ENERGY MANAGEMENT MONTH:

Why more FMs are turning to managed energy solutions

Energy as a Service (EaaS) is emerging as a preferred model for Facilities Managers seeking to improve sustainability, reduce energy costs, and modernise infrastructure without significant upfront investment. As energy markets become more volatile and regulations more complex, outsourcing energy management to expert partners is providing a smarter, more strategic path to decarbonisation and operational efficiency…

What is Energy as a Service (EaaS)?

EaaS refers to the outsourcing of one or more aspects of a facility’s energy infrastructure, such as energy procurement, consumption monitoring, equipment upgrades, or on-site renewable generation, to a third-party provider. Rather than purchasing hardware or managing performance internally, facilities pay for energy services via a fixed monthly or performance-based fee.

This model is especially appealing for organisations that lack in-house energy expertise or capital to invest in upgrades like smart metering, energy storage, or building automation.

Risk

Reduction and Cost Predictability

One of the biggest drivers of EaaS adoption is financial and operational risk mitigation. EaaS

contracts typically include service level agreements (SLAs) and performance guarantees, which shift risk from the organisation to the provider. Facilities managers benefit from predictable costs, often structured as “pay-as-you-save” models that tie fees to actual energy savings.

By stabilising energy spend and avoiding budget shocks from price spikes or equipment failures, EaaS enhances financial planning and reduces the burden of managing energy procurement in volatile markets.

Access to Advanced Technology

EaaS providers bring in cuttingedge technologies, from IoT sensors and AI-driven analytics to on-site renewables and battery storage, without requiring the client to own or maintain them. This enables facilities to implement energy-saving and carbon-reducing technologies that would otherwise be cost-prohibitive.

Moreover, these systems are managed and maintained by experts, ensuring optimal performance and reducing downtime, while providing the data transparency needed for ESG and compliance reporting.

Sustainability and Compliance Benefits

With organisations across the UK facing increasing pressure to meet net-zero targets and environmental

compliance standards, EaaS offers a clear route to measurable impact. Providers often incorporate emissions tracking, carbon reporting, and tailored strategies to reduce Scope 1 and 2 emissions as part of their offering, helping facilities managers align with broader sustainability goals.

Scalable and Customisable Solutions

EaaS is not a one-size-fits-all model. Whether managing a university estate, corporate headquarters, or NHS facility, solutions can be scaled and tailored to the unique energy profile of the site. Flexible contracts, modular service packages, and sector-specific knowledge make EaaS an adaptable solution in both the public and private sectors.

In a climate-conscious and cost-sensitive environment, Energy as a Service empowers facilities managers to modernise, decarbonise, and save, without carrying the risk alone. It’s a smart partnership model built for the future of energy management.

“From Reactive to Productive – Managing your personal PPMs for maximum efficiency!”

Workplace and Facilities management professionals are experienced in managing their buildings PPMs efficiently, but often don’t score as well when managing their own balance scorecard… This session will consider how to maximise efficiency in four key areas;

• Energy management – how much energy is being wasted through stress and urgency?

• Efficiency and Sustainability – are ways of working efficient, is energy being used sustainably?

• Health and safety – how much focus is there on the health side of H&S?

• Maintenance – is too much time being spent on reactive work?

Beth Goodyear is leading trainer, speaker and facilitator with over 28 years of managing buildings and teams.

Prior to starting FMHS Consulting Ltd, Beth held a number of high-profile roles including Head of Facilities Management at Ascot Racecourse where she was responsible for all FM operations - the impact of the changes made were so successful, the patron at that time, Her Majesty Queen Elizabeth II, noticed and passed comment!

Beth specialises in 4 key areas; Professional Development; Facilities Management, H&S and Compliance; and Mental Health. She is an approved MHFA England Mental Health Instructor and a licensed IOSH H&S trainer and her feedback is exceptional, with learners using words like ‘inspirational, motivating, engaging and brilliant!

TOTAL FM: Public vs Private Sector: Tailoring strategies to different operational demands

The adoption of Total Facilities Management (Total FM) continues to grow across both public and private sectors. Offering an integrated model that combines multiple FM services – such as cleaning, maintenance, energy, security, and compliance – into one contract, Total FM is delivering efficiency, transparency, and improved service standards. However, as delegates at the FM Forum know, the operational demands, procurement approaches, and expectations differ significantly between public sector institutions and private sector organisations, requiring tailored strategies from service providers…

Understanding the Distinct Demands

In the public sector, FM strategies must align with:

 Strict procurement regulations such as those outlined in the UK Public Contracts Regulations.

 Transparency and accountability, with measurable KPIs and audit trails.

 Budgetary constraints, requiring fixed-cost or value-driven contracts.

 Public interest goals, including social value, carbon reduction, and accessibility compliance.

Conversely, the private sector tends to prioritise:

 Agility and scalability, especially in dynamic commercial environments.

 ROI-focused performance metrics, often tied to productivity, uptime, or tenant satisfaction.

 Innovation and digital transformation, including adoption of AI, IoT, and CAFM platforms.

 Customisation and speed with shorter procurement cycles and direct engagement with suppliers.

Tailoring Total FM Solutions Accordingly

To meet these divergent needs, leading Total FM providers are adapting their service models:

 For the public sector:

Emphasis is placed on robust governance structures, transparent reporting, and alignment with government sustainability frameworks.

Many contracts feature community engagement elements, including local employment and training commitments.

Long-term partnerships and framework agreements are preferred for stability and continuity.

 For the private sector:

Providers offer modular service bundles that can flex with changing business needs, such as office redesigns or hybrid working models. Greater focus is placed on real-time

and private sector clients—and delivering tailored, tech-enabled solutions that support their goals. By aligning service delivery with sector-specific demands, Total FM providers can create partnerships that are resilient, cost-effective, and future-focused. ENERGY MANAGEMENT MONTH: What FMs should look for in their next partnership

The right energy management platform does more than track kilowatt-hours: it provides a centralised, intelligent system that supports sustainability goals, operational efficiency, and regulatory compliance. Selecting the right platform requires a careful evaluation of functionality, integration, scalability, and return on investment. Here’s what FMs should prioritise when procuring an energy management solution in today’s data-driven environment, according to attendees at the Facilities Management Forum…

1. Interoperability with CAFM and BMS Systems

Energy management cannot function in a silo. The chosen platform must integrate easily with your existing Computer-Aided Facilities Management (CAFM) software and Building Management Systems (BMS). This interoperability ensures that data from HVAC, lighting, occupancy sensors, and other building systems can be consolidated in real time. It also supports centralised control and automates energy-saving actions based on building conditions and usage patterns.

2. Real-Time Reporting and Visualisation

Legacy systems with monthly reporting simply won’t cut it in 2025.

FMs need platforms that offer realtime dashboards, energy analytics, and performance benchmarks across multiple sites. These tools help spot anomalies immediately, identify energy wastage, and support proactive interventions. Visual, intuitive interfaces also make it easier to report performance to senior stakeholders and demonstrate progress against sustainability KPIs.

3. Emissions Tracking and ESG Alignment

As Environmental, Social and Governance (ESG) reporting becomes mandatory across more sectors, platforms must include robust carbon and emissions tracking. Look for systems that can automatically convert energy consumption into CO₂ equivalent emissions, support Scope 1 and Scope 2 reporting, and export data in formats compatible with frameworks like SECR and GRESB. Granular emissions data enables more accurate planning and supports external certifications.

4. Predictive Maintenance Capabilities

Today’s leading platforms don’t just measure usage—they use data to anticipate equipment faults and recommend maintenance actions. AI and machine learning capabilities can identify trends in

energy deviation, temperature fluctuation, or asset degradation. This allows FMs to shift from reactive to predictive maintenance, reducing downtime, extending asset life, and avoiding unplanned energy spikes.

5. Scalability and Support

Whether you’re managing a single site or a nationwide estate, scalability matters. Choose a platform that can grow with your portfolio and is supported by a partner with experience in your sector—be it healthcare, education, commercial property, or manufacturing.

The energy management platform you choose can make the difference between meeting—or missing—your cost-saving and sustainability goals. For FMs, the smartest solutions will be connected, proactive, transparent, and ready for the challenges of a low-carbon future.
