From the Head of School Hartfield Family, In many people’s minds, a school is defined as an institution where students learn about subject matters like English, Math, History, and Science under the advisement of teachers. A church is an institution where people learn about God under the advisement of a pastor. They separate core subject teaching from Biblical teaching. But that is not how we do things at Hartfield. Everything we do at Hartfield Academy is centered around our vision of seeing every student fulfill their God-given purpose. When you look across our campus, you will see students with top ACT scores, exceptional athletes, students with high levels of accumulated college credit, and brilliant artists.

But more than that, you will see students being discipled in their spiritual growth and encouraged to be the person God made them to be. Every day, we partner with families, like yours, to prepare students academically, emotionally, and spiritually, so that they are ready for the next stage of their life. Because of these strong partnerships, we are seeing our students graduate with a passion for learning, a desire to serve those around them, as well as a deep love for the Lord and an understanding of His Word. This is also why we intentionally partner with local churches and encouraging our students and families to be active in a local body of believers. We have seen how a student’s development is compounded when they are surrounded by teachers who are a Living Curriculum, led by spiritually active parent, and involved in a local church. This year, we are celebrating these partnerships through our school year theme: Stronger Together. Our Leadership Team chose this theme based off Romans 15:5-6 where it says “May the God who gives endurance and encouragement give you the same attitude of mind toward each other that Christ Jesus had, so that with one mind and one voice you may glorify the God and Father of our Lord Jesus Christ.” And that’s really our end goal: bringing glory to God. We just get the exciting job of seeing how that glory is revealed through the lives of our students when they choose to live out their God-given purpose. This year, I want to be intentional about what our partnership looks like, which is why I have put together a document that explains the Hartfield culture and what it really looks like when we are working together. We all have a role to play and I hope this document helps us refine the way we move forward, collaborate, and celebrate the many victories along the way. It is going to be a great year! WHAT'S NEW THIS YEAR 1. Spirit Shop Outerwear- Everything’s approved! We are excited to continue to offer excellent options in our Spirit Shop to supplement the outerwear offerings at Dennis Uniforms. The best news is, that all of the outerwear options available in the Spirit Shop are now approved uniform outerwear. We continue to work with the Spirit Shop to offer a great selection and we think you will love the new options. The Spirit Shop will be open during Meet your Teacher and Orientation for students and parents to view the new additions.

2. College Scholarship Agreements We are excited to expand our college scholarship agreements program! Hartfield graduates who qualify for admission to Mississippi College and who will be enrolling as full-time, first-undergraduate students will be offered a minimum undergraduate scholarship equivalent to 40% of all tuition! We are thankful to partner with Mississippi College to make this available to our students.

3. Spirit Shop at East Campus That’s right! We added a small extension of the Spirit Shop over at our East Campus. We will offer a small selection of youth sizes over at East to make is easier for parents to shop. Don’t see what you need? 4. New Mac Lab We are excited to open our new Mac Lab in Building B. Middle School students will now have the opportunity to learn on a Mac as they prepare to enter our High School where students in 10th-12th grade are currently using Mac laptops for their class work.

5. New & Updated Athletic Facilities Have you seen the progress happening up on the hill? As we continue to grow and strive to offer the best facilities to our student athletes, we are committed to expanding and updating. A new practice field will be available this year giving us added space for football and soccer. A big thank you to the generosity of several donors who made this possibility a reality!

DROP OFF & PICK UP INFORMATION MEDICATION POLICY LOWER SCHOOL (K3-5th) Lower School students may be dropped off at 7:15 am. Students should be walked to the door by a parent and may go to the cafeteria at either campus where they will be supervised by teachers until they are dismissed to their classrooms at 7:35 am. Starting at 7:35 am, students should only be dropped off at the designated carpool stop for their safety. At the East Campus, carpool runs from 7:35 am-7:50 am on both the K3/K4 and K5-1st grade sides and will follow the carpool routine map. At the West Campus, carpool runs from 7:35 am-8:00 am where 2nd-5th grade students should be dropped off in the inner lane next to the school.

COMMUNICABLE DISEASES Students will not be accepted at school if they have any signs of illness, including fever of 100.4 or higher, severe cold, vomiting, diarrhea, pink eye, etc. Students must be free from fever or vomiting for 24 hours without medicine before returning to school (48 hours if diagnosed with the flu along with a doctor’s note stating they are cleared to return to school). Should students get sick at school, parents will be notified immediately. In the case of head-lice, Hartfield strictly enforces a “no-nit” policy. PRESCRIPTION/NON-PRESCRIPTION DRUGS Students may not take medication without the knowledge of the Principal or Head of School. All medication must be kept in the office. Students should never give other students medication (prescription or non-prescription).

Each new family will be issued 2 carpool numbers, which will be used in dismissing students. K3/K4 half day carpool at the East Campus will run from 11:30 am- 11:45 am. Afternoon K3-1st grade carpool at East campus will run from 2:20-2:35 pm. Afternoon 2nd-5th grade carpool at the West Campus will run from 2:40 pm- 2:55 pm.

Our staff is not medically trained. Students are not permitted to self-administer medication or treatment (with the exception of a breathing inhaler). If students have continuing medication or other medical needs, then parents should make arrangements for students to receive such medication or treatment outside of regular school hours. Parents may request that necessary medication or treatment be administered by a licensed physician, nurse, custodial parent or legal guardian at reasonable times during regular school hours at your own expense. Alternatively, if students require medication during school hours and parents are unable to arrange medical personnel, a custodial parent, or a legal guardian to administer the medication, they may request that the Hartfield office/administration administer medication by completing a Medication Administration Request and Consent Form.

Students remaining after 2:35 pm (K3-1st) or 2:55 pm (2nd-5th) will be taken to the front office. Parents must come and check their student out before they can leave. UPPER SCHOOL (6th-12th) Hartfield is open to students at 7:15 am. Parents may not drop off students prior to 7:15 am. Middle School students arriving before 7:50 am are to go to the gym and remain until the first bell.

On Mondays, Tuesdays, Thursday, and Fridays, Upper School students are released at 7:50 am to go to their lockers and report to their 1st period class. Students are considered tardy at 8:01 am. On Wednesdays, students are released at 8:30 am to go to their lockers and report to their 1st period class. Students are considered tardy at 8:46 am.

Medication will not be dispensed without a completed Medication Administration Request and Consent Form. The only exceptions to the above policy are the use of epi pens in a life threatening situation and the use of medically prescribed asthma inhalers. Parents must sign a statement authorizing Hartfield personnel to administer the epi pen to their student and should supply the epi pen to Hartfield. All students are required to have a medical release agreement signed by the parent or legal guardian.

Upper School students can be picked up after the last bell rings at 3:05 pm on Mondays, Tuesdays, Thursdays, and Fridays or 3:15 pm on Wednesdays. Students will be in the courtyard area and are responsible for making a connection with their parents. Carpool numbers will not be assigned to the parents of Upper School students.

IMMUNIZATIONS All students are required to have on file, by the time school starts, a Mississippi Certificate of Compliance (Form 121) indicating that all immunizations are up to date. In addition, as of April 2012, the State Department of Health requires all incoming 7th graders to have a new Certificate of Compliance (Form 121) indicating a current TDAP vaccination on file by the time school starts. Form 121 is available from your physician.

STUDENT PARKING All students who drive to school and park on campus must fill out the Student Parking Application each year. Please fill out and turn in to Mrs. Dean in the Upper School Office.

SPECIAL EVENTS MEET YOUR TEACHER (K3-5TH)/ STUDENT ORIENTATION (6TH-12TH) Come meet your teacher, see your classroom, and prepare your child for heading back to school! This come and go event is a great way to get back into the swing of things and get all of the information you need to start the year off strong.

NEW STUDENT ORIENTATION (6TH-12TH) This is an important event for new families of middle and high school students. These orientation meetings are a great time to learn, ask questions, and make sure you are ready for the start of school!

BACK TO SCHOOL NIGHT Have you ever wondered what your child’s day at school looks like? Back to School Night is a great opportunity for parents to see what their child does each day, talk with their teacher(s), and see what their child has and will be working on this school year. MEET THE HAWKS We love our Hawks! Meet the Hawks is an exciting, pep rally where our student body, parents, and family join together to be introduced to all of our student athletes. It is a fun event you won’t want to miss! HOMECOMING Join in on celebrating Hartfield during Homecoming Week! Students will have the chance to dress up, enjoy special snacks, attend a Friday night football game, and a Homecoming dance. HARTFIELD FAMILY CHRISTMAS This event is a special family event for all of our patrons and this year we are putting a fresh spin on it. Be sure to watch for more information on this family favorite tradition! FATHER DAUGHTER DANCE Hosted by the Student Government, the Father Daughter dance, is a great time for fathers and daughters (grades K3-5th) to spend time together.

THE SPIRIT SHOP Hartfield’s school store, The Spirit Shop, is located in the Cockrell Administrative Offices and has a ton of great spirit wear options! T-shirts, sweatshirts, youth cheer uniforms, jerseys, and other Hartfield gear is all available in store. Also, new this year, all outerwear offered in The Spirit Shop is uniform approved.

ADMISSION UPDATES AT A GLANCE 1. This year we are opening the window for New Applications earlier! Hartfield Academy will begin accepting new student applications for the 2020-2021 school year on November 1st. Applications for new students will be reviewed by the Admissions Committee and admissions decisions will be announced beginning mid-February. This is exciting for new families who are interested in beginning the admissions process at Hartfield Academy. This also means that once Open Enrollment begins, they can be admitted immediately. Current families will still have priority re-enrollment from January 15th-February 15th (see #2 below).

2. Re-Enrollment will close. Re-Enrollment will open January 15th and will close on February 15th. Re-Enrollment is the time period where current Hartfield families are given a first chance to secure their child’s spot for the upcoming school year. After February 15th, new students will have an equal chance to attend Hartfield.

RE-ENROLLMENT UPDATES

3. Siblings will still have priority. Priority Enrollment will begin on February 17th and will close on February 21st. Priority Enrollment is the time period where current Hartfield families or new Faculty or Staff members may enroll a new student. After February 21st, the remaining spots available are open to any new student.

4. Open Enrollment will begin on February 21st. At this time, new students who have been accepted to Hartfield Academy will be sent an offer letter. During the Open Enrollment period, all students (new, returning, and sibling) will have an equal opportunity to enroll at Hartfield Academy.

We are grateful to see the Hartfield Academy family continue to grow! Each year, we top our projected numbers and we know that is because of the work that God is doing through our school and in your students. Enrollment at Hartfield has never been stronger and we expect that classes will fill quickly again this year, which is why we are updating you on some changes to our admissions process.

NEW DATA MANAGEMENT SYSTEM FOR 2020-2021

These changes are important to you, because we love that our Hartfield families are invested in our school and want to return each year. With 90% of our current families returning each year and as we reach capacity in several of our classes, we want to make sure you have all of the important information you need to make sure you get re-enrolled on time and reserve your student’s spot for the 2020-2021 school year. Four years ago, FACTS and RenWeb united to improve the offerings they were able to make available to schools using their products. Recently, they took the final step and became a single company: FACTS. As of October 2018, RenWeb Student Information System is now FACTS SIS. The good news is, that this will not change anything for our families this school year. You have already enrolled and will continue to pay your tuition and incidental charges through FACTS SIS. We expect that your user experience will be identical to what it has been in the past.

For the 2019-2020 school year, we will remain on the legacy version of FACTS, because in 2020, we will be moving over to a new all school system called Blackbaud. And we are very excited about this change for our school and for the ease it will bring to our families!

As our school has grown, we have outgrown the capabilities of what RenWeb and FACTS can offer. You have probably noticed the growing pains as we have solved RenWeb issues with workarounds with Google Classroom or Google Drive. But Blackbaud will be a full service offering which we expect will make the business part of school much easier on our families. BUSINESS MANAGER

You may see references to Blackbaud throughout the school year. These references will just be an opportunity for you to interact with Blackbaud, but only if you want to. The resources on Blackbaud are just a bonus this year and an opportunity for you to familiarize yourself with some of the basic offerings. When we make this transition during Re-Enrollment in 2020, parents will have all of the information they need. We will also offer training sessions, downloadable content, helpful videos, and be available by phone to help everyone make this a very smooth transition for everyone.

We are excited to begin another year, and as it is written in Ephesians 3:20, and we have witnessed first hand at Hartfield, “Now to Him who is able to do immeasurably more than we ask or imagine”. FACTS helps with the following: 1. Tuition Management - Help families manage costs with monthly tuition payments. Choose a payment plan that works for you: full payment, 10 month plan, 12 month plan. 2. Financial Aid Assessment – FACTS collects all necessary family data, analyzes it, and provides it to Hartfield, allowing us to review the data to make the award decisions that help families who need it most. Financial Aid window opens after you enroll, and the deadline to get all forms in is April 15th. 3. Incidental Billing- All incidentals (field trips, graduation fees, athletic fees, etc.) are billed to the student's FACTS account. This makes it easier for families to manage all of the various fees that each student incurs throughout the year. How to Log-In to FACTS? We encourage you to read through the Back to School Guide and familiarize yourself with some important guidelines and dates for our upcoming 2019-2020 school year. We hope you are well under way on your Summer Reading program. If not, you can find the reading lists as well as school supplies on our website. Reading may not be first on our students’ lists for summer activities, but it is a foundational part of a great education and we plan to use the topics that have been assigned in strategic ways during the first weeks of school. ACADEMIC QUIZ BOWL Our Quiz Bowl team participates in competitions where two teams compete head-to-head to answer questions from all areas of knowledge including history, literature, science, fine arts, current events, sports, and popular culture. CHICK-FIL-A LEADER ACADEMY Chick-fil-A Leader Academy is a national high school leadership program focused on impact through action. The world needs more leaders who impact their local communities, and we believe high school students are the answer! In partnership with Chick-fil-A, ADDO created Chick-fil-A Leader Academy to bring a fresh approach to leadership and empower young people to truly make a difference. ADDO (Latin for “inspire”) is an organization focused on service and leadership development. ADDO Founders Kevin Scott and Garrett Gravesen have spoken to and developed leaders on six continents from more than 100 countries. Chick-fil-A Leader Academy’s mission is to inspire students, transform schools and impact communities!

Class Retreats Class retreats offer students in MS and HS the opporunity to grow spiritually, develop leadership, and connect with classmates. Each grade spends a school day being challenged physically and spiritually in a fun way that teaches them how to lead and work together. Senior Retreat The senior retreat is a two-nightevent at the beginning of the school year to allow for personal growth and spiritual preparedness for a student’s senior year. The seniors are encouraged and equipped to begin spiritually leading themselves, their friends, and the school. Discipleship Groups Discipleship groups are small groups that every high school student participates in periodically throughout the school year. This intentional time allows students to share life for the purpose of growing spiritually together. Each group has two faculty leaders who facilitate discussion, listen to what students have to say. and help guide them into a deeper understanding of what it means to live in relationship with God. Missions One of our core values at Hartfield is service, which we believe follows the example of Jesus Christ and is the key to discovering true success. We strive to emulate Christ by serving others and putting their needs ahead of our own. We have found that this is best taught by doing and so we offer service opportunities to our students beginning in K3 through 12th grade.

CHESS CLUB The purpose of this club is to study, play the game of chess, and understand the history and culture of the game. FELLOWSHIP OF CHRISTIAN ATHLETES FCA is a student-run Christian faith-based organization. Students and coaches meet to study God’s word and to impact the world for Jesus Christ through testimony, outreach programs, and community service. HUNTING & FISHING The purpose of this club is to promote lifetime activities outdoors, such as hunting, fishing, camping, and other outdoor pursuits. Information includes hunter education, processing and cooking wild game, and outdoor safety. INTERACT CLUB The Interact Club is a group of upper school students that partner with the local Flowood Rotary Club. Each month, a local speaker visits to share about their career. The students also participate in a monthly service project.

MOCK TRIAL Mock Trial gives 9th-12th grade students an inside perspective of the legal system. Students play the roles of attorneys and witnesses to gain a greater understanding of the judicial system, competing against other high school teams. Members learn to improve communication skills, especially public speaking and advocacy.

MU ALPHA THETA Mu Alpha Theta is a national mathematics honor society for students who excel in math. Students who meet the eligibility requirements will participate in math competitions, provide peer tutoring, and volunteer in service projects.

Lower School Information

ROBOTICS RoboHawks (Middle School Underwater Robotics Team)- Robotics Club focuses on building an underwater robot for a qualifying competition held in April each year in Atlanta, GA. The robot has to perform several tasks underwater. The team meets periodically throughout the year until February and beginning in February, the team will meet twice a week. The student needs to have an interest in science and robotics concepts in order to be a part of the team.

I am excited to welcome everyone back for the 2019-2020 school year. A new school year has always filled my heart with the anticipation of fresh new beginnings. I hope each of you share that same sense of excitement and anticipation along with me. I find myself especially excited about the year ahead, because it will be my first at Hartfield. The journey in coming here was truly a leading of the Lord that required steps of faith and obedience. The Lord first gave me a glimpse of the work he was doing at Hartfield last July through a presentation given by the Head of School in a large group setting. I was impressed by what I heard God’s people had accomplished in just seven short years. As I listened, it brought back to mind two truths I learned from Experiencing God by Henry Blackaby. Those truths were God is at work all around us, and he invites us to join in in his work. At the time, the thought of God wanting me to be involved in his work at Hartfield never crossed my mind.

NEKOS (High School Robotics Team)- Kickoff begins in September and the team works daily to build a robot that will complete a task required by the kickoff rules. There is a Survival robotics competition in October and qualifying competitions from December – January. Hartfield hosts and runs a qualifying competition at the school and the team competes on a State level for the First Tech Challenge. The team will also be competing in a SUMO robotics competition at the end of the year.

However, the Lord had other plans. During the spring of this year God sent my invitation to join him in his work here through a personal call and conversation with David Horner. The call and conversation were surprising and unexpected, but I was prompted in my heart to seriously consider this opportunity. I went to the Lord in prayer and asked him to make it clear to me this was indeed his invitation. He was faithful to reveal through a variety of ways without any doubt this was his will.

STUDENT GOVERNMENT Student Government is a group of students, nominated by their peers, who represent their class and student body. Each class (freshman, sophomore, junior, senior) will have class officers: President, Vice President, Treasurer, and Secretary. The Executive Council will have the same structure (President, Vice President, Treasurer, and Secretary) and will represent the entire student body. Students in the senior class will be able to run for a student council position.

I have had an amazing time on campus this summer gaining greater insight into the heart of Hartfield. I am grateful for the foundation that has been set, and I am eager to see even greater things the Lord has to come. I am humbled and blessed to be here, and I am passionate about continuing our vision of seeing every student fulfill their God-given purpose.

YOUTH LEGISLATURE The Mississippi Youth Legislature is a model legislative and judicial program for High School Students in grades 9th-12th. For this one of a kind conference, students from public and private schools across the state come together at our State Capitol and participate in a mock legislative session.

HAWKS NEST Our after school program at Hartfield, Hawks Nest, provides a nurturing environment for your child with on-location care for all students enrolled in K3 Full Day through 8th Grade.

Please Note: The parent must call in advance to verify that there will be space available for the drop in time requested. The drop-in fee will be billed to FACTS accounts within 15 business days.

East Campus Hawks Nest (K3-1st Grade) Children will be greeted each day from their classroom at 2:20 pm. Your child will be provided with an after school snack, then supervised free play, movie time, and arts and crafts centers until checkout through the front office. Please Note: Our East Campus Hawks Nest does have limited spaces available.

Payment Schedule There is a $50 registration fee to enroll in Hawks Nest. This fee is due upon registration in the program. Registration is offered on our website.

West Campus Hawks Nest (2nd-8th Grade) Children are divided into age groups and have an assigned leader for each group. Each day your child will be provided with an after school snack, a teacher-led homework study hall, followed by supervised free play until checkout through the front office.

The monthly payment is automatically divided on a 10-month billing cycle that will be charged through FACTS, beginning August 1st-May 1st. There is no price decrease for months with holidays or for absences from school.

Late Pick Up After care hours end at 6:00 pm each day for all students. After 6:00 pm, a late fee will be assessed. The fee will be $15 for every 15 minutes the parent is late. All late fees will be billed through FACTS account and payable within 15 days. This is for emergencies and/or special circumstances beyond your control. Please do not take advantage of this service.

Dear Hawks, Hartfield offers students a wide range of sports activities that include: swimming, cheer, dance, golf, basketball, volleyball, football, tennis, softball, baseball, archery, cross country, track, and soccer. We believe that each sport is very important to the students and to the parents of the students that participate. Because of this, we are committed to helping every sports team compete at the highest level, to reach their full potential, and to have fun. Sports can be a powerful learning tool for students as they engage in training, competition, and teamwork. With God’s help, we believe that our coaching staff can maximize this experience to help each student athlete in opportunities of leadership, perseverance through adversity, skill development, conditioning, and mental and physical disciplines. It is our goal to point each student toward a deeper personal relationship with Jesus Christ. It is this relationship that we hope to model and depend on as we lead our sports programs towards excellence and winning.

1st-5th grade students will need to bring reading material for the reading time each day. Food Parents will need to send a lunch and drink each day for their student. Snacks will be provided twice daily. Uniforms Students are not required to wear school uniforms to Summer Nest.

To help as you plan for the 2019-20120 school year, we have prepared a fee schedule that is divided into two sections: Required Fees paid by all Hartfield families and Participation Fees which are only incurred based on your grade level or your participation in activities, sports, and clubs. It is our goal to standardize the fees for your planning purposes. The date listed represents the day your FACTS account will be charged. No new fees have been added. Hartfield Required Fees The required fees are paid by all Hartfield families. September 1st: Class Fees ($30.00) Beginning January 9th upon Re-Enrollment for the 20-21 year: Enrollment Fee April 2nd: Book & Technology Fee for the 20-21 year

Participation Fees Participation fees are not required fees, they are only incurred if your child participates in certain activities, is in a specific grade level, or has equipment and apparel needs for their sports team.
