Announcing Our New Digital Access Control System: Enhanced Security & Efficiency For Vendor Visits
We are pleased to announce the rollout of a new Digital Access Control System designed to enhance security, improve guest management, and streamline vendor access to our property.
WHAT’S NEW?
Our updated access control process includes several exciting features that will modernize and simplify how we manage vendors and contractors entering the premises:
• Digital Sign-Ins with Photo Capture: All vendors will now complete a quick digital sign-in process upon arrival, which includes capturing their photo. This ensures accurate records of who is entering the property and when.
• Vendor Identification Badges: For vendors and contractors who visit less frequently or are not widely recognized by residents or staff, we will issue a temporary identification badge at the front desk. This helps our community and staff easily distinguish authorized personnel on-site.
• Searchable Visitor Log Database: Every checkin is stored securely in a searchable digital log. This database provides the management team and security staff with easy access to historical visit data, improving oversight and accountability.
KEY BENEFITS TO THE COMMUNITY
The new system is more than just an access control upgrade—it’s a step toward better service and stronger community trust. Here’s what you can expect:
✓ Increased Access Control & Transparency: With real-time photo documentation and check-in records, we gain greater clarity over who is on the property at any given time.
✓ Improved Communication: Front desk staff can more easily engage with vendors, confirm appointments, and verify identities, fostering a smoother visitor experience.
✓ Enhanced Accountability: The ability to track and review vendor access supports improved vendor performance and strengthens compliance with property rules and policies.
✓ Community Confidence: Residents can feel confident that we are working hard and doing our best to ensure every individual entering for service purposes is properly logged, identified, and managed.
WHAT RESIDENTS SHOULD KNOW
There is no action required from residents at this time. Owner’s guests, family members, and long-time service providers and vendors will be provided with preferential treatment as they always have. However, if you are expecting a vendor, we encourage you to notify the front desk in advance. Doing so helps us facilitate a smoother check-in process for your guest.
This upgrade reflects our continued commitment to safety, efficiency, and a high standard of service for our community. We thank you for your cooperation and support as we implement this improvement.

Dining Room Reservations
Please make dining room reservations before 10:00 AM for lunch and before 2:00 PM for dinner. Lunch seating is from 11:30 AM to 1:30 PM in both the Madeira and Valencia rooms (casual attire for lunch). The dining room closes at 2:00 PM. Dinner seating is from 5:30 to 7:30 PM. Reservations are required for all dining rooms for lunch and dinner to ensure the best possible service. Please call 239.593.2331.
Notary Services
Take advantage of complimentary notary services for residents, available Monday-Friday. Please contact Veronica at 239.593.2313 to arrange an appointment. Should Veronica be unavailable, Darci and Don are certified notary professionals prepared to assist. Please remember to bring your identification and notify us if witnesses are required.

In an effort to increase transparency and keep residents better informed, we will begin posting committee meeting schedules. The goal is to maintain a consistent cadence, with meetings ideally occurring on the same day each month moving forward. Here’s the current lineup of meetings, open for resident attendance and input:

Don’t let calm skies fool you—now is the time to prepare. Here are five essential steps every resident should take:
• Update Your Emergency Plan: Talk with family or caregivers about how to handle different emergencies, including hurricanes, fires, or medical events. Assign roles, choose an out-of-town emergency contact, and make sure everyone knows the plan.
• Stock Your Emergency Kit: Include nonperishable food, water, medications, flashlights, batteries, and face coverings. Consider any specific health or mobility needs. Add extra items to your weekly grocery list.
• Stay Connected: Download the FEMA app and any airline apps you may need. Monitor local alerts and weather reports so you're ready to act quickly.
• Know Your Risks: Understand the threats common to our area—hurricanes, flooding, wind damage, and mold. Take photos of your unit and belongings now for insurance purposes.
• Practice and Review: Revisit your plan regularly. Update it if your health, contacts, or building policies change. A little preparation now can make a big difference later.
