REPORT

Hello Members, As mentioned in last month’s report, I was going to call a member a day. Although things got off to a slow start (a week’s delay) as work and home schooling got the better of me. It was great to connect with members, check-in on how they are dealing with the pandemic and get their thoughts on the association and profession. I learnt to avoid calling during school pick-up hours when calls would go to voicemail. This goes to show the flexibility in which a HIM career offer to parents. I was heartened to hear from members across all states and territories and of varying tenures of membership from a couple years to decades, that they feel a duty to support their profession which was why they retained their HIMAA membership. Personally, I’ve very much enjoyed the phone calls to date, as it has filled a social void that the pandemic has brought upon us residents in Melbourne. I’m enlightened by the feedback and ideas from members which I will share with the Board to better inform our strategic direction.

It’s time to go back to school As a professional association we rely on our members to support our branches, committees special interest groups (SIGs) and the Board by volunteering their precious time whilst juggling work and family responsibilities because they see value in the HIM profession and the role we play in the health system. We are the quite achievers. With this no fuss approach being a strength at times, it doesn’t serve us well when it comes to visibility of our profession. How many times during our career have we had to explain what a HIM or clinical coder does? It is this lack of visibility which leads to many of us, such as in my case serendipitously finding the HIM course. We are now left with two universities; La Trobe and Queensland University of Technology that teach accredited HIM programs in Australia. For our profession to flourish we need new members and a steady stream of HIM graduates to support the health industry and the profession. Only having two universities producing graduates will not cut it. In the coming months the Board will begin to consult educators within both accredited and yet to be accredited HIM programs, as well as industry on collaboration efforts to bolster the number of HIM programs. The Board is acutely aware that there is a role for HIMAA to play in this. We will tap members on the shoulder to help with how we support the tertiary education sector and hope as members and supporters of the profession that you are able to assist. As the cold winter days start to dissipate and new COVID-19 cases stabilise, I’m looking forward to emerging with renewed energy and optimism. Onwards and upwards! Chief Executive Officer Hello all. HIMAA National Office continues to support our profession during these challenging times. We are receiving excellent feedback regarding the Professional Development (PD) events that Milla has been facilitating and we appreciate the support. PD events will continue to be part of our service provision as we move forward, and we are building an exciting portfolio for future events. I hope you continue to find value in them. HIMAA staff and select Board Members have also been engaging with the American Health Information Management Association (AHIMA) to get access to some of their digital content (Australian appropriate). HIMAA and AHIMA have identified a series of digital topics that would be relevant to our HIM Professionals and as such, we will shortly be able to give details on how to access this content. This content will come at a user pays level; however, with topics like: Setting up a reporting Environment: A start to finish Introduction; CDIS: the why, the where, the how, the future and Medical Residents as key Players in Clinical Documentation, we are sure they will be a great learning and awareness opportunity.

World Patient Safety Day. 17 September 2020 “Recognising patient safety as a global priority, all 194 WHO Member States at the 72nd World Health Assembly held in May 2019 endorsed the establishment of World Patient Safety Day to be marked annually on 17 September. The objectives of World Patient Safety Day are to increase public awareness and engagement, enhance global understanding and spur global solidarity and action to promote patient safety”. As HIM professionals each of you play a role in supporting patient safety. Show your organisations the value that HIM Professionals bring in supporting quality health

IFHIMA quiz How many times has the IFHIMA Congress been hosted in the Western Pacific? Answer: Five times. Australia (1972), New Zealand (1984), Australia (2000), Korea (2007), and Japan (2016). Join us in Brisbane as the Congress returns to our shores in 2022. Representation of Australia at IFHIMA (International HIM Associations) congresses has always been strong. Let’s make 2022 our biggest as Brisbane hosts the 20th IFHIMA Congress. CALL FOR MEMBER’S RESOLUTIONS for the 55th Annual General Meeting of the Health Information Management Association of Australia

The 55th Annual General Meeting (AGM) of the Health Information Management Association of Australia (HIMAA) will be held on Friday 30 October, 2020. As per rule 21.1 of the HIMAA Constitution, the Board of Directors have determined that this AGM will be held virtually using an approved digital event platform. Under Rule 24.1, financial members of HIMAA can move a special resolution at the AGM, providing notice in writing of this intent is submitted to the Company Secretary not less than 56 days prior to the AGM. This notice should include a copy of the resolution and a statement setting out all information known to the Member that is material to the decision of the Members whether to vote in favour of the resolution. To ensure this information receives full attention, Members are encouraged to keep it within the space of an A4 sheet in Arial 11-point font. Submission Deadline Such notice should be received by the Company Secretary, Mr Mark Upton, before 8am on Friday 4 September 2020 The best way of meeting this deadline is to email the required notice and information to the HIMAA Company Secretary at executiveoffice@himaa.org.au by close of business (5pm) on Thursday 3 September 2020, or at any time beforehand. HIMAA does not believe postal submission can guarantee delivery by the required deadline. In the subject line of the email please use: Member’s Resolution Delivery by hand by close of business (5pm) on Thursday 3 September 2020, will also guarantee that the deadline is met. NOMINATIONS NOW OPEN Dear Members, Each year, HIMAA and the State Branches recognise member service to the Association and / or significant achievements on behalf of the Association or the health information management profession. There are two categories - Student of the Year and Practitioner of the Year. Awards in these two categories are conferred at two levels – Branch and National. At Branch Level each year, HIMAA Branches through the Branch Convenors, call for nominations for two service and achievement awards: • HIMAA [Branch Name] Student of the Year • HIMAA [Branch Name] Practitioner of the Year

At National Level, The HIMAA Board is notified of successful Branch award recipients of Student of the Year and Practitioner of the Year in each Branch. HIM-I ONLINE SURVEY We hope that you have been reading HIM-Interchange (HIM-I) and have been enlightened, inspired, challenged and re-assured by your health information management colleagues who have contributed to HIM-I. The HIM-I Sub-Committee constantly strives to publish articles that are topical to the profession and over the coming months will be reporting on health information management in the COVID-19 world. These articles will be published online only and will be the segue from paper to online for HIM-I commencing in 2021. HIMAA RAC GRANT SCHEME

Are you interested in starting a research project or have one planned but need some support? The HIMAA Research Advisory Committee (RAC) can help. The second round of the 2020 HIMAA Research Grant Scheme is now open for application. The HIMAA Research Grant scheme aims to fund worthy health information management related projects, with a total of $5,000 available in funding for projects commencing in November 2020. As the scheme aims to fund as many projects as possible, applications are capped at $2,000. If you are interested, further information about the scheme can be found at the RAC Research Grant Scheme webpage. Below is the summary of a project funded by the Scheme.

Journey of a Health Information Manager Eleni Gilden, Tony Kalathil Jose, Wasanthi Dharmadasa

Health information related professions in Australia highlight two distinct categories, clinical coders, and Health Information Managers (HIMs). However, over the years there has been a shift from traditional roles to new emerging roles where health information professionals are using their skills and knowledge to work in the areas of e-Health, data and quality and digital health to name a few. Our research team observed that health information professionals were taking up new roles in these areas which led us to ask: “How did they get into this current role? What pathway did they take?”

We wanted to investigate this finding further through our data set. Therefore, the aim of our research is to: • Identify the career pathways a HIM may undertake to reach their current role • Explore where HIMs receive their training and,  • Determine the highest qualification achieved by HIMs  There are a number of potential benefits that can arise from this research project. Firstly, it can provide information on the current skills and qualifications required to reach certain roles. Secondly, the results can be used by HIMAA to develop training programs and competencies that may be required for its members to achieve their career goals and it can help inform the future workforce needs of HIMs.  The findings of this research will also benefit graduates as it will map out the career pathway one may be required to take in order to work in a particular field and whether any further training or specialised knowledge is needed to work in that role. Additionally, there is the potential for graduates to connect to the right mentor.  To conduct this research, the team applied for a grant through the HIMAA Research Advisory Committee (RAC) Grant Scheme and were successful recipients. The money obtained from the scholarship will support the team in conducting our research by purchasing the necessary software and materials required. We would like to acknowledge and thank the HIMAA RAC for their support in our research through this great initiative. We look forward to sharing our findings.
