there also are two legislatively approved measures currently slated for the November ballot and a host of initiatives in the pipeline for possible inclusion on that ballot.

Leading the current list is the $11B+ water bond, first approved in 2009 but delayed by successive legislation to this year. Don’t be surprised if this Legislature approves either a further delay or a major rewrite of this controversial measure. Several bills have already been introduced in both houses to pare down this offering. The other relates to state budget issues, particularly how much should be retained for a “rainy day” fund (no pun). Among the potential propositions, nearly 40 have been approved for circulation with about half that number awaiting Attorney General action for title and summary before approval for circulation.

Election-year fever brings out all the usual suspects, a mixture of candidates, pollsters, fundraisers, managers, pundits and similar types that are drawn to the action. The attention span of the electorate will be taxed to the max. Pardon the repeat of a past but entirely appropriate observation: “A bevy of candidates will be seeking your support. Signature gatherers will swarm the malls and shopping centers seeking your John Hancock on this, that or whatever the cause a la carte. The spinmeisters will choke the airways with extraordinary claims of political and governmental salvation with their chosen solutions to the ills of the body politic.” It will be a fun year.

Finally, a helpful reminder regarding the rights and responsibilities of persons engaged in providing or using rental shelter. Now is a good time to bone up on state law and any local ordinance dealing with political signs. Here is the

text of Civil Code section 1940.4: (a) Except as provided in subdivision (c), a landlord shall not prohibit a tenant from posting or displaying political signs relating to any of the following: (1) An election or legislative vote, including an election of a candidate to public office.

(2) The initiative, referendum, or recall process.

(3) Issues that are before a public commission, public board, or elected local body for a vote. (b) Political signs may be posted or displayed in the window or on the door of the premises leased by the tenant in a multifamily dwelling, or from the yard, window, door, balcony, or outside wall of the premises leased by a tenant of a single-family dwelling. (c) A landlord may prohibit a tenant from posting or displaying political signs in the following circumstances: (1) The political sign is more than six square feet in size.

(2) The posting or displaying would violate a local, state, or federal law.

(3) The posting or displaying would violate a lawful provision in a common interest development governing a document that satisfies the criteria of Section 1353.6. (d) A tenant shall post and remove political signs in compliance with the time limits set by the ordinance for the

jurisdiction where the premises are located. A tenant shall be solely responsible for any violation of a local ordinance. If no local ordinance exists or if the local ordinance does not include a time limit for posting and removing political signs on private property, the landlord may establish a reasonable time period for the posting and removal of political signs. A reasonable time period for this purpose shall begin at least 90 days prior to the date of the election or vote to which the sign relates and end at least 15 days following the date of the election or vote. (e) Notwithstanding any other provision of law, any changes in the terms of a tenancy that are made to implement the provisions of this section and are noticed pursuant to Section 827 shall not be deemed to cause a diminution in housing services, and may be enforced in accordance with Section 1161 of the Code of Civil Procedure.

(Added by Stats. 2011, Ch. 383, Sec. 1. Effective January 1, 2012.)

I

just closed escrow on a small building and I’m trying to figure out who’s who. I received the rental agreements, but the tenant information seems incomplete. The applications, the few that I’ve found so far, are old and outdated. I can’t seem to find any telephone numbers for the residents, and I’m not real sure that the names on the agreements are the same people who actually live in the units. I’ve read your articles before and I know the importance of reviewing the files and doing thorough due diligence before closing escrow, but this deal just happened too fast. Now that I’ve closed escrow, what can I do to clean up the records?

First things first, figure out what you know and what you don’t. Establish individual tenancy files, one per unit.

Based on the limited information you have, write down the names and ages of the occupants, the terms of the rental

agreement, written or oral, lease or month to month, rental rate, deposit on file, date paid through. Compile whatever contact information you have, home phone number, work and cell number. Design a “tenant emergency information sheet” that includes spaces for the following: names of all occupants, home and cell phone numbers for each occupant, work phone numbers, email addresses and detailed vehicle information. Visit the building about dinner time, most residents will be home, and go door to door and meet briefly with the occupants of each apartment. Spend a few minutes confirming the information in your files, and gathering any missing information. Ask the residents to complete the “tenant emergency information sheet” while you are there in case of emergency. You will find that the vast majority of your residents will co-operate fully and provide the requested information. Residents are

generally eager to please, and since the relationship is still new, there should be no animosity or distrust. This is also a good opportunity to find out the condition of each unit, simply ask the residents if there are any issues that need addressing, better to find out now and have an opportunity to address the needed issues, than to allow conditions to worsen, and your relationship with the residents as well. This is also an opportune time to prepare new month to month rental agreements for signatures. You don’t know the players yet, so you certainly don’t want to do fixed term leases. The few residents who are less than co-operative will be quickly identified as your “problem residents” and can be handled individually.

Names and contact information of the uncooperative ones can generally be gathered from the other residents, or from public records. If the property is non rent control, and a month to

month tenancy, the rental rate and term can be set with either a thirty or a sixty day notice of change of terms, depending on the extent of the change.

I own a forty unit building in a high crime neighborhood. I have done extensive work on the building to reduce the risk of crime to my tenants. We installed fencing with locked gates, increased the common area lighting and cut back on the shrubbery and vegetation that blocked views in the interior walkways. Last week we started implementing a neighborhood watch program. I was thinking of attracting new residents by advertising my building as a “secure crime free property” or maybe as a “security building.” Any problem with this?

The issues never seem severe; in fact the most recent was an allegation that the other closes his door too loudly when he leaves for work in the morning. Trouble is, the other resident is a model tenant also, never a problem. What do I do?

Minor neighbor squabbles are a fact of life and part of everyday human interaction. Successful management practices encourage residents to resolve their own conflicts without your involvement. Your duty is to provide housing, not necessarily to function as social coordinator.

Firmly set down ground rules, ensure that they know that you expect them to communicate with each other and work out their own differences, and not to elevate petty issues into major disputes.

Of course, if there is ever an issue of breaching the peace or any threat of physical harm, the residents should

immediately call the local law enforcement agency or 911 if an emergency.

One of my elderly residents recently fell and broke her hip, and it looks like she won’t be getting around very well ever again. She has been living in our building for many years and I would hate to see her move, everyone loves her. Her daughter asked if I would install grab bars in the shower and in the bathroom, and kind of implied that I must do it at my expense because of the ADA requirements, whatever they are. Now this resident is very sweet, but I just cannot afford to spend the money, my husband and I are barely making it as it is. Do I have to allow my resident to install the grab bars and do I have to pay for the cost?

A landlord must allow a disabled tenant to make reasonable modifications to the rental unit to the extent necessary to allow the tenant full enjoyment of the premises. The tenant, not the landlord,

must pay for the modifications. As a condition of making the modifications, you may require the tenant to enter into an agreement to restore the premises to their original condition upon termination of the tenancy. You cannot require an additional security deposit in this situation, but you can require the tenant to pay a reasonable estimate of the restoration cost into an escrow account.

t has been a mixed month in the never-ending quest to find consensus in Washington, D.C. During his recent State of the Union Address, the President set down a new formula for achieving the objectives on his public policy wish list: White House Idea — Congressional Support = Executive Order. Case in point, the President wants to increase the minimum wage. He knows the Republican

House of Representatives will never hold a vote on that proposal so he signs an executive order raising the minimum wage for federal contract workers to $10.10 per hour. This is a relatively small group of people; however, it gives the President a couple of things. First, he can put points on the board. Second, he was able to do it without the involvement of Congress, effectively sidestepping forces opposing his every

President Obama has issued 168 Executive Orders so far which puts him behind George

W. Bush (291), Bill Clinton (364) and Ronald Reagan (381).

Not to worry, there are healthy limits on what the President can do without the support of Congress. He can work at the margins, but cannot deliver wide-ranging policy changes with the stroke of a pen. The act of issuing these orders has greater impact as a public relations tool to show the nation that the President can and will act even if stymied by Congress. also utilized this end-around tactic with recess appointments for cabinet posts, including the National Labor Relations Board and the Consumer Financial Protection Board.

I dare say that these moves by the President do not strike the kind of bipartisan tone that could help the Congress and White House close the loop on some of the big issues confronting the nation. Of course, Congressional Republicans have not exactly been sending up flags of parlay with the White House lately. They seem as committed to zero negotiations with the President as he is committed to moving forward to the extent he can without them.

Presidential shots across the proverbial bow notwithstanding, there were some genuine bipartisan accomplishments last month worth noting.

At long last a five-year farm bill was passed complete with funding — albeit with a haircut — for food stamp programs. As well, a budget deal was reached that takes the threat of a government shutdown off the table for a while. Combined with what appears to be capitulation by Republicans on increasing the debt limit, this effectively ends the budget wars for the foreseeable future. What will we talk about?

By the look of things, we are going to talk about a lot, but the question is will anything get done? There appear to be some breaks in the dam on immigration reform, with Sen. Chuck Schumer (D-N.Y.), Congressman Paul Ryan (R-Wis.) and others engaged in some preliminary talks. Recently, House Republicans released a white paper stating that they were supportive of a limited “path to legal status” for some illegal immigrants. While this is short of a “path to citizenship” supported by most Democrats and the White House, it is definitely a positive sign and could be the middle ground for a deal.

If immigration reform gets moving, the apartment industry will need to be moving right along with it. For us, a M A R C H

comprehensive piece of immigration legislation could finally put the brakes on all of the state and local proposals that have been swirling around the past several years. Pre-empting what have for the most part been really bad ideas for apartment owners and operators would benefit those operators in these communities as well as members who work in multiple states.

There are other reasons why we need to be engaged on reform. As the “e-verify” employment verification

system gets up and running, we need to make sure that it works effectively and that appropriate protections are in place for employers in the event of incorrect information coming out of the system. Finally, if you like to think long-term, we need reform to include a market-driven, realistic standard for how many construction workers will be allowed into the country at any one time. If the number of workers allowed to be here is constrained too much, apartment supply will never

keep up with demand and affordability will suffer.

ear Maintenance Men: When the bathroom faucet was new, turning off the hot or cold water knobs would cut the flow of water immediately. Two years later, upon turning them off, the faucet weeps a bit of water. Is this a sign the knob isn’t working? Can a clogged spout screen be fixed? With all these problems, do I need to buy an entire new fixture? Paul

Dear Paul: Most types of faucets are repairable with standard tools and a rebuild kit.

Note the brand and style of the faucet and find a corresponding repair kit at the local plumbing supply house or home improvement center. Repair kits often come with the specialized tool you may need to repair the faucet.

The faucet screen can be cleaned and is housed in a removable assemble at the end of the spout. These can be spun off and the screens cleaned and replaced.

Keep in mind the cost of repairs may rival the cost of replacement. If the cost of repair is more than fifty percent of the cost of replacement, we recommend the faucet be replaced with new modern fixture.

Dear Maintenance Men: We have a one-handle adjustable faucet in our kitchen. It has been in use for about seven years. At this point, it seems to not turn off well after use.

It’s loose. Sort of like a car’s stick shift that won’t engage. At this point, is it simply worn out and needs replacement? Just what is the typical life cycle of such a faucet given typical use in the kitchen? Bryan Dear Bryan: The typical life time of a good quality single handle faucet is between five and ten years. Because of the many different faucets on the market, it is difficult to give an exact diagnosis.

A loose handle as described can be

repaired with a valve repair kit available at any hardware store. The faucet handle can be removed by loosening a set screw at the base of the handle which will expose the faucet valve.

Using the repair kit, replace the faucet’s internal parts and reassemble. The new parts will bring the faucet back to its original tolerances and should tighten up the handle operation.

TIP: When replacing a sink or shower/tub valves and cartridges, use plumber’s grease to lubricate the internal moving parts.

n Wednesday, January 15 maintenance and property management professionals gathered at the Embassy Suites for the first AAOC Educational Luncheon of 2014. The guest speaker was Frankie Alvarez, Operations Director for Buffalo Maintenance Company.

Frankie’s presentation focused on the bringing together both maintenance and management teams to create a united front where both could have a better understanding of how important it is for the teams to work together.

Neither team can, or will, be successful without the other.

Frankie touched on some key areas where communication and understanding can be improved. He explained that with the proper mindset,

January General Meeting Recap

014 certainly came in with a roar as a standing room only crowd of over 200 members were in attendance for the first General Membership Meeting of the new year.

The evening was filled with excitement.

The meeting began with Nick Lieberman welcoming Supervisor John Moorlach. Mr. Moorlach has been a supporter and friend of AAOC for many years. AAOC was honored to have Supervisor Moorlach on hand to swear in the 2014 Board of Directors,

including Nick Lieberman as President of AAOC for his second term.

As one of his first duties as the newly sworn in President, Nick called PHD Insurance Brokers, Inc., to the stage to thank them for being the General Membership Meeting sponsor. Service Request Efficiency

ow is your service request workflow?

Do residents ever move out and leave unreported service requests in the apartment? Every week in my seminars I hear a resounding “Yes!” from maintenance personnel across the country. Add to this the unreported needs in occupied apartments and it becomes obvious that we have a serious break down in communications and workflow with regards to service requests. “We fix it when they report it or move” may not be a printed policy,

but is it a truthful description of common operating procedures.

A recent survey of technicians reveals that when they enter an apartment to complete a service request, they find additional unreported service needs 70% of the time. This often requires the technician to return to the shop to retrieve necessary tools and parts, and then double back to the apartment to complete all of the repairs during their visit. If service is key to resident retention, a partnership with the residents is certainly required.

How good is your service request workflow if residents are not reporting their total service needs?

Richard, my first service technician, told me that I once wrote up a work order that simply said, “202 wants you.”

He said, “I wasn’t sure what equipment to bring!” We both laughed!

situations, cost is the number one reason for improving communications. Move out inspections often find needed repairs that would have been easily fixed if reported. The delay often escalates the cost. A simple off-track closet door roller is an easy repair. With continued use, the roller bends the track, the doors begin scraping each other and now the repair will include the roller, track and surface damage to the doors.

A small leak becomes a wet cabinet and eventually leads to mold. A broken shower stall becomes a safety issue.

How do we measure loss due to unreported service needs lingering in the apartment? Unreported service requests cost us in time, supplies, resident relations and money. A quick evaluation by your service team will validate the required investment for a resident educational program directed toward the importance of proper reporting that includes both the staff

Ask the Right Questions Begin with a staff that is educated in asking the right questions to provide the service department with the information they need. When working with management companies, I like to give the entire company a service quiz. I ask them to fill out the quiz and then break into groups to discuss their answers.

The questions may include: • What repair items will we complete that are included in the rent?

• What repair items require a resident payment? When? How much?

• What replacement lighting is included in the rent?

• What lighting do we charge for?

• What carpet repair is included in their rent?

• What carpet repair requires a resident payment? How much?

• What lock/key work is included in their rent?

If graded, how would your company score? Who really knows? If we don’t know, how is the resident supposed to know? While you work on building your social media presence, don’t forget to invest in the education required to build a successful service relationship with your residents.

Service Request Communication Tools You’ve given the leasing staff everything required to professionally market your apartments to your residents and future residents: beautifully designed four-color brochures and newsletters, web-brochures, email, note cards, follow-up tools, telephones, desks, computers, paper, pens and any other necessary conveniences. In addition, the manager has software containing a series of professionally designed letters, and more!

The maintenance staff is usually not so fully equipped. Most have a pager, perhaps a cell phone, all have a work order, and they might have a door hanger that says, “Maintenance is inside”.

Most service technicians walk into the apartment to do their job with the only service request tool they have been given — a pen. If they need to communicate with the resident they hand write a note on the resident’s copy of the work order. Let’s not even talk about the handwriting or lack of spell check. Is it acceptable to you that in the year 2013 apartment service technician’s service request tools are the same as they were in the 60’s?

I requested copies of old service requests from management companies and reviewed several thousand examples of communications between maintenance and residents. You won’t be surprised at what I found. First, the most common word written by maintenance was “DONE”. No matter what Service Request — continued on page 34

Service Request — continued from page 32 part of the country, from the deep south to the California coast and the Jersey shore, “done” was a winning term used to communicate the work they had accomplished. That is not much of a service statement!

Can we do better? Should we? Let’s at least provide a few simple service request tools so they don’t have to hand write everything. It could be helpful to make cards that maintenance could leave with the work order sized like a small gift tag, one inch square. The front would read, “Here is a word from our maintenance team” the inside would read, “DONE!” It would also be fun to give them a stamp with a happy face in the middle. Over the top would read, “Been here” underneath it would read, “Done this” (or the more grammatically correct version, “Completed this!”)

Research shows that communities have seen a significant reduction in overall service requests by simply

preventing them with an effective resident service education plan. This saves time and money while improving resident relations. Maintenance teams deserve all the service request tools, education and support necessary to provide excellence service. With online ratings becoming a huge consumer influence, service has become a vital part of not only resident retention but of building a positive online reputation.

f the prospect of asking your aging parents about the way they handle their household finances—or how they’d feel about moving to a nursing home—fills you with apprehension, you are not alone. However, it’s the kind of conversation you can’t afford to delay indefinitely. As your parents get older, it’s critical to sit down with them and talk about their health and financial well-being—before urgent decisions are forced on you.

“The consequence of not having

these discussions is that you aren’t prepared to make sound medical and financial choices when Mom or Dad has an emergency,” says Deborah Eickhoff, Vice President of Wells Fargo Advisors’ high-net-worth planning group.

On the medical side, you might ask your parents what they’d like to happen if their health starts to fail. Do they want to stay in their home, or are they open to moving to an assisted living or long-term care facility? If acute care becomes necessary, is there a hospital they prefer? How much medical intervention do they want if their condition becomes dire? How would they like to handle end-of-life issues? The answers to these questions will play a critical role in helping you create a realistic and well-thought-out plan.

Conversations about finances can be just as challenging, especially for families not used to discussing money.

At some point, parents may need help with day-to-day financial tasks such as paying bills and balancing the checkbook, or with larger issues like investing.

It’s important to clearly understand your parents’ goals for their wealth,

from being able to afford the retirement lifestyle they envision to supporting charities they care about.

Having these discussions as early as possible helps establish the rationale for estate planning decisions, Eickhoff notes. For example, if the parents have spent more on one child’s education or provided funds to help start a business, they might decide to compensate the other siblings later on with larger shares of the estate.

“This is a hard discussion for parents to have with their kids,” says Eickhoff. “But if they don’t have it while they’re alive, they risk having their children always wonder why they made certain decisions about their assets.”

What to look for Parents are not likely to volunteer that they need help, so it’s up to their children to watch for red flags— uncharacteristic difficulty performing daily chores or keeping track of household finances, for example. Discreetness

and sensitivity are essential. One way to monitor your parents’ approach to the household finances is to suggest going through a routine chore together during one of your regular visits. “You might say, ‘Mom, I’ll be over next Saturday.

Let’s just pay the bills together,’” Eickhoff suggests. “If your mother appears to be struggling to manage that process, offer to take it off her hands.”

If you have siblings, open communication can foster cohesion and make handling the issues a lot easier, even if you live in different parts of the country.

Since the burden of care can easily land on the shoulders of the child who lives closest to the parents, it’s important that the others pitch in. This might mean picking up the bill for housecleaning or in-home medical care, or making regular weekend visits to look after Mom or Dad and give the caretaker sibling a break.

How to Find Property Management SuperStars…In 30 Days!©

ould you like to learn the secrets for finding SuperStars to join your property management company…in 30 days? Are you tired of placing ads and wondering why it takes months to fill a vacant position?

Have you looked at your budgets for this year and considered how a few key SuperStars could impact your compensation bonuses? Follow the three steps in this article and your dream of having a powerful property management team will be 30 days away!

Recruiting internally: Begin your internal recruiting for SuperStars by paying a recruiting bonus to your current employees if they find a new candidate who becomes an employee of your property management company.

A typical recruiting bonus of $250– $1000 could be earned for each new employee hired. 50 percent of this recruiting bonus could be paid to the referring employee on the day the new employee begins and the remaining 50 percent of the bonus could be paid

after the new employee has worked six continuous months for your company.

Next, include a classified ad in the E-newsletter that is sent to the residents of the properties you manage. If your residents really enjoy living at your wonderful apartment community, imagine the asset they will be on your property management team. TIP FROM THE COACH: Temporary employment services will want you to pay a recruiting fee if you want to convert one of their temps to full-time status with your property management company. Remember, their fees are negotiable, especially if you discuss your hiring plans with them in advance or show them the significant amount of money your company has paid them over the past years. Of course, the best SuperStar recruiting comes from making internal promotions, which raises team morale at the same time.

Recruiting externally: Begin your external recruiting search by looking at the people employed by competitive property management companies. Since

these companies employ individuals in the multi-housing industry, this is a targeted place for recruiting SuperStars.

Trade shows and apartment association meetings are also a great place to network and meet these potential candidates. Next, consider the vendors who serve the property management company, as these vendors spend the majority of their day working with companies just like yours, and their expertise and industry knowledge can be a great asset when it comes to looking for help with your recruiting efforts.

Lastly, try using employment placement agencies that specialize in the property management industry or place your employment advertisement in the magazine or E-newsletter published by your local apartment association.

TIP FROM THE COACH: Have you considered doing a hiring seminar to recruit new employees for your property management com-

pany? If you can imagine the normal hiring process, which typically takes two to four weeks, and would like to see this process condensed into two hours, send an E-mail to ernest@powerhour.com asking for details.

Recruiting using current technology: If your property management company has a website, add “job opportunities” to your main web page. To see some examples of this idea, go to www.aimco.com or www.riverstoneres. com or www.pinnacleams.com. Next, try placing your hiring ads at websites specializing in employment opportunities like Monster or Career Builder or LinkedIn, just to name a few. Lastly, on your company E-mail system, add job opportunity information so it appears in the “signature” file at the bottom of every E-mail that is sent.

NAA Community Site & Online Resource Center now Live NAA launched the NAA Community Site & Online Resource Center in November, and all members can log into the site to take advantage of the newest NAA member benefit.

The new Web site is an online network for professionals in the apartment industry. NAA members can become engaged and interact with other NAA members and staff through virtual interest group communities and share their experiences and seek opinions or advice in online discussion forums. Through the Online Resource Center, users will be able to quickly access a huge and ever growing collection of apartment-specific resources.

The site is easy to use, and features a number of video tutorials on how to use the site’s different features, as well as a list of FAQ to help NAA members navigate the site as easily as possible.

Beta testers found the site to be exciting and informative. “I am a new manager and enjoy learning from others; hearing the first hand experiences, etc. I like finding so much information in one place,” said one beta tester.

Another said, “I think it will be a great tool for our industry, and I am looking forward to perusing it often!”
