REGINA – PRE-CLERKSHIP STUDENT FEEDBACK GUIDE

Purpose of this guide:

• Promote effective problem solving by asking questions to those who know the answers

• Gather and use student feedback to improve their experience

• Develop and foster positive relationships between students, staff, and leadership

• Enable students to feel confident in advocating for themselves within a professional setting

When to Contact your Class Representative

General guideline: Sometimes feedback needs to come directly from impacted individuals. If it affects you personally, you should ask. If it affects multiple students or the general student body, approach the Class Rep, and they can engage the right people to address the concern.

The Class Rep can assist with:

• Learning materials or assignment instructions that have not been posted or published

• Liaising with Regina Campus Leadership with local concerns that affect the Regina Campus cohort

• Liaising with the UGME with questions or concerns (curricular and non-curricular) that affect the whole class

• Sharing information with the class through the weekly InfoBlast

Your Class Rep might also redirect you to one of the avenues below.

When to Contact a Coordinator

These guidelines apply to individual students and Class Representatives:

• Questions about your schedule (e.g. conflicting sessions, locations, etc.)

• Tutors who are late or do not arrive for a session

• You cannot find learning materials for a session

• Questions about processes or policies (e.g. absences, deferred exams, etc.)

Tip #1: If you are unsure about where to take your questions, start with a coordinator – they can direct you to the appropriate channel.

Tip #2: Refer to your syllabi to determine the most appropriate coordinator for specific modules. If you are still unsure, contact any of your Regina Campus Year Coordinators for assistance.

When to Contact the Year Chairs and/or Dr. White

General Guideline: Class Reps meet regularly with leadership, but individual students may also bring forward individual concerns via email or in-person meeting requests.

• Concerns brought forth to other avenues have not been resolved or resolution is unsatisfactory

• There are repeated concerns or patterns with concerns

• Local concerns with the Regina Campus (e.g. infrastructure, technology, access, etc.)

• To report issues or concerns that have been addressed through another avenue, but you want them to be aware

• Immediate serious concerns with faculty, SPs, or staff

Tip #1: Be specific: Do you want them to act, or do you want them to be aware?

The Year Chairs and/or Dr. White may redirect you to speak to a coordinator or submit feedback through the Program Feedback Tool.

When to Use the Program Feedback Tool

Year 2 Regina Site Coordinator

Feedback submitted through this tool is shared with a small group within the Undergraduate Medical Education Program administrative team. It is then de-identified by an administrative staff member (all your personal information removed) and sent to the relevant instructor, Module/Course Director, or Rotation Coordinator who needs to respond. You will receive confirmation from the Administrative Staff member that your feedback has been received, and the type of actions being taken in response to your feedback. See more information and access the Program Feedback Tool here

NOTE: Any student can submit feedback via the Program Feedback Tool; it is not the responsibility of the Class Rep to submit this. If many students share a similar concern, a joint submission is preferred (one student submitting feedback on behalf of the group).

Submit feedback through the Program Feedback Tool when:

• You have constructive course or module feedback for which you want a response

• You have identified a widespread program or curricular concern that affects the entire class

• You have recommendations that could improve course development, learning materials, or scheduling in future years

• You want to highlight teaching methods or materials you find helpful to ensure they continue or are used more often

Tip #1: Review the “Before You Submit Your Feedback” and the “Tips for Useful Feedback” sections on the Program Feedback Tool webpage prior to submitting a ticket.

Students who bring forth concerns or feedback through other avenues (e.g. Coordinators or Year Chairs) may also be asked to submit their feedback through the Program Feedback Tool.

EXAMPLES

Scenario 1:

Students find that their small-group clinical session did not run as expected. The instructor did not seem to know what the goals and objectives of the session were, and they ran over time.

This scenario is specific to this small group of students. This group (or individual from group) should speak to the session coordinator about their experience. They may also speak to the module director or Year Chair if they are concerned, especially if this is common or a repeat occurrence.

Scenario 2:

Students find that their case content for CBL does not align with the lectures in foundations. The cases contain information that they would not be learning until lectures that occur a week after the case discussion is scheduled.

This scenario affects the entire class and is related to the curriculum. Feedback should be submitted through the Program Feedback Tool. This can be done by any student.

Scenario 3a:

A student notices they cannot find the resources referenced in assignment instructions in Canvas or on One45. It appears they have not been shared/made available.

This scenario affects the entire class and therefore could be brought forward by your Class Rep. Questions from the Rep should first be directed to the appropriate administrative coordinator, as they can likely solve the issue in a timely way. Individual students may also reach out to coordinators directly, as this is a time sensitive concern.

Scenario 3b:

Students notice that they are consistently unable to find resources referenced in a particular module, or they are regularly having to reach out to coordinators to publish materials.

This scenario affects the entire class. Students or the Class Rep should first reach out to the appropriate coordinator to ensure the necessary resources are provided in a timely manner. Because there is a concerning repeated pattern, the Class Rep could also bring this information forward to leadership and/or use the Program Feedback Tool.

Scenario 4:

A student notices that their schedule shows conflicting sessions – they are scheduled for a Family Medicine DSPE and a FIPE session at the same time.

This scenario is specific to an individual student or small group of students. This group (or individual from a group) should notify the appropriate coordinator as soon as possible so that any conflicts or errors can be solved.

Scenario 5:

A student forgot to submit an assignment/form/certification by the deadline.

This scenario is specific to an individual student. The student should reach out to the appropriate coordinator as soon as possible for further direction.
