

Travel Manitoba Brochure Distribution Policy

1. Background
Travel Manitoba operates four Visitor Information Centres (VIC) within Manitoba. Each VIC distributes Travel Manitoba’s official publications as well as promotional material for Manitoba tourism organizations and businesses. All brochures and promotional materials intended for distribution must be approved by Travel Manitoba before they are displayed at any of the VICs.
The distribution or display of any brochures or promotional material does not imply endorsement by Travel Manitoba.
Travel Manitoba retains the sole authority for selecting materials for public display and distribution at all VICs Travel Manitoba retains the right to decide at which four locations brochures and promotional materials will be distributed.
2. Scope
This policy applies to all requests for new brochures or promotional materials to be displayed at Travel Manitoba VICs.
3. Criteria for Inclusion for Businesses and Organizations:
Travel Manitoba requires all businesses / organization requesting to have promotional material displayed to meet the following requirements:
• Be a registered business operating in Manitoba.
• Have current and sufficient liability insurance for the business.
• Have all necessary licenses and permits required to operate.
• Offer a tourism related product or experience that is available to the general public.
• Ensure promotional materials and brochures accurately represent the service or experience being offered.
• Have an online presence, which may be a standalone website, a business page

on a social media site, or listing on an association website, that represents their business.
• Maintain a 24-48 hour response time to consumer requests during operating season.
4. Brochure Format Requirements
Travel Manitoba reserves the right to determine if the integrity of the promotional material or brochure meets current standards.
• Brochures and promotional materials must appear professionally designed and produced.
• The promotional materials or brochures should include colour (black, white and at minimum one other colour). Coloured text or paper may not qualify as an additional colour
• The finished size of the brochures or guides must be a minimum of 3 ½ x 8 inches high and must not exceed 8 ½ x 11 inches high.
• Hand drawings of the featured property may be rejected depending on the integrity and authenticity of the drawing.
• Multi - province or country literature must contain 50% Manitoba content.
• Time sensitive material must be current.
o Brochures for festivals and events will be racked one month prior to the event and removed the day after. If space permits, brochures for events can be racked prior to 30 days before the event.

Further Recommendations for Brochures
• In standard brochure racks only the top 1/3 of the brochure may be visible. Brochure should convey the most pertinent information such as the company/organization name and the main theme of the attraction.
• Travel Manitoba carries over 1,000 brochures at any VIC at any given time.
• Travel Manitoba’s racks are of standard rack size. Rack space for other sized materials is limited.
• Brochures can be in competition with many other brochures all trying to capture a similar target market and provoke interest. Visitors and travel counsellors need to easily find the key information.
• Paper weight is important. Light weight paper can weep in a brochure rack and may not be the best value for promotion.
5. Procedure for Approval and Distribution Policy

Businesses and organizations seeking distribution must complete the Visitor Information Centre Brochure Distribution Participation Agreement. Three copies of the brochure must be provided along with the signed agreement. A response to all inquiries will be provided to applicants in 3-5 business days.
Event brochure requests should be made no less than 45 days prior to the event.
6. Shipping Guidelines
Brochures must be securely packaged and each box marked with:
• Organization name and contact phone number
• The name of the brochure or promotional materials
• The quantity of brochures in the box
Event brochures must be delivered to the Travel Manitoba 30 days prior to the event. Deliveries to the Travel Manitoba warehouse must be scheduled in advance.
7. Replenishment
Travel Manitoba will contact businesses and organizations when inventory of their brochures or promotional materials is low.
It is the responsibility of the business / organization to provide Travel Manitoba with additional materials for replenishment.
