ACCOMMODATION THAT’S MORE THAN JUST A ROOM

Your uni home is just around the corner.

CHOOSING ACCOMMODATION THAT’S RIGHT FOR YOU

We know the idea of moving out can be daunting. Don’t worry, we’re here to make sure you find the right place. There are lots of accommodation options to fit all budgets and lifestyles.

WHAT ARE YOUR OPTIONS?

UNIVERSITY-OWNED HALLS

Stay in USW’s halls on the Pontypridd campus, where you’ll make friends fast and be a few minutes’ walk from your lectures. It’s the perfect start to student life.

PRIVATE HALLS

In Cardiff or Newport, enjoy the same friendly vibe in private halls operated by our partner providers. You’ll meet loads of USW students and others from nearby universities.

PRIVATE HOUSE

Share a house or flat with friends for that extra bit of freedom. Most students take this step in their second year but be prepared for the admin work of renting a house!

LIVING AT HOME

If you’re local, staying at home is a great way to study while staying close to family and saving on rent.

ACCOMMODATION CHECKLIST

Think you’ve found the one? Make sure it ticks all the boxes.

You’ve looked at halls. You’ve explored private student rentals. And you think you’ve found the perfect solution for you.

Great! But before you sign on the dotted line, here’s a final checklist:

IS IT AFFORDABLE?

Money is one of the most important (and obvious) things to consider when choosing where to live. Based on your student funding and your budget, can you afford to pay the rent every month? Take some time to work out costs. For instance, student halls may appear more expensive than other options but as they include bills and amenities, they may be cheaper in the long run. Check out our hints and tips and fill out the budget planner on pages 24-25.

DOES IT OFFER EVERYTHING YOU’RE LOOKING FOR?

Grab a notebook and write down your accommodation ‘must-haves.’ If you’re a person who values their own space, a studio apartment or an en-suite room is perfect for you. If you’re a fitness fanatic, then an on-site gym will be right up your street. Compare everything each accommodation offers against your list.

WILL IT HELP YOU MAKE FRIENDS?

Living in halls offers a real advantage, particularly in your first year, as there are many opportunities to socialise. Our Cardiff and Newport halls are also open to students from different universities, so you’ll meet a broad range of people.

IS IT IN A GOOD LOCATION?

Living in halls is a no-brainer when it comes to picking a convenient location. But if you choose to live further away, make sure there’s enough public transport options available so you can get to campus.

IS IT LEGIT?

Before you sign your contract, check the landlord is accredited with ‘Rent Smart Wales.’ This will make for smoother sailing if anything goes wrong later. Always view a property before you commit. Make sure you read the contract thoroughly before signing it.

If you’re thinking about living in a private house, check out SouthWalesStudentPad.co.uk our free accommodation search service or contact estate agents and landlords directly.

Once you sign a contract with an accommodation provider, you’re legally tied into a property for a specified amount of time. This can make it difficult to get out of your contract or move house if your circumstances change.

IT’S WORTH MAKING SURE EVERYTHING IS AS IT SHOULD BE BEFORE YOU SIGN ON THE DOTTED LINE. HERE ARE SOME THINGS TO CONSIDER:

• Whether you choose to live in USW halls or in one of our partner halls run by a private provider, you will be entering into a legally binding rental agreement Make sure you read the terms of the contract before you sign. If you are under the age of 18, the contract will also need to be countersigned by a parent or guardian.

• Find out if you can cancel your contract before you move in.

• Be clear about upfront payments. Accommodation providers can charge a pre-payment/deposit. This must be either returned to you or offset against your rental payment. If you pay a security reservation fee, it must legally be protected by a tenancy reservation fee scheme.

• Look for hidden charges such as residence fees, extra utilities or service charges.

• Get your contract checked by the USW Student Advice Team for free. You can usually download and view a draft contract before you sign it. If not, ask for a copy and contact us for a free contract check. Make sure you have read and understood everything before you sign.

• Check the property is accredited under one of the National Codes and find out who is responsible for managing it. The National Code of Standards is a set of specific standards that apply to larger student developments. It makes sure students have safe and secure accommodation, resolves any problems, and is supported by the National Union of Students (NUS). Find out more at www.nationalcode.org

• Refer to the Student Accommodation Code as it protects your rights to having a safe and good quality place to live. Find out more at www.thesac.org.uk

FAQs

APPLYING FOR YOUR ACCOMMODATION

WHAT TYPES OF ACCOMMODATION ARE AVAILABLE?

Our room types differ slightly between each of our locations but all are single occupancy (apart from our studios), en-suite rooms with shared kitchens and we have a range to suit most budgets.

We also cater for a wide range of personal preferences in our flats which we try to meet wherever possible. These include:

• Accessible flats

• Quieter living flat

• Alcohol-free flat

• Single gender

• Welsh-speaking

If you have a specific preference, don’t hesitate to contact us to discuss.

WHEN CAN I APPLY FOR ACCOMMODATION?

Once you have accepted your firm offer to study at USW, we’ll contact you from February 2026, or within two weeks if you have accepted your offer after this date, to complete the first step in applying for your accommodation.

DO I NEED A GUARANTOR? IF SO, WHO CAN ACT AS MY GUARANTOR?

If you apply to live at one of our partner halls providers, you will need a Guarantor. This can be a parent, guardian, or anyone over 18. They must have a valid UK address and bank account.

HOW DO I APPLY?

1. Once you have accepted your firm offer to study at USW, we’ll contact you via email and invite you to complete the first step in applying for your accommodation. At this stage, you will be asked to confirm your preferences in terms of accommodation location, room type and if you have any specific requirements. Within the application period you will also be required to make the relevant advanced rent payment/deposit by the deadline specified in your accommodation offer email.

2. If you are applying for a Cardiff or a Newport room we operate a ‘first fill’ system. This means that once we have enough applications to fill our nomination, we will start to make firm accommodation allocations to our partner providers.

To find out more about applying, go to page 37 or search for ‘Applying for accommodation’ on the USW website.

WHAT INFORMATION DO I NEED WHEN APPLYING?

When applying, you will need your user ID. As part of the accommodation application, you will also be required to make either an advanced rent payment or a deposit (depending on which accommodation you have applied for) which can be paid online. This is only refundable according to the terms and conditions of the accommodation provider.

SHOULD I APPLY EARLY?

It’s better to apply early as accommodation can often be in high demand, particularly within Cardiff city centre. If you leave it to the last minute, the accommodation you want may not be available. Check out details of our Accommodation Guarantee on page 11.

CAN I REQUEST A ROOM BASED ON MY PERSONAL PREFERENCES?

Yes, you can. We have a range of accommodation options such as accessible rooms, Welsh-speaker, single gender, alcohol free and quiet flats. If you have any specific preferences, please state them within your application and we’ll do our best to accommodate you.

AM I GUARANTEED TO GET THE LOCATION/ROOM I APPLY FOR?

Our accommodation guarantee is not location specific but for the majority of our students they will be offered either their first or second choice. We do our best to accommodate preferences as far as we are able.

WHAT’S THE LATEST I CAN APPLY FOR ACCOMMODATION IF I ONLY HAVE A CONDITIONAL OFFER?

This depends on availability. As soon as you become a firm offer holder, we will send you a notification to apply.

I WILL BE APPLYING TO USW THROUGH CLEARING. IS THE ACCOMMODATION APPLICATION PROCESS THE SAME AND AM I GUARANTEED A ROOM?

This depends on availability at the time of clearing. If rooms are available, then the process is largely the same. Please be aware though that rooms in Cardiff and Newport are in demand so you may have the offer of a room which could be on our Treforest campus.

I’M TRANSFERRING TO USW FROM A DIFFERENT UNIVERSITY. HOW DO I APPLY FOR ACCOMMODATION AND AM I ELIGIBLE FOR THE ACCOMMODATION GUARANTEE?

If you have been accepted by USW as a transferring student, the USW accommodation department will contact you and invite you to apply for your accommodation. If you are a new undergraduate or postgraduate student (i.e. starting your first year of study) then you will come under the terms of the USW Accommodation Guarantee. If you are in your second or third year you won’t be eligible for the Accommodation Guarantee and will be classed as a ‘returning student’. See ‘After my first year’ section for further details.

I HAVE COMPLETED MY FIRST YEAR OF STUDY AT A PARTNER COLLEGE AND WILL TRANSITION TO ON-CAMPUS STUDY FOR MY SECOND YEAR. HOW DO I APPLY FOR ACCOMMODATION AND AM I ELIGIBLE FOR THE ACCOMMODATION GUARANTEE?

If you are in your second or third year you won’t be eligible for the Accommodation Guarantee and will be classed as a ‘returning student’. See ‘After my first year’ section for further details.

FEES, PAYMENT AND YOUR CONTRACT

DO I NEED TO PAY A DEPOSIT?

You’ll need to pay an advanced rent payment or a deposit (depending on which accommodation you have applied for) which can be paid online. Typically this ranges from £100-£250. This is only refundable according to the terms and conditions of the accommodation provider.

HOW DO I PAY FOR MY ACCOMMODATION?

If you opt for a place in USW-owned accommodation, the total annual rental amount is split into three easy payments over the academic year. If you choose to live in one of our partner halls that are operated by private providers, the process is likely to be very similar. Further details of what to pay and when will be provided at the time your room offer is confirmed.

DO I PAY MY RENT IN ADVANCE OR ARREARS?

Rent payments are to be made in advance.

WHAT DOES MY RENT INCLUDE?

Your room, core furniture, Wi-Fi, insurance and all your utility bills (electricity, heating and water) are included in your rent. If you’re living at our Pontypridd campus, the common areas within your flat will also be professionally cleaned each month and you will have access to our ResiLife programme. See page 21 for details.

WILL I NEED TO PAY FOR A TV LICENCE?

If you’re planning on watching TV, whether on a phone, laptop or a television, you’ll need to buy a licence.

HOW DO I GET OUT OF A STUDENT ACCOMMODATION CONTRACT?

When you sign up for a room, either with USW or a private provider, you’re entering a legally binding contract. It will specify the terms of release. Please ensure you read the terms of your contract before signing.

MOVING IN

WHEN CAN I MOVE INTO HALLS?

If you opt for a place in USW-owned accommodation, we often stagger start dates to ensure a smooth moving-in process. We’ll email you all the information in the weeks before your contract begins. If you choose to live in one of our partner halls that are operated by private providers, the process is likely to be very similar. Your provider will confirm moving in dates in plenty of notice.

CAN I CHANGE STUDENT ACCOMMODATION?

If you aren’t happy with where you live, please let us or your private provider know as soon as possible. We’ll do our best to move you somewhere else, however, this is not always possible due to demand. Cleaning and administrative charges may also apply.

LIVING IN STUDENT ACCOMMODATION

IS THERE ANY ASSISTANCE FOR STUDENTS WITH DISABILITIES OR CHRONIC ILLNESS?

Please let us know if you need any support to live in accommodation. We work closely with the USW Wellbeing and Disability Team to make sure you’re well-supported and have a good student experience.

I HAVE A SEVERE ALLERGY. IS THERE ANY ADDITIONAL SUPPORT PROVIDED?

Our flats are made up of between 5 and 6 rooms. We cannot keep allergens out of shared spaces. If you have a severe allergy we would advise you to apply for a self-contained studio.

WHAT IS PROVIDED TO STUDENTS LIVING IN HALLS?

The benefit of living in halls is that the price that you pay is all-inclusive – covering utilities, Wi-Fi, maintenance, insurance and a 24-hour security service. Depending on where you choose to live and what room type you choose will determine exactly what furniture is provided, but as standard all rooms will have a bed, desk and chair, storage space, a shower/wet room, toilet and sink. The use of a shared kitchen is also provided so you can cook up a tasty meal or make a quick beans on toast!

CAN

I BRING A BIKE?

Sure! There’s bike storage/racks in halls where you can keep it free of charge. We suggest bringing a bike lock with you. If you are staying in Cardiff or Newport please check with your accommodation provider before arriving.

CAN I BRING A CAR?

Yes. If you live at our Pontypridd campus, you’ll need to apply for a residential parking pass. These are usually in high demand so parking options may be limited. If you’re living in Cardiff or Newport, you’ll need to organise your own parking permit. It’s a good idea to research the costs beforehand as parking passes can be expensive. See pages 12-17 for more details.

DO I HAVE TO BE HOME BY A CERTAIN TIME EACH NIGHT?

No, you’re free to come and go as you please.

CAN I HAVE OVERNIGHT GUESTS?

Of course, you can have someone to stay for up to three nights a month. You will have to sign them in and inform your flatmates. All your guests must comply with the type of flat you live in. For example, if you live in a female-only flat, your overnight guest should be female.

AM I REQUIRED TO CLEAN MY OWN ROOM?

Yes. Under the terms of your contract, you are required to maintain an acceptable level of cleanliness. If you are living at our Pontypridd campus, the communal areas within your flat will also be professionally cleaned each month.

ARE THERE ON-SITE LAUNDRY FACILITIES AND HOW MUCH ARE THEY?

Yes – there are laundry facilities available for you to use at a fee and you will also need to provide your own laundry detergent.

DO I NEED TO EMPTY MY ROOM OVER A HOLIDAY PERIOD?

THE HOLIDAYS AND END OF TENANCY AFTER YOUR FIRST YEAR

Not over the Easter and Christmas period. However, you will need to clear out your room before the summer holidays unless you have a 51-week contract or an agreed extension.

CAN I STAY IN HALLS OVER THE SUMMER?

Yes, if you have a 51-week contract or an extension, you can stay in halls over the summer holidays. If you apply for an extension, this will be charged separately. Please be aware that you may not be able to stay in the same room over the summer.

DO I NEED TO CLEAN MY ACCOMMODATION WHEN I MOVE OUT?

Yes, you will need to clear all your belongings out of your bedroom and communal spaces. Accommodation should be clean, empty of all belongings and rubbish and tidy before you leave.

IS THERE AN OPTION TO STAY IN HALLS IN YEARS TWO AND THREE?

Pontypridd campus student halls (USW-owned)

Each year, we allocate a number of rooms to second and third-year students that want to continue to live on campus. All current residents will be contacted in November and offered the opportunity to apply for accommodation for the following academic year.

Cardiff and Newport student halls (partner halls providers)

Students living at one of our partner halls will be contacted directly by the accommodation provider in October, with information on room availability and how to book for subsequent years (subject to availability).
