Cameron Knoll Home Owners Association Board Meeting Monday, 4 January 2016 Held at #69 Fendall Ave.
Meeting Start – 7:04 pm Attendees: Sean Lenehan, Olin Thomas, Thom White, Dave Hostetler, John O’Dowd, and Elaine Curry (RPMC). Resident’s Forum: Resident (#37 Fendall) provided feedback/comments on annual meeting and committee reports/presentations. Suggested board focus on extending outreach to new community members for new ideas (Welcoming/Hospitality Committee) and to spark interest in the CK community, committees, and board participation. Committee Reports: Treasurers Report – Olin Thomas A review of the community financials for Nov. 2015 was discussed/reviewed. All was in order. Several questions were directed to RPMC for accounting/reporting clarifications. September, October, and December 2015 financials will be reviewed at the Feb. 2016 meeting Landscaping Committee – Olin Thomas Please note: a landscaping map of the CK area is available upon request by contacting Elaine (RPMC) or the Board. If any resident is of doubt of common areas please check the CKHOA website for forms and information and feel free to contact Elaine Curry for clarification. Architectural Review Committee – Dave Hostetler ARC request for #39 S. Floyd Street (Deck Repair/Add Stairs) was approved/signed. Residents notified of approval. Welcoming Committee - John O’Dowd A Welcoming/Hospitality committee meeting is planned for the near future. Please feel free to attend. Date and time TBD based on committee’s availability. Old Business/New Business: The Rankin landscaping contract for 2016/2017 was discussed. Clarification is required on several expenses and areas of coverage. Approval deferred until Feb. 2016 board meeting. A planned walk through (Rankin rep./LC/Board) to review coverage areas and discuss community concerns will be conducted before award. Sewer Repair Modernization: The City of Alexandria & AM Liner are continuing preparation and work to repair/update/modernize existing CK and city sewers. Work may impact Units #63 & #65 due to access to sewer/manhole issues. A discussion on revising the ARC forms continues along with updates to the CK website. Resident Jeff G. has volunteered to assist in website updates. ARC Forms, currently hosted on the website were discussed. New ARC request forms will be simplified and the process streamlined in the coming months. NOTE: 2016 ARC Requests - Please contact Elaine Curry direct for ARC requests. Forms currently available on the website can be used until updates to the forms and process are completed and available via the website. Please Note: Committee member positions (welcoming/hospitality, landscaping, rules, safety, etc.) are available for any resident who wishes to volunteer/serve. Please contact Elaine or attend a future board meeting if interested for additional information or details. All are welcome and your time and assistance is appreciated and vital for the Cameron Knolls community. Executive Session: Attorney letter was provided for board review. The topic related to collection actions/options for dues seriously in arrears. Item tabled until Feb. meeting for review/discussion in order to allow adequate time for the board to read/review letter.
