Agawam Council Annual Report - 2017

2017 ANNUAL REPORT

Director’s Report Each summer, parents trust me with the physical, emotional, and moral development and safety of their children. A significant burden of responsibility, to be sure, but it takes a village to run a camp, and I am incredibly lucky to enjoy the support of a passionate and dedicated community. Our enthusiastic and talented counselor staff comes to mind first. Their loyalty, care, and mentorship provides the foundation for the amazing program and the magic that happens each summer at Agawam. I am also supported by a dedicated year-around leadership team, an exceptional Board of Directors, and an engaged base of alumni who all care deeply about Agawam, our heritage, and the meaningful camp experience we provide. In addition, it is hard to imagine a more supportive parent population. The education and support of boys in today’s world can seem daunting, but I am proud that Camp Agawam is up to the task, thanks in large part to our remarkable “village.” 2017 was another great year on the shores of Crescent Lake. Agawam was full to the gills, and we enjoyed a 92% return rate for our 7-week campers. The Main Idea was also full, with a great turn-out of alumni volunteers. Each summer, we survey our parents in order to get constructive feedback about the camp season. While there is always room for improvement, feedback in 2017 was as positive as I can ever remember. On the final day of camp, I was approached by the father of a new camper who, prior to the summer, admitted that “my wife is all about camp, but I really don’t get it.” He took me aside after loading the car with his son’s trunk and duffle, and with a big grin shared, “I just spent twenty minutes with (my son). Now I get it, thank you!” A proud moment for me, to be sure, but also a reminder of the commitment of our parent community. Thank you for trusting Agawam with your sons each summer. Anyone who has spent time at Agawam will likely agree that there is something special about driving down the camp road. I will always remember the rush of emotion and excitement I felt as a camper, a counselor, and alumnus when I turned right off of Route 85 onto the camp road and rolled down the windows. I feel it to this day. The smell of pine and the realization that I will soon be in Camp always elicits a few butterflies, along with some powerful feelings – knowing troubles will slip away as I return to that unhurried, special place that I love. Soon, 2018 campers and counselors will make the emotional first drive down the camp road, and one of the first things they will see as they pass by Ap’s Field will be our new Infirmary. Agawam’s builder, Bill Symonds, is a talented and careful craftsman who has done wonderful work for Agawam over the years, beginning with the construction of Mason Hall in 1994. In fact, there are very few structures in camp that he has not either built or renovated. Bill is a successful builder, and he is also a Main Idea alumus. In addition, his son Daniel, a Main Idea alumnus himself, will be a first-time Main Idea volunteer this summer. I am proud to report that, in addition to retaining Agawam’s timeless character, the new Infirmary provides much-needed improvements in the form of camper accommodations, an exam room, a medication room, and nurse’s quarters. Camp Agawam is about people, and the new Infirmary has had a big impact on our ability to attract a high quality nursing staff: because of the expanded living quarters, I was able to hire and house two exceptional full-time professional nurses. Thank you to the Agawam, My Agawam Campaign donors who have made this all possible. It is my sincere hope that you will visit Camp this summer and get that special feeling as you drive down the camp road. I hope that you smell the pine, feel the breeze off of Crescent Lake, see the places you remember, and meet the campers and staff. And I hope you feel pride in the fact that your loyal commitment forms the bedrock of support upon which our place and our community sits so firmly. Thank you for being a part of the “village” that preserves and perpetuates Agawam. ‘Til we meet again…

“Chief” Erik Calhoun

President’s Report To Agawam Alumni & Friends: I have been honored to serve as the 13th President of the Agawam Council and will be finishing my term in August. It has been a privilege to lead this longstanding organization. With the passing of Dave Mason, my dad, and our approaching 100th anniversary in 2019, I am honored to continue the Mason legacy as we remain committed to positive values and personal growth, a meaningful camp experience, lifelong relationships and engagement, and our enduring heritage. Last summer, we concluded a very successful 98th season at Camp Agawam with another full enrollment, serving 167 boys from 9 countries and 30 states. 31 of these boys received full or partial tuition assistance, thanks to our generous and growing donor community. In June, the Main Idea had its 47th season, serving an additional 104 boys from 33 different schools, some home schooled, from 30 different towns in Maine. It is remarkable that the Main Idea has now provided a total of 3,622 camper summers, profoundly influencing so many lives in such a positive way. In August, Camp Center Stage had over 100 campers participate in their programs on our campus. The leadership team, directed by “Chief,” was the group that delivered our mission and led the way for another successful season. A lot of camps were not full in 2017, and Agawam continues to lead with full enrollment. I am proud that Agawam remains strong and successful, thanks in large part to our devoted and supportive network of alumni and families. Agawam is in the midst of the quiet phase of a major 100th anniversary fundraising initiative, the Agawam, My Agawam Campaign. Thank you to our Campaign Co-Chairs, “Bos’n” Frank Anthony and “Major” Ben Small, and other volunteers for their tireless work and dedication, and thank you to all Agawam alumni and families who have supported the Campaign thus far. Early giving has funded the construction of our new Challenge Course, as well as the new Infirmary. Future building/infrastructure projects, which we will break ground on once they are fully funded, include the expansion and leveling of Ap’s Field and construction of a new counselor recreation space. The Campaign will provide for the creation of long-term funds designed to preserve the Agawam experience and expand our Campership offerings for generations to come. To learn more about this historic initiative and discuss the nature and timing of your own potential commitment, please contact “Lt” Mike Bensen at lt@campagawam.org or (207) 512-0382. We are grateful for the volunteers that serve as Agawam Council’s Board of Directors, Committee Members, and Agawam Association Members, all of whom volunteer their time to support and strengthen the organization. Examples of Agawam Council’s work include: Communications & Alumni Relations (Chair: “Commodore” Basil Murray): The annual Alumni Newsletter was distributed in January, with a special tribute to Dave Mason. Planning for the upcoming Camp Agawam 100th Celebration and Alumni Reunion is moving into high gear. Mark your calendars for August 16-18, 2019. Other items this committee is working on include a reboot of the Agawam Association, a College/Career outreach and mentoring program, updates to the Camp Agawam website, and updating committee charters. Development (Chair: “Major” Ben Small): Along with work on the Agawam, My Agawam Campaign, the Development Committee is focused on continued growth of the Annual Appeal and the various events that support our annual fundraising efforts, including the overwhelmingly successful AG/WAM Challenge for Camperships!! We are also working on expanding planned giving, with a goal of 100 Hiawatha Society members by the 100th anniversary. Finance (Chair: “Chips” Alex Cobb): We continue to look at our financial performance and monitor investments. Our Treasurer hosts an annual budget meeting analyzing past years’ results and setting goals for the upcoming year. A detailed Treasurer’s Report, included in this document, indicates that Agawam remains in a strong and sound financial position. This past year we had great financial results driven by full enrollment and careful budget controls. Governance (Chair: “Slugger” SJ Baxter): We had a productive Governance Workshop at our recent Winter Board Meeting, as we look for continuous improvement to the way we operate. The committee has launched a new board orientation program and is working on further on-boarding and mentoring efforts. Other focal points include board communication, document retention, optimizing survey processes and reviewing staff roles and responsibilities. The committee is also looking to broaden our outreach and continue to prioritize diversity on our board. A full external financial audit will occur next year as part of our regular policy. Long Range Planning (Chair: “Bowman” Scott Malm): We continue to work with all committees on implementation of our board-approved

3

President’s Report Strategic Plan objectives, ensuring that we stay true to our mission. Plant (Chair: “Bos’n” Tommy Barnard): In conjunction with the updated Master Site Plan approved in 2016, and thanks to donors to the Agawam, My Agawam Campaign, the Challenge Course was completed for last summer’s season and the new Infirmary will be ready for use this summer. The 2018 budget has multiple projects including roofs, showers, a new H-Dock, and maintenance and program equipment. We are working on a signage and memorial tree project and the next forest management project. Agawam continues to support and collaborate with the Crescent Lakes Watershed Association, which does important work monitoring and preserving the quality of Crescent Lake. Program (Chair: “Trapper” Dan Cluchey): We have continued the annual evaluation of our many programs for relevancy and enhancements. Most recently we have looked at Totem and trophies, and this year will be evaluating activity training and expertise and technology. As I look back over the past three years, Agawam has accomplished significant milestones:

• Approved and implemented Strategic Plan • Supported the Loon Echo Land Trust to preserve land on Crescent Lake • Updated the Camp Agawam website • Launched Agawam, My Agawam 100th Anniversary Campaign • Made ongoing revisions to stakeholder survey process • Completed an external financial audit with clean results • Approved Master Site Plan as our blueprint for future physical work at camp • Completed forestry management cutting • Acquired adjacent parcels of land (Frog Hollow & Webbs Mills Road) to provide housing and buffering around Camp • Constructed new Challenge Course • Updated By-Laws • Supported the Crescent Lakes Watershed Association (CLWA), preserving the quality of Crescent Lake • Restructured Agawam Council Governance and Executive Committees • Celebrated Dave Mason’s 100th birthday with gatherings around the world • Increased annual giving participation to over 1,200 donors, with consecutive $400,000+ annual fundraising totals • Enjoyed three years of $100,000+ results from the AG/WAM Challenge for Camperships!! • Constructed new Camp Infirmary (to be completed for 2018 camp season) • Initiated planning for the Camp Agawam 100th Celebration and Alumni Reunion in 2019

Our succession planning is well underway, and I have been working closely with “Admiral” Peter Wilson this past year so that he is fully engaged and prepared to take over as Agawam Council’s President in August. Finally, I would like to recognize our entire community - parents, alumni, campers, staff, friends, volunteers and donors: thank you for your support of our ongoing mission to protect and preserve this wonderful institution on Crescent Lake! In Agawam Spirit,

“Capt” Peter H. Mason

Treasurer’s Report Agawam remains in a strong and sound financial position thanks to the generosity of our donors, the loyalty of our camp families, and the expertise and dedication of our leadership staff. Agawam continues to practice conservative financial management of the resources that have been generously contributed to the Council. We strive to continue the traditions and commitment to stewardship established by multiple generations of the Mason family and Garth Nelson, along with past and present Agawam Council and leadership team members. Financially, Agawam had another strong development result in fiscal 2017. In addition, the Council voted recently to increase the annual draw rate on the endowment to 3% from 2.5%. This decision was based on the recent increase in interest rates from historically low levels and the solid investment performance we have experienced over the last several years. This change will boost the endowment support for the Main Idea and Camp Agawam Camperships. Since the draw rate was reduced from 4.5% in 2012, we have successfully increased our annual fundraising support for the Main Idea and Camperships. We are grateful for the continued and growing support from our community. Agawam’s leadership team delivered a very strong financial result on the operating side. Camp was full, and tuition revenue was ahead of expectations. Operating expenses were under budget on several fronts. This combination generated a relatively large operating surplus that helped restore the working capital that was consumed by the modest operating loss in the prior year. Tuition revenue for FY2017 was $1,094,798, up from $1,032,235 in F2016. Tuition revenue growth going forward will be constrained by two conscious strategic planning decisions by the Council and Leadership team. First, to keep the tuition growth rate at or below the rate of inflation. Second, to reduce half-season enrollments of older boys, thereby forgoing some of the premium tuition fees associated with halfseason campers. Staff salaries, benefits, and payroll taxes make up our largest annual expense, with food, insurance, and maintenance and equipment comprising the other major components. Agawam finished the 2017 fiscal year with cash of $823,368, long-term debt of $406,201 and nothing drawn on our line of credit. Our ratio of current assets to current liabilities stood at a very strong 16 to 1. The long-term debt relates to our purchase of the adjacent Frog Hollow waterfront property that the Council had previously deemed to be strategically important for preserving the Agawam camp experience. The Council purchased the property for $429,000, financed by a commercial mortgage from TD Bank. While our buildings and land are carried on our balance sheet at a book value of more than $2,200,000, their full value property tax assessment is over $3,500,000. Early gifts to the Agawam, My Agawam Campaign have fully funded the construction on our new Challenge Course and Infirmary, and we have received several restricted donations directed towards long-term funds supporting Camperships, Main Idea, and Summer Staff compensation, as well as our Preservation Trust. Agawam’s 2017 balance sheet now includes $1.4 million of contributions receivable, which are also an important preliminary result of the Campaign. Thank you all for your generous support! Total investments of $1,533,364 represent our donor-restricted permanent endowments and our unrestricted Preservation Trust balances. Of that total, $80,340 is unrestricted and $1,453,024 is restricted by donors. Agawam continues to take a relatively passive approach to the management of our endowment, favoring very low-cost Fidelity indexed mutual funds for our global equity exposure and a mix of more targeted and lower-cost Fidelity mutual funds for our fixed income investments. In early 2016, the Council voted to raise the equity allocation of the Main Idea and Campership Endowment from 50% to 60%. The Council ended calendar 2017 with an asset allocation of 60% equities and 40% fixed income. For the calendar year that ended in 2017, the Main Idea and Campership Endowment generated a rate of return of 14.1%. For reference, a benchmark return implied by an allocation of 60% to the S&P 500 and 40% to the Barclays US Aggregate Bond Index would have been 14.5%. Relative performance was helped by our exposure to international equities, which performed better than the S&P. Our conscious decision to limit the interest rate exposure of our fixed income portfolio with a shorter-duration allocation was a drag on relative performance. The Council is confident in our solid financial position but remains mindful that our historically modest operating surpluses and relatively small endowment will need to grow in order to provide us with sufficient funding to be forward thinking about preservation of the physical plant and the Agawam experience for the long term. The Council has taken some substantial steps to increase our flexibility here with the Agawam, My Agawam Campaign, but more work will be needed to ensure Agawam’s viability.
