Delegate FAQs What are the Qualifying Criteria? In order to qualify as a delegate your application will be reviewed against the following qualification criteria: Purchasing responsibility/influence Main role No of sites* Upcoming Projects Budgets/Annual Spend* Plus, some events may have separate industry specific criteria you must meet *Event specific What happens after I submit my application online? Once your application is complete, it will be reviewed by our team. The information provided will be cross-checked and you will be contacted by phone or email for further verification and to answer any questions you may have. You will then be notified whether your application was successful or not. What am I committed to as a delegate? The Terms and Conditions of the Delegate Programme require Delegates to attend eight (8) Pre-Scheduled Appointments with supplier companies at our 1-day format events, and twelve (12) Pre-Scheduled Appointments with supplier companies at our 2-day format events. Please read the Terms & Conditions and get acquainted with all essential details.* However, at the time of booking or leading up to the event, should you need to shorten your attendance to one day or for part of the event please let us know and we can look at accommodating this. *In exceptional cases we can accommodate fewer appointments, but this must be arranged with your dedicated event manager no fewer than 7 days prior to the event. What is included in the Delegate Programme? 

What is a pre-scheduled appointment and how are my appointments made? 

A pre-scheduled appointment is a face-to-face/virtual appointment between a delegate and a supplier that is scheduled in advance of the show. To make these appointments, you will be given access to our bespoke online portal which is used to manage your schedule during the event.

Do I have to pre-schedule appointments in advance? 

Yes, all of our Forums and Summits are ‘closed events’. Pre-scheduled appointments are a prerequisite of attending any Forum Event. We reserve the right to remove people from the programme or charge a cancellation fee as per our terms and conditions to any delegate who refuses to pre-schedule appointments.

What if I miss a pre-scheduled appointment? 

Please visit a member of the Forum Event Team at your earliest opportunity so that they can re-arrange the appointment to ensure the supplier does not list you as a ‘missed appointment’. If delegates miss more than two pre-scheduled appointments, we reserve the right to charge £500 for Live or £250 for Virtual attendance per the Terms and Conditions.

Is there a cancellation fee? 

Cancellations received over 1 month prior to the event will not incur a fee.

Cancellations received after the 1-month deadline will incur a cancellation fee of £500 for Live of £250 for Virtual attendance inclusive of VAT. All cancellations must be received in writing by your event delegate booking contact via email and must be acknowledged by the Event Team to be effective.

How is accommodation booked? (2-day events only)




Once qualified, your accommodation will be booked, if you are attending the event live. If you have a specific request regarding accommodation or dietary requirements, please contact the event team immediately upon receiving your qualification acceptance email.
