Who to call for help If you have questions, first call your service unit Girl Scout Cookie manager. It is a good idea to write their contact information on the front cover of this manual, so it is always available.

Cookie Terminology ACH Withdrawal Change Request Form: this form is to notify council your troop account will not have the full withdraw amount available.

Cookie Pro: a GSUSA contest. Girl Scouts can apply to win a trip to Los Angeles, earn a patch, and meet the DC Super Hero Girls!

Digital Cookie (DOC): An online platform for girls to contact customers via email to sell cookies:

Parent Outstanding Cookie Account (POCA): the term used for a parent who does not pay the money due for their cookie order. The POCA form will need to completed along with receipts and can be found on the council’s website.

Leadership and Learning Center (LLC): the main Girl Scouts of Central Indiana office located in Indianapolis.

ProcessNow: The app through which your troop can take credit card payments. Council pays the fees.

Little Brownie Bakers (LBB): the bakery that makes our delicious Girl Scout Cookies. You may have found customers asking for Girl Scout cookies by different names.

This is because there are two bakeries that provide Girl Scout cookies and each may offer cookies under different names.

Digital Cookie Codes in eBudde • DOCSHIP: DOC order shipped to customer • DOCDON: DOC ordered for Operation Cookie Drop • DOCINHAND: Girl Scout took a credit card payment for cookies in hand through the DOC app.

• DOCDLVR: DOC girl delivered payment. The cookies will not be credited in the system. The leader is responsible to credit girl for cookies on the initial order.

Why $5 Did you know that every service provided by Girl Scouts of Central Indiana is subsidized for our members? It costs $379 per girl to give her the Girl Scout Leadership Experience for just one year. Families on average pay $57 for this experience! The Girl Scout Cookie Program not only provides funds for the troop, but it also supports all of our services to girls, volunteers, communities, and parents. It is important to remember that the “council� is all of us. Every penny from the Cookie Program stays within our council after we pay our vendor and program costs. Annual Girl Scout membership fees goes to Girl Scouts of the USA. These charts represent actual costs to Girl Scouts of Central Indiana for expenses such as subsidizing programming so that all girls have the opportunity to participate, along with insurance, registration and back office support, staffing, and physical property expenditures such as electricity and water. Actual costs are also reliant on the numbers of girls who attend the program activity, so the more girls who participate then the less expensive it is per girl to run the event.

Nutrition FAQ’s Are Toffee-tastic™ kosher?

Yes, look for the kosher symbol on the package.

Toffee-tastic and S’mores will be on the printed girl order card. Initial orders for these two varieties are guaranteed. If you would like more of these varieties for cookie booths, they will be available for cupboard pickup while supplies last.

Toffee-tastic and S’mores will also be available to customers through Digital Cookie while supplies last.

Are Toffee-tastic™ vegan?

Toffee-tastic cookies are not vegan as they do contain dairy.

Are Toffee-tastic™ cookies allergen free?

No, this product contains milk and soy ingredients.

How can customers be sure the Toffee-tastic cookie is gluten-free?

Toffee-tastic™ cookies have been certified gluten-free by the third-party organization, NSF (National Sanitation Foundation) and verified through testing as meeting the FDA guidelines for labeling gluten-free. The NSF certified gluten-free logo will appear on the side of the Toffee-tastic™ cookie package.

Are they made in a dedicated gluten-free or allergen-free facility?

While Toffee-tastic™ cookies are not baked in a dedicated allergen-free or gluten-free facility, the bakers' products and manufacturing facilities undergo a comprehensive assessment and qualification to ensure compliance to regulations regarding gluten-free designated foods. The baker has verified through testing that policies and procedures ensure that Toffeetastic™ cookies contain less than 20 ppm (parts per million) of the protein, gluten, to meet the FDA guidelines for labeling gluten-free.

Online Training To ensure you have information at your fingertips at the time of day you need it we have created multiple online trainings! The intro training is required and will take around 10 minutes. The rest of the training segments are 3-5 minute videos that highlight each part of the cookie program. These videos can be accessed on the council website, girlscoutsindiana.org, under cookies+>resources>training for leaders.

Troop cookie manager responsibilities The troop cookie manager is responsible for:

• Teaching the girls the 5 skills and helping them practice them throughout the cookie program

• Holding a caregiver meeting (sample agenda on page 11).

• Ensuring receipts are signed EVERY time cookies or money exchange hands with a parent or another leader. This includes cookies and money for personal orders and booths.

• Ordering and distributing girls' rewards before the end of May.

• Depositing any checks or money collected within a week of receiving.

Each family is responsible for:

• All cookies ordered and signed for their Girl Scout.

• All funds collected from customers for the purchase of cookies. Families must turn in all payments to the troop cookie manager by set deadlines.

• Making certain they get a receipt EVERY time cookies or money changes hands.

• Picking up their Girl Scout's rewards from the leader (or in some cases, their nearest service center) in a timely manner.

Taking orders • Girls are on their honor not to sell until January 12, 2019. Provide caregivers with clear instructions about the start and end dates of the sale (see page e caregiver family meeting outline).

• Girls can go door to door, hit the streets, pick up the telephone and log into Digital Cookie to start taking

orders. Remind them a few days ahead of when you will need to collect and input orders from their order card.

Some troops are having parents take a picture of their card and text or email it to them. Give yourself enough time (at least one day) to enter their orders in eBudde.

• If you notice you are missing girls on the Girls Tab please fill out the "I did not receive my digital cookie access link/eBudde access" form, online.

• Log into eBudde at least one week before January 25 to become familiar with the website and ordering

system. Make sure participating girls are listed. If not, they may not be currently registered with the troop.

Complete and submit the "I did not receive my digital cookie access link.

• You can begin entering girls orders at any time in eBudde and click “Save” to save your progress without submitting your order.

Girl planning meeting It is important to hold a meeting with the girls in your troop to go over program dates, the 5 skills, and work on financial literacy! You could choose to work on the level appropriate financial literacy badges, the cookie activity pin, or both!

be realistic. One tip is to have girls set smaller goals that will help them attain the larger one

• Once you know the total expenses the troop plans

to need over the next year, divide that by the amount earned in troop proceeds. This will be the total number of boxes the troop needs to sell to pay for all costs in full (total cost/$0.75 = total number of packages to reach goal)

• A tip might be to put this on a poster and create a

cookie jar that fills with cookies to track where the troop is. It will keep the girls motivated and help inform the public at cookie booths how the troop will utilize the troop proceeds!

Caregiver meeting Caregiver meeting sample agenda It is critical to schedule a meeting prior to the start of the cookie program with caregivers (mother, father, grandma, grandpa, guardian, etc.) to explain the Girl Scout Cookie Program and recruit help.

Below is a basic agenda for the meeting that should take between 30 minutes to one hour.

Prior to the meeting • Watch online training • Discuss a family planning meeting date and

time with troop leadership, reserve location, and communicate to families.

• Discuss potential troop package goals and activities with the troop's leadership and girls.

• Give deadlines and contact information to families.

Meeting agenda • Discuss the 5 Skills girls practice during the cookie program and communicate troop goal.

• Be direct regarding rules and business ethics. This

includes: no selling before January 12, no returning cookies, no money collection prior to delivery, your deadlines, debt consequences, and safety. If a girl takes an order, she must fulfill that order in a timely manner after receiving cookies or communicate a delay to the customer. Remind sellers to collect contact info from each customer on the order card.

• Thank families and encourage girls by explaining to them that they are now participating in the largest girl-run business in the world! Ask for volunteer support throughout the Girl Scout Cookie Program.

Divorced/separated caregivers or multiple caregivers • Provide each caregiver with a separate Girl Order Card for when a Girl Scouts sells cookies while in their custody.

• Each caregiver picks up ordered cookies separately and receives separate receipts.

• Ensure that you have complete contact information (name, address, phone, and email) for all parents.

This will be needed in the event of non-payment

• Explain deadlines and caregiver expectations, both programmatically and financially.

• Tell parents that there is a short, fun video for them that will highlight key points. You could play it for them and/or tell them where to find it on our GSCI website.

Cookie rallies

In a study conducted by Girl Scouts of the USA, girls learned skills they can apply to everyday life, through the Girl Scout Cookie Program.

A cookie rally is an event held at the service unit that teaches girls how to grow their cookie business by building 5 Skills.

Almost every service unit hosts a rally. Check with your service unit cookie manager for the date and details of the event. Rallies typically occur in December or January.

85% increased their money management skills as they developed budgets, took cookie orders and handled customers’ money.

83% developed business ethics, learning to fulfill promises to customers and considering how best to contribute to their communities with their earnings.

80% set goals and created objectives to reach them.

77% made important decisions, learning to work as a team to develop a business plan, deciding when and where to sell cookies, and determining what to do with the money they earn.

Girls who attend a program focused rally and set goals are more likely to meet or exceed their goals.

Volunteer Toolkit Did you know Daisy, Brownie, and Junior troops have access to financial literacy and cookie business badge requirements online? Daisy through Junior troop leaders can assist the troop in earning these badges with access to the Girl Scout Volunteer Toolkit. The Volunteer Toolkit is a comprehensive digital tool accessible on a computer, smartphone, or tablet.

Girl Scout Cadettes, Seniors, Ambassadors and troop product sales managers will have access to the Volunteer Toolkit but the badges are not yet there. They can be found in your age level girl's guide.

How Digital Cookie works in eBudde • Digital cookie payments will show in the "Deposits"

tab in eBudde. They will appear as "DOC Bank". See Cookie terminology on page 2 for more DOC codes.

Digital Cookie dates • January 12-March 17: Digital Cookie shipping orders take place.

New This Year • During the initial order phase (start of the cookie

program until initial orders are due), customers will have the option to choose “girl delivery”. With this option, customers will not have to pay shipping and the girl/parent will approve the order and deliver the cookies to the customer. Cookies will be available to fill these orders once you pick up your initial order from your chosen delivery site. After this time, the girl delivery option will be turned off and customers will only have the option to have their orders shipped through digital cookie.

• eBudde will automatically calculate council

payment and troop proceeds for orders, which appears on the sales report.

• If a girl does not receive an email, go to

girlscoutsindiana.org, click on "Cookies+" then "resources" and complete the "I did not receive my digital cookie access link/eBudde access" to have her added.

Credit cards Girl Scouts of Central Indiana is proud to partner with First Financial Bank to provide credit card readers to troops. With these credit card readers: • Troops will get credit for their credit card

transactions on their eBudde statement. Allow up to 7 days for these transactions to appear.

• Our council will absorb any credit card fees incurred by using the card reader.

• Troops have a helpful tool to reach their cookie

program goals even faster by utilizing technology.

Set up your card reader Are you ready to take credit cards at your cookie booth!? Start getting set up early to make sure your account is ready for cookie booths! Here’s how:

Set up your card reader for your troop at least one week before you want to use it.

• If your troop used the credit card reader last

year and your troop number has not changed, you can log in using the same information as last year (see the online directions if you need the login info). Everyone will need to use the latest version of the app, so please update if needed.

• New troops should pick up a credit card reader (one per troop) from your service unit cookie manager.

• Existing troops already have a reader from last year.

• Download the app and set up your account by

following the instructions provided at www. girlscoutsindiana.org/cookies. Then click on the "Resources tab and scroll to the "Guides" secton.

• Decide which troop adults you would like to be

able to use the credit card reader at your cookie booths and have them download the app. They can sign in on their own smart device by using the troop’s log in information and password.

Delivery basics • Girl Scout Cookie delivery takes place from January 31-February 3.

• Be sure to arrive at your scheduled delivery time.

If you are unable to keep your time and arrive at a time not designated to your troop, this could cause a back-up at the delivery location.

• Pick up your troop’s cookies at the delivery location and time you chose in eBudde.

• You must pick up the number of cases on your

initial order. Additional packages, if needed, can be picked up at a cookie cupboards beginning February 7.

• For your safety, we recommend the use of heavy cardboard or plywood as a divider between the driver and the cases of cookies.

Cookie receipts Remember, parents/caregivers are responsible for all cookies for which they sign. Write a receipt and get an adult's signature each and every time cookies or money changes hands. Keep recepits in a safe place. Receipts are your proof if a parent/caregiver doesn't pay or denies receiving cookies.

Customer cookie delivery checklist As girls pick up their cookies to deliver to customers, please remember to cover the following:

Follow these easy steps to ensure a successful delivery to your parents and girls!

Notify parents/caregivers of the date, time and location they can pick up their order. Give yourself enough time to get home, unload the cookies and prepare the orders.

Sort all cookies and orders before you let any parents/caregivers pick up cookies. This will help you identify any problems with your order before anyone arrives for pick up.

Provide each girl with a money envelope with her balance and the date it’s due.

If you have a girl with multiple caregivers, be sure that they pick up their separate orders.

You should collect initial order money from the girls and bank it within two weeks.

It’s important to deliver cookies to customers as soon as possible. Hot spot Booth sales begin February 8 and sometimes customers think that the cookies they ordered aren't coming and buy replacements at a cookie booth.

As girls deliver cookies, they should collect payment at that time, put it inside their money envelope, and mark that customer as paid on their order card.

Checks should be written to the troop.

Cookies are $5 per package. They may not be sold at any other price.

Parents should submit money to you often, and should not hold a check for over a week. Make frequent deposits.

When girls deliver their cookies, they should ask the customers if they would like to order additional packages. Girl Scout Cookies tend to be eaten quickly, and they freeze well, making them enjoyable all year long!

ACH Withdrawal Process This year we will collect the amount you owe council through ACH withdrawal from your troop bank account. This means you will only need to bank your money into your troop account and will no longer login online to pay council!

There will be a one-time charge and refund of $0.01 to ensure your account information is properly entered and ready to go for the payment deadlines. This will happen on February 4, 2019.

If, for any reason, you will not have all the money due available please fill out the “ACH withdrawal Amount Change Request” form on our council website, girlscoutsindiana.org, on the Cookie Resources tab under Online Cookie Forms. Filling out this form will alert us to only withdrawal the amount you notify us is available. Missing the ACH withdrawal Amount Change Request deadline listed below will mean that no changes to the amount due are able to be applied.

eBudde Settings Tab Be sure to add your bank routing and account number to eBudde on the settings tab when you first set up eBudde. This will ensure we have all the information needed. Cookie booth basics Cookie booths allow girls an opportunity to reach their goals and make a difference in their community!

Troops use their extra cookies or pick up more from the cookie cupboard. Customers are reached through booth locations set up in front of high traffic locations in the community. A Girl Scout Cookie booth is not just a “booth,” it’s the troop’s storefront for their business and one of the best ways girls learn people skills through the program.

No contacts are to be made prior to receiving this email.

There are two ways your troop can have a booth: • Hot spot: Sign up to have a booth at one of our

council sponsored hot spot locations in eBudde.

• Non-hot spot: Use your contacts to set up your

own booth. Cannot be a council sponsored hotspot location.

• Girl Scout Cookie booths can be in retail stores,

churches, parking lots or other areas where troops have permission to set up a booth to sell Girl Scout Cookies.

• Booths may not be held at locations where children are not allowed to be present.

Cookie booth etiquette • Print and bring eBudde booth confirmation with you or be prepared to pull up your confirmation on the eBudde troop app if a question arises.

• Arrive and leave on time.

• Come prepared. Bring a small table, chairs, change, phone numbers, booth confirmation, and booth information card.

• Keep your money protected.

• Leave the area clean. Take empty boxes home with you.

• It is not appropriate to bring an animal to the cookie booth unless it is a service animal.

• Thank the manager when you are leaving. Your

troop may wish to leave them a package of Girl Scout Cookies.

• Be respectful. A maximum of two Girl Scouts and two adults are allowed.

• A Girl Scout must be present at your booth.

• A registered adult must be present at your booth.

• Sell only Girl Scout Cookies at your Girl Scout

• If you are using a credit card reader, do not wait until arriving at your booth to set it up.

• In the event you have a problem at your booth

(another troop is there, store manager questions, conflict, etc.), check your booth information card and follow the steps.

Our council has rented a kiosk at each mall and will have booth times available, for week nights and weekends during booth season; February 8–March 17.

There are special steps a troop will need to take in order to participate in these booths.

Philanthropic Reward Option Want to make a difference for kids like you? Here is your opportunity with the Shoe that Grows! You can choose to donate shoes in place of a reward item. This philanthropic reward is part of the cumulative reward structure -meaning you can mix and match donating shoes and picking a reward at different levels! Every girl who chooses this option at least once in their rewards will get a special patch!

The Shoe that Grows will donate all the shoes to the Hope School which is located outside of several small villages in Northern Kenya. COOKIE DOUGH • Council credit is going virtual! A parent of each girl who chooses cookie dough will receive an email at the end of the cookie program with information on how to access her virtual card and the balance she has available to spend. The email will come by May 1 and a physical letter will also be mailed to them. Please help us by making sure that the mailing and email addresses for each family are correct in our membership database.

THEME PARK TICKETS • All theme park tickets earned will be available for pick up at the service center chosen in eBudde on the rewards tab. Tickets will be ready for pick up by mid-May. Watch for an eBudde blast in May for when tickets are available for pickup.

HIGH END REWARDS (750+ and above) • All high end items will be available for pick up at the service center chosen in eBudde on the rewards tab by mid-May. Watch your eBudde blasts in May for when items are available for pick up.

250+ Older girl proceeds option If you have an older girl troop (Girl Scout Cadette, Senior or Ambassador), talk to them, and let them decide if they want the girl reward items, or if they want to opt out and receive an additional $0.10 per package for their troop. All girls must agree in order to choose this option.

• Troops taking this option still qualify

for initial order rewards, patches, troop rewards, and top seller events.

• The troop cookie manager must check

the "Receives Proceeds" (no rewards) box on the "Settings" tab. The extra $0.10 per package will automatically calculate on the sales report.

Are Operation: Cookie Drop purchases tax deductible?

Purchase of Operation: Cookie Drop cookies are tax deductible because they're a donation. Your troop may write the customer a receipt if asked.

Purchase of cookies for personal consumption is not tax deductible, because the customer is paying for a product and receiving that product.

Inputting donation orders Into eBudde Allocate cookie packages to a girl by inputting the quantity into the column “OCD.” The Sales Report will calculate the money due and show the amount sold. Rewards earned from Operation: Cookie Drop sales will automatically calculate and order in eBudde.

eBudde user guide In this section of the manual you will find the how-to steps to eBudde. If you need assistance beyond the instructions call the cookie hotline at 317.924.2949.

You will use eBudde to place your troop’s initial order, track girls' totals, order initial and final rewards, order additional cookies to pick up at a cupboard, and schedule cookie booths.

1. Log in •

Receive welcome email 2 business days after completing the Intro to Cookies training. Click the link in the email that will take you to the screen that allows you to change your password on the Cookie Tech Portal

Enter in your personal password and confirm personal password and click Change My Password

•

Enter in your personal profile information. All profile fields mandatory except for Address Line 2. Be sure to enter current password. Click Update Profile.

•

Select eBudde. The other sites provide resources.

•

If you cannot find your email, it has expired, or do not receive it go to cookieportal.littlebrownie.com and click "reset password". This will generate a new email.

2. Set up your troop •

Click the “Settings” tab and “Edit Settings” button.

•

Enter your troop’s goal in packages.

•

Enter your troop’s banking information. This is required because it is how your cookie bill will be paid. See page 20 for more information.

•

Your age level will be picked for you based on the council upload.

•

C/S/A Opt-Out Option Only: Check “No Rewards/additional proceeds” to take addtional $0.10 per package.

Scroll to the bottom of the screen and click “Update.”

Note: The number of girls selling and registered is automated.

3. Update your information

Click “Edit” next to your contact information to update your personal information as needed.

Click “Submit” to update your information.

4. Confirm participants •

On the “Girls” tab, you can view all the girls registered with your troop.

This will continue to be updated throughout the sale.

If there are girls missing, complete the "I did not receive my digital cookie access link/eBudde access" form on the cookie resources tab. Council will add or move the girl to the proper troop in eBudde and Digital Cookie.

If you have girls that are no longer active or not participating, we will leave them on your list. Only girls with cookies assigned to them count towards your per girl average. You can hide inactive girls by clicking the "hide inactive" button on your "girls" tab.

5. How to set up a "Cookie Pick-up Only" user: •

On the “Settings” tab click “Edit Settings,” and scroll down to “Cookie pick up only user.”

Enter the name and email address in the proper fields.

•

Click “Save” at the bottom of the screen.

•

This user will receive a setup email from eBudde and will need to create a new password before using their username and password at a cupboard to check out cookies.

Requesting and cancelling hot spot cookie booths on eBudde To reserve a council hot spot booth: • Click the “+” next to the town where you would like to have a cookie booth.

Place a Cookie Cupboard order To ensure that we have accurate stock in each cupboard, troops are required to place a pending order according to the chart.

• On the Transactions tab, click the “Add a Transaction” button.

• Choose a pick up date and time (see cupboard

New to eBudde is the ability to see what other troops have available for exchange/transfer!

The Cookie Exchange tab will allow you to input the cookies you have available to exchange and to see what other troops have available that you may need.

Before ordering from your local cupboard see if there is a local troop who may have cookies available that meet some or all of your needs!

To see what cookies other troops have available: Click the blue down arrow to the left of the variety. eBudde will display the troops that have extra cookie packages. It will list for you the date posted, the troop number, quantity available, the first name of the contact, email address and phone number. You can then contact that person via email/phone to make the exchange.

To enter cookies you have available to exchange: Enter the quantities in packages in the variety boxes. Click Submit. If you no longer have all the extras originally posted, change the quantities appropriately and click Submit.

The submission will OVERWRITE the previous submission. There is only one record per troop in the Cookie Exchange so there's no need to scroll through a lot of posts to find current info!

Allocating extra cookies in eBudde Follow these easy instructions by March 20 to allocate cookies to girls for cookies sold post initial order. You can allocate cookies each time they are picked up, once a week, or at the end of the sale, whatever works best for you.

Every package counts toward the girls' rewards. Girls need to be given credit for cookies sold after the inital order.

My troop is registered and I have two approved adults for troop leadership. All of my girls are registered.

My troop has a bank account Complete training online and submit my email address to be given access to eBudde.

Log into eBudde to update my contact information, settings tab, and become familiar with the online ordering system. Verify that all of my registered girls are listed. If they are not, fill out online form so council can make updates.

Hold troop meeting focused on 5 skills and set a troop goal. Distribute girl order cards and set goals.

Hold a caregiver meeting. Explain deadlines and expectations.

Collect all girl order cards prior to January 25.

Enter my girls’ initial orders into eBudde. Select my delivery site and time. Enter the girls’ initial order rewards if they have earned them. Be sure to finish by January 25 at 9 p.m.

Sign up for our first round of hot spot booths starting January 28 at 6 p.m. See page 3 or 26 for complete dates and times for additional booth sales sign up dates.

Pick up my troop’s cookie order and initial rewards order at delivery.

Arrive home and sort all orders. Prepare receipts for each girl before anyone picks up their cookies. This will help identify any issues. Be sure to complete a receipt for each cookie pick up, sign and date. Keep one copy. Give one copy to the adult signing for the cookies.

Place any pending orders needed in eBudde and pick them up at my local cookie cupboard starting Thursday, February 7. See page 22-24.

Prepare for my cookie booths! Get my display together and a schedule for parents and girls.
