OUR PROCESS

Phase 1: Onboarding

MEETING SCHEDULE

Our Design Phase includes a series of meetings that will all be scheduled during our Project Kick Off Meeting. These meetings will be scheduled on the same day and time of each designated week. These meetings require all homework to be completed ahead of time and all decision makers to be present. If one of these is not complete the meeting will need to be rescheduled. If you need to reschedule we are happy to accommodate however you will be offered our next meeting time at the back of the queue.

PROJECT ONBOARDING

Our hope in this phase is to get to know you and for you to get to know us and our process. We will start by conducting a Kick Off Meeting and will use this time to review this Welcome Packet and answer any questions you may have about our process. This meeting will also serve as the due date for your Pinterest Board filled with your inspiration images for your project.

DESIGN QUESTIONNAIRE

You will be emailed a link to our Design Questionnaire via Google Forms. This in-depth questionnaire is the foundation to our design process together. Many of these questions you’ll know the answers quickly, others may take more time to consider. Take your time to complete this homework. It will be reviewed together at the Conceptual Plan Meeting.

OUR PROCESS Phase 2: Design

CONCEPTUAL PLAN MEETING

The first step in our design process is determining your likes, dislikes, wants and needs through a design style and preferences interview. We will have photos to look through to drive this but also ask you share any photos you have collected that reflect your vision. During this meeting we will also be discussing your completed Design Style Questionnaire and take measurements of the spaced to be designed.

INSPIRATION IMAGES + FLOOR PLAN

The next step in our design process is to have a meeting to present a set of Inspiration Images and a proposed floor plan. Inspiration Images are images that are carefully and intentionally selected to incapsulate the feel and direction of your project. We will also be presenting a floor plan to confirm the proposed layout of your space before 3D renders are created.

DESIGN DEVELOPMENT

During this part of the project we take all of the information we collected during the previous meetings and will be actively working on the designs of your home. We will be putting together digital mood boards, gathering samples, and creating drawings to communicate the designs. This takes between four and six weeks. You can expect this time to feel a little quiet on our end as we are working hard on your design plans.

DESIGN PLAN PRESENTATION

This is when you will be able to see the drawings and digital mood boards we have put together, as well as touch and feel the physical samples of any materials included in your project. Depending on scope, these meetings can feel like a lot of information coming at you at once! Our main goal of this meeting is to accurately communicate our designs for you to digest.

REVISIONS

After the Design Plan Presentation, we will email the final designs for you to review in greater detail and on your own time. The tool allows you to make comments on anything you would like to see changed. You will have one week to complete this task. We will then present your Revised Design Plans three weeks laster. Again, you will then have one week to make any last revisions and then you can expect Final Designs to be presented to you two weeks later.

OUR PROCESS Phase 3: Procurement

ORGANIZING SELECTIONS AND SPECIFICATIONS

Once all revisions and decisions are finalized we will transfer all selections into our selections and specifications document. This is shared between us and the contractor. This way we have everything in one spot and it’s an easier way for contractors to view all selections and see what needs to be ordered.

OBTAINING PRICING

This occurs hand-in-hand with design development but is revisited once all selections are finalized. Purchasing for most building materials is handled by the contractor however we will be purchasing all selected furnishings (furniture, decor, floor coverings, etc.). Pricing proposals and invoicing will be communicated through our online invoicing system.

ORDERING MATERIALS

All purchase orders are sent to vendors, orders are placed, and order tracking begins. Lead times will be assessed and clients will be notified with updates, or unforeseen delays such as backorders or discontinued items.

OUR PROCESS

Phase 4: Implement

COLLABORATION WITH GENERAL CONTRACTOR

During this time, we are collaborating with the general contractors, subcontractors, builders, vendors, and fabricators. We make sure that your project timeline is on track and moving forward as planned.

SITE VISITS

During this stage of the process, we will come on site to evaluate progress. We will stop in at key times to ensure installation is happening according to the Design Plans.

COMMUNICATION WITH CLIENT

Communication will be happening with the client and designer throughout the process and this is one of the most important parts of any design project. The designer must be kept upto-date and informed on all of the decisions so the project comes together as planned. Email communication with updates will be provided to the client on a weekly basis.

MANAGING ORDERS

All order tracking is organized within an internal spreadsheet and the administrative assistant will provide clients with updates on when all furniture orders have arrived at our local warehouse and furniture installation can be scheduled.

FURNITURE INSTALLATION

During this stage of the process, we will oversee the installation of furniture! This is typically done in one day, but it can vary from project to project depending on the lead times of furnishings. We ensure all items are delivered and installed correctly and will plan to be on site during the duration of the installation.

After construction has wrapped and all furniture has arrived the design team will return at a later date to obtain professional photographs of spaces designed. During this time the design team will prepare spaces for photos by styling spaces with home decor inventory. Clients are able to “shop the look” and if they would like to purchase any (or all!) styling items this is their chance to do so.

Depending on your project scope, it is most convenient for the designer and client that the client is not home or around while we style and conduct photoshoot. Plus it’s always more exciting to do a “final reveal” and have the client wait to see their home once styling has finished! But we are flexible so please let us know what you are most comfortable with.

EXPECTATIONS

General Rules of Thumb

MURPHY’S LAW OF DESIGN

If something can go wrong it will. Communication between client and designer is key and can get bumps in the road back on track quickly. We prefer to deal with concerns over the phone or in person, as we believe this helps minimize any further miscommunication.

DEADLINES

We want your project to go as smooth and quickly as possible and this is why we stick to a strict meeting schedule. It is your responsibility to complete homework and make decisions by the requested due date. As previously stated, if you need to reschedule a meeting it will be scheduled on our next available time slot at the back of the queue. Missed deadlines will prolong the project and could affect budget due to timeline delays. It is also essential to have all decision makers present at each of the meetings.

EMERGENCY DECISIONS

This is one of the most important parts of the process. Should we need to make an emergency decision and the client is not available, we will make an informed decision based on the information provided and gathered.

PERFECTION

No one is perfect. It is the designer’s job to define the industry tolerance level based on experience in the field.

COMMUNICATION

Typical response times to emails and phone calls are 24 business hours. If we need more time than that to get you an answer or design document back we will reach out to let you know we’re working on it and when you can expect to hear from us. Typical business hours are MondayFriday 8am-5pm.

BACKORDERS

Factories make a certain number of products at a time, if an item is out of stock and on backorder the factory may provide an expected ship date. There is no guarantee this date will be accurate.

CASH BEFORE ORDERING

We require all items paid in full by client before placing orders. These purchases will be submitted to you in the form of a proposal. This counts as your signature of approval for order placement.

DISCONTINUED ITEMS

There are times that products or merchandise are no longer available. While it is unfortunate, there are many products out there and we will find replacements and solutions.

LEAD TIME

Depending on stock and whether the item is custom-made, lead times for fixtures or materials can be anywhere from two weeks to a few months. We will always include lead times in our proposals and invoices to you so you know what the lead time is before purchasing. Good things come to those who wait!

NO RETURNS

Once we commit to an item and order it, we most likely cannot return it, unless items arrive damaged.

RESTOCKING CHARGES & CANCELLATIONS

A factory will sometimes allow products to be returned with a restocking fee, or cancellations if the items have not been shipped. The client will be responsible for paying these fees.

EXPECTATIONS

Freight + Delivery

FREIGHT MANAGEMENT FEE

Freight charges are often charged to us by vendors after orders are placed. Instead of billing you separately for each of these freight charges, a freight management fee will be applied to all your merchandise proposals. This fee will be approximately 22% of the total (before tax) amount of your proposal. The fee will cover the following charges and services: freight, delivery, crating, receiver’s inspection fees, receiver’s handling fees, fuel surcharges, freight insurance, and resolution of freight claims. This allows us to pre-pay all expenses with our vendors to speed up the deliveries, and to ensure priority service in case of any problems.

FREIGHT DAMAGE

Merchandise may be damaged in shipment. Resolutions may be discounts, reship item, local repair etc. The factory usually makes this decision, and it will be resolved. However, these damages can delay timeline and that is out of our control.

WHITE GLOVE DELIVERY

This service includes bringing all furnishings into home, removing protective wrap, placing furnishings in proper location, hanging art, and laying out rugs.

INSTALLATION DAY

We aim to create this into the “Final Reveal Day” and have everything delivered and set up in one day. We try our best to ensure deliveries are as smooth as possible but due to factors outside of our control, some things may arrive late. The designer and/or receiving and delivery team do a thorough inspection upon delivery to warehouse and arrival in the client’s home for damages to ensure any issues are handled ahead of or before the end of installation day.
