Process Booklet


Introduction This booklet is made for you in order to explain, in a clear and understandable way, the process we should follow to deliver the best experience possible for iGV, iGE and iGT partners, according to our Customer Flow.

The objectives of this booklet are:  To set clear guidelines that can be used by every single team member in every LC in Algeria.  To frame, professionalize and align our relations with the partners.  To get rid of the negative mindset according to which ICX performance requires huge human resources to organize projects that will attract EPs: our role is to deliver Leadership Development experiences to as many people as we can and have the widest positive impact possible.

Partners are in direct contact with the local communities, at a daily basis. We cooperate with likeminded NGOs, startups and companies because their actions are relevant and they know what our society really needs.

Partners’ activity will define our ICX performance and how much it will grow in order to contribute actively to the overall national goal of 1K Realized.

Partners are the perfect key for AIESEC to become accessible to everyone, everywhere in Algeria. As we strive to see the world around us change for the better, we need to widen our reach, because a wider reach means a bigger impact.

1. Target your partners: • •

Do a serious online and offline market research and build a strong database. Get in touch with your targets during events and fairs, as a first contact. Examples: - Global School -> Private middle and high schools. - GE -> Startups and SMEs: 3 months, no salary for the EP. - GT -> Language Schools: 3 months, salary for the EP.

2. Sales: Prepare your tools and your speeches. Use your sales booklet (AIESEC and project presentation, value proposition, etc.) to be sent by email or handed to the enabler’s representative. iGV Booklet: http://bit.ly/GV-Booklet iGT Booklet: http://bit.ly/GT-Booklet • Presentations, videos and testimonials will strengthen your offer. • Explain well the AIESEC Purpose and the 2 spaces that the Partner should deliver. • •


Explain the options you have for the partner and make sure you choose (together) the right one for them:

Decide which formula you will propose to each of your targets: - To sell a ready project + EPs to the partner. - To sell only EPs (the partner already has a project). Always remember to highlight the fact that your project is SDG-aligned, based on the Algerian reality. If your partner is not aware of the SDGs, try to update them about their importance and make them feel involved in your ambition to contribute to their accomplishment.

What would be the best option for your target: iGE or iGT?

iGT

Your choice depends on your partner’s requirements: - Duration of the internship. - Job description. - Price of the product.


3. Meeting: Presentation of the booklet (and PPT, if possible): value proposition, SDG contribution, LDM, etc. Clear expectation setting: whole process explanation, project’s details (JD, working hours, needed preparation, duration, realization timeline ,the spaces etc.), each side’s responsibilities (visa, accommodation, leadership development framework, etc.) Project/opportunity coordinator: select one from the partner’s side for a better communication.

If your partner has a good opportunity but can’t provide accommodation, you should. But make sure they provide other facilities, such as food and transportation. AIESEC and the partner need to be complementary.

During the negotiations, ask the partner to provide as many logistics as possible.

iGE iGT

When the duration is up to 3 months, it’s highly advised to work only with partners that can provide, at least, accommodation. It can be provided directly, or indirectly through a sponsorship to AIESEC.

You also should select ONE project coordinator from AIESEC’s side who will be responsible of communication in ATTR and CONS, then responsible of following up with the experience during VD and ADV.


I explained everything to them, and they said “yes”. What are they still considering? Why can’t you just take my EPs, Partner?


1. Contract: • • • •

Sign the contract that includes everything discussed with the partner. Involve the partner in the visa process (host declaration and supportive invitation letter). Make sure your contract is customized to each specific partner and that it keeps all involved parties (AIESEC, the EP and the partner) accountable to each other about their responsibilities and the actions to take in case any of them doesn’t fulfil them. 2. Communication: LEAD Nurturing should be ensured to showcase GCPs and testimonials from Algeria and abroad. It can be done in several ways (newsletter, calls, SMS, visits and meetings)

Provide the company with a shortlist of applicants for them to interview and make the final decision on the EPs that will be approved. The partner selects and approves the EPs.


Okay! Now that I brought them the EPs they wanted, should I take care of the EPs or of the Partner? Can’t I just leave them alone and celebrate my LC’s growth? With Cookies. Somewhere cool.


In VD, some priorities need to be discussed and negotiated with the partner. You have to agree, from the begining, on who should do what.

1. Co-deliver, with the partner, the IPS and the two spaces ( JD Alignment with personal goals + debriefing). 2. Follow up with the EP and the partner: • • •

Permanent communication with the Opportunity Coordinator to make sure the partner is fulfilling all of its responsibilities (project delivery, accommodation, salary, etc.) Ensure the EP is committed and fulfilling their JD. Keep listening to both of them and constantly seek for their feedback.

Don’t forget to deliver all of the Exchange Standards responsibilities towards the EP during VD.


Let’s not pretend you didn’t like it, Partner! This experience was beyond your expectations and I did everything to deliver value for both of you and your EPs, so don’t be selfish: talk about it to your friends and promote us in your network. We want everyone to benefit from AIESEC, here!

Market Research: build your database Approach all Private Middle & High Schools in your region to sell AIESEC GV educational projects

Approach all legal NGOs in your city/wilaya/region to explore GV partnership opportunities Select and approve the required number of EPs you agreed on Once the EPs are here, keep in touch with them and with the partner to deliver your project and the 2 spaces in the best possible way

Attend all entrepreneurship events and business fairs Invite entrepreneurs, CEOs and businessmen to your events Propose GE to all startups and SMEs in your city/wilaya/region

Propose GT to all Language Schools, SMEs and companies in your city/wilaya/region

Provide the partner with a list of all qualified applicants Support them during the selection process (interview, etc.)

Make sure the opportunity’s JD is being fulfilled and that both the partner and the intern are satisfied

Assist the intern and ensure the partner is respecting your contract (visa, salary, accommodation, etc.)

Involve the partner in the IPS delivery (first week after arrival) Evaluate the partner’s experience, using the EP’s feedback Work on improving the project and the partnership

Provide the partner with the intern’s insights Evaluate our product’s added value to the partner Get the partner’s endorsement to approach new customers
