OFFICE REOPENING & HOMECOMING PLAN Last Updated: May 22, 2020 Greater Nashville REALTORS® will phase in steps to reopening the office and ultimately a homecoming of the entire staff and membership by following the guidelines set forth by Metro Nashville/Davidson County and will change operationally depending on the phase of reopening established by Metro Nashville/Davidson County. https://www.asafenashville.org/roadmap-for-reopening-nashville/ Each Step in the Greater Nashville REALTORS® office Reopening and Homecoming Plan will identify the Projected Start Date which may change depending on the progress of Nashville’s Roadmap for Reopening Phases. The Nashville Roadmap for Reopening Phase is also listed on each step. The Greater Nashville REALTORS® Step start date will be determined by the CEO and will fall within the Roadmap for Reopening Phase listed, but may not be on the exact same start day of the Nashville Phase listed. This is a “living document” and will continue to be updated as we progress through each step. The priority of this plan is the safety of our members as well as our staff.


GREATER NASHVILLE REALTORS® REOPENING & HOMECOMING PLAN EXECUTIVE SUMMARY There are four steps for Reopening the Greater Nashville REALTORS® office. 1. During Nashville’s Stay At Home Order & Phase 1 (Through May 17) a. 100% staff telework except essential in office needs b. Office closed c. Zoom meetings, education sessions and CE Classes d. REALTOR® Store, Sentricards and Lockboxes not available e. Education Center closed 2. Step 1 (Start Date May 18) = Nashville’s Phase 1 & 2 a. 100% staff telework except essential in office needs b. Office closed c. Zoom meetings, education sessions and CE Classes d. REALTOR® Store, Sentricards and Lockboxes available by preorder and scheduled pickup. Start to market this service May 18 – first pickup Thursday, May 21 – 10am – 1pm. e. Education Center closed 3. Step 2 (Projected Start Date June 15) = Nashville’s Phase 3 a. Limited staff in office. Other staff telework. b. Office open, but doors locked – mail accepted c. Zoom meetings, education sessions and CE Classes d. REALTOR® Store, Sentricards and Lockboxes available during business hours. e. Education Center closed 4. Step 3 (Projected Start Date June 29) = Nashville’s Phase 4 a. Full staff operations b. Office open, doors unlocked – mail accepted c. Meetings under 30 people, education sessions and CE Classes considered. Zoom meetings and CE classes still used as needed. d. REALTOR® Store, Sentricards and Lockboxes available during business hours. e. Education Center – TBD. Classes continue by Zoom as well.


FRONT DESK & GENERAL OFFICE PROTOCOLS These protocols are in place in all steps of reopening and in place until further notice. • •

A Plexiglass barrier will be provided at the front desk dividing staff member working the desk and guests in lobby. Wipe down workspace surfaces, phone and keyboard before staff member begins work, before each transition to another staff member using the space and after you are finished. No candy dish or any items on the counter, in offices or in common spaces that would be used communally. Common space is defined as any nonpersonal office space. No fliers, magazines, books, etc. in the lobby, small conference room, member lounge, staff kitchen, restrooms, Education Center classroom or kitchen, board room or any common space in the building. Fliers may be displayed in Plexiglas holders, but no samples available to remove. Business cards only available by request. Pens are provided as needed fresh from a box and the user takes the pen or disposes of it. Ideally members use their own pens, so ask if they have one they can use first. (need to order boxes of inexpensive pens) Hand sanitizer provided outside entrance for use by staff and guests before entering the building. REALTOR® Store, Sentricard & Lockbox purchases. Only a staff member is able to touch the transaction computer keyboard and/or iPad screen. The staff member is to enter all information in for customer and ask for permission to accept agreement for them and sign for purchases. The goal is to not touch any items and then share that item between the staff member and customer. Use of gloves, handwashing and/or hand sanitizer should be a part of each transaction. No returns allowed.

All doors locked. Only entrance and exit is main administration door. Inside entrance door and staff hall entrance door remains open while staff at the office to limit handle touch. No members or guests allowed in the building. No mail delivery.

No in person meetings or events onsite or offsite. All committee, board meetings education sessions & CE Classes by Zoom.

EDUCATION CENTER • •

Education Center is not available for use other than staff. Assemble tables and chairs so social distancing is established.

REALTOR® STORE/SENTRICARDS & LOCKS PREORDERS & PICKUP •

REALTOR® Store, lockboxes and Sentrilcards available with preorders taken and dropped outside for pickup. This is deemed an essential task and approved for staff to be at the office. Pickup time to start will be Thursday from 10am – 1pm. Will explore more times and frequency depending on demand. Members are allowed to call or email and order items from the REALTOR® store or lockboxes and pick up the item at a designated time. Staff member designated to fulfill orders arrives at 8:30am on pickup day and fulfills orders, bagging them and labeling with customer’s name. Payment is to be made on the day of pickup. Let customer know the protocols in place for retrieving the items, which includes the staff member washing their hands before handling the products and then the process for pickup established. The staff member retrieving the items must use a mask and wash hands before and after handling items purchased. After customer arrives in the parking lot and pays for the store item over the phone, staff member will place the item for pick up outside the front door. Items will only be available during designated hours. No items will remain outside after established pickup hours.


STEP 2 PROJECTED START DATE: JUNE 15 IMPLEMENTATION DURING METRO NASHVILLE’S PHASE 3 STAFF • • • • • • • •

Limited staff in office. CEO will establish this calendar. Employees are asked to self-monitor themselves daily before coming to the office for fever. Employees should not come to work if they feel sick or have any fever. Staff asked to use hand sanitizer provided as they enter the building. Mask is required when staff is working with a guest in the building. Staff and guests in the building must stay six feet from one another. No hand shaking, hugs, fist bumps, etc. by anyone. Staff must wash hands after restroom use and before and after using any common area space. Hand sanitizer can be used for common area space use.

All doors locked. Only entrance and exit is main administration door. Only one guest or one-unit group of guests that arrived together allowed in lobby area at a time. Inside entrance door and staff entrance door remains open during business hours to limit handle touch. Receptionist responsible for wiping down both administrative entrance door handles in the morning upon arrival, midday and afternoon. Signs will be on the entrance door with messaging… 1. Thank you for visiting Greater Nashville REALTORS®. Our doors are locked, however the office and REALTOR® Store is open and Sentricards & Lockboxes are available for purchase. Please wait for a staff member to open the door or call 615-254-7516 to reach a staff member to assist. We are limiting our lobby to one guest or one unit of guests that arrived together at a time. Please do not enter the building if you are sick or showing symptoms. Please use the hand sanitizer provided and limit touching while in the building. 2. REALTOR® STORE & SENTRICARDS & LOCKBOX PURCHASES: A staff member will assist you in retrieving items for purchasing. All our employees are wearing a mask when in common areas of the building. We have provided masks for each employee to protect others in the building and we request you wear a mask when in the building as well.


Please also remain six feet apart from others while in the building for your safety and staff safety. MEETINGS & EVENTS • • •

Preorders & Pickup allowed under guidelines provided under Step 1. In store purchases are allowed under the following guidelines. Customer may enter building and store. Only one guest or one-unit of guests that arrived together at a time in the lobby. They are asked to use hand sanitizer provided before entering the store to retrieve items and to limit touching items they are not buying. Customer reads their credit card number to staff for purchases. If the customer is not comfortable reading their card number out loud, slide the card reader under the Plexiglas for them to insert their own card instead of us touching it or wear gloves if necessary. Hand sanitizer will be available to use before and after transaction. Only a staff member is able to touch the transaction computer keyboard and/or iPad screen. The staff member is to enter all information in for customer and ask for permission to accept agreement for them and sign for purchases. The goal is to not touch any items and then share that item between the staff member and customer. Use of gloves, handwashing and/or hand sanitizer should be a part of each transaction.
