Welcome to the fourth edition of the Electronic Patient Record (EPR) programme newsletter. We are starting to see an increase in the numbers of people undertaking their training via LMS. We need to achieve 50% compliance by the end of January, so thank you to everyone who has already taken the time to do the training. It is really important now for managers to allow their colleagues dedicated time to complete the training within plenty of time to ensure we are all ready for the Go Live weekend, Friday 19 AprilSunday 21 April. This week, you can find out more about data migration and how you can help, along with an update on our latest round of User Acceptance Training. Keep a look out for our Change Agent posters to find out who your Change Agent is and how they can help support you.

User Acceptance Testing 3 The final round of User Acceptance Testing 3 (UAT3) is in progress. Colleagues from a range of divisions are coming together to perform final system tests. This includes a number of end-to-end tests taking patients through their pathways, to make sure the system works as it should. Other tests are also taking place to complement the pathway testing with 80 staff from around the divisions volunteering to help. For the first time, this testing will be taking place in one place where we can get everyone together with the right technology to ensure it all works. A big thank you to everyone who has been involved and to everyone who is helping to free up these team members to make the testing work.


https://digital.sath.nhs.uk/ Data Migration Data Migration is the electronic transfer of information from SemaHelix to Careflow which will take place over the Go Live weekend, Friday 19 April-Sunday 21 April. Over this weekend 66 million records will be migrated to the new systems. Not all information from SemaHelix is being transferred to Careflow: Only patients that fall within NHS data retention guidelines will be migrated Only details of hospital activity taking place since 1 April 2019 will be migrated. Details of activity prior to this date will be available in Clinical Portal. We have completed 11 data migration cycles so far. This is to refine the migration process and highlight any issues before switching to CareFlow. A significant number of data quality issues have been discovered during the migration process. These are being continually managed and resolved by a separate Data Quality working group comprising of representatives from all divisions that is running alongside the data migration.

Have you completed your training? How is your division doing? Our target is for 50% of colleagues to be trained by the end of this month. You must book and complete the relevant training before March. This is delivered to you on a role-based level taking in to consideration the processes you are involved in. The modules you need to complete should be visible when you log on to LMS. If you’re unsure, please email the team on sath.ittrainingteam@nhs.net.

Change Agent - Chantal Chantal Harding, Adult Safeguarding Liaison Nurse based at Princess Royal Hospital. She has been in her current role for 18 months and her line manager approached her to represent her team as she can pick up new systems quickly. The team work with inpatients, outpatients and emergency patients so will need to be aware of all aspects of CareFlow but not in as much detail as other colleagues as they will not be admitting or discharging patients. Chantal said: “I’m looking forward to supporting my colleagues through this change and learning how to use the live system – hopefully making our roles a bit easier as everything will be in one place.” If you’re a Change Agent and need any more information or support, email sath.askepr@nhs.net.
