GREETINGS FROM 7+( 5(*,675$5 Welcome to the 2018-2019 Annual Report for the Office of the Registrar!

It is my pleasure to reflect on some of our recent achievements and highlight several ways in which we have been actively involved during the past year. These accomplishments are ones of which I am proud, as they illustrate our continued commitment to serving our students and our institution.

Excellent service to our students and our University is of utmost importance, and we consistently strive to foster efficiency and effectiveness in our performance standards and practices. The Office of the Registrar is fortunate to have a talented and dedicated team of individuals working in partnership with the many exceptional leaders throughout our colleges, departments, and campus community, all of whom are vital to our continued collaboration and future initiatives. I sincerely thank you all for your positive contributions to our collective goals and endeavors.

We hope you celebrate our achievements with us and find the information in our annual report to be useful and informative. I welcome any questions or comments that you may have regarding the contents of this report or any of the services we offer.

&RUH )XQFWLRQV $FDGHPLF 5HFRUGV Ensure the accuracy and completeness of all student registration, grading, and transcript information.

Assist students, faculty, and staff with questions regarding grading issues, registration, test credit, enrollment verifications, FERPA authorizations, transcripts, and student information.

$WKOHWLF &HUWLĂ€FDWLRQ Review and determine eligibility of student-athletes in accordance with NCAA bylaw requirements.

&RXUVH 6HFWLRQ ,QYHQWRU\ Ensure the correct coding and building of courses and sections for each registration cycle.

Coordinate with departments for effective room and time scheduling, as well as plan and schedule final exam times and locations.

'HJUHH:RUNV Build and update the official degree audit system of Texas Tech University. The audit system ensures compliance with state and institutional requirements for graduation.

)HGHUDO (QUROOPHQW 5HSRUWLQJ 0DLQWHQDQFH Manage reporting of current institutional enrollment via the National Student Clearinghouse (NSC) in accordance with federal requirements and regulations. Research, maintain, and ensure accuracy of institutional student information within the NSC database and DegreeVerify system.

)(53$ &RPSOLDQFH Review institutional compliance with Family Educational Rights and Privacy Act (FERPA) regulations. Investigate and respond to FERPA issues and reports of non-compliance with FERPA. Provide FERPA guidance, resources, and training to the university community. Review and respond to requests for student information via subpoenas, court orders, and directory information requests in accordance with FERPA regulations.

&RUH )XQFWLRQV 0DUNHWLQJ &RPPXQLFDWLRQV Facilitate Registrar news, updates, and information distribution via print, online, and social media platforms.

Test Credit Apply test credit to student records in accordance with established departmental and Academic Testing Services guidelines.

Registrar Trainings %DQQHU IRU %HJLQQHUV 9LHZ $FFHVV This Banner for Beginners class is suggested for individuals who only need to view student records for informational purposes, but who will not manage student records.

%DQQHU IRU %HJLQQHUV 5HFRUG 0DQDJHPHQW $FFHVV This Banner for Beginners training is suggested for individuals who will access student records in Banner for management purposes (e.g., registration assistance, holds, permits, time ticketing).

&XUULFXORJ 7UDLQLQJ Curriculog training is intended for individuals who are responsible for submitting or approving courses and program proposals. Individuals will be given access to utilize the Curriculog software for adding, updating, or deleting courses or programs within the Texas Tech University course and program inventory.

)DPLO\ (GXFDWLRQDO 5LJKWV DQG 3ULYDF\ $FW )(53$ 7UDLQLQJ FERPA training is available online and is also offered in person for departments and large groups (e.g., New Faculty Orientation, Departmental Training for staff, instructors, and faculty).

5HJLVWUDU 'DVKERDUG Overview of the new Registrar Dashboard system that provides information queried from the following systems: Student Banner, DegreeWorks, Student Xtender, and Advisor Tab, and also provides reporting capabilities per college and major.

)RU 0H )ULGD\ For Me Friday was established in an effort to provide additional personal and professional development opportunities for all internal staff (e.g., managers, coordinators, student assistants).

The ultimate goal is to create a training program to enhance collaboration, increase professionalism, and promote overall well-being in areas such as health, financial wellness, cyber security, customer service, stress management, social media etiquette, and cultural awareness.

7DNLQJ $ 9DQHVVD (OL]RQGR 6SHFLDOLVW ,,, Vanessa Elizondo, originally from Lubbock, moved from Midland, TX back to Lubbock in the Summer of 2015. When Vanessa returned home in 2015, she worked at Einstein Bagels and attended South Plains College as an Undecided major from 2015 to Early 2016. In May 2016, she began working in the Office of the Registrar at Texas Tech University as a Specialist III, dedicated to helping students with their academic records, grade changes, grade replacements, and transcripts. While learning new and challenging areas of her position, she came to discover that she wanted to major in Business at South Plains College. Vanessa recently graduated from South Plains College with her Associate of Applied Science in Business in May of 2019, got married two days after graduating, and transferred to Texas Tech in Fall 2019 to complete her bachelor’s degree in Business Management. In Vanessa’s spare time, she likes to practice her hobby of photography, and enjoys traveling with her husband. Vanessa plans to own her own local photography company once she completes her Business studies in the coming semesters.

0DUN :DDJQHU /HDG (YDOXDWRU Mark Waagner joined the Office of the Registrar family in September of 2014, and is the Lead Evaluator for the Transfer Evaluation Office. In his current role, Mark is responsible for evaluating transfer coursework for applicants and current students, as well as processing affiliated study abroad credit, overseeing the departmental course equivalency process, and creating workflows and reports within different systems for various transfer processes. Mark earned his bachelor’s degree in Psychology from Texas Tech University in 2011. Prior to joining the Office of the Registrar, Mark served as a tutor, a substitute teacher for Lubbock ISD, and owned his own video production company. In his free time, Mark enjoys being outdoors, fishing, hiking, playing tennis, and also enjoys shooting video for videography projects.

&ORVHU /RRN $QQ 0DULH 0DOGRQDGR 8QLW &RRUGLQDWRU Ann Marie Maldonado graduated from the International Business Institute with a Medical Assistant/Transcriptionist Certificate. She worked in a doctor’s office for 7 years before moving to the Internal Medicine billing department at the HSC. Ann Marie moved to the Texas Tech campus in Lubbock in 2010, and first joined the Registrar team in the Academic Records department. She then moved to the Transfer Evaluation Office and is currently working in Athletic Certification and Eligibility. Ann Marie has worked for the TTU System for 11 years. She plans to continue to work towards a degree in Anthropology. Ann Marie’s father was in the military, and moved to Lubbock in 1989. She has a 20-year-old daughter named Natacia and two cats named Sophie and Charlie. She likes to read, watch scary movies, and is currently trying to learn Chinese.

$PDQGD /DQJH &RRUGLQDWRU Amanda Lange is a Coordinator for Course and Section Inventory in the Office of the Registrar. She is responsible for scheduling in the areas of the College of Education, Rawls College of Business, Honors College, Graduate School, and sciences within the College of Arts & Sciences. In her role, Amanda coordinates with designated academic departments as the collaborative scheduler. Her primary responsibilities include section building, room scheduling, and ensuring the space for each assigned room is meeting state and efficiency standards. Amanda graduated from Texas Tech University with a Bachelor of Arts in Psychology and is working to obtain her master’s degree in Higher Education. Amanda was born and raised in Lubbock, Texas. She previously worked in the telecommunications field where she met her husband Andrew. In her spare time, she enjoys traveling, her dogs, movies (she is a pop culture trivia pro) and cheering on the Red Raiders! Amanda loves her job and is proud to be a Red Raider.

1. Bobbie Brown is the newly elected Vice President for Technology for the TACRAO 2018-2019 Executive Committee. The Texas Association of Collegiate Registrars and Admissions Officers (TACRAO) is the nonprofit, voluntary and professional association for registrars and admission staff from regionally accredited universities and community colleges in the state of Texas. Individual members come from all ranks of the Admission and Records profession: directors of enrollment management, admission representatives, registrars, directors of admission, and all associated staff members. TACRAO has extended its scope to also include orientation personnel and some aspects of higher education technology.

3. Several members of the Office of the Registrar received Length of Service awards for their employment with Texas Tech University.

2. Steven Morales, Assistant Registrar, was recently selected by his peers to be a Texas Tech University Staff Senator for 2019-2020. Steven will be an excellent representative for the Office of the Registrar!

5. Brian Enderson, Associate Registrar for Systems Architecture, debuted the Registrar Dashboards in the Fall 2018 and Spring 2019 terms. The Dashboards are an ongoing project that changes the way in which campus partners access information contained within the Banner database. The

primary advantages of this system are the presentation of information in a concise and more flexible format, availability to request record edits, and enhanced security and auditing.

6. The Texas Tech Transfer Evaluation Office staff has gone above and beyond to help the Texas Tech Study Abroad Office obtain a database of clean information to use when advising students on their options for studying abroad. When first approached with the need for the database, it was unknown there were over 3,000 course records that needed updating to include complete information. Despite the large number, the TEO staff knocked out the cleanup effort in a matter of days. The Study Abroad Office will now be able to utilize this information in a format which will aid the conversations with students to choose the best path for their study abroad experience. Thank you to the Transfer Evaluation Office staff for going the extra mile for our students and other departments on campus!

&RPPXQLW\ ,QYROYHPHQW 7HDP %XLOGLQJ The 2018 - 2019 year brought many opportunities for the Office of the Registrar to get involved in the community and participate in a variety of team building events and activities! To kick off the beginning of the year, our department hosted a very successful silent auction on behalf of the 2018 State Employee Charitable Campaign (SECC). This year’s silent auction and individual employee donations raised a grand total of $5,578.00, which greatly exceeded our departmental SECC goal of $2,648.32. Proceeds from our SECC fundraising efforts were donated to the Lubbock Children’s Health Clinic, and personal

contributions were donated to various local, state, and national charities. During Thanksgiving, our office collected and donated meal boxes that were distributed to families in need through the Lubbock Dream Center.

During the 2019 Arbor Day festivities, our dedicated employees joined together to beautify the Tech campus while enjoying the sunshine and planting flora alongside our fellow Red Raiders. We wrapped up the fiscal year with a Registrar Training Luncheon at the Texas Tech National Ranching Heritage Center that blended team building with fun, food, puzzles, and trivia!
