Important Conference Details

Registration and Hotel Reservations

The PSATS Conference Registration and Hotel Reservation Systems open on Tuesday, January 14, 2025, at 9 a.m. Registrations will not be accepted before the official opening time. You can handle both simultaneously and receive immediate confirmations. The registration site is conference.psats.org

• After registering for exhibit space, you will be prompted to reserve hotel rooms if needed. We have a limited number of rooms at the Hershey Lodge available on a first come, first-served basis, with one room per exhibitor. Attempting to reserve more than one room at the Lodge will void all reservations. You may reserve multiple rooms at other hotels.

• Two badges are included with your exhibit fee. Additional badges cost $50 per person through April 14, and $65 thereafter. Exhibitors can add, remove, or change badge names online until the close of business on Friday, May 2. Keep your badge safe, as a replacement during the conference will cost $50. Name badges are required to enter the exhibit hall.

• If paying by check, a $25 service fee applies.

• Attendee vs. Contact Email: An attendee email is the individual attending the conference. Contact email is an individual who wants copied on all email correspondence.

Select Your Own Booth

• You will have the opportunity to select and reserve your own indoor booth number (this does not apply to outside booths).

• Outdoor booth preferences can be indicated (first, second, and third choices).

• Preference fulfillment not guaranteed due to high demand; early registration improves chances.

Exhibit Hall Hours

• Exhibit Hall hours on Sunday are Noon to 6 p.m. (with the Grand Opening at Noon).

• Monday Exhibit Show hours are 7:30 a.m. to 3 p.m. The Exhibit Hall will be closed from 3 p.m. to 5:45 p.m. Outdoor Exhibits will reopen from 5 p.m. to 6 p.m. for Sangria with Sanko and the Exhibitors. Indoor Exhibits will reopen from 6 p.m. to 7 p.m. for Fiesta Reception with Exhibitors. All booths must be staffed during exhibit hours.

• Tuesday Exhibit Show hours are 7:30 a.m. to 1:30 p.m.

All booths must be set up before 11 a.m. and staffed by Noon on Sunday, May 4. PSATS reserves the right to resell any empty booth spaces after 11 a.m. on May 4. No refunds will be given for no shows.

Important Conference Details

Exhibit Space Details

Setup Times:

• Indoor Booths: Saturday, 3-8 p.m. and Sunday, 8-11 a.m. Exhibit will close from 11-11:45 a.m.

• Outdoor Booths: Saturday, 11:30 a.m.-3:30 p.m. and Sunday, 8 a.m.-noon.

• Booths must be set up and staffed by noon on Sunday, May 4.

• Indoor Exhibit Area: Accommodates 213 exhibits, each 8’ deep x 10’ wide, including back and side rails, drapes, a table, two chairs, and a sign. The hall is carpeted.

• Outdoor Exhibit Area: Features 77 spaces, each 14’ wide x 40’ deep. Equipment must fit inside the booth space.

Tear Down:

• Tuesday, May 6, starting at 1:30 p.m. No exhibitor may tear down before 1:30 p.m. Violation may result in ineligibility for future conferences.

Cancellation Policies:

• Booth cancellations by April 14 subject to $140 fee.

• No booth fee refunds after April 14.

ADDITIONAL INFORMATION:

Exhibit Hall Access: Ground-level access through a 12’x18’ door. The entire exhibit area is carpeted.

Shipping: Details provided by Hershey Expositions a month before the show.

Door Prizes: Drawings allowed; winners posted in Chocolate Lobby.

Special Activities/Receptions: Contact Donna Centofanti at PSATS for arrangements.

Food/Beverage Distribution: Approval required for anything beyond small candy pieces.

Special Services: Arrange through Hershey Expositions in advance.

Booth Assignments: Details and forms sent a month before the show.

Staffing Requirements: Booths must be staffed at all times during show hours.

The Pennsylvania State Association of Township Supervisors (PSATS) represents over 1,450 second-class townships in Pennsylvania, serving nearly 5.7 million residents. Governed by elected boards of supervisors or council members, these townships focus on local governance and policy decisions.

Shuttle Schedule

BETWEEN HERSHEY LODGE AND OTHER CONFERENCE LODGING

PSATS is offering a shuttle service that will run on the following schedule:

Sunday, May 4: 12 p.m. to 10 p.m.

Monday, May 5: 7 a.m. to 10 p.m.

Tuesday, May 6: 7 a.m. to 11 p.m.

Hershey Lodge and all other conference hotels. The free shuttle will pick up and drop off passengers at the Chocolate Lobby entrance at the Hershey Lodge and at the shuttle pickup location of each conference hotel.

BETWEEN THE HERSHEY LODGE AND SATELLITE PARKING AREA

PSATS is offering a shuttle service that will run on the following schedule:

Monday, May 5: 7 a.m. to 8 p.m.

Tuesday, May 6: 7 a.m. to 8 p.m.

The Hershey Lodge and a satellite parking lot at the Giant Center. The free shuttle will pick up and drop off passengers at the Chocolate Lobby entrance at the Hershey Lodge and at the trolley stop #2 in the Giant Center parking lot, which is marked by a “PSATS” banner.

Please note: There is no satellite parking shuttle running on Sunday to the Giant Center.

Hotel Reservations

Reservations are made directly after registering at conference. psats.org. Reservations for the PSATS Conference MUST be made through PSATS for the room block rate. Any reservations made outside of PSATS will not be eligible for PSATS room block rates. The room rates do not reflect applicable state and local room occupancy taxes (currently 11%; subject to change). Reservations will be available on a first-come, first-served basis.

Changes and cancellations prior to April 25, 2025, can be made by contacting conference@psats. org or 717-763-0930, ext. 190. To change or cancel your reservation after April 25, 2025, contact the hotel directly. Refer to reservation confirmation email for your hotel’s cancellation policy. You may be charged a fee. Additionally, “no shows” will be billed.

Final confirmation by March 24 from hotels.

Limited block of rooms at Hershey Lodge; each exhibiting company is only permitted to book one room at the Hershey Lodge. Multiple room bookings at Hershey Lodge voids all reservations.

Exhibitor Hospitality Suites

To apply for a hospitality suite, contact conference@psats.org Hospitality suites at the Hershey Lodge must be reserved through PSATS. There are limited rooms available for hospitality suites, and applications will be taken in the order they are received. Hospitality suites must be open (at minimum) Sunday, Monday, and Tuesday evenings, May 4-6, 2025. The guest room rate includes overnight accommodation only per room per night. Suites range from $210 to $503 per night. Room rates do not reflect applicable state and local room occupancy taxes (currently 11%) subject to change.

Note: There is a limit of two hotel rooms (hospitality suite) rooms per application.

Note: The Hershey Lodge requires a minimum of $300 per day food/ non-alcoholic beverage purchase from those reserving hospitality suites. Depending on what suite reservation the Hershey Lodge may charge $200 to remove furniture for hospitality function.
