6 WEEKS TO GO
Are you ready?
Welcome to the tenth edition of the Electronic Patient Record (EPR) programme newsletter.
It is now 39 days until the first phase of the digital transformation is complete and our systems are replaced with new EPR CareFlow systems
We completed our first downtime test on Thursday 7 March Thank you to everyone involved for their hard work and patience over the downtime period There was a great sense of teamwork and some great feedback, which will help us to support teams more before Go Live weekend, and to help teams fine tune their Business Continuity Plans.
Please continue to share your feedback with us on sath.askepr@nhs.net
We need you
We need more floorwalkers and admin colleagues for the two weeks following Go Live You will be given all training necessary before Go Live weekend If you are already on the bank, we can allocate your shift through the bank, or if you are on a substantive contract, we can allocate the shift as overtime.
More information is available on the intranet or email Sath.eprprogrammepmo@nhs.net
Have you completed your training?
Training compliance is currently at 66% It is vital that you are completing all EPR training on LMS.
If you have completed your mandatory training through LMS then you can apply for the CareFlow sandpit environment This will allow you to practise in your own time to become more confident before Go Live It will also allow you to see what access you will have and give you time to request further access and complete additional training if necessary
You can request this via IT Self Service
If you are struggling to complete your training, email the team on sath.ittrainingteam@nhs.net.
Nigel Lee, Director of Strategy and Partnerships Joshua Pagden, Chief Nursing Information Officer Rebecca Gallimore, Director of Digital Transformation Dr Shakawan Ismaeel, Chief Clinical Information Officer Dr Sevina Tzortzis, Chief Clinical Information OfficerIT Changes
If your role requires you to have access to Patient FLOW and eCAS card, you should receive an access email from useraccounts-noreply@systemc.com.
When you get this, click the link and follow the instructions to activate your account
Please keep your eye out for the email as you will not have access to Patient FLOW and/or the eCAS Card until you do this
On the lead-up to Go Live weekend (Friday 19 April-Sunday 21 April) the following points must be actioned:
IT Self-Service requests must be completed for any ward moves, name changes or speciality changes
IT Self-Service requests must be completed for all new starters You must inform Digital Services of any new printers or devices
Please contact Digital Services where ward attender activity is being recorded, but the team does not have access to ward attender function in CareFlow
Any move of terminal devices must only be done within core hours and with full engagement from the IT team
The Trust has completed an extensive exercise to introduce standardised roles and linked role-based access permissions, as part of its move from SemaHelix to CareFlow
Everything you can see and do in CareFlow will be controlled by your role and the access permissions linked to this RBAC (Role Based Access Controls) are applied in the background by the Digital Services’ System Access Team If you feel that your access is incorrect, please speak to your Line Manager – as their approval will be required before any changes to access permissions can be made
The two final Change Agent onboarding Sessions are Monday 11 March at 1pm-2pm, and Tuesday 12 March at 1 30pm-2 30pm This will be over MS Teams and it is the last opportunity for you to complete Change Agent onboarding training. No need to book, just click on Digital SaTH.
Change Agents
Jennifer Hall, Head and Neck Pathway Navigator
Jennifer said: “Being a Change Agent has been a great opportunity to help the team feel more relaxed about the new system I've used CareFlow before in another Trust, so have some insight into what a positive change the switchover is going to be The system is so much more intuitive and simpler to navigate, so I'm sure it will be a change for the better ”
