Greetings from the Registrar

I am excited to present the Office of the Registrar 2022-2023 Annual Report! Inside you will find many of our recent accomplishments. Our Registrar team’s primary goal is to provide excellent service to faculty, staff, and students both current and alumni. We are committed to developing innovative technology to solve problems and meet the needs of the campus community. We also strive to be transparent and create efficient ways to use, understand, and work with student data. Our campus community is important to us and we continue to seek improvement in our processes to follow the student from enrollment through to graduation. We enjoy and value our relationships with each campus department and appreciate their willingness to work jointly on processes and projects as a Red Raider team.

I hope you find the Annual Report useful and informative, and I invite you to celebrate our achievements along with us. Mission, Vision, & Core Values The mission of the Office of the Registrar is to serve students, alumni, faculty, and staff by ensuring the accuracy, integrity, and confidentiality of educational records. The Office of the Registrar strives to: Provide consistent high-quality service, collaboration, and leadership in facilitating the needs of students, faculty, and staff. Promote a friendly and encouraging office environment that supports personal and professional growth. Employ efficiency and innovation in the use of resources and solutions to benefit our campus and the higher education community.

Core Functions Academic Records

DegreeWorks

Ensure the accuracy and completeness of all student registration, grading, and transcript information. Assist students, faculty, and staff with questions regarding grading issues, registration, test credit, enrollment verifications, FERPA authorizations, transcripts, and student information.

Oversee and maintain the official degree audit system of Texas Tech University. The audit system ensures compliance with state and institutional requirements for graduation.

Athletic Certification Review and determine eligibility of student-athletes in accordance with NCAA bylaw requirements.

Course & Section Inventory Ensure the correct coding and building of courses and sections for each registration cycle. Coordinate with departments for effective room and time scheduling, as well as plan and schedule final exam times and locations.

Federal Enrollment Reporting & Maintenance Manage reporting of current institutional enrollment via the National Student Clearinghouse (NSC) in accordance with federal requirements and regulations. Research, maintain, and ensure accuracy of institutional student information within the NSC database and DegreeVerify system.


FERPA Compliance

Study Abroad

Review institutional compliance with Family Educational Rights and Privacy Act (FERPA) regulations. Investigate and respond to FERPA issues and reports of noncompliance with FERPA. Provide FERPA guidance, resources, and training to the university community. Review and respond to requests for student information via subpoenas, court orders, and directory information requests in accordance with FERPA regulations.

Ensure credits earned via institutional study abroad programs are awarded and documented according to established guidelines and procedures.

Marketing & Communications Facilitate Registrar news, updates, and information distribution via print, online, and social media platforms.

Systems Training Provide training in areas related to student and course systems, such as Banner, Raiderlink, Curriculog, and FERPA.

Test Credit Apply test credit to student records in accordance with established departmental and Academic Testing Services guidelines.

Transfer Evaluation

Programming & Systems Support

Apply transfer credit from other institutions, and coordinate with departments to determine appropriate course equivalencies.

Maintain Registrar systems, as well as create technical solutions and enhancements to make business processes more efficient for internal and external staff.

Texas Success Initiative (TSI) Compliance

Registrar Reporting & Analysis Query and report on information to assist with making informed decisions on future projects.

Evaluate and maintain student records to determine college readiness in accordance with established State of Texas guidelines. Coordinate with various campus entities to ensure institutional compliance with state-mandated laws and regulations.

Registrar Systems Training Banner for Beginners: View Access This Banner for Beginners class is suggested for individuals who only need to view student records for informational purposes, but will not manage student records. Banner for Beginners: Record Management Access This Banner for Beginners training is suggested for individuals who will access student records in Banner for management purposes (e.g., registration assistance, holds, permits, time ticketing). Curriculog Training Curriculog training is intended for individuals who are responsible for submitting or approving courses and program proposals. Individuals will be given access to utilize the Curriculog software for adding, updating, or deleting courses or programs within the Texas Tech University course and program inventory.

Family Educational Rights and Privacy Act (FERPA) Training FERPA training is available online and is also offered in person for departments and large groups (e.g., New Faculty Orientation, Departmental Training for staff, instructors, and faculty). Registrar Dashboard Overview of the new Registrar Dashboard system that provides information queried from the following systems: Student Banner, DegreeWorks, Student Xtender, and Advisor Tab, and also provides reporting capabilities per college and major.

Lead Specialist

Catalina was born and raised in Lubbock. She began working at the Registrar’s office in 2022. In her role, Catalina assists students and parents with academic records and services related to registration. Her favorite part about working at Texas Tech is seeing different faces every day. Catalina says she appreciates her work environment, as working around nice, helpful people gives her joy when she’s in the office. In her free time, Catalina likes to spend time with her family and partake in new experiences with her daughter. Catalina loves to try new things, explore new places and meet new people.

After moving from Cortez, Colorado, Kelsey started her journey with the Registrar team as a student assistant in 2019. After graduating from Texas Tech with a degree in Agricultural Communications in 2022, she was hired as Lead Specialist to assist incoming students with TSI compliance. She also attends RRO, Connect Tech, Select Tech, and various other events at TTU to represent the Office of the Registrar. Her favorite thing about working at Texas Tech is the sense of community the university offers. In her leisure time, Kelsey likes to spend time with family, travel, read and crochet. Kelsey is fearless as she has gone swimming with both stingrays and sharks!

Lead Analyst

Kristi joined the Registrar family in 2014. She provides training and works with TTU faculty and staff that assist our students in an advisory role. She also teaches classes for TTU College of Education’s Teacher Education Department and PADR. Kristi is thankful to work with such a diverse group of faculty, staff and students. After earning both her bachelor’s and master’s degrees at Texas Tech, Kristi will graduate in Fall 2023 with a Doctor of Philosophy degree in Curriculum and Instruction. Outside of work, Kristi loves to spend time with her family traveling. They have visited various countries in Europe, Mexico, Brazil, Canada and many places in the United States, including Puerto Rico.

Saebree joined the Registrar team in 2023, shortly after graduating from Texas Tech with a degree in Political Science. In her position, Saebree manages directory requests, verifies degrees through the National Student Clearinghouse, and assists the custodian of records with subpoenas and legal records requests. Saebree is appreciative of the opportunity to work alongside the rest of the Registrar team. Outside of the office, you can find Saebree spoiling her dog, Alfie. She also likes to spend her free time traveling. Saebree has stood underneath the Eiffel Tower, eaten fish and chips in London, and has floated on a gondola through Venice, Italy. During her last adventure, she cage dove with sharks in Hawaii!

Bobbie Brown Registrar

Carol Bonner Associate Registrar

Bobbie Brown has been appointed to serve as President-Elect of the Texas Association of Collegiate Registrars and Admissions Officers (TACRAO) for 2023-2024, and as President for 2024-2025. As President, she will oversee a legislative body comprised of members working in all ranks of the Admissions and Records professions at accredited colleges and universities throughout Texas. Bobbie will lead TACRAO in training, workshops and partnerships as constituents communicate information about the best practices and latest technology within this industry to advance operations at individual schools.

This year, Carol Bonner was inducted into the Sport Management Hall of Fame at Slippery Rock University of Pennsylvania. This honor is awarded to alumni from the SRU Department of Sport Management who have demonstrated leadership in the sport industry, service in the profession, and superior performance throughout their career – making an impact on the field of sport management in the communities they serve. Carol was also elected as President of TTU Staff Senate. In this position, Carol will lead the Staff Senate in ensuring the staff employees at Texas Tech are well represented while contributing to the prosperity of the University.

Length of Service Awards Texas Tech recognizes employees’ years of service in five year increments. This year, the Office of the Registrar honored the following employees for their length of service at TTU: Amanda Lange, Coordinator – 5 years Teresa Diaz, Coordinator – 10 years Brenda Shugart, Specialist III – 20 years Lisa Coles, Senior Evaluator – 20 years Norma Ramos, Specialist III – 25 years Bobbie Brown, Registrar – 25 years

Irma's New Chapter After 48 years of serving Texas Tech, Irma Armenta began a new chapter in her life - retirement! Irma started her career at Texas Tech in 1975 as Clerk I at the Registrar's Office. During her time at TTU, Irma received recognition for Outstanding Service, Superior Service, and a Distinguished Staff Award. Irma's colleagues gathered for a luncheon at the McKenzie-Merket Alumni Center in celebration of her retirement. We are so thankful for the hard work and dedication Irma brought to the Registrar's office. We wish her a heartfelt congratulations and the nothing but the best during her next adventure!

Recent Enhancements DegreeWorks Transfer DegreeWorks Transfer was launched by the DegreeWorks team in Spring 2023. DegreeWorks Transfer is a user-friendly tool designed to help prospective Texas Tech students identify how transfer coursework equates to Texas Tech courses and see how those courses will apply to a degree program. This exciting new system can be used by prospective students, parents, high school counselors, and college/university advisors. Users can enter coursework or test scores from other institutions to see progress toward a potential degree at Texas Tech.

DegreeWorks PLANS DegreeWorks is the official degree audit system of Texas Tech. This program allows students to easily access information relating to the requirements for their degree program, monitor progress towards degree completion, and browse course options for fulfilling future requirements. In Fall 2022, our DegreeWorks team implemented DegreeWorks PLANS. This new feature can be used inside Registration Plan Ahead to create class schedules and plan future courses with ease. With DegreeWorks PLANS, students can build course schedules for a single semester or for the entirety of their degree. Students can also add notes to course plans, name plans, and adjust as needed. The Plans feature can be accessed through the "Plans" tab in DegreeWorks.

Updated Time Ticket for Advance Registration After analysis of prior registrations and feedback from Student Government Association, faculty, and advisors, the Advance Registration time ticket assignments for the Summer 2023 and Fall 2023 terms were distributed differently. The new time ticket schedule reduced system traffic and prioritized student populations to ensure access to available seats for progression toward graduation.

Community Involvement & Team Building

As part of Texas Tech’s Centennial celebration, the university set a goal to collectively achieve one million hours of volunteerism and service. Our office is proud to have contributed to this effort through individual and departmental volunteerism. The annual State Employee Charitable Campaign (SECC) was successful. Through individual employee donations and various fundraising events, we contributed a total of $3,948.00 to the overall campaign. This was 192% of our departmental goal of $2,052.25. All departmental fundraising contributions were donated to sixteen different charities including Kat’s Alley Cats, Children's Home of Lubbock, and Wounded Warrior Emergency Support Fund. Individual payroll contributions were also donated to nonprofit organizations of each employee’s choosing. Throughout the year, members of the Registrar team took part in volunteerism and community service opportunities through local organizations and campus events. During the month of April, the Office of the Registrar was pleased to be part of a community effort in raising public awareness about sexual violence, as well as educating individuals on how to prevent it. Members of the Registrar’s office showed their support through wearing jeans with a purpose on Denim Day. Through individual employee donations and fundraising events, the Registrar’s office also raised $225 in support of Women’s Protective Services of Lubbock during this time. Registrar staff also took part in the annual tradition of planting flowers to enhance the beauty of campus on Arbor Day. Several staff members represented the Registrar’s Office at various student resource events. The Raider Roadshow Resource Fair offered an opportunity for future Red Raiders to visit with campus departments and learn about all that TTU has to offer. During Red Raider Orientation, our office provided TSI support and services to incoming students. We also participated in One Stop, which takes place during move-in week, giving students an opportunity to address any remaining questions or additional needs.

Denim Day: Jonathan Duncan, Brenda Martinez, Delores Sanchez, Kalyn Bednarz, Alicia Tedeschi, Mark Waagner, Joseph Hogan, AnnMarie Maldonado, Crystal Regalado, Catalina Torres, Lisa Cole, Shelly Bowman, Yogi Castaneda, Saebree Gonzales and Kelsey Syra wore denim for Sexual Assault Awareness Month.

Lubbock Dream Center: Registrar staff decorated bags and prepared meals for distribution in spirit of the Thanksgiving holiday.

Food Bank: Vanessa Salazar, Jasmine Flores, Delores Sanchez, Carol Bonner and members of TTU Staff Senate organized fruit for distribution. Arbor Day: Staff members joined other organizations in planting flowers in front of the Administration Building on campus.

Thanksgiving Box Donation: Ashlea Reinhart, Crystal Regalado and Jonathan Duncan delivered four boxes of Thanksgiving meals to the Lubbock Dream Center.

Ronald McDonald House: Delores Sanchez, Jasmine Flores and Vanessa Salazar cooked for residents alongside other members of the TTU Staff Senate.
