The Royal Conservatory’s College & University Music Fair is an annual education outreach event designed to engage and inform future music students about the wide variety of music education opportunities.
This in-person event hosted at The Royal Conservatory is free for students and their families to attend and offers them an opportunity to talk to representatives from different colleges and universities all in one place. Prospective students will be able to take away useful resources, ask questions about your music program, and enjoy live showcases. Exhibitors at The Royal Conservatory’s College & University Music Fair will meet with hundreds of parents and students looking for music education options in one convenient place. Previous exhibitors consistently comment on the highly targeted audience, and past attendees have commented on how their post-secondary consideration lists change after they attend this event.

Showcases are available for registered exhibitors
Showcases are dedicated sessions that offer schools the opportunity to highlight their music programs to a larger audience and answer questions. Your showcase will be recorded and posted to the Music Fair web page for prospective students to view later.
• Deliver a presentation and/or a performance.
• Showcases are 25 minutes per session (including Q&A) and Powerpoint presentations must be provided no later than September 10, 2025.
This option enables your institution to be featured on our website with a video. Promotional videos should be no longer than seven minutes and will be posted once the showcase recordings have been posted and will be included below the showcase recordings in alphabetical order by school name. Video must be provided no later than September 13, 2025.

To secure your booth, please register by Tuesday, August 12th, 2025. An invoice will be issued upon registration. Note that there is a finite number of spaces for both booths and showcases which will be offered on a first-come, first-served basis.

The space must be cleared by 4:00PM. Those who go beyond the load-out time will be subject to a $200 penalty

If needed, the loading dock is located at the back (south side) of our building. Access is through the driveway located just west of the Box Office (TELUS Centre for Performance and Learning). Please contact music.fair@rcmusic.ca to coordinate a load-in time.
1. The Royal Conservatory reserves the right to move an exhibitor’s booth location.
2. Please display all your materials on the booth space provided (10’ x 4’ booth space). You may not display items on the floor and surrounding areas outside this space as they could be a tripping hazard and/or infringe upon another exhibitor’s space.
3. We cannot accommodate hanging or adhesive signage. You might consider pop-up signs, branded tablecloths, and table-top signs as alternatives.
4. Solicitation and sales may only be done at your booth.
5. The Royal Conservatory is not responsible for damage or loss of any materials or merchandise resulting from participation in the College & University Music Fair.
Licensee shall obtain and maintain in force during the License Period the following insurance coverage:
a) not less than $2,000,000 (per occurrence) inclusive limits for bodily injury to, death of or property damage to third parties, and such policies of insurance shall include RCM, its Board of Governors, employees and agents as a named insured and shall contain a cross liability clause; and
b) not less than $2,000,000 for loss or damage to the property of RCM, in, on or about the Venue.
Five days prior to the Event, Licensee shall deliver to the RCM (music.fair@rcmusic.ca), written evidence of insurance, in the form of a certificate or certified copy of an insurance policy issued by the insurer, which identifies the RCM as a named insured in the following manner:
THE ROYAL CONSERVATORY OF MUSIC, ITS BOARD OF GOVERNORS, EMPLOYEES AND AGENTS and the written evidence shall contain an undertaking by the insurer not to cancel or limit the insurance overage so described except upon 5 days’ prior written notice delivered to the RCM.
Proof of insurance must be emailed to music.fair@rcmusic.ca no later than September 10, 2024 otherwise The Royal Conservatory reserves the right to rescind the Exhibitor’s participation.
Cancellations must be made in writing by August 14, 2025. If a cancellation is received past this date, The Royal Conservatory reserves the right to charge a $200 cancellation fee.
