FROM THE EDITOR Time seems to be whizzing by, and amazingly we are pushing out Issue 3 of WORD! Again, a huge, wordy thank you to all that have contributed and shared. All Teched out! Issue 3 steps quietly into the tech world and nibbles on the idea that while we hate tech (the majority of us) we know we need it, and at times, we are mind-blown by it too, realising that we actually do have a love-hate relationship with tech. We chat to those in the know on

all things IT; what's in, what's out, what's working and what isn't. We dive into why we all need tools in our business and how to make the most of them, so they bring value to our lives. And, watch out for some new and exciting segments too! We hope you enjoy and that our magazine adds some value to your life. Yours in writing,

Lisa Bell

your business The threat of cyberattacks, and of data and personal client information being stolen are a reality for businesses. This is one of the reasons why it’s important to do an IT audit. In a nutshell, the main aim of an IT audit is to evaluate the systems that are in place to guard your business’ information. The audit will evaluate if your business is protecting its information assets and properly distributing information to legitimate parties. The audit aims to assess the risk to the company’s information and establish ways to mitigate these risks. WHAT DOES IT EVALUATE? •A vailability - Are the computer systems available for businesses when needed? •S ecurity & Confidentiality Is the information in the systems disclosed only to those authorised? • I ntegrity - Will the information 6

always be accurate, reliable, and timely? •W hat To Address - What gaps are there between what the optimal IT infrastructure should be for a client’s business vs. what they have currently. It highlights the critical parts to address first. We also take into account: the physical security of data centres; the logical security of databases, servers and network infrastructure; networks; and application security.

4 REASONS YOU SHOULD SUBMIT RETURNS AND MAKE SARS PAY M E N T S W H E N T H E Y A R E D U E Missing a return submission date or not submitting a tax return can firstly land you a lovely fine or penalty, however, it can also affect other areas of your life. THESE ARE THE 4 REASONS YOU SHOULD SUBMIT RETURNS AND MAKE SARS PAYMENTS WHEN THEY ARE DUE; DUE A REFUND

Do you know that SARS will not refund any monies to taxpayers that have historical returns or debt outstanding? Keeping your record clean and up to date gives SARS no reason to not pay out to you when the time comes to do so.

MAKING PROPERTY TRANSACTIONS

As an individual or company selling or buying a property, the transferring Attorney will require SARS to confirm that they happy with the taxpayers affairs and will issue a "Receipt" which will accompany the paperwork to be lodged at the Deed Office. If SARS is not happy, the property transfer process cannot proceed.

RETIREMENT FUND PAYOUTS

Did you know that if you owe SARS money, this amount will be unilaterally deducted by the broker to settle SARS. The balance will then be paid out to you. Submitting and paying your dues on time will help you avoid surprises like this.

HAVE PEACE OF MIND

Business opportunities sometimes come unexpectedly and swiftly. Knowing that you are tax cleared at any point gives you a huge sense of freedom to act swiftly without unnecessary worries.

recruiters

The best recruiters have their finger on the pulse of their specialised markets. They know what talent is available, where they are and how to reach out to them. They know the applicable salary rates, career expectations, available skill-sets and current hiring complexities. If other businesses are struggling to find the same people like you, a good recruiter can provide advice on alternative solutions. The best will act as partners and collaborators and should be your eyes and ears in the market. Outstanding recruiters have invested significant time in understanding how specific talent and employer markets 8

by Anthony Kettle

work, giving them the credibility to offer objective advice that creates a level of trust. No doubt, certain candidates are hard to find. They may be passive, or they may be selective. If they aren’t responding to job advertisements, do not see themselves as part of your ‘talent pool’ or are too busy to search full-time roles, then chances are that they may have relationships with trusted specialist recruiters in your sector. Even if they are not currently active, a good recruiter will know who they are and how to reach them. Agencies have many networks and each consultant, candidate,

client or collaborator has the potential to leverage their networks to help connect you to people with a variety of skills and experiences, many of whom would be off the radar of an in-house team or hiring manager. Finding a candidate online is not difficult, so why pay a fee for something you could easily do yourself? The problem is that finding the ‘right’ candidate amongst an infinite number of people across all the professional and social platforms is not as simple as it seems. People who apply for a position may not be suitable matches for the role, and a lot of time will be invested in filtering, assessing, matching and communicating with them. Using a recruitment agency should mean that you see only candidates who have been pre-selected to match all the criteria that have been requested and who are worthy of consideration and interview. A good recruiter appreciates the ‘art and science’ of finding the right person for the position A recruiter should also be a specialist. They should be able to access talent pools not directly available to you. They should promote your employer brand positively, manage

compliance and onboarding, understand your business and team culture, know ‘what good looks like’, move quickly, have a strategy and be good value for money. If your recruiter cannot tell you more than ‘I’ve found a good candidate’ they need to try harder. A good recruiter appreciates the importance of ‘art and science’ in the process of finding the right person and will push back on the areas that are not evident on a CV to ensure the person they place makes a positive impact. Anything in life that you resent paying for probably was forced

upon you or wasn’t the best choice. Recruitment is no different. When HR works with a recruiter and feels good about the fee, it’s a sign that you have partnered with someone who understands you and your process. A good recruiter creates knowledge. For example, they can assess ad responses and extrapolate information that can be used to make decisions by hiring managers or by the organisation for which they are seeking talent. Good recruiters can translate the market This means that a good recruiter has an intimate knowledge of the job market and can educate, and use facts and data to back up their positions. The decision on whether to go out to search for a skill set or to train someone internally may depend on how well the recruiter understands

10

the market. Over the next decade, this skill set, augmented with technology, will be a core competence (compliance). A good recruiter understands technology Technology will not replace recruiters, but it will automate many of the functions. A savvy recruiter will take advantage of the benefits that technology can bring and use the technology to give them a competitive edge. If a recruiter has delivered the proper employees to your organisation, you should be able to retain them for an extended period of time. Good recruiters understand A-Players All our clients want “A Players” and if we are charging a premium rate, why shouldn’t we provide them? An “A Player” is the right hire; a talented person who can get the job done right while fitting in

with the culture of your company. This is a candidate who has a 95% chance of succeeding in the role. These are the game-changers. These are the staff that can make your business a success. These are the people who can take your business to the next level, the overachievers. So, why do we not always hire the “A Player” for our client? A-Players are already employed, and generally are being well looked after as their current employers know their worth. You will need to explain to your client that you can only get these “A Players” if they pay them more money, offer them a job closer to home, offer better working hours or maybe even flexi-time. It is our job to find out what makes them tick, but our clients must be able to meet this expectation, so it is essential you have this discussion with your client before you start the process of headhunting an “A Player”. It is important also to understand that the best candidate is not necessarily the right one for your client. Sometimes you need to give them the candidate that’s best for them, based on culture, conditions, salary and various other factors.

Is it tho? Fact or Fiction? Myths. Conspiracy theories. They surround us. They have caused people to riot and cause mayhem. And, sometimes they consume us. No matter the subject in question, and no matter whether you want to partake in the debate or not, you will always be curious. And, we typically ask, "IS IT THO?"

TRUE: The email is real

This month, to keep with our tech theme, we throw this myth at you Facebook owes many users money because of a lawsuit The story goes like this Facebook users are eligible for payment from the settlement of the Fraley v. Facebook class action lawsuit. Many received this email.

True or false? 12

Fraley v. Facebook was a genuine lawsuit where it claims that Facebook used names and photos of Facebook users in adverts without their permission. The settlement? Facebook paid a whopping $20 million settlement which was to be divvied up among the Facebook users in question. While that sum of money blows the mind, the average payout worked out to be approximately between $5 and $10 a person. (wow!)

That’s what he said ... ANTHONY LAI LAM

Interview by Lisa Bell

Since 2002, Complete IT Business Solutions has been a leading ICT vendor in South Africa, providing excellent IT services and cutting edge technology to clients across the country. With Anthony Lai Lam as the driving force, they continue to grow from strength to strength over the years.

companies and leading remote technology. You can find their IT Support everywhere. This month, we chat with Anthony about what has contributed to his company’s success, and how he sees the future looking for Complete IT Business Solutions. Q1 – What makes you and your business unique?

With their head office in Cape Town, Complete IT Business Solutions can offer IT support to all major centres nationally. This is possible through long-standing strategic partnerships with other ICT services 14

I would say it is our approach and relationship-building we have with our clients. We are open-minded and have a strong understandQ&A

ing of business, always looking to create the ideal environment for our clients. We often discuss and work through business problems with our clients, which allows us to be able to create IT solutions together. Q2 – Are you a smart worker, or do you give pure hard work? I start off as a smart worker and apply the hard work when necessary. Q3 – Advice for your 20-year old version of yourself? To be more disciplined with your time and money. Spend more time understanding yourself and how and what you say affects the people around you. Work on getting your ego in check. Save more money and focus on the result and not the process so much. Q4 – What do you value most in life? Being with family and friends; helping people and experiencing their development with them. I love it when I see interns develop into a fully grown employees. I believe in giving everyone a chance – allowing them to tap into their potential. I have seen it over the years many a time. 70 interns

have gone through our door, and many have come back to thank me for being strict and having high standards as it has helped them excel personally. Q5 – What about your heritage – how has that influenced your life? I am 4th generation Chinese (a Cantonese and Moyanise blend), and while we have retained some elements (such as what we call each other within the family and some of the food preferences), we are quite South African.

"We continuously use a logic-based and fundamental process." -Anthony

15

Q6 – What failures in your life have taught you valuable lessons? I would say, not realising how vital self-reflection at a young age is. I created so much conflict for myself, which was totally unnecessary. I was driven by all the wrong things back then, and I have since learnt to be selfless and to be more self-aware.

office, we have a team meeting – this is the time to give feedback. I am very proud of the way my team operates, which allows me to gain a lot of freedom because they are mature in how they operate. I have a rule – I don’t entertain cowboys in my business – everyone must have the mindset of helping – they must share their knowledge.

Q7 – What is the one aspect/ element that has been a constant in your business journey? The most central thing, personally, is my willingness and deep desire to help people, and to look for the good in people, which at times can be to my detriment. I prefer to judge people on the possible future they can have rather than their past. I like to give them the benefit of the doubt – but it is up to them to do something with the opportunity offered.

Q9 – What is your superpower? Both human and superhero style. Super Hero Power – I would have to say to be able to take and give all superpowers!

Q8 – Do you have a daily routine, and if so, how does it help you with your day?

Human Super Power – the ability to fit in – the ability to be in control yet also subservient. I believe I can read people well and can then create the right environment for them so they feel comfortable. I often lead from behind – sometimes telling

Very simply, I wake up and say thank you – I think about all the things I’m grateful for as I walk to the bathroom. Then, at the 16

them what they need without them knowing it was my idea.

Look to bringing in Complete IT Business Solutions as we are good at sorting out the mess and we always charge for exactly what is due. We continuously use a logic-based and structured process – we believe that everything in business has a start, middle and end. And, we take the time to understand why we are doing something, as this builds trust.

Q10 – What has the pandemic/ lockdown time taught you? That we don’t need as much stuff as we thought we needed - all this materialistic hype. I have been reminded about how fantastic family time is – it pulled our family closer together as a unit. As far as business goes, we have been very blessed. We were having a good year prior to lockdown and had work signed up, which while many were postponed to after lockdown, we managed to pull through during this time. Many of our retainer clients stayed, and I believe our proactive approach served our clients and us well. Q11 – What are your plans?

SUPPORT • CONNECTIVITY • COMMUNICATIONS • SECURITY • PRODUCTS

We are very happy with how everything is currently; we like the idea of a nice and steady growth pattern. I am looking to have my team step up more though and assume more leadership roles, a journey we will take together.

ALL TECHED OUT Tech! The word alone can set your skin a crawling and an ugly expression to appear on your face. Unless you’re in the industry of tech, navigating life in a tech-heavy world can be a nightmare. But is it really that bad? Technology is all around us, and most times we don’t even realise that we are using it.

BY LISA BELL

In fact, when we are put in an off-the-grid situation, we feel a wee bit lost without tech. Let’s explore that … FAST AND FOREVER COMMUNICATION TECH Remember the days of dialling up a friend on the home phone only to be told they were out and you had to wait till they returned to get in touch? No matter what age you are right now, you are using tech to communicate.

We are able to monitor our weight, our blood pressure and even how much sleep we are getting or how much online time we had in a day, all via our phones. (although, to be honest, to be told you had zero days of quiet time that week is just sad.)

For the Comfort-of-it Tech Think about the last time you put the kettle on to boil or warmed up last night’s pizza, did you even take a second to contemplate how quick that was and how convenient? At home, at work, on the road, we rely on tech to make our lives more comfortable, automation being a large part of this lifestyle. Need to know the answer to that burning question on who was cast out in season three of Game of Thrones? Fire up Google search and there you go – instant gratification. Getting there may seem expensive still but it takes a millisecond of time in comparison to travelling 300 years ago. THE BIZZ BUZZ GETTING YOU THERE ... ONE BUSINESS FOCUS AT A TIME!

THE PROCESS OF PROCESSES Tech and automation is a great way to scale your business and reduce dependencies within your organisational structure, especially considering our move from the Internet of Things (IoT) and the 3rd Industrial Revolution to Artificial Intelligence (AI) and the 4th Industrial Revolution. The implementation of Tech within your business can come, firstly, at a high cost and secondly with push-back internally. However, many businesses value the change and the move to efficiency THE DEFINING AND ARTICULATING OF 22

BUSINESS PROCESSES This can bring significant value for both the business and your team. Think: PEOPLE, PROCESS AUTOMATION In the absence of process, people complete a task through trial and error and self-taught techniques, which can result in a lack of consistency, inefficacies and can incur higher costs. A defined PROCESS helps your PEOPLE avoid the “figuring it out” stage and rather follow a clearly defined recipe to get the work done. This reduces risk, improves standardisation and consistency, as well as ultimately increases your profit.

THE BIZZ BUZZ

AUTOMATION takes it a step further making it possible, by either an algorithm or program, to remove the need for human intervention and thus often error. However, moving to the automation state, means having full-proof processes in place, otherwise it feels like it’s not delivering to the extent of its intention, or it can unexpectedly interrupt other functions within the business. The thought here is, before an automation and Tech implementation, consider defining your processes or Standard Operating Procedures (SOPs).

Not only will it give you greater insight into your businesses operation and drive efficiencies, but it assists you in choosing the right Tech and make the transition to it far smoother.

TECHNOLOGY OR BUST! By Kerryn Powell

Nine years ago, my hubbie and I closed the door on having children and decided to leave the security we enjoyed in our jobs to pursue our dreams. His dream was all things conservation and wildlife aka, the “bundus” and mine, at that stage, was to teach people how to lead – whichever format that came in. After the dust had settled following our move, I suddenly realised how cut off and isolated I was. In those days, I had a Blackberry and could not pick up any signal. If I needed to do any work or research that required the internet, I would drive into the bush, find some signal, park under a tree and work while sitting in the back seat of our vehicle. Looking back over the last nine years, I have achieved a lot and have had to make several mind shifts, which always stands one in good stead! The one thing, however, that has remained a constant for me, is the desperate need to feel connected and

24

have access to the internet. In my work as a Business Well-being Advisor, where I assist business owners in building an effective synergy between their business’ financial backbone, their leadership and their team’s performance, I am heavily reliant on technology and online tools. Yes, there is Zoom, Teams, Skype, etc. for communication, but I have found that it is so easy to lose the human connection if one only speaks virtually through a screen. To help me build a human connection with my customers, I use a self and social-awareness tool called i3 Profiling. i3 is the foundational assessment I use in building leader and team well-being. Besides using i3 virtually in my business, I am part of a community of coaches in the UK and South Africa, and took part in a great initiative during the lockdowns in the UK and South Africa, called Gifting

COACH ME!

An example of the seven i3 indicators and what they are

Hope, a campaign to help and encourage others during a challenging year.

practical hands-on and conscientious

I was trained to use i3 in late 2015, started using the tools in 2016 and have never looked back. I still get such a rush, when giving a person their feedback and seeing their reaction as they realise how unique and special they are. Plus, with each one on one feedback session where we validate the profile, I always learn something new. What makes i3 so unique is that it is trait-based and not type-based, i.e. no person’s profile is the same and is as unique as our fingerprints. This highlights a person’s individuality, thus enabling them to embrace and leverage who they truly are. i3 is essentially about productivity and well-being – how a person performs best and where a person performs best. This, in turn, builds self and social awareness, ultimately leading to higher levels of confidence and emotional and social intelligence, which are key elements of effective leadership and team productivity. Another significant aspect about i3 is that a single assessment offers multiple outputs that benefit individuals and teams from life coaching, leadership

coaching, recruitment, team building and career direction. So, the moral of my story is that even if you are living off the grid and on top of a mountain, i.e. far away from anyone else (my current situation), with technology today, the world really is your oyster, as they say! Henry Ford once said, " When everything seems to be going against you, remember that an aeroplane takes off against the wind, not with it. " Don’t give up!
