JOB DESCRIPTION: Office ManagerTOKOMAIRIRO HIGH SCHOOL

Mission Statement: Tokomairiro High School exists to provide the highest educational opportunities to meet the needs of our students.

Responsible to: Principal, Executive Officer

Working With: Teaching and Support Staff, Executive Officer

Primary Objectives: To work the following duties as the hours allow Tasks will be completed as delegated, within time allowed, to contribute to the school goals

Status: Permanent Part-time – 19 5 hours per week

● Display loyalty to Tokomairiro High School and positively promote our school in the community

● Maintain confidentiality about students and staff.

● Work in a positive and co-operative way with staff, students and parents.

● Clerical

● Distribution of mail to staff

● Posting of mail.

● Maintaining pupil records on the Student Management System as well as physical records.

● Monitoring and recording absences.

● Manage all new enrolments in KAMAR and ENROL

Reprographics

General Running of the School Office

● Photocopying of

o school-wide materials.

o departmental materials.

o examination materials.

o school reports.

● normal day to day maintenance of school reprographic equipment.

● Reception duties:

o Answering telephone calls.

o Taking messages for staff.

o Receiving school visitors.

● Responsibility for school keys.

● Collecting money and issuing receipts.

● Undertaking school banking.

● Archiving school records.

Student Medication

Second –hand uniforms

Student Information

Participation in the Whole Life of the School

Lunches

● Managing and ordering admin stationery.

● Assess and treat minor injuries and sickness for students.

● Dispense and record student medication.

● Uniforms securely stored and catalogued.

● Uniforms organised for students where required.

● Manage blazer distribution to students

● Student data entry and updating.

● Check student absences are completed.

● Contact home when students absent.

● To participate, where able, in the whole life of the school.

● To develop a good working relationship with staff and students.

● To interact with students on a non-disciplinary basis.

● Liaise with lunch provider (School Lunch Collective)

● Manage ordering school lunches via SLC portal

● Maintain special student dietary requirement list

● Liaise with lunch distributor here at school about lunch distribution
