Hello Members, Things are starting to return to normal, well COVID normal. The football is back albeit without the crowds. The HIMAA Webinars continue to keep kicking goals with great feedback and the large attendances we’re getting to each one.

The most recent one Managing clinical documentation during COVID-19 pandemic was as much informative about COVID-19 in how we manage it in our personal lives as well as the abundance of paper that still exists for clinical documentation in this digital age. I hear there’s talk of a special interest group to support managing documentation during pandemics. If you have some interest please reach out to Mark on ceo@himaa.org.au

National Conference After a review of our Conference Committee last year, it was recommended that a new structure of the committee be formed with the CEO as chair and up to four Board members, given that it is HIMAA’s flagship annual event to ensure the associations strategic objectives are captured within our National Conference. In addition, the committee will comprise of staff members and members of diverse skillsets and experience to ensure that the content is engaging and an event that our sponsors want to be part of. I have no doubt this combined team will execute our inaugural virtual National Conference set for October successfully.

Mark and the team are also busy planning for a digital AGM with electronic voting. The lack of electronic voting has been one of my frustrations over the years as it has restricted the voices of our members who are unable to attend the AGM in person or who are not comfortable to provide a proxy. This has played out in low voting numbers. I look forward to voting electronically.

Board activities Given that we can’t meet face to face, the Board has been meeting monthly since March via video conference to progress the many things that come our way. One of the governance items we’re looking at the moment is standardising the Memorandum of Understandings (MoUs) we have with partner organisations. We are aiming to have consistency in managing these important relationships.

Working from home can impact our personal lives given the lack of physical boundaries, make sure you’re making up for the passive exercise that you use to get going to work, and walking around the office building or hospital.

Chief Executive Officer Hello all and welcome to a world where pandemic restrictions are slowly being lifted. I for one cannot wait to physically catch up with friends and family to make up for some lost time.

Speaking of lifting of restrictions, the staff in the HIMAA national office have started a gradual stand down of working from home (WFH). We continue to assess working from home capacity and what opportunities it brings for our workforce to continue with a remote service delivery model of practice. So, whilst staff continue to work reduced hours, we will commence undertaking a 50:50 split between WFH and working from the office in North Ryde.

Well, its that time of year again where we will be sending out notifications to members to renew their registration.

As a member organisation, it is essential that HIMAA continues to grow our membership reach; as by doing this we expand our network of HIM Professionals, thus increasing our diversity and knowledge base. Organisational membership? Do you work as part of a large team of HIM Professionals? Do you have colleagues who are also HIMAA Members? Why not consider approaching your organisation to consider Organisational Membership.

Organisational Membership could be paid by your organisation, affording them additional benefits; or perhaps your organisation might consider setting up Organisational Membership via Salary Sacrifice/ Salary Packaging payment plans.

The Conference Committee will have their work cut out for them. Planning for the 2020 (abridged virtual format) HIMAA National Conference, the 2021 National Conference and IFHIMA Congress in 2022 will need to commence as well as support for our well received suite of digital Professional Development events.

The International Federation of HIM Associations (IFHIMA) has shared the results from their global COVID-19 survey examining the impact on HIM professionals. The founding organizations recognized the need for an international organisation to serve as a forum for the exchange of information relating to health records, health information management and information technology”.

Give us an overall view of your career path?

I have worked at the Department of Veterans’ Affairs (DVA) for 27 years in many different roles. My current role is entitled Data Quality Analyst which is within a newly formed Data Branch. I bring a wealth of health data knowledge to this role from all my previous jobs including knowledge of the Medicare payment system, Activity Based Funding, Private Hospital funding, Community Nursing and Allied Health services. The specific clinical coding knowledge I learnt while studying the HIM degree has added to my base knowledge which has made me an asset at DVA particularly during this COVID 19 pandemic.

I have been assisting staff to identify specific ICD codes for certain health conditions that assists to identify veterans at risk.

This job involves identifying and documenting data quality issues, such as inconsistencies, incompleteness, timeliness etc. As a team we then develop strategies to correct the data where we can, identify the costs of poor data quality, prepare papers to the senior executive to recommend implementation of these strategies and create dashboards so that we can visualise the improvement to data quality using our data quality dimensions and framework.

I also have a second casual job working at Latrobe University as a workshop facilitator for the new Graduate Certificate of Health Data Integrity and Auditing. This semester we covered the subject Health Datasets and Data Integrity which closely aligns with my DVA job which means both jobs complement each other, that is things I learn doing one job can be applied to the other and vice versa.

Explain to the members why you have participated 3 times in HIMAA’s Professional Credentialing Scheme? How has this benefited you in your workplace or profession?

I am passionate about the HIM profession and believe we as HIMs contribute significantly to ensuring Australia has one of the best health systems in the world, but we can do more. I want to lead by example to others that I maintain currency of knowledge about my profession by taking opportunities to attend conferences, present a paper, write an article, attend a webinar, self-educate etc. I also encourage others to participate, for example I recently assisted two of my students in the Grad Cert to complete the diary and apply. They were both unaware of the scheme, so I believe there is still work to be done

by HIMAA to promote the scheme to members. Having the post nominal is important in both my roles; at Latrobe University it demonstrates to my supervisor that I maintain currency of HIM knowledge and at DVA, I have requested to supervise a student on placement as that gives me points towards re-accreditation.

Why did you choose HIMAA as your association?

I chose HIMAA as this is the association that represents, supports, and advocates on behalf of HIMs. Our profession is evolving; more hospitals are moving to EMRs, applications are being implemented to auto-code directly from the EMR, other professionals are moving into the HIM space, therefore our traditional domain is changing. By supporting HIMAA we continue to have access to world class conferences in Australia, we have fantastic webinars on a range of current and emerging topics, support for Special Interest Groups and access to the HIMJ and HIM-I journals to learn about what others are doing. HIMAA also advocates on our behalf to government to gain recognition that there is not enough HIMs in the workforce, that the working population is aging and that there is not enough students choosing to enrol in a HIM course offered by the various universities. If we as HIMs do not support our association, then they may not be there to support us in this evolving environment.

In this paper, physician interaction with electronic health records (EHRs) in intensive care units was explored through direct observation of trainees performing electronic chart reviews during daily pre-rounds in a 30-bed medical ICU at a large academic medical centre in southeastern United States.
