
UDIA Victoria Committee Member Code of Conduct
UDIA Victoria’s Committee Member Code of Conduct applies to all Committee Members across UDIA’s eleven expert committees:
Membership on a committee is conditional upon adherence to the following expectations:
1. Commitment to committee meetings
Attend scheduled committee meetings. Members who miss more than three (3) formal meetings within a 12-month period may be asked to step down.
2. Notification of absence
If unable to attend a committee meeting, members must provide an apology to the committee lead at least two (2) days prior to the meeting. Apologies and absences will be recorded by a UDIA staff member.
3. Meeting contribution
Review the agenda and come prepared to meetings, ready to contribute meaningfully to discussions and committee objectives. If asked, contribute to a sub-committee or working group.
4. Performance
Seek opportunities to enhance the effectiveness and performance of the committee.
5. Representation
Represent UDIA professionally. Be consistent, objective, and approach policy matters with an industry-wide perspective as well as fairness, reason and respect.
6. Respect for decision-making
Support and uphold decisions made by the committee, Policy Team, CEO and the Board. Do not make decisions for or represent UDIA without prior consultation or approval.
7. Conflicts of Interest
Declare any actual or potential conflicts of interest or material/personal interests in matters under discussion. Act to ensure these do not compromise UDIA or its members.
8. Confidentiality
Maintain the confidentiality of all information discussed during meetings and accessed as a committee member.
9. Authorised statements
Do not make public statements on behalf of UDIA unless expressly authorised by the CEO.
10.Social Media
Please refer to UDIA’s Social Media and Authorised Spokespersons Policy.
11.Financial Commitments
Do not make financial commitments on behalf of UDIA.

By joining a UDIA Victoria Committee, members agree to abide by this Code of Conduct
UDIA Victoria Media, Social Media & Authorised Spokespersons Policy
1. Overview
This policy provides guidance to UDIA Victoria’s employees, volunteers and board members on their professional and personal use of mainstream media, social media and any other form of public communication as it relates to industry or UDIA Victoria matters.
UDIA Victoria seeks to maximize the advantages of media opportunities and minimize the risks of media misrepresentation, with the ultimate goal of protecting UDIA Victoria Brand.
2. Application
This policy applies to all employees, committee members and Board members.
3. Authorised Spokespersons
Only the CEO, President and Director of Policy are authorized to provide comment to media, including newspapers, television, radio and online journalists. Other representatives may be delegated from time to time at the discretion of the CEO or President.
If other Board members are interviewed by media, they must do so in their capacity of the company that they represent, unless under delegation from the CEO or President.
It is acceptable for media to note the Board Member’s standing as a Director but every effort should be made to ensure UDIA directorship does not take prominence compared with the Board Member’s company position.
4. Use of Social Media
Social media guidelines:
Staff, volunteers and board members may be asked to promote UDIA’s social media posts to position and promote UDIA Victoria (staff, volunteers and board members have the right to decline the use of their personal social media page to promote UDIA Victoria).
Only staff authorized by the CEO or President can post on behalf of UDIA Victoria, from official UDIA Victoria social media accounts, and all posts must be restricted to pre-approved topics and content.
Employees and board member must engage online and via other media in a manner that reflects UDIA’s values and code of conduct, and be mindful of the impact any contribution might make to the audience’s perceptions of UDIA Victoria, and its standing with key stakeholders such as governments, wider industry, fellow industry associations and the general public. This includes commenting on posts or resharing them under their personal account.

If an employee or board members makes a mistake in a contribution, they should be prompt in correcting it. Employees and board members must notify UDIA Victoria CEO immediately so that the impact can be assessed and mitigated.
Employees and board members are not to publish, post or release any information that is considered confidential or commercially private.
Employees and board members should not use ethnic slurs, discriminatory remarks, personal insults, obscenities, nor engage in any slander or online bullying in UDIA Victoria related posts.
Employee and board members must not tag UDIA Victoria on social media when expressing opinions on policy topics that are not within UDIA’s advocacy platform, or position a post that could be misconstrued as official UDIA policy.
Employees and board members must exercise due care in their personal social media accounts to ensure their personal and professional reputation, and the reputation of UDIA Victoria are not compromised.
On conclusion of a board member’s term, they must update their social media accounts to reflect the conclusion of the tenure.
5. General Conduct
UDIA Victoria also requires employees and Board members:
not to use/create UDIA Victoria hashtags for personal use (for example, to accompany an image of staff at parties);
to protect their privacy and take care to understand a site’s Terms of Service;
to always show proper consideration for others’ privacy;
to use their best judgement in posting material. If in doubt, don’t post;
not to bring UDIA Victoria or any of its Directors, workers or Board members or third parties into disrepute;
not to defame or disparage UDIA Victoria, its Directors, Board or workers;
not to disclose confidential information obtained through employment or engagement with UDIA Victoria;
not to disclose any intellectual property or other proprietary information obtained through employment with UDIA Victoria;
not to participate in social media by using the identity or likeness of another employee or worker;
not to post photographs on social media that may result in another worker being bullied, harassed or discriminated; and
not to participate in social media networks in such a way that is offensive, obscene, defamatory, harassing, threatening, bullying, discriminatory, treats unfairly or inappropriately or disparages any other worker, customer or client of UDIA Victoria.
UDIA Victoria Policy Breach
Failure to effectively implement this policy or to breach it in any way may result in disciplinary action, including suspension from Board or other UDIA Victoria activities such as policy committees.
