Mayfield Junior School, a Catholic independent school founded and sponsored by the Society of the Holy Child Jesus, implements the philosophy of the Holy Child Schools, which is based on trust and reverence for the dignity of every person. We are committed to the religious and educational development of each child and to maintaining a sense of community and family spirit that welcomes people of diverse backgrounds. At Mayfield, each child is challenged to reach his or her potential. Philosophy

Mayfield Junior School of the Holy Child Jesus is a Catholic, independent day school for boys and girls, grades K through 8. Founded and sponsored by the Society of the Holy Child Jesus, Mayfield implements the goals of the Holy Child Network of Schools and is distinguished by the educational philosophy of Cornelia Connelly, the Society’s foundress. The Holy Child philosophy is based on trust and reverence for the dignity of every person and is shaped by the living tradition of over 150 years of international experience educating youth.

Mayfield is committed to Cornelia Connelly’s belief in the development of the whole child as a spiritual, intellectual, creative, and athletic person. Within a rigorous academic course of study, Mayfield students are challenged to reach their individual potential based on their abilities, talents, and learning styles in order to meet the needs and wants of our time. Mayfield faculty and staff nurture each student’s growth through dynamic, active learning opportunities in an environment that fosters respectful interactions, excellence, and meaningful reflection.

In concert with their families, students develop an understanding of the Catholic faith and participate in its traditions. Building on the diversity of our own community, an understanding of the greater world is woven into each child’s life at Mayfield. As our students mature, they learn to make choices that contribute to the lives of others while enriching their own lives. Tardy Policy

● Students arriving after 8 a.m. for Lower School and 8:10 a.m. for Middle School are considered tardy.

● Students who miss between one or more hours of a school day will be marked absent for half a day.

● Students who arrive on campus after 8:30 a.m. must be signed in by a parent at the Front Desk before proceeding to their scheduled class.

● Being on time is crucial to experiencing a successful Holy Child education.

● Excessive tardies or absences may result in a conference with parents.

Absences

● Absences must be reported to the Front Office before 8:10 a.m.

● Following a three-day medical absence, a doctor's note is required upon the student's return to school.

● Students absent six days or more in a semester may result in an incomplete grade in a given subject.

Medical Appointments

The school requests that all medical, dental, or other types of appointments be made outside of school hours or during school vacations. A note should be sent to school with the student and presented during attendance to the homeroom teacher/advisor for permission to leave class early It is the student’s responsibility to leave class at the appropriate time. Any student leaving campus for an appointment must be signed out and/or signed in by a parent or guardian at the Front Desk.

Anticipated Absences

Whenever a family knows of an extended or recurring absence in advance, the parent/guardian must notify the division director(s) and homeroom/advisory teacher by email. Advisory teachers will forward on the notification to subject teachers for their awareness. Absences due to family trips are unexcused and may have an adverse effect on a student’s grades. Six absences in a semester may result in an incomplete grade in a given subject. Mayfield discourages vacations planned during scheduled class days. Teachers may not be able to provide makeup work or examinations in advance of family trips.

Upon return, students are required to submit missing work within a reasonable period of time, based on teacher discretion. In Middle School, students will be directed to Schoology to obtain information about class assignments. 9

Assignments During Absences

● Homework (Grades 5-8) is posted online.

● If books or associated materials are required, please contact the student’s advisor by NOON for pick-up after 3:15 p.m. in the Front Office.

● When a student is absent, teacher discretion will determine the need for a make-up test and/or alternate assignments.

Parents/Guardians Out of Town

MJS asks parents and guardians to inform the school office and their child’s advisor whenever they will be out of town. Prior to their departure, parents should contact the school nurse and Advisor and provide the following information in writing:

● The name(s) and phone number(s) of the person(s) responsible for the child(ren) and who is authorized to pick up the child from school.

● A phone number where they can be reached in the event of an emergency while out of town.

Sibling Attendance at Performances

To maintain an uninterrupted learning environment, it is preferred that siblings of performers do not attend the performance. The parent/guardian of the student who chooses to have a sibling attend a play, must go to the Front Office to sign their child out and sign them back in upon return.

Students are responsible for communicating to their teacher if they are missing class due to a sibling’s play to ensure that they do not miss any major tests or quizzes and to make up for any missed work.

All plays are recorded for K-8 students who are unable to see the dress rehearsal. The recording can be found in the Resources section in the school website.

Campus Information

Parents/Visitors to Campus

Visitors on campus are required to register in the Front Office. Unscheduled visits to classrooms or lunch areas are not allowed.

Animals on Campus

To be mindful of and to protect the health and welfare of all in our community (students, faculty, staff, and parents), please do not bring animals on campus. Mayfield Junior School strives to create a welcoming, safe, and inclusive environment. Some community members are severely allergic to and/or are fearful of animals.

If you must bring an animal on campus for an emergency reason, or if you or your child require the assistance of a service animal, we ask you to:

● Communicate your needs to the administration

● Keep your animal in your physical control (i.e., on a leash)

● Avoid large groups like Morning Prayer

We thank you for your cooperation and your contribution to the well-being of all in our school.

Lost and Found

It is critical to have all personal items visibly marked with the student’s name. Items left on campus will be collected and kept in the Lost and Found cabinet located on the west side of the Elementary Building. It is the student’s responsibility to look for his/her lost items.

School Text Books

All textbooks are the property of Mayfield Junior School. Students are responsible for the care of these books. Fines will be assessed for any damage or loss to textbooks during the school year

Forgotten Items

Items left at home and brought to school late (books, assignments, uniforms, or instruments) should be left on the shelves in the Front Office. It is the student’s responsibility to check for these items. The Front Office will not deliver items or contact students. Please do not leave valuable items at this location.

School Lunch

● Parents are welcome to send their children to school with lunch from home.

● Hot and cold lunch is available for pre-order through California Fresh.

● Information regarding California Fresh can be found on Mayfield's Resource page.

● If a student forgets their lunch, the school will provide a voucher and the cost will be charged to their school account.

Student lunches may not be dropped off by parents, caretakers or third-party delivery services. There are many reasons for this, including and not limited to:

● The safety and security of our campus are of paramount importance.

● The student lunch period is an important time to socialize with other students, along with recess and playtime. We prefer that students not be distracted by waiting for food deliveries, which can sometimes run into academic time.

● Equity: Many families cannot afford to provide restaurant lunches for their children.

Third-Party Lunch Deliveries

Third-party food deliveries are not permitted for students. Third-party food deliveries include Postmates, UberEats, DoorDash, or any other service or establishment that provides a food delivery option.

Gum

No gum is allowed on campus.

Guidelines for Birthday Recognition

Please select treats that can be easily distributed to students. Please be sensitive to food allergies when planning birthday treats and coordinate with the teacher/advisor in advance. We ask students and parents to refrain from bringing treats on other school days, such as for school family meetings, parent reader days, or a personal milestone celebration. Students enjoy many opportunities for sweet treats, and we would like to ensure that it is not excessive.

Library

Students may use the library during non-class periods. Please check with our librarians for designated times.

Library Borrowing Guidelines

Items may be borrowed by students or parents for a two-week period and may be renewed unless another party has requested them.

Bicycles and Skateboards

● Bicycles must be parked in the designated area outside the Junior Building, and skateboards, scooters, and roller-skates/rollerblades should be kept in the classroom closet during the school day

● Helmets are required for all students riding bicycles, skateboards, wheeled transportation etc. to school.

● Bicycles, skateboards, scooters, and roller-skates/rollerblades are not to be used on campus at any time.

Lockers/Cubbies

● The care of cubbies and lockers are each student’s responsibility.

● Students are expected to use their lockers and cubbies to store books and belongings.

● The school is not responsible for lost or stolen items.

Mayfield Junior School Uniforms

General Uniform Information

Mayfield Junior School implements a uniform policy for all grade levels. Inconsistencies with the school’s regulations may be deemed unacceptable at the discretion of the staff and/or administration. All attire must be in good condition, clean, and presentable.

Please refer to the School Uniform Guide (posted on the website Resources page) for all details.

General Guidelines

● Wear closed toe athletic or dress shoes with socks.

● No boots are allowed except rain boots on rainy days.

● Skirts, dresses, and shorts must be no more than 4” above the knee in length.

● Leggings, tights, or bike shorts are encouraged to be worn under skirts, shorts, jumpers, dresses, etc.

○ Leggings, tights or bike shorts are not to be worn as uniform choices on their own.

● Hats may only be worn during outdoor activities.

Grades K-2

● Navy Gingham Pinafore worn with white pinfeather dress, white short-sleeve blouse, or turtleneck.

● Shorts, pants, or skorts: navy blue twill (no cargo).

● Polo shirt: White, light blue, navy with MJS crest. Short or long sleeves.

● Sweater: Navy or white.

● Sweatshirt: White, navy or gray; plain or with MJS/Mayfield logo.

● Shoes: closed toe, comfortable, safe, and easy for your child to play in.

Grades 3-8

● Jumper, skirt, skort: Blackwatch plaid.

● Dress: navy polo, navy ‘pointe’ with MJS Crest.

● Shorts, pants, or skorts: navy blue twill (no cargo).

Free Dress Days

● Only flat shoes grades K-4. Grades 5-8 no more than 1" heel and closed-toe shoes.

● The following types of clothing are not allowed: Pajamas, torn jeans, tank tops, halter tops, clothing that exposes a bare midriff, spaghetti straps, short shorts, baggy pants, oversized clothes, muscle shirts, clothing that allows underwear to show, or any tight-fitting top, low cut or that has a deep cut arm hole. Clothing with inappropriate pictures or language may not be worn.

Morning Drop-Off/Afternoon Pick-Up

Carline Details

Our ultimate goal is the safety and security of each Mayfield student. Additionally, it is imperative that we not block the Del Mar Blvd. and Euclid Ave. intersection. We have taken painstaking attention to detail in planning for drop-off and pick-up. However, this is a work in progress, and we appreciate your patience and flexibility as we navigate through these changes.

● Important Reminders

○ Always enter Carline in the morning and afternoon via Del Mar Blvd. (from the direction of Marengo Ave.) to make a right turn onto Euclid Ave.

■ No left onto Euclid Ave. from Del Mar Blvd.

■ Do not enter Carline traveling north on Euclid Ave.

○ Be mindful of others, and do not block neighbors’ driveways.

○ No U-Turns on Euclid Ave.

○ Do not exit your car in Carline. Have your child ready to exit, shoes, and backpacks prior to getting in line.

○ Consideration, Courtesy, and Kindness go a long way to make drop-off and pick-up go smoothly

Carline Placards

Each family receives two carline placards (mailed via US Post). Please use the placard at drop-off and pick-up and place it on the passenger side of your dashboard. If you need additional placards, contact the Front Office. White placards are for families with K-4 only students. Yellow placards are for families with students in Grades 5-8 only and for families with siblings in both Lower School and Middle School.

MJS Drop-Off and Pick-Up Procedures for 2023-2024

Morning Drop-Off

Drop-off begins at 7:40 a.m. Morning Prayer begins at 8:15 a.m. Attendance is taken prior to Morning Prayer. It is important for your child to arrive at school on time. They will be marked tardy if they are late. Lower School students should be in class at 7:55 a.m. Middle School students should be in class at 8:05 a.m. Drop-off is in front of the school on Euclid Ave., as shown on the map. You may drive or walk your child up to drop them off.

If you drive up, do not get out of the car, and pull up to the furthest point available. There will be MJS staff members and 7th graders on Euclid Ave. to help children exit the vehicle if needed. If you park and walk your child up, do not park in the designated Carline areas. Please pay attention to area parking restrictions. Upon arriving, please

leave your child with an MJS staff member at the gate and depart. Parents, guardians, and grandparents are welcome at Morning Prayer If you attend, sign-in is at the pedestrian gate on Euclid Ave., just north of the main entrance to the school.

PLEASE READ CAREFULLY AS PICK-UP IS DIFFERENT THIS YEAR

● Afternoon Pick-Up

○ Do Not Arrive in Carline before 2:30 pm. There is no space available to wait. If you arrive in line before 2:30 p.m., we will ask you to go back around to the end of the Carline. We discourage you from waiting on Euclid Ave. until 2:30 p.m. to join the line. Enter Carline from Del Mar Blvd., turning right onto Euclid Ave.

● Siblings (Parents and Guardians with children in more than one grade)

○ Siblings will gather together in the Primary Courtyard in Lower School. Once all of the family members are accounted for, they will either walk with a teacher or wait until their car is on Bellevue Dr.

● Please enter Carline at your oldest child’s dismissal time

○ Sibling Parent Walk-up: Siblings will be gathered at the area between the Hayden Performing Arts Center and Connelly Hall “Connelly Gate.”

Parents and guardians may walk up the steps to this area on Euclid Ave.

● Drive up - Please enter Carline at your oldest child’s dismissal time

○ Enter Carline from Del Mar Blvd. and turn right on Euclid Ave. Pull up to the furthest point as directed by Mayfield staff

● First Grade dismissal - 2:40 p.m.

○ Middle School students will exit the gate between the Junior Building and the Elementary Building, “Junior Bldg Gate,” and walk toward the corner of Euclid Ave. and Bellevue Dr. When they reach the corner, students will walk down Bellevue Dr., turn around, and head back toward the northernmost point of campus on Euclid Ave., and repeat until they are picked up.

Extended Care

● Pick-up from Extended Care is from 3:30-6:00 p.m. at the Front office.

● General Extended Care pick-up is at the Front office. Call Extended Care to let them know you are on your way at (626) 229-2134. Your child will meet you at the Front Office door.

● In the event you need to pick up your child from Extended Care prior to 3:30 p.m., call Extended Care at (626) 229-2134. This early pick-up is on Bellevue Dr. at the “Bellevue Gate.” Note, this is only prior to 3:30 p.m.

School Days: 7:30 a.m. - 3:30 p.m.

General Procedures for Health Office Visits

The Health Office may be visited by students during the day for several reasons. All visits are documented and kept within a confidential database. The health officer on duty will determine if the reason is emergent or non-emergent. If the reason for a student to visit the Health Office is non-emergent, the health officer on duty can decide to have a classroom teacher or other staff member assist the student(s). Classroom teachers have supplies for non-emergent conditions or needs (i.e.: band-aids, lip balm, sunscreen, cough drops, etc.).

Parents will be notified with a phone call for the following injuries and illnesses: head trauma, extremity injury resulting in decreased range of motion/change in gait, repeat visit with the same complaint, breathing difficulty, allergy medicine administered (Benadryl), splint/wrap/sling application, Epi-pen administration (requires 911 follow-up call), a fever greater than 100.4, vomiting, and conjunctivitis. In the case of head trauma, concussion protocols will be followed.

Health Policies

● All new students are required to have a physical examination by a licensed medical professional. The completed form must be returned to school before the start of the school year. Complete immunization forms must be submitted before the student is allowed to attend school.

● All students entering Seventh or Eighth Grade must have proof of a Tdap booster (Whooping cough vaccine) administered on or before his or her 7th birthday.

● All students must have an updated student information (release and permission) form on file by an appointed date. Students will not be allowed to attend school until the new form is submitted.

● If your child is involved in team sports, please read, sign, and return a concussion information sheet. Student signatures are required for all Sixth, Seventh, and Eighth Graders or any grade level who play team sports. Your child will not be allowed to participate in games or practices until the concussion information sheet is signed and returned to school.

● Parents should not send an ill student to school. If a student becomes ill at school, the parents will be notified by the school to pick the student up. A school health officer will place these calls after first attending to the student’s needs.

● Children must be free of fever, vomiting, and/or diarrhea for 24 hours before returning to school.

● Parents, please coordinate with the school if your child needs to be picked up due to illness.

● A physician’s note is required to return to school for particular injuries/illnesses to ensure the safety and well-being of all the children on campus. Examples may include but are not limited to: concussion, injury limiting the use of extremity, impetigo, conjunctivitis, and strep throat/scarlet fever. The Health Office reserves the right to ask for a doctor’s note for other illnesses if it deems it a health risk to the students and community.

Medication

● The school maintains a basic supply of over-the-counter medications on-site to administer to students on an as-needed basis during and after the school day. Signed parent and physician consent is required before the school may administer over-the-counter medication(s) to any student.

● All medications, whether over-the-counter or prescription, except those which must be kept on a student’s person for emergency use, will be secured in the nurse’s office and dispensed by authorized school personnel.

● Over-the-counter medication to be administered at school must be in the original container and labeled. Do not send unlabeled pills or medicine to school.

● Prescription medication to be administered at school must be authorized by the prescribing physician and must be in the original container with the pharmacist’s label, which includes the student's name, medication name, amount (dosage), and time schedules.

● Students may not share any medication/supplies with other students.

● Students and parents must adhere to all school procedures concerning the handling and administering of medication.

Emergency Preparedness

● Emergency drills are held monthly during the school year.

● We have a rapid notification service that sends messages via text and email during or following an emergency event with information and details. It is important that you keep your online profile contact information current to ensure you receive these communications from the school.

Student Support Services

Counseling

Counseling support services are available to all students. Parents and teachers may request that a counselor meets with a child to discuss a concern. Concerns may be related to school or home situations. Students may also initiate contact on their own. Students are welcome to drop in during recess or lunch to play or casually talk about their day. In the event of serious concern, parents will be notified.

Suspected Child Abuse Reporting Training of Faculty and Staff

Under California State Law, all individuals who are employed at an educational institution for minor children are mandated child abuse reporters. In line with this legal mandate, all faculty and staff at Mayfield Junior School participate in annual training in the recognition and reporting of suspected child abuse. Training includes learning common indicators of child physical and sexual abuse and child endangerment and neglect, as well as the procedures to follow when an employee has a reasonable suspicion of child abuse. These include contacting their supervisor and/or the Counseling Center staff immediately and participating in the suspected child abuse reporting process. In the event that a reasonable suspicion of child abuse exists, a report will be made immediately or as soon as possible to either the Child Abuse Hotline or local law enforcement.

The Learning Center

The Learning Center exists to assist the school in achieving goals that are central to the Holy Child tradition, which is providing an intellectually challenging and creative program of study within a learning climate that respects the dignity and uniqueness of each person. Learning Center personnel provide academic enrichment and support for a range of students. A consultation is available upon request.

Academic Policies and Actions

Parent/School Communication

Lines of Communication

● Parents should always check first with the teacher to clarify any issue that may arise.

● Parents should set an appointment with the teacher to discuss a specific situation of need.

● Every teacher can be reached by voicemail or email, found in the online directory

Conferencing

● Parent/teacher conferences are scheduled in the fall and in the spring.

● Students in Grades 5-8 participate in their conferences. Students in Grade 4 participate in their spring conference.

● Scheduling of conferences is done electronically/online.

Homework

Homework may vary from grade level to grade level. Each child’s approach and needs will determine the time spent on homework.

Assignments During Absence

● All work (Grades K-4) will be shared by the homeroom teacher.

● All work (Grades 5-8) is posted online on Schoology and should be the primary resource for missed assignments.

● If books or associated materials are required, please contact the student’s advisor by NOON for pick-up after 3:15 p.m. in the Front Office.

● When a student is absent, teacher discretion will determine the need for a make-up test and/or alternate assignments.

Report Cards

Report cards are published online after the completion of each semester

Honors

Students in Grades 5-8 can earn academic honors each semester based on the following criteria:

First Honors are awarded to students in Grades 5-8 who have:

● An average of 98% or above (no letter grades below a B-)

● Second Honors are awarded to students in Grades 5-8 who have:

● An average of 92-97% (no letter grades below a C-) 24

GPA’s are calculated in grades 5-8. GPA calculations are based on four academic core classes (Humanities, Math, Science, and World Language) and the final calculations are based on a scale of 0-100 percent. If your child earns above a certain GPA in the semester, they are eligible for Academic Honors.

Criteria for Academic Probation

Situations of academic concern and behavioral needs will be handled on an individual basis. These students will be under the review and evaluation of the homeroom teacher/advisor, student support team, the division directors and/or the Head of School.

There are several variables that influence a decision to place a student on academic probation. These include, but are not limited to:

● An academic average of 73% or below

● Two “D” grades in academic subjects (Grades 5-8) or three or more “1” ratings (Grades K-4).

● Excessive tardiness and/or absences.

Follow-up for Students on Academic Probation:

● When a student is placed on Academic Probation, every effort must be made by the student to bring up the grades to a minimum of a “C” average (74%-76%) or show demonstrated improvement by the next grading period.

● The extra-curricular activities of a student on Academic Probation may be restricted.

● Students on Academic Probation will receive periodic reports from their teachers. The teachers and the administration will determine the frequency and methods of reporting.

● If a student is placed on Academic Probation, the school will partner with the family to develop an academic plan and specific expectations.

● A student on Academic Probation will not automatically receive a re-enrollment contract. Contracts are issued only to students who have fulfilled the appropriate academic and behavioral standards for each given year

Behavior Policies and Standards

General Guidelines

Mayfield students are expected to conduct themselves in ways that support the philosophy of Holy Child education and the Mayfield Junior School Student Pledge.

Mayfield Junior School Student Pledge

As a Mayfield Student, I accept responsibility for my actions and words. I honor God's creation and pledge to treat others with kindness, compassion, and respect.

Academic Dishonesty

Academic dishonesty includes cheating and plagiarism. Consequences of dishonesty are ultimately determined on the basis of a student's prior violation(s) in the area of academic honesty. The incident will be reviewed to determine the consequence(s). The student may earn a zero grade or reduced credit for the assignment/assessment. The student may be asked to resubmit/retake the assessment. Repeated offenses will be addressed with more progressive consequences.

Student Harassment

Inappropriate or disrespectful behavior, verbal or physical, is unacceptable. This may include but is not limited to unwelcome physical advances, verbal remarks, visual expressions (e.g. written words, drawings, cartoons, gestures), derogatory statements or expressions, or discriminatory actions that occur between two individuals or groups of individuals. Consequences for harassment may include dismissal from the school.

Anti-Bullying Statement and Policy

The school believes that all students have a right to a safe, healthy, and nurturing learning environment. The school will not tolerate behavior that infringes on the safety and emotional well-being of any student or adult. The school will not tolerate acts of bullying, intimidation, or harassment of any student through words or actions. Such behavior includes direct physical contact, such as hitting or shoving; verbal assaults, such as teasing or name-calling; and social isolation or manipulation.

“Bullying” is defined as any severe or pervasive physical or verbal acts or conduct, including communications made in writing or by means of an electronic act that can be reasonably predicted to:

● Place a reasonable student in fear of physical harm to themselves or their property

● Cause a reasonable student to experience a substantially detrimental effect on their mental health or their ability to participate at school, or

● Cause a reasonable student to experience substantial interference with their academic performance.

The school expects students, staff, and parents to report any incident of bullying to school personnel immediately Faculty and staff members are expected to intervene when they observe bullying immediately Each complaint of bullying will be promptly handled by school personnel in an appropriate manner. The school has procedures in place to document, review, and investigate cases of potential or alleged bullying as needed.

The school expects all students to conduct themselves in a manner that demonstrates the proper regard for the rights and welfare of other students, staff, parents, and community members. All students will be educated about this anti-bullying statement and policy each year in an age-appropriate manner.

Students who bully are in violation of this policy and are subject to disciplinary action up to and including suspension and/or dismissal from school. Disciplinary or other action may be taken even if the conduct did not rise to the level of bullying.

This policy applies to every form of bullying and/or cyberbullying, whether in the classroom, on school premises, when a student is traveling to or from school, or at a school-sponsored event. Bullying or cyberbullying that is not initiated at a location defined above is grounds for discipline if the incident results in a potentially material or substantial disruption of the school learning environment for one or more students and/or the orderly day-to-day operations of any school or school program.

Disciplinary Procedures and Actions

Discipline is designed to be respectful and help students learn from their actions. In deciding upon the appropriate consequence, the classroom teacher or administrators will consider such factors as the age of the child, frequency and/or severity of misbehavior, along with the student’s willingness to accept responsibility for his/her behavior. Teachers, and potentially a student's advisor or school administrator, may work directly with the student to understand the situation and work to address it.

Procedures in Grades K-8 strive to help students develop responsibility to themselves, to others, and to property For these reasons, parents are not necessarily called every time there is a concern at school. Efforts are made to help children solve their own problems first before adults get involved. When investigating a potential disciplinary issue, a faculty or staff member may speak to any student at any time in order to understand the nature of the issue. The process focuses on collaboration, communication, and problem-solving. Obviously, there are times when intervention by adults is necessary and immediate. Parents are contacted in cases such as these: fighting, alcohol or other drugs, or anything that is potentially harmful to the health, safety, or welfare of the child or others. Parents will also be contacted if it appears a trend toward undesirable behavior is developing.

Disciplinary actions may result in removal from the classroom, loss of privileges such as part or all of recess or field trips, parent conferences, report card notation, prescribed consequences, behavior contract, suspension (in school and out of school), probation, or withdrawal from the school.

The faculty and administration encourage students to adhere to all school behavioral policies and to be responsible for their actions. All K-8 disciplinary probation, suspension, and dismissal decisions are subject to administrative discretion.

Personal Property Searches

Students do not have a reasonable expectation of privacy in their student lockers, cubbies, or personal belongings brought onto campus. Mayfield Junior School may conduct a search of these items at any time at its discretion. Confiscated electronic devices may have its contents (e.g., apps, contacts, photos, etc.) reviewed by an administrator as part of an investigation.

Disciplinary Actions

Warning for Minor or First Infractions

A warning may involve communication with a student’s teacher, advisor, and/or administrator and parent/guardian.

Minor or First Infractions include but are not limited to:

● Misuse of technology (e.g. student using unpermitted device)

● Uniform violation

● Disruptive/Disrespectful behavior (e.g. in the classroom, at recess, etc.)

● Cheating/Plagiarism

● Chewing gum

● Tardies/absences affecting student progress

Suspension

Reasons for suspension may include but are not limited to the following:

● Personal injury or damage; destruction of school property

● Irresponsible behavior

● Stealing

● Harassment

● Fighting or threatening physical violence

● Repeated Cheating

● Repeated or serious misuse of technology

● Repeated disrespectful behavior

● Hate speech or acts of hatred

Consequences resulting from suspension will be determined by the administration based on the severity of the offense. During repeated or significant infractions, students may be kept out of class while we gather more information and give them a chance to reflect. All attempts will be made to ensure the privacy of all parties involved. We may ask a parent to pick up their student if we feel that the student may not be ready to return to class.

Behavioral Contract

● A student will be given a Behavioral Contract in serious offenses as determined by administration and when there is continued evidence of poor judgment and decision-making.

● Students with behavioral issues must show improvement within the established time frame. The Division Director and Dean of Student Life will be responsible for overseeing this process.

Dismissal

Reasons for dismissal may include but are not limited to the following:

● Continual disregard for school policy or student pledge

● Continual irresponsible behavior or actions

● Acts of insubordination or disobedience

● Possessing or using alcohol or illegal drugs or vaping devices

● Endangering the safety of others

Technology Policies and Procedures

Network Responsible Use Policy for Students

Mayfield Junior School technology includes a comprehensive network of resources intended to enhance instruction and expand educational horizons. Mayfield Junior School follows its stated educational mission, goals, and objectives when making decisions regarding student access to technology. This policy is provided to make all users aware of the responsibilities of good digital citizenship, including efficient, ethical, and lawful use of technology resources. If a person violates the terms and conditions named in this policy, privileges may be terminated, access to the school’s technology resources denied, and appropriate disciplinary action shall be applied.

Use of Personal Communication Devices

Smart watches are not allowed to be worn on campus unless approved by the school nurse for medical necessity. Permissible wearable technology (Fitbits or standard digital watches) must not be distracting to students or those around them, and may not be used to access the web or other data networks.

E-readers such as Kindles are not allowed to be used on campus.

Headphones or earbuds may only be used with permission from the supervising teacher, and may not be worn during passing periods or breaks.

All students must observe the following guidelines:

● All cell phones must be turned off (not silent or vibrate) during school hours.

● All cell phones must be kept in lockers or cubbies during the school day.

● Students in Grades K-4 may only use a personal cell phone to communicate with the teacher's permission.

● Students in Grades 5-8 may only use a personal cell phone to communicate at pick up.

● Students may only use personal devices at MJS Extended Care with permission.

Internet Use

Use of any information obtained via Mayfield’s internet connection is at your own risk. Mayfield specifically denies any responsibility for the accuracy or quality of information obtained through its services. Users expressly waive any right of privacy in anything they create, store, send or receive using Mayfield Junior School technology Students have no expectation of privacy regarding electronic communications on Mayfield-managed equipment and services. Users consent to allow school personnel

access to and review all materials created, stored, sent, or received by a user through any Mayfield-managed equipment. The supervising staff can and do monitor network activity for inappropriate use. Student files may be reviewed as a part of this process and any disciplinary investigations.

Restricting Content

With respect to all devices using Mayfield’s internet connection, Mayfield Junior School monitors the online activities of minors and employs technology protection measures during any use of such by minors. The technology protection measures utilized by the school block or filter internet sites that include, but are not limited to:

● Obscene or sexually explicit images

● Lewd, harmful or hateful language

Every effort is made to block or filter access to sites that may be considered inappropriate while on campus.

Mayfield Junior School Liability

The use of Mayfield technology is at the user’s own risk. The system is provided on an “as is, as available” basis. Mayfield Junior School will not be responsible for any damage users may suffer, including, but not limited to: loss, damage, or unavailability of data stored on Mayfield Junior School media or in the cloud; delays, interruptions, or changes in service; incorrect deliveries or non-deliveries of information or materials.

Mayfield Junior School is not responsible for the accuracy or quality of any information obtained through the internet. Mayfield Junior School will not be responsible for financial obligations arising through the use of the Internet.

What responsibilities do I have when using technology?

● If I find content that is not appropriate on the internet, I will notify a teacher or a trusted adult right away.

● I will take care of my iPad and all technology equipment from the school as if it belonged to me. I will keep my iPad charged, bring it to school daily, and protect it from damage.

● If I forget my iPad at home, I will notify my teacher during the advisory period. I will call home to see if someone can bring my device to school. If no one can bring it to school, I will have a teacher or friend help me send a request to tsr@mayfieldjs.org for a loaner iPad.

● I will respect the school network’s security measures and only access content I have permission to access.

● I will only use my own device and log in to my own accounts.

● I will only use my school email address for purposes related to school.

Student Agreement

I understand this Student Responsible Use Policy and agree to uphold it. I know that the school can inspect my device at any time.

When I make a mistake or do something with a device that is not in line with this agreement, I will let a trusted adult know and ask them to help me make it right. If I cannot consistently keep my part of this agreement, I understand that technology privileges may be removed for a time, and that I may face additional consequences.

Date: Storage and Accessibility of Student Work

Mayfield Junior School provides cloud storage solutions such as Apple iCloud or Google Drive for storing student documents and media. It is recommended that students save their work and documents to one of these locations. Storage space is available on the iPad, but it will not be automatically backed up in case of re-imaging. It is the student’s responsibility to ensure that work is not lost due to mechanical failure or accidental deletion. iPad malfunctions are not an acceptable excuse for not submitting work. The school does not accept responsibility for the loss of any software or documents deleted due to a reformat and/or re-image of a student device. Data stored in the cloud will be deleted 30 days after graduation (or the last day a student attends MJS).

Parent Responsibility

The student expectations listed above also apply to all parents/visitors on campus.

iPad Set Up

iPads are purchased by Mayfield Junior School and are assigned to each student via our mobile device management system. Mayfield provides all the applications that are necessary for use. Installation of additional apps for personal use is not allowed. Certain grade-specific applications will be removed when a student advances to the next grade level. All Mayfield applications will be permanently removed at the end of each school year

Students are responsible for their iPad at all times. Middle School students must bring their iPad to school fully charged every day. When students are not in class, their iPads should be stored in their advisory cubbies/lockers. Students are only permitted to use the iPad when directed by an adult.

iPad Care and Maintenance

● iPads should always be within the MJS-provided cases. Cases should not be written or drawn on, or have decorative stickers affixed to their surfaces.

● Only use a clean microfiber cloth to clean the screen; no cleansers of any type.

● iPads must never be left in an unauthorized or unsafe area, including direct sunlight or water source.

iPad Damage

If an iPad is damaged, it must be returned to the school’s Technology Department. Mayfield will manage the repair process. Unauthorized repairs of the device will void AppleCare coverage. Loaner iPads may be issued to students when their iPad is broken/damaged.

COPPA (Children's Online Privacy Protection Act) Policy

The primary goal of COPPA is to place parents in control over what information is collected from their young children online. The rule was designed to protect children under age 13 while accounting for the dynamic nature of the Internet. The rule applies to operators of commercial websites and online services (including mobile apps) directed to children under 13 that collect, use, or disclose personal information from children, and operators of general audience websites or online services with actual knowledge that they are collecting, using, or disclosing personal information from children under 13. The rule also applies to websites or online services that know they are collecting personal information directly from users of another website or online service directed to children.

As part of our whole child approach to education, we use a variety of web-based applications as important aspects of our curriculum. United States law allows schools to provide consent to the collection of personal information on behalf of the students. This circumvents the need for parents to provide direct consent to each digital service the school uses.

In the enrollment contract, parents acknowledge their consent for Mayfield Junior School to provide personal information for their child: full name, email address, username, and other criteria required by the website, software, or application. There may be other owners or operators of additional web-based educational programs and services used by Mayfield Junior School that will require personal information that may be added. Parents further release the school from any claims and liabilities that may arise out of or in connection with the use of the technology and/or software.

Communications

Electronic Communication

The Maywire, a weekly e-newsletter for current parents, highlights upcoming school events and activities and communicates important and timely information. In order to stay current with school activities and programs, the school expects parents to read the Maywire each week. Our goal is to keep the information included both pertinent and focused on official school business, events, and activities. The Marketing and Communications Department, in conjunction with the Head of School, approves all entries.

Grade-level news is posted for parents and is the primary communication for all grade-level curriculum information, class events, field trips, classroom deadlines, student work examples, and photos. Teachers also may post very short announcements occasionally without deadlines.

Additional e-communications are posted or sent out to one or multiple constituencies, at the request of various school departments/divisions, for special announcements, detailed school event information, and specific reminders.

The Maywire and other school communications are not intended for promotional information regarding functions or opportunities that are not directly sponsored by Mayfield Junior School or one of the school’s professional affiliates.

Website

Mayfield Junior School’s website is www.mayfieldjs.org The website is designed and managed with both external marketing and internal communication in mind. Current staff, parents, and students have access to password-protected pages that provide access to important forms, archived newsletters, a detailed school calendar, special event registration, and more.

The Maypoll

The Maypoll is a magazine published for the extended Mayfield Junior School community.

Use of Name, Image, or Work

Photographs and or video recordings of students are taken during the school day, at sporting events, and at school-related events and activities for use in class projects, on our website, the Holy Child Network of Schools website, in printed school materials, and for marketing/public relations/fundraising efforts including social media. Student work (such as art or writing) is also often photographed or copied for similar use. As described in the enrollment contract, attending Mayfield Junior School and

participating in school-related activities constitutes consent for use of a student’s name, voice, photograph, recordings, or likeness, as well as any student-created material unless specified otherwise by the parent or guardian in writing. If you would like to specify an exception from this policy, please send your request in a letter to the attention of the Director of Marketing and Communications.

Use of School Logo

Mayfield Junior School works diligently to communicate a consistent look, message, and tone of our official printed and electronic publications and communications. Our logo is an important element in this effort; it is the graphic representation of Mayfield Junior School, and its thoughtful use strengthens the School’s image. Given the value of our logo, parameters for its use and application (on merchandise, clothing, or communications of any kind and for any purpose) are important. The use of Mayfield’s logo or crest (any version) must be approved by the Director of Marketing and Communications. The unauthorized use of the school logo is prohibited.

General Policies

Use of Facilities for Non-School Events and Activities

In an effort to maintain a safe environment at all times, non-school events and activities are not permitted on campus at any time without prior approval/permission from the administration. This includes, but is not limited to, family-paid and scheduled tutoring sessions by an individual not employed by Mayfield, student play dates, and use of the field or playground outside of campus hours (Monday to Friday, 7:40 a.m. to 3:10 p.m.).

Please note that supervision of students outside of campus hours is not the responsibility of Mayfield (with the exception of those students registered in the Extended Care Program) and should be provided by parents or guardians.

Private Tutoring

All Mayfield Junior School teachers offer set office hours for their own students at no cost (before or after school) and they publish those hours of availability on Schoology, Course Syllabus, or other parent communication. While most academic challenges faced by students can be addressed within the classroom or with assistance from teachers or learning specialists, certain circumstances may require additional support outside of school. The School has established the following guidelines to address potential concerns and safeguard teachers against perceived conflicts of interest.

● Mayfield Junior School teachers and employees in leadership roles such as Directors, Deans, Learning Specialists, etc. are prohibited from providing paid tutoring services to Mayfield Junior students enrolled in their classes, at their grade level, or on their athletic team. This policy is implemented to prevent conflicts of interest

● Private tutors must communicate through or with the parent/guardian of the student regarding all academic needs.

The Nature and Role of Governance

The Board of Trustees and the Head of School

The primary responsibility of the Head of School of Mayfield Junior School is to carry out the school’s stated mission and goals. The Head of School works in partnership with the Board of Trustees and the Society of the Holy Child to establish policy and planning consistent with the school’s mission; articulate the mission to all constituencies–students, faculty and staff, parents, alumni, and the community–and support the mission in working with all constituencies.

The Board of Trustees

The Board and the Society of the Holy Child Jesus are the guardians of the school’s mission. The Board monitors the success of the school in fulfilling its mission and the Goals of the Schools of the Holy Child. The following principles are set forth to provide a common perspective on the responsibilities of the Mayfield Junior School Board. The Board and the Head of School work in partnership in fulfilling these principles.

● The Board reviews and maintains bylaws and establishes policies and plans consistent with the mission.

● The Board is accountable for the financial well-being of the school, including capital assets, operating budgets, fundraising, and endowments.

● The Board selects and supports the Head of School.

● The Board, or a committee of the Board, conducts a written annual evaluation of the performance of the Head of School and works with the Head of School to establish goals for the following year.

● The Board evaluates itself annually and establishes goals for the following year

● The Board keeps full and accurate records of its meetings, committees, and policies.

● The Board develops itself through new trustee orientation, ongoing education, and leadership succession planning.

● The Board ensures compliance with applicable laws and regulations and minimizes exposure to legal action.

● The Board and Head of School communicate regularly with the appropriate leadership of the School Corporation, fulfill their respective roles and responsibilities as set forth in the bylaws and policies, contribute to the Holy Child Network of Schools and participate in Network meetings.

● The Board and Head of School work collaboratively with the Educational Coordinator of the Holy Child Network of Schools.

The Board and Fundraising for an Independent School

The Board of Trustees and the Head of School, in consultation with the Advancement Committee, are the primary fundraisers for Mayfield Junior School. In order to maintain

a high-quality education, exceptional faculty and staff, and a beautiful campus, it is necessary to raise monies over and beyond tuition. In collaboration with the Advancement Team, the school follows NAIS, CASE, and CAIS best practices for fundraising, encouraging the entire community to participate in our philanthropic efforts.

Emergency Disaster Preparedness

Mayfield Junior School Disaster Preparedness Plan

In order to provide the safest school environment possible, our staff has worked to develop a plan of action in the case of a major disaster. The School’s Emergency Operations Team regularly evaluates the procedures and steps. Our main concern is to maintain a campus that is secure and can provide for both the physical and emotional needs of the children. We maintain necessary first aid and emergency supplies to provide the greatest level of safety and comfort possible.

In the Event of a Disaster or Emergency

Mayfield Junior School utilizes a rapid notification service that sends messages via text and email during or following an emergency event with information and details. It is important that you keep your contact information current in your online profile on the Mayfield website to ensure you receive these communications from the school.

Before or After the School Day

As soon as possible, a message will be sent out with information on any school closures or schedule adjustments. If a severe earthquake or other natural disaster occurs outside of school hours, students should not be brought to school until receiving directions to do so. The campus must be inspected and declared safe for occupancy, which could take some time.

During the School Day

As soon as possible, a message will be sent out with information on the situation and how soon students will be released for pick-up.

Establishing a Secure Campus Prior to Releasing Students

In the event of a major disaster, the entire school community will assemble on the field. For the safety of your children, we must ask that you be patient and await instructions from the administration regarding student release. Please do not call the school; phone lines need to be kept open.

Release Procedures

When the campus is appropriately secured, and the extent of damages and/or injuries is determined, parents/designated adults are asked to follow the school’s student release procedures. Students will be released only to a parent or to those individuals who have prior parental consent (communicated to the school in writing) for pick-up.

● All children will be released through a release station on Waldo Ave. unless otherwise announced.

● Drivers should line up following our regular Carline procedure.

● Do not leave your car or assemble at the release gate, as this will impede the flow of traffic and slow the release of children.

● A member of the Student Release Team will distribute release cards to you in your car You will need to write your name and the names of any children you are picking up. You will be asked to show your personal identification or confirm your phone number.

● The child release cards will be taken to the release station, where information on the release card will be checked against the emergency contact information on file.

● Upon verification of information, children will be permitted to exit through the student release gate to the designated person picking them up.

School Closure Continuity Statement

In the event that Mayfield Junior School needs to be closed for an extended period of time, the following procedures will be put in place:

● School leadership will assess the situation.

● The school community will be notified that the school will be closed, and updates will be provided when possible.

● School administration and business activities will continue off-site as soon as possible.

School closure includes all of Mayfield Junior School’s operations, programs, and events.
