Collective impact in cancer

The Victorian Comprehensive Cancer Centre Alliance (VCCC Alliance) is Australia’s first and most ambitious comprehensive cancer centre: a joint venture of 10 member institutions, integrating cancer research, education, and clinical care.

Our members are academic, clinical and medical research institutions that are each leaders in their own right. The alliance brings the strengths of these organisations together, generating a critical mass of expertise, patient numbers and resources, underpinned by a pledge to work collaboratively towards shared goals in cancer control.

Our approach of dynamic, inclusive, system-level collaboration, coupled with world-class cancer education and the involvement of consumers, helps to accelerate the translation of scientific evidence into better outcomes for all Victorians affected by cancer.

VCCC ALLIANCE RESEARCH CONFERENCE 2023

We invite your support for a cancer research conference that is like no other in Australia. The VCCC Alliance Research Conference offers a multidisciplinary, tumour stream-agnostic approach that invites delegates to step outside their daily work, to learn, connect and gain new perspectives and inspiration, exploring the latest frontiers of cancer research.

This will be the third time the VCCC Alliance has hosted this major meeting. Building on past successes, we promise an interactive program bringing together leaders in the field and providing the opportunity for the Australian cancer community to focus on collaborative approaches to improve outcomes for all people affected by cancer.

The conference will be held over two days at the Melbourne Convention and Exhibition Centre in Melbourne, bookended by interactive forums and workshops.

Focused on a theme of Beyond the Breakthroughs, we are emphasising implementation, translation, and equity in a truly multidisciplinary conference, highlighting the integrated nature of a comprehensive cancer approach.

The first day will focus on cancer across the lifespan and social determinants of health, before day two looks to the future of cancer research, including emerging technologies and novel therapeutic pathways.

THE PROGRAM

Support multi-disciplinary cancer research

The VCCC Alliance Research Conference scientific committee, which includes consumers, has designed an engaging and creative program with the aim of attracting a diverse audience and encouraging learning across disciplines. The program promises to generate meaningful engagement and spark ideas and collaborations that will live well beyond the conference itself.

Spanning two days in Melbourne Australia, the conference is expected to attract around 400 - 500 delegates from across the VCCC Alliance membership and the broader cancer sector from Victoria and beyond.

The program will probe key questions, including:

• Multiple factors, including social, economic, and healthcare-related issues – how do we understand and address equity issues?

• Tumour immunology and micro environment –where are we now and where to next? How do we utilise strategies for reducing the burden of cancer on individuals and society?

• Will artificial intelligence have an effect on decision making and research in healthcare?

• What are the advances in cancer research and treatment that have led to improved survival rates and better quality of life for cancer patients?

Consumer involvement is fundamental to the way the VCCC Alliance works.

The alliance strives to involve consumers in all its programs of work, underpinned by a philosophy that professional inclusion of consumers contributes to more relevant and impactful cancer research, education and clinical practice, supporting better outcomes for patients.

Pharmaceutical companies are advised that consumers will be in attendance at this event.

It is incumbent on the pharmaceutical company to ensure that their presence at the conference complies with Medicines Australia guidelines.

To support successful, consumer-inclusive sponsorship of our events by pharmaceutical companies, we have taken advice from Medicines Australia and provide identification on name tags to specify profession/role (clinician/ researcher/consumer etc).

Sponsor-led workshops will be held before the main conference sessions open. Sponsors can lead these initiatives by providing the presenters and content to deliver education of your choice.

For your workshop to be considered you must include the following details in your proposal:

• Proposed name/title of the workshop

• Who the workshop will be targeting

• Topic or brief overview of what the workshop will involve

• Details of who will be running the workshop

Delegates will be invited to attend these sessions via their conference registration. Please note delegates attending these workshop sessions may or may not attend the conference. Please note that consumers will also be able to attend these sessions.

As the workshop host and sponsor, you will receive the following entitlements. Please note that your entitlements below only apply to the pre-conference workshop.

Applications will be reviewed by the conference organising committee. You will be advised by email of the outcome of your application. Please note this process may take up to ten (10) business days.

TERMS & CONDITIONS

The term ‘Conference Organiser’ refers to Think Business Events Pty Ltd and includes associations, corporate and government bodies who have engaged Think Business Events as their representative.

The term ‘Exhibitor’ includes any person, firm, company or corporation and its employees and agents identified in the Application Form or other written request for sponsor/exhibition space. The Goods and Services Tax (GST) at 10% is applicable to all goods and services offered by the Conference. All prices displayed in the Sponsorship Prospectus are in Australian Dollars and exclude GST.

1. A completed online Application Form is required to allocate sponsorship and exhibition booth/s. Acceptance of sponsorship and exhibition offers is at the discretion of the Organising Committee.

2. Space will be allocated on a ‘first come, first served’ basis and other factors such as size, preferences and sponsorship level. Allocations will be as close as possible to the desired location. Payment does not need to accompany the online Application Form.

3. Upon receipt of a completed online Application Form, the Conference Organiser will confirm entitlements in writing and forward acknowledgement of receipt together with a tax invoice.

4. The deposit will be 50% of the full amount, and payment is due 14 days from date of invoice. If payment is not received, the space will be available for sale to another company. The balance of the full amount will be due at a date specified on the invoice by the Conference Organiser. No exhibitor shall occupy allocated exhibition space until all monies owing are paid in full or unless prior approval is given.

5. All amounts are payable in Australian dollars. Direct deposits must be made payable to account details on the invoice. All payments must include the 10% Goods and Services Tax component.

6. Cancellation Policy: In the event of a cancellation, the sponsor/ exhibitor must submit the request in writing to the Conference Organiser. 50% deposit can be refunded minus administration fee for all cancellations made prior Thursday 10 August 2023 (30 days out). No refunds will be made for cancellations after that date. After bookings have been confirmed and accepted, a reduction of the sponsorship package is considered a cancellation.

7. Sponsors/Exhibitors are not permitted to assign, sublet or apportion the whole or any part of their package / booked space unless prior consent in writing from Conference Organiser is provided.

8. Privacy Statement: To assist with your participation, your organisation and contact details may be shared with suppliers and contractors, and be included in the participant lists and for the information distribution in respect to other related events organised by Think Business Events Pty Ltd. If you object to your details being shared, please inform the Conference Organiser vccc@thinkbusinessevents. com.au

9. Discounts for any entitlements not used or required will not be provided.

Official contractors will be appointed by the Conference Organiser to undertake stand construction and freight forwarding plus supply furniture, electrics and IT equipment. This is for insurance and security reasons.

10. Reserves the rights in unforeseen circumstances to amend or alter the exact site or the location of the stand and the exhibitor undertakes to agree to any alteration to the site or the space reallocated by the Conference Organiser.

11. Reserves the rights to change the exhibition floor layout if necessary.

12. May shorten or lengthen the duration of the exhibition and alter the hours during which the exhibition is open.

13. Agrees to provide the exhibitor with an exhibitor manual prior to the exhibition for the purpose of communicating required actions on the part of the exhibitor.

14. Reserves the right to refuse any person including exhibitor staff, representatives, visitors, contractors and/or agents’ entry to the exhibition if they do not hold a Conference name badge.

15. Will specify conditions relating to the movement of goods and displays prior during and after the exhibition.

16. Will arrange security onsite during the period of the exhibition but will accept no liability for loss or damage.

17. Will not be liable and makes no guarantee of the number of visitors to the exhibition. Equally will not be accountable for the level of commercial activity generated.

18. Agrees to promote the exhibition to maximise participation. The Exhibitor

19. Must comply with all the directions / requests issued by the Organiser including those outlined in the exhibitor manual.

20. Will not display an exhibit in such a manner as to obstruct or affect neighbouring exhibitors. This includes blocking or projecting light, impeding or projecting into aisles or neighbouring exhibition spaces.

21. Agrees to adhere to all VCCC Alliance 2023 Conference venue rules and regulations.

22. Acknowledges that the Conference Organiser has a preferred freight forwarder and agrees to comply with all instructions relating to delivery times. If an alternate freight forwarder is engaged, the exhibitor acknowledges that the Conference Organiser will not be able to provide assistance in tracking lost deliveries. The exhibitor agrees that the Conference Organiser will not be liable for any goods rejected by the venue, lost or damaged prior to the delivery date specified.

23. Must produce a valid Insurance Certificate of Currency for the period of the exhibition and this must be submitted to the Conference Organiser at least one month prior to the start of the Conference.

24. Will submit plans and visuals of custom-designed exhibits to the Conference Organiser at least one month prior to the start of the Conference. Exhibitors failing to do so may be denied access to the exhibition to build or may be requested to cease building.

25. Must not display, promote, sell or distribute products or medications that have not been approved for registration in Australia by the Therapeutic Goods Administration (TGA). The Conference Organisers reserve the right to remove your exhibit and personnel from the meeting in this instance. All exhibitors and sponsors must be able to provide proof of TGA compliance upon request.
