Our Landlords Services GL Westcountry Properties offer free realistic rental valuations in Exmouth and all of East Devon including Exeter and surrounding areas. We offer appointments in the working day, evenings and also weekend, we will fit in with you. We offer a NO LET NO FEE to all of our landlords. This means that your landlord fees are not paid until your new tenant has moved in. Whether you are a first time landlord or hold an extensive portfolio, we are the right agent for you, giving our expert advice and keeping you updated with any new regulations. We offer three different services which can be professionally tailored to suit each landlord to ensure we cover exactly what you want from your local independent letting agent. Whether landlords choose any of our three services, all with be dealt with by us professionally in our local Exmouth Office.

Silver Service (Tenant Find) This service includes agreeing the market rent, advertising and finding a tenant in accordance with the landlord’s requirements. To conduct viewings and when a potential tenant is found, carry out reference checks. This includes previous landlord’s reference, employer’s references and credit checks. The tenant(s) will sign our tenancy agreement and pay us the deposit and the first month’s rent prior to moving in. We will also set up a standing order for the rent to go straight to the landlord. Our fee for this service will be taken out of the first month’s rent and the remainder will be paid into the landlords nominated bank account. (For an additional fee, landlord’s can instruct an inventory too).

Gold Service (Rent Collection) This service includes everything in the silver service with the addition of collection of the rent and a monthly statement. This upgraded service includes pursuance of non-payment of rent & advice on rent arrears actions. Landlords also qualify for rent guarantee which means if the tenant defaults on paying the rent it would still be paid (this is for an extra fee and is optional but advisable). The rent is paid to us monthly and we take a percentage out every month. (An inventory service can be added for an additional fee).

Diamond Service (Fully Managed) This service includes all in both the Silver and Gold Service and provides full management. We will carry out routine visits on the property every four months. After this is carried out you will receive a report to keep you updated. For any maintenance issues, we have our own local contractors team to look after the property if and when required. If you’re a landlord who wants to be contacted before maintenance begins, then we will inform you straight away before we instruct our contractors. Or some landlords prefer to agree a spending limit and only be contacted if it is over the agreed amount. This can be tailored to suit individual preference. Normally any invoices for work carried out will be deducted from the next month’s rent.


The Renting Process GL Westcountry Properties are a professional local independent agency - our expert team can help you find the right property.

What is the renting process? The first step in the renting process is finding your ideal rental property. Search our full list of current properties available to rent. If there are any properties on our website that you would like to arrange a viewing for, please contact us. We will arrange a suitable time to accompany you to view your chosen property/properties. Once you’ve found the property you’d like to rent, we’ll contact the landlord on your behalf to give details to the landlord about yourself. Once the landlord has accepted your offer, subject to reference checks, the following will need to be completed.

Next Step: • You will be requested to pay the referencing and adminstration fees up front. This will then take the property off the market and will reserve the property subject to referencing.

• You will need to complete a fee form which will enable us to indicate the amount due before you move in and

any other fees which may occur. • You will be asked to complete our referencing forms which will be sent to our referencing agency to complete their checks.These include credit checks,employers and previous or current landlords references. You also need to provide us with a valid passport and proof of address in order for us to carry out the right to rent checks. • Once we have received your final referencing report back from the referencing agency, the information will give us an outcome. If the report comes back as ‘guarantor required’, which isn’t uncommon,you would need to have someone who has an income and would be happy to stand as your guarantor.The guarantor will also need to be reference checked and again we will receive a final report. • Once all referencing final reports are back, we will inform you and the landlord and finalise a completion date for your tenancy to start.

Final Steps • If you have a guarantor, they will then need to sign an agreement at this stage which is called a Deed of Guarantee.

• You must have all the funds ready and available at this point to pay any outstanding fees, your deposit and

your rent. This can be paid by cash on the day of signing your tenancy agreement or by bank transfer paid at least two days prior to ensure funds have cleared. If it hasnt cleared, you cannot sign or move in. • We will arrange for all tenants to meet with us to sign the tenancy agreement, complete a standing order, collect your welcome letter with the details of the service providers and the inventory. • That’s it- you are ready to move in to your new home and the keys are released to you.

Additional Information • If the landlord has chosen us to manage your property, you will have our details and can contact us throughout your tenancy.

• If the landlord has chosen to manage the property themselves you will have the landlords details and you

contact them throughout the tenancy. • The deposit will be registered in a scheme until the end of the tenancy whether we manage or the landlord manages the property. • Our tenancy’s are a minimum of 6 months unless otherwise agreed. • A minimum of one months notice is required from you, which we will need to receive in writing by the 5th month if you have signed a 6 months tenancy. • If you have any questions please contact us.


Safety Regulations & General Information The Landlord and/or his managing agent are responsible for ensuring that the rented property meets safety standards with regard to the gas installation, pipe work and appliances.

Gas Safety An approved Gas Safe registered engineer must carry out safety checks every 12 months. A written safety record must be supplied to the tenants.

Carbon Monoxide Detectors & Smoke Alarms From 1st October 2015 regulations require both smoke alarms and carbon monoxide alarms to be installed in rented residential accommodation. We ask Landlords to ensure that both are in place.

Electrical Safety In order to comply wth Consumer Protection Act Landlords must ensure that each electrical appliance (kettle, toaster, washing machine and gas cookers with electric ignition. etc) is safe and does not present any danger to a user. To ensure compliance with the act, a 5 yearly inspection and testing report is recommended. All appliances supplied must have all the necessary instruction books and warning details and we would recommend that copies are taken and left at the premises. GL Westcountry Properties can arrange to carry out gas and electrical safety inspections through qualified engineers.

Furniture & Furnishings All upholstered furniture and furnishings (i.e. mattresses, scatter cushions, loose fittings and permanent loose covers but not carpets and curtains) manufactured after 1950 are required to be fire resistant. This means that furniture which can be shown to be manufactured before 1950, is exempt because dangerous materials were not used in the manufacture of furniture prior to this date. This regulation applies now to all let properties.

Leasehold Properties Should the property you intend letting to be a leasehold property, permission must be sought from the freeholder prior to allowing tenants occupation.

The Selling Process Selling your property can be a stressful time we will work with the solicitors and will work with you and keep you informed of each stage right to completion.

You have accepted a offer on your property, what’s the Selling Process? 1. Instruct a solicitor to act on your behalf. 2. Share contact details of key parties including broker, solicitor and agent. 3. Provide ID to solicitor for anti-money laundering checks and also evidence of title to confirm legal ownership of the property, rights and restrictions of any third party interests. 4. Complete information forms sent from your solicitor, including fixtures and fittings list for the buyers. These will be included in the contract pack that is sent to the buyer’s solicitors. Provide any planning permissions, building regulations and guarantees. If your property has a management company, provide details to your solicitor and contact them with a payment to obtain the management pack. Also send out paperwork relating to the property. 5. Once the contract pack is prepared it will be sent to the buyer’s solicitor, which includes a draft transfer and replies to Requisition on Title: a questionnaire relating to the sale of the property that will ensure that key information about the property is obtained prior to completion. 6. Your solicitor will apply for the title deeds and mortgage redemption figure from your current lender, a statement of the amount owing to repay a mortgage up to the date you are due to complete. 7. You will receive the contract and transfer to sign in readiness for exchange of contracts. 8. Your solicitor will receive additional enquiries from the buyer’s solicitor and will confirm receipt. They will send any relevant enquiries to you for further instructions. 9. With your solicitor, answer any additional enquiries received. 10. Send back the signed contract and transfer to your solicitor in readiness for exchange. 11. Your solicitor will then send the signed Transfer Deed, which transfers the property from the current legal owner to the other party, to the buyers solicitor. 12. The buyer’s solicitor will confirm that all enquiries are satisfied. 13. A call will be made to both buyer and seller to confirm that exchange can take place. This is also when the agreed completion & moving dates now form part of the contract. No change to the the agreement or withdrawal is now possible without a financial penalty. 14. Your solicitor will obtain a final settlement figure from your lender for any mortgage held against the property and details of commission from us. They will then prepare a financial statement.

Once the sale money has been received, your solicitor will legally complete the sale and any remaining legal paperwork will be sent to the buyer’s solicitor. Once it is confirmed that all money has been paid and has cleared in your solicitors account you must move out of the property, as the buyer now owns it. Your solicitor will call us to arrange for the keys to be handed over to the buyer, once all monies are received. Your solicitor will arrange for payment of your old mortgage, our fees and then pay the remaining balance over to you.

Moving Checklist Three weeks to go...

Two weeks to go... Begin to discard unwanted items from the cupboards, attic and sheds.

Obtain or confirm estimates, removal dates and addresses from removals firms. Ask about packing, unpacking & insurance during your move. If you are moving yourself, check your home contents insurance policy for cover in transit and at your new address. Correspond with your building society/bank and any credit card companies advising them of your new address and amending standing orders etc. Arrange for water, electric, gas, telephone and other accounts to be finalised and sort out the new accounts for your new home. Book an electrician and plumber, if required, to disconnect and refit appliances from your old address to your new address.

Arrange for the Post Office to redirect your mail. Double-check your correct change of address. Clean your home to give your house a sparkle on removal day, so you feel good about leaving it.

One week to go...

Notify your dentist and doctor for your medical records to be transferred to your new practices. Confirm school transfers. Inform your employer of your move, confirming whether you require time off work. You may also want to arrange for someone to look after any young children and pets during your move.

Confirm moving arrangements with your removal firm or van hire. Clearly label any items you are leaving for the new owners and remove any fixed objects not included in your sale. Gather all keys for your existing property and arrange their handover. Make sure loft, garden shed and other storage places have been cleared out ready for the removal/new owner. Advise your solicitor of the expected time of your move so they can ensure all completion money has been transferred from buyer to seller, prior to your arrival.


Moving tomorrow... Defrost fridge & freezer & pack your picnic, kettle & the tool box into your car. Complete packing, except for food, clothing and toiletries required for the moving day. Clean down all paintwork and working surfaces, including sanitary ware. Clean and cover carpets which are being walked over to avoid damage.

Moving today... Check all storage spaces and rooms are clear, lock all doors and windows, check kids and pets are on board! Make a note of and photograph all gas, & electricity readings. Leave a note of the reading for the new owner and if possible email the photographic reading to your agent. Check with your agent to see if the new owner is moving in today, as they may ask you to leave the heating and utilities on. Ask if you can have the readings for the property you are moving to and if the utilities can be left on so the house is warm for your arrival. Leave keys with your agent or as arranged with the new owners. Collect your keys from the agent, solicitors or the previous owners, as agreed.
