Dear Team,

We’re thrilled to officially welcome you all to the new WilkinsonEyre office! This move marks an exciting chapter for us all, and I couldn’t be more grateful to share this journey with you.

Our new space is designed to support collaboration, creativity and comfort and I hope it becomes a place where you feel inspired and supported every day.

As we settle in, let’s take this opportunity to continue building on our successes and creating great memories here.

Our Office Space & Facilities

Assigned Desks

• Personal belongings must be kept tidy and all confidential materials secured when unattended.

Hot Desks

• 15 hot desks

• Available on a first-come,first-served basis.

• Users must clear the desk at the end of each day - no personal storage overnight.

Collaboration & Breakout Spaces

• Areas designed for teamwork and informal meetings.

• These spaces operate on a nonbookable, shared-use basis,unless otherwise indicated.

Food & Beverage

• Coffee / Tea / filtered water

• Kitchen/ breakout area

• Visitor hospitality/catering

• Communal dining area

• Fridges, dishwashers and microwaves

Sustainability & Environmental Features

• Recycling and food waste disposal

• Energy-efficient lighting and motion sensors

• Water refill fountain (to reduce plastic use)

Workplace Guidelines

1. General Conduct

• Employees are expected to maintain professional behaviour and respect shared spaces.

• Be mindful of noise levels, particularly in open-plan areas.

• Any damage, faults or hazards must be reported promptly to the Facilities team or your line manager.

2. Security and Access

• Access fobs must be used to enter the building.

• Office hours: 8am -6pm. Security: 8pm12am, Mon-Fri.

• Fob access; do not permit tailgating.

• For access outside of these hours, please contact: facilities@wilkinsoneyre.com

• Lost or stolen access fobs must be reported immediately.

• For replacement, forward written approval from Practice Director for replacement to: facilities@wilkinsoneyre.com

3. Cleanliness and Housekeeping

• A clear desk policy applies — remove all personal items, drawings and waste at the end of each day.

• Use appropriate waste and recycling bins; do not leave rubbish in communal areas.

• Leave toilets as you would like to find them.

• Report spills or cleaning concerns to Facilities or reception immediately.

4. Meeting Rooms and Shared Spaces

• Book rooms in advance directly using Outlook, or our Reception team can assist with booking appropriate space.

• Cancel bookings if no longer required.

• Leave rooms tidy: return chairs, clear surfaces and remove drawings etc.

• Collaborative spaces are for short meetings, not permanent desk use.

5. Kitchen and Break Areas

• Label and date food items placed in communal fridges; unclaimed food will be removed weekly (Friday).

• Clean up after yourself — wash dishes, wipe surfaces and report any appliance issues.

• Avoid strong-smelling foods where possible.

• Ensure electrical appliances are switched off after use.

6. Visitors

• Visitors must sign in at reception and be accompanied at all times by an employee.

SECURITY TIP:

ALWAYS KEEP YOUR FOB WITH YOU AND DON’T LET OTHERS TAILGATE.

7. Health, Safety and Wellbeing

• We’re all responsible for this.

• Familiarise yourself with fire exits, evacuation routes and assembly points.

• Keep walkways and exits unobstructed.

• Report any accidents, injuries or hazards immediately to Facilities or your line manager.

• Make use of ergonomic equipment and take regular screen breaks.

8. Sustainability

• Turn off lights, monitors and other equipment when not in use.

• Use double-sided printing and digital alternatives whenever possible.

• Separate food, recyclables and general waste correctly: small food waste bins are located in each kitchen area.

• Support company initiatives on sustainability: recycling bins, energysaving reminders etc.

9. IT Support

• If you require IT support, please raise a ticket via the IT tab on SharePoint.

10. Printing services

• There are two print rooms located within our Leonard Street office; please use your fob to release print jobs securely.

• Report toner, paper, or technical issues to IT Support (see guideline 9, IT SharePoint).

• We maintain a secure print process. As a result, all documents left unattended after 6pm each day will be disposed of in confidential waste bins.

• Confidential documents should not be left unattended.

11. Lockers

• Lockers are provided for temporary storage of personal belongings;

• Showers should be kept clean — users must remove personal items after use.

• Please report any maintenance issues to Facilities.

Health, Safety & Wellbeing

Our priority is to provide a safe, healthy and comfortable workplace for all employees and visitors. Here’s how to stay safe, supported, and well in our new office.

Fire Safety

• When you hear the alarm: stop what you’re doing and exit calmly.

• Follow the green exit signs — never use the lift.

• Gather at your assembly point and wait for the “all clear.”

Accidents & First Aid

• Tell a First Aider or Facilities — their contact details are posted on each floor.

• First Aid Kits are available on each floorlook for signage in kitchen and locker areas or ask at Reception.

• Inform First Aiders, Culture and Engagement Manager, Practice Director or Facilities Manager in a medical emergency.

Building Safety

• Keep corridors, stairways, and emergency exits clear at all times.

• Do not block access to fire extinguishers, alarm points, or electrical panels.

• Immediately report hazards such as spills, damaged flooring or faulty equipment.

Workstation Ergonomics

• Adjust your chair, monitor and keyboard to support good posture.

• Take regular breaks to reduce eye strain and fatigue.

• Provision of Annual Self Desk Assessment.

Wellbeing Support

• Make use of quiet or external spaces available in the building.

• Participate in wellbeing activities and initiatives promoted across the organisation.

First Aid

All First Aid incidents should be reported to your direct Line Manager, who will then inform the Practice Director and H&S.

Location of First Aid Kits

First Aid Kits are available on each floor — Located in kitchen and locker areas. Reception can also assist.

Location of Defibrillator

Main reception area, Ground floor.

Evacuation Chair & Wheelchair provisions

Located in the emergency stairwell on Lower Ground Floor and First Floor.
