About the Perth Disability Connection Expo
The 2024 Perth Disability Connection Expo Sponsored by St Jude’s NDIS will be a hub of activity when the best disability services and NDIS providers around WA exhibit and connect with our visitors at the Perth Convention and Exhibition Centre on Friday 16 and Saturday 17 August 2024, 10am to 4pm both days
Navigating NDIS and the search for service providers can be a big task and it never stops for participants, carers, family members and Guardians. Find hundreds of search provider options under one roof, with space to spend time, connect with multiple options, get support and your questions answered at our free from a range of professionals. Use our meeting room also, check out the entertainment zone running all day, grab some food and if you need to do something and take a break, try the jumping castle, hair braiders, face painters, balloon artists or get a picture with cos players. All visitors get a free magazine to help them find some of the best service provider options on offer.
We don’t do just booths and pamphlets. It’s two days at the biggest Disability and NDIS related community event ever and it’s FREE!
After almost 3 decades of experience in the Disability sector, we know how challenging and sometimes overwhelming it can be understanding and managing supports, plan and finding the right options. Even once people get funding approved and get access to it, people then have to try to wade through the complexity of who, what, when and how: Where do I go? Who do I talk to? How do I know how to find the right NDIS provider for me and how do I know I can trust them? How do I meet them and see who I really feel a good connection with?
We make it easy to find solutions and make connections at the Perth Disability Connection Expo 2024 sponsored by St Jude’s NDIS, at the PCEC. We bring participants of NDIS, families, children, adults and those looking for disability service options together with service providers and the community. We will be doing lots of live streamed interviews with exhibitors and sponsors – with the potential to reach even more service providers. The expo is dedicated to realising the challenges and increasing the level of CONNECTION between providers and participants.

IF YOU HAVE REGISTERED TO EXHIBIT THERE ARE 5 KEY THINGS YOU MUST DO TO GET READY!
1. Make sure you have given us the correct contact person for your team exhibiting. We send lots of information. Instead of your accounts department or director receiving updates you may prefer a particular staff member that is going to be present at the event to receive this information. Let us know who that is
2. Update your social media and data base. Make sure you are posting every month remind everyone about the event. Make a plan to post of social media, especially closer to the event and email your data bases. IF every single one of our hundreds of exhibitors help us tell the community about the event it helps make the 2 days huge
3. Think about offers, landing pages and things that make you different. How will you stand out and show case what you do great? Perhaps have QR codes or an event or special something you can invite people to sign up and be a part of
4. Talk to the staff that will be at your booth and make a game plan. Sitting behind a table, looking at your mobile phone during the expo will guarantee a poor outcome for you. Visitors won’t want to interrupt you if you look to busy to talk. Open the space and make sure you are welcoming. Put tables to the side and greet people. Don’t hide behind a wall. This is a human services event so get ready to connect!
5. Read all our FAQ’s, this booklet and share it with all your staff. Don’t leave your planning to the last minute and order items for your space now. Connect with our booth builders and make sure you order furniture early and confirm what you want printed on your facial above your booth.
OUR MUTUAL EXPECTIONS
This event is for people, children, adults, carers, guardians and professionals living with disability or supporting those that are. We have the highest expectation for behaviour pre, post and during the event. We have zero tolerance for inappropriate behaviour. This includes rude, abusive and poor behaviour from exhibitors towards our staff. We understand you preparing for an event can be stressful. Do not make the mistake of taking this out on our staff as we will not tolerate abuse. Our directors and event owners will be on site at all times and any behaviour such as this will be referred to them to manage. Treat others how you would like to be treated and we will all have a great event.

4:30pm anyone inside the hall must now be wearing a hi-vis vest before the venue will open the loading dock doors at the rear.
4:30pm vehicles displayed in hall will be moved out through loading dock and then loading dock will open HOT TIP!

Shell scheme stands have 2.2m high black, velcro-compatible material. Exhibitors can use the hook (rough side) of velcro to hang items.

BUMP IN – SET UP DAY THURSDAY THE DAY BEFORE EXPO

Event set up, referred to as Bump In, will be planned and Exhibitors will be provided with their scheduled times.
During Bump In on Thursday the expo floor is recognised as a work site. Health and Safety guidelines by the PCEC require everyone to follow these rules below
● High Vis clothing/vest to enter and while on the expo floor
● Enclosed shoes must be worn
The expo help team will have high vis vests on sale. As Bump In is during a time the site is considered a building zone children may not be permitted. Follow the PCEC security staff directions regarding this.

BUMP OUT – 4PM ONWARDS SATURDAY
Event Pack down is referred to as Bump out.
No dismantling of exhibition space is to occur before 4:00pm on the second day when the event closes. Even taking down thing and packing up can result in things being dropped, tipped over and hurting visitors. The venue is trick about this so just wait till 4pm before any packing up please!
After 4:30pm the expo floor is deemed a worksite as the rear doors are being opened. PCEC security will enforce the following:
• High Vis clothing/vest to enter and while on the expo floor
• Enclosed shoes must be worn
• Any staff in the hall once back doors are open and it is again a building site after 4:30pm, have to have completed the induction because it is a build zone during this time. The link is here

As Bump In is during a time the site is considered a building zone children may not be permitted. Follow the PCEC security staff directions regarding this.
All exhibitors have access to the loading dock on a first come first served basis and will be managed by security at the PCEC. The loading dock will not be opened until the PCEC security has deemed the expo floor safety compliant.
Information Support Hub
The Hub is a central space at each of our four state expos, where people can literally “ask an expert” for help or advice. It is staffed by representatives of service providers over the two days of the expo.
Professionals at the Support Hub help provide a service where people with a disability, their families, friends and carers can go for free, reliable, practical, and real-life advice given by a multidisciplinary team of experts. The hub has fast become the flagship feature of our expos.
The Support Hub also provides an excellent opportunity to network with other providers, create important connections and cross-refer services for participants if this is of benefit to them. The staff and sponsor of this space support people navigating NDIS and mainstream systems and complement the amazing information and support provided by NDIS themselves at the event.

Getting to the Perth Disability Connection Expo
PCEC Perth is easily accessible by foot, ride-share or public transport including bus and train There is a drop zone the front of the venue and council carpark underneath. Unfortunately as a council carpark it is often used heavily Mon-Fri without allocating space aside for events at the venue so Friday especially try to take advantage of public transport to leave as many carparks for visitors as possible.

Car Parking at the PCEC Perth
• Carpark clearance height – 2.1 m
This is a council carpark. We strongly suggest using public transport on expo days so that carparks can be left for visitors. Unfortunately as a council carpark that does not allocated space specifically for venue run events the carpark is busier on Friday as city workers may use it. There is no discount offered by Perth Council for exhibitors.

Carpet
If you require flooring in your booth please contact Perth Expo who build our booths and supply furniture. The larger, open area sites have carpet flooring only.

We deliberated do not carpet our events due to feedback from the disability sector regarding carpet not being preferred due to how it can create difficulties for those using wheelchairs. While it looks great in booths it is not idea for wheelchairs in the isles.
You can bring rugs also or your own carpet for inside your areas. Remember to ensure edges are secure to manage tripping hazards. Discuss adhesive for carpeting with us directly. If you use the wrong adhesive and cause additional cleaning charges we will pass these charges onto you to cover.
Children on site
During bump in and out, the expo space is considered a building worksite, therefore, children are not permitted on the expo floor during that time. However, we understand that sometimes things happen, emergencies arise and plans change. The PCEC security staff are the best point of contact for you regarding requests to have children present during bump in and out times. It is their decision, however, we understand that as a building zone it is policy that only adults are present that have completed the induction.
Cleaning
Cleaning at regular intervals has been negotiated by Developing Australian Communities with PCEC Perth. All rubbish is to be removed from the pavilion before the Disability Connection Expo opens at 10:00am.
As an exhibitor it is your responsibility to:
● Ensure all waste is placed in the bins or aisles for disposal by the cleaning team.
● Ensure items are affixed to the walls of the booth with sticky tape, thumb tacks or Velcro. DO NOT use glue. Any damages will incur a removal or cleaning cost.
Client survey
Feedback is extremely important to us and vitally important in growing our expo’s. Developing Australian Communities will send a survey to all exhibitors and visitors post expo.
Participation is not mandatory.
Confetti and glitter
The use of confetti and glitter is not allowed, however, under certain circumstances this may be authorised by the PCEC. You must seek this permission with them directly. Use of confetti or glitter may result in additional cleaning costs which will be passed onto the exhibitor.
Damages
Any damage or special cleaning will be at the exhibitor’s expense.
Leaving items and Bump Out
Everything must be taken from your booth during Bump Out Saturday after 4:30pm. We are visitors like you and we cannot store items. If you leave things behind or need storage that is something you will have to negotiate with the venue directly. Exhibitors are responsible for any costs, loss or issues raised from leaving items behind. If you leave or forget items they may be disposed of by the venue following our event so please contact the venue directly if you forget anything. https://www.pcec.com.au/exhibitors/
Dangerous activities
Any person/s engaging in dangerous activity or unsafe work practices will be requested by staff/ security to stop immediately. If the activity is deemed unsafe or may cause injury to another they will be removed from the venue.

Deliveries
Developing Australian Communities are unable to accept deliveries on your behalf. A member of your organisation must be onsite for receipt of goods.
Electrical connections

The venue, Perth Expo and event staff reserve the right to disconnect electrical supply to any exhibitor whose installations are not compliant, dangerous or likely to cause annoyance to visitors or other exhibitors.
Electrical equipment – testing and tagging
All electrical equipment, appliances and leads used on site must be tested and tagged prior to use at the expo. Any untested and tagged electrical equipment found on the premises will be removed from the premises.

Emergency and Evacuation Procedures
Please follow the instructions given by PCEC staff who are trained for an emergency situation.
Emergency Exits
Please take the time when entering the venue to familiarise yourself with the emergency exits and their locations.
Expo Build Team
Perth Expo will be responsible for building the physical expo. They may also be able to look after any furniture and AV hire if ordered in advance.
Prior to the Expo you should have received an email from them asking for booth-related details like what you would like on your signage (if you have signage with your booth).

Events Team
The Events team at Developing Australian Communities will be in contact with you throughout the planning of the expo. We send lots of emails and texts so if you don’t see them check your junk folder.

Fire and safety regulations
It is illegal to do any of the following:
● Block or congest emergency exits.
● Block the access route to an emergency exit.
● Obscure or cover emergency exit signs.
● Store equipment or any other item in fire stairs or exit.
● Chock open fire or smoke doors or any doors leading to fire exits.
First aid
Should you require first aid assistance please go directly to the First aid see the team at Expo Help or nearest PCEC Security Staff.
Floor fixing
It is recommended that any flooring is installed by our expo builder, Perth Expo. Should you install flooring at your booth please ensure that it is correctly and safely affixed to the floor to avoid any slips, trips or falls. If you use the incorrect adhesive and create additional cleaning expenses you will be entirely liable for this expense.
Forklifting
Our expo builder Perth Expo may offer a forklifting service at a cost.

High visibility and safety clothing
During the Bump In period Thursday 15 August 2024 and Bump Out Saturday 17 August 2024, 4:30pm onwards or once the rear loading dock doors are open, the expo floor is recognised as a building worksite and, as such, there is a requirement that all persons MUST wear high visibility clothing and closed in footwear. This is not negotiable. Please understand and follow security staff instructions.

Loading dock

A 10km per hour speed limit applies for all areas within PCEC Perth.
Vehicles may only remain on the loading dock or the service road for a period of 15 minutes unless through prior arrangement with PCEC Perth
Vehicles are not permitted to park on the loading dock at any other time. Abandoned vehicles or those exceeding the unload time period may be towed from site if they are hindering access to the loading area.
Vehicles and contents are the responsibility of the owner while on the loading dock. Vehicles will be towed at your expense.
Lost property
Please see our Event Staff at Expo Help during the Expo to claim any lost property items. If we do not have them you may also contact the venue staff. At the end of each day any remaining items will be handed over to PCEC staff.
Noise
Developing Australian Communities will endeavour to keep the Main Stage area at an acceptable level. Please approach our staff at Expo Help with any noise concerns either with the Main Stage or with other booths. It is a celebration so it will not be a quiet space. If your booth is near the stage then yes it will have noise nearby so consider this when booking your exhibit booth. Some acts can be louder than others.
The first 45 min (10:00am - 10:45am) of the expo is ‘quiet time’ for those visitors with sensory issues. Do not play music at your booth during quiet times please.
Permits

You may need forms for
• Animals – excluding licensed assistance animals of course
• Balloons and inflatables
• Food and drink supplying or samples
• Cooking
• Gas
• Hot work
• Vehicles
It is the responsibility of the exhibitor to ensure all permits are obtained directly with the PCEC. As the approval is between you and the venue it is important that we do not interfere and you complete and submit any applications yourself. The exhibitor services team recommend that you seek approval 20 business days prior to Bump In day of the Perth Disability Connection Expo. Please CC us in any permit applications so we can be aware of anything you are doing that may need to be considered as part of the event via events@dacexpo.com.au
The events team will be there to assist as required but any negotiations will need to happen directly between the PCEC and Exhibitor.
Animals
With the exception of personal registered service animals, written approval from the PCEC is required for animals within the expo.
Balloons
Developing Australian Communities and the PCEC do not permit the use of helium balloons. Do not pop balloons during expo times also as this noise can be significantly distressing for some visitors.
Cooking of food on stand/booth
Exhibitors are not permitted to distribute, sell, or give away any other items of food or drink without the PCEC’s prior written approval.

Vehicle Displays
Permits must be completed and written permission must be obtained via the PCEC Perth
All display vehicles must be supplied with a drip-tray under the vehicle. The vehicle keys are to be left with Security Control, unless other arrangements have been made with the Event Planning Manager.
Vehicles displayed in foyers must be located to ensure a clear space of 3m to another vehicle.
All Vehicles that are displayed on the expo floor will have a 10:00am Bump In time. A member of the events team will be in contact to discuss details with you closer to the event.
Custom Builds
Developing Australian Communities have enlisted the services of Perth Expo. This team has worked closely with the PCEC to ensure all booths meet their requirements. If you have a custom booth that is NOT being built by Perth Expo you will need to seek written approval from PCEC Perth and submit all required documentation.
Candles
Don’t light and use candles. The risk is simply too hard to manage at our event.
Printing
There are no printing services available from us as an event service. You can contact the venue and local suppliers. Unfortunately, we are too busy to arrange this and won’t have a good printer available.
Privacy
Developing Australian Communities takes the privacy of the data we collect seriously. At no point do we share client/visitor data bases with other organisations or sell this. Most events in Australia sadly have scammers that contact exhibitors offering to sell data bases. We will never do this so please forward any such email or offers to us so we can alert everyone.
If you are approached by companies selling you client lists, this is a scam.

There are scam emails sent to exhibitors at almost every event in Australia as this is a popular scam.
We cannot control this but please be assured we do not share our data base.
Retail cafés and food and beverage outlets
There are many restaurants and bars located a walking distance in and around PCEC
More info can be found here there will be a kiosk in the halls and some food suppliers and there is a very nice café at the front of the venue.
Security
In-house security will be onsite for the duration of the expo. Security officers will be present from 7:30am - 6:00pm - No exhibitor is permitted on the expo floor outside of these times.
PCEC also has a range of CCTV cameras which will be managed from their central control room. If you require security assistance, please see the staff at Expo Help who will be able to assist or the nearest PCEC security staff
All instructions issued by the Security Department must be complied with. To ensure safe traffic management, all instructions issued by dock marshals must be followed.
Smoking policy
The Perth Convention and Exhibition Centre is a no-smoking Venue. Smoking is not permitted anywhere within the PCEC Perth or near any entry or exit.
Stand or booth construction
Developing Australian Communities work closely with our Expo Builder, Perth Expo to provide the booth you have purchased.
Stands built for Exhibitions must comply with the Building Code of Australia and all other statutory regulations current at the time of installation.

Storage of items
There is limited capacity for the storage of excess items during the expo. Please see a member of the Events staff for assistance. These will be assessed on a case by case basis on the day and storage is not guaranteed.

Venue Signage
Directional signage is clear and easy to read and main signage, including lifts, have braille tactile indicators. Directional signs for public amenities incorporate the universal symbol for access
Wheelchairs
The PCEC may have wheelchairs that may be borrowed on a first-come, first-served basis, free of charge, for use within the building. The wheelchairs are manually operated and may not be taken outside of the building.
