What I will do:
All fixture admin for the league / knockout’s during the BUCS season
Manage all of Bangor’s event entries into the BUCS Events program
Arrange all transport for BUCS Leagues & Knockout fixtures
Resolve any protests / queries arising from fixtures / events
Act as an intermediatory between Bangor and any other Institution team.
My Weekly Communications:
Fixtures email – Every Friday the week before a fixture
Away Trip Forms – To be picked up from CB Reception the Friday before fixtures
Results email – Every Thursday after fixture completion
Event Entries – Every Tuesday signalling when new event entries open
Event Entry Confirmation – Confirmation of entries once a deadline has passed

If your club has multiple teams, ensure all members join all of the teams – e.g.: All netball players should join all 3 teams at the start of the year.
You must use your student email address and fully complete the entry form to be able to join a team.
Once you have joined a team, the captain will get notified and can accept / decline the entry request.
Once approved, you will be on the team – you will receive an email notification when this has been completed.
As captains, you will be the first to join your teams. It is my role as an IA to accept these captain entries and give you those captain rights. From there on, captains will be required to manage their own teams.
Please note that everyone must sign up and be a part of a team to compete in BUCS! If this is not done, then that player will be ineligible. Fielding an ineligible player can result in the fixture being void, and potentially face expulsion from the league – this happened last year, and we were very lucky with the consequences…
BUCS Play has 4 layers of access rights.You, as captains, will sit in the 3rd tier, with everyone else sitting in the bottom tier. For reference, I sit in the 2nd tier and only BUCS staff sit in the top tier.
It is up to the captain to organise the squad, submit team sheets & enter the results of the game.
Ideally this person is the club captain or coach.
You should all already be Captains for all your teams (if you are not, please speak to me ASAP).
There can be multiple captains in a team.You can add others as captains the same way as selecting a team (see next slide).
Please note that the deadline for weekly results and protests is 12:00 the next day. Also, you cannot protest if you do not submit a team sheet.
To select your squad, follow these steps above:
Check all those who have applied to be in the squad.
Click the arrow pointing to the left and they will be added.
To give other players Captain’s Access, select the highlighted icon and follow the same steps
• Team sheets must be completed before every game this year.
• All students must bring proof of identity (student cards) so that they can be checked off on the team sheet.
• You must sign off on the team sheet and check the opposition's sheet prior to the fixture starting.
• If you have any queries about the opposition's team sheet you can request to see IDs –this must be prior to the fixture starting.
• You cannot protest if you do not submit a team sheet.
• We are imposing some club fines to ensure this is done!
• If you do not complete a team sheet, your club will be charged a £10 fine for the first offence, a £20 for the second and so on…
• If BUCS conduct a spot check and you haven't completed the team sheet, you will lose league points, or the result may not stand.
• Always take a paper copy for the team sheet in case of technical issues with the app!

BUCS Spot Checks
1 week prior to the first fixtures, a check of the number of participants in the squad will be run. If this is less than the number required to start the fixture, then you will be sanctioned.
There will be regular spot checks on individual team’s throughout the season. If any breaches found, these sanctions will apply.
Issues raised through appeals / other institutions
If an appeal is lodged in a fixture with your team, and you are found not to have completed a team sheet, then these sanctions will apply.
End of Season Review A review will take place at the end of the season. If you have completed less than 60% of your team sheets you will be sanctioned.
1 point deduction per team in their league.

Fixture Completion Deadline is 9am the next working day
The window to submit a team sheet closes 1 hour before that fixture is due to start on BUCS Play. Therefore, when you arrive at a fixture, this should already be done. *
Step by step guide of what to do on matchdays:
1) When CCs arrive at the ground, find opposition CC
2) Arrange a time where both can go through team sheets & verify identification
3) Line players up with student cards & match players to the team sheet
4) Once happy, approve the opposition team sheet (this must be done prior to kick off, I can view when this is done!)
5) If you are not happy, fill out a Play Under Protest form (again this must be done prior to kick off)
* If the opposition have not done this at this point, please ask them to complete a team sheet. If they do not, then please ring me on 01248 388 020 as this is against BUCS General REGs 11 and we should follow the Playing Under Protest Guidelines (General REG 12).
Here you can choose your squads. Just check the names off and click “select below”
It is helpful to get players to make themselves available for the fixture ahead of time.
• Use this if BUCS Play is down, or you do not have signal. Always have a copy of this to hand, even if you are the home team.
• Also, you can use this team sheet if you suspect foul play and breach of general team regulations.
• Complete all relevant fixture information at the top.
• Complete the correct side of the team sheet, and ensure you sign it with the time of completion. This must be before the kick off time stated on BUCS Play.
• Speak to the opposition captain. They MUST sign it too, they cannot decline. If they do decline, please phone me and I will get in touch with their Student’s Union.
Along with the Trip Form, it is useful for you to have a Team Sheet and Playing Under Protest pro forma.
See slide 14 (earlier) for how to use a Team Sheet.
• A Playing Under Protest form (left) is used if you suspect any breach of either BUCS General Regs or your own Sport Specific Regs.
• At the first instance you suspect foul play, please ring me on my contact number and I will double check rules and regs.
• If we decide to do a PUP form, fill out the form in as much detail as you can. (There is a detailed break down of how to complete this form on the back of it – REG 12)
• Again, the opposition captain CANNOT REFUSE TO SIGN this document, if they do, ring me.
• It is worth noting, that completing this form does not guarantee you will win the protest. In the first case, always aim to complete the fixture at the scheduled venue and time!
BUCS Events work differently to Team events – there is always a limit on the number of participants.
This could be down to event capacity – eg: a rowing regatta may be limited to 80 boats total.
Therefore, BUCS operates a fair way to decide who fills these spots, so that all institutions have equal opportunities.
Guaranteed – Some events will have a number of guaranteed entries; eg: 100m may have 1 or 2 guaranteed per institution.
Non Guaranteed:
These are entries that have been accepted, but you may not be guaranteed a spot. Some events will not have any guaranteed, so all entries will fall into this category. Don’t worry, I have accepted you for entry, but BUCS will email you separately if you get a spot to compete.
Rejected – Unfortunately, you do not meet the requirements or have not been allocated a spot.
Reserve List – Some events will allow a reserve list of competitors. If you wish to be a reserve, please email me.

The whole events section on BUCS Play has had a complete overhaul since last season – it should be a lot slicker and save us all time.
The app is now also better for registering for individual event entry.

Team – based events, such as Lacrosse 6s, operate differently to individual events.
Here, you need to email me to give me notice that you require X number of teams – only IA’s can enter teams.
This also applies to relays in swimming & athletics!
Once the team(s) has been entered, you can join it as per the steps in the league and knockout section.
• Yellow Boxes – completed by myself contains all the fixture information.
• Blue Box – Please complete this so that it matches your team sheet. Ensure the emergency contact number is not someone else on the bus!
• Red Box – Please complete this. Each team should always have 2 first aiders travelling (so if the first aider gets injured, they can receive first aid too)
• Green Box – If you have hired an SU Minibus, please complete these boxes.
• Black Box – Finally, ensure either the CC (or Team Captain) signs this form once complete.
Changed for this year:
Teams will no longer need to photocopy their Trip Form. Please hand this into Reception once completed. It is recommended that you take a photo of the Trip Form.
Make sure ALL players get on the bus!
Keep an eye on your fixtures and be aware when you may have a long away day (NE England) & plan accordingly. If you cannot field a team, please let me know immediately to avoid penalties.
Ensure all members know what time their bus leaves! Check the weekly fixture emails sent out on a Friday, and if in doubt, ask me!
Please allow at least 10 minutes for your bus to arrive!
If your bus is running a couple minutes late, that’s fine.
Only call me if you bus has not shown up 10 minutes after the scheduled arrival time.
Complete ALL forms!
This includes the online team sheet checks on BUCS Play.
BUCS Play has invested heavily to ensure performance at peak times – “BUCS Play being down” will not be a valid excuse this year!
No Anti-Social Behaviour
Alcohol is illegal.
No tolerance to inappropriate behaviour.

MPV Usage
Replaced the Minibuses – option for smaller teams to self-drive to fixtures.
Students can also self-drive in their own cars – AU will cover 1 vehicle’s fuel.
Further information will be given in a meeting with the AU on the 23rd September.
Longer Waits
This year, there will be more teams sharing away transport due to rising costs.
You may experience significantly longer waits either before your fixture, or after it.
E.G.: 3 teams playing in Manchester will share a bus regardless of fixture start time, be that 13:00 or 20:00.
Best Practice on Away Days
Enjoy your day – responsibly – you are representing Bangor University!
Support each other’s teams – create an environment that you would like to play in.
Inappropriate behaviour will be dealt with, and teams will face severe consequences.

BUCS requires all clubs who wish to compete in any event to affiliate with their respective National Governing Body (NGB).
There are usually 3 types of affiliations that you may be asked to do.
1. Club Affiliation:
This is where your club needs to affiliate to the NGB to become an official member that can compete in any competitions. Most league and knockout teams require this.
2. Individual Membership:
This is where each individual needs to be a member of the NGB in order to compete. Some league and knockout teams require this and almost all event teams will need this too.
3. Ranking Lists / Extra Data Submission:
This is where BUCS requires extra data to be submitted. For all racket sports, you need to submit an official ranking list of your best to worst player. Other sports (Basketball / Lacrosse) need to submit the names of qualified officials.
