In this essentials guide, we explain the account activation processor and a brief description of the modules available in the application for you to utilize. These are the essentials features you will use!
Activating/ Creating Account:
1. You will receive an invitation email from noreply@kinderpedia.co
2. For the account activation, we recommend accessing the invitation using a laptop/computer. It will look like the example.
3. Click on "Join Your School", after which the Kinderpedia page will open where you need to set a password.
4. Enter the desired password twice (the first time in the "password" field, then in the "confirm password" field).
5. Click on "Create account".
Once you set up your account, we advice you to download the Kinderpedia App. It will be easier and quicker for you to communicate with the school and your child’s teacher(s), you will get notifications in real time and be fully engaged with your child’s development.
How to download and set-up the app:
1. Go to Google Play Store (for Android devices) or Apple App Store (for iOS devices)
2. Look for Kinderpedia: Childcare (for Android devices) and Kinderpedia Parents & Children (for iOS devices)
3. Download the app
4. To save time in the future and avoid any possible errors, please ensure that the auto-update is switched on.
*Please be aware that the auto-update is related to access to Wi-fi so the auto-updating of the app depends on your Data Plan/ continuous access to Wi-fi.
5. Once downloaded and set-up, you can open the app and sign-in.
6. On your first login to the app, you will be asked to switch-on the notifications.
7. You need to switch-on the Push-notifications, in order to be able to receive notifications when teachers or administration share/communicate/post in Kinderpedia.
8. Once the push notifications are ON, then you can switch on the notification for each individual module.
This is the main page, where you can see osts and activities of your child’s class.
• Timetable (left part of the page), where you will see any activities for that day ( e.g. evaluations, observations, food intake, check-in…..)
• Newsfeed (right part of the page), where you will receive any news for the school, the class and your child (e.g. announcements, posts, albums and pictures, post for provided evolution…) You will be able to see everything that happens in the school!
• the list of All modules, is visible on the left side.
For direct communication with the teachers and school administration, you can use either Quick Messages module or Livechat module.
It is usually not used for sending individual messages but instead to send "announcement" or "email" type messages.
• When you send a "message to teachers", the message will be received by all teachers associated with your child’s group/class.
• You can also use the quick message module to communicate instances, such as child being absent, late arrival etc.
It works similarly to Whatsapp and Viber, i.e. for 1:1 conversations, for example with your child’s teacher, or group conversations.
The Kinderpedia modules that you will use mostly on daily basis are:
Media (Photo and Video) - here teachers can add photos and videos (parents CAN NOT upload photos/videos in the Media module)
Document repository - in this mode teachers can upload various files and documents for parents. Parents can also upload documents in this module if a folder for parents has been created and configured (configuration is done by the teacher/administrator)
Activity Calendar ("Daily timeline" in the mobile application) - here you will find the hours / scheduled activities, the ratio of daily meals, sleep, temperature, and potty. If you do not see any of the previously listed data (e.g. the data on how much a child ate is missing or the schedule is empty), it means that they were not filled in by the teachers.
Billing and Payments - here you will find the invoices issued by your Kindergarten/School.
Weekly menu planner ("Menu Planner" in the mobile application)here you can find the menu served by the kindergarten, if there is no data in the menu, it means that they were not added by the kindergarten staff.
Notifications – Do not miss any messages and important information.
To report an absence, first access the Kinderpedia page using a WEB browser (Chrome, Edge, Firefox, etc.) and log in to the account.
Now you need to access the "Quick Messages" section and click on the green "Compose" button.
Now you have to fill in the reason, the period, and the text message and click on "Send". The student will be automatically marked as absent in the selected period.
Mobile
If you use the mobile application, open the menu in the application, access "Quick Messages" and compose a new message.
How you can change or modify your account information using the mobile application (Android and iOS).
Open the Kinderpedia mobile application and select the button on the top left (the three horizontal lines) that opens the menu.
From here you can change various settings related to your account:
• My Account (Change Name, Last Name, Phone, Address, Photo)
• Family members (view and add family members/change data related to family members)
• Language (change the language in which the Kinderpedia application is displayed)
• Alert settings (for which categories to receive notifications)
• Change the password
• Logout
The option to download an entire album is currently only available in the desktop version of the application (via a browser on a laptop/PC).
Open the Kinderpedia page and access the "Media" section from the menu on the left, then click on the desired album.
To download the album, click on the "Download album" button on the right side of the page.
A window will appear in which you will see the size of the album and you must confirm the download. Wait until the archive is ready for download, you can come back later if you want. When the archive has finished processing, you will see the green "Download now" button.
The child/student progress evaluation reports, are accessed via "Child Development" module.
How to access them?
1. Go to Child Development on the right side of the Home screen bar.
2. Then, you will have two tabs:
a) Reports-> this type of reports are usually issued by the school within certain period (e.g. weekly, monthly, bi-annually).
b) Real-time reports-> this type of reports displays any real-time evaluation and/or observations made by the teacher. This means that you will get immediate notification once an observation has been added.
* Please be aware that each school has their own policy on the type and frequency of the reports, meaning that they might decide to use one of both reporting options.
In the "Reports" tab, you will be able to view the evaluation reports of your child's progress on a specific time and/or semester.
To open a report, click on its name.
1. In the first open tab you will be able to view the following details:
• Report name
• Reference date of the report
• Author
• Competencies assessed
• Download (if you click on it, you will be able to download the report on a PDF format)
2. To find out the evaluation, please go to Evaluations.
• There you will be able to see the evolution of you child against each subject and/or pre-set objective.
• If you click on the arrow next to each evaluation, then, other tab will open, where you will see more details (if any) shared by the teacher (e.g. comments/observations/pictures)
3. To find our any additional comments made by the teacher (if any), please go to General Comments.
In the “Real-Time Reports" tab, allows viewing the most recent evaluations added by the teacher, in real time, independently of any reports issued under Reports tab.
To open a report, click on its name.
1. You will be able to see the Theme/ Topic/ Unit/ Subject, it differs from report to report, and subject to subject.
2. Click on the arrow so you can see the evaluations against each pre-set criteria/ objective.
3. When you click on each evaluation, then, other tab will open where you can see the area of development, a detailed description of the competence that was evaluated and other comments or explanations added by the teacher (if any).

2. A new page will open, where you will be able to view the following details:
• The name of the report, the name of the student, and the author of the report.
• Evaluation criteria
• General observations
• The evaluated Categories and Subcategories, respectively, and the evaluation criterion assigned to each evaluated competency.
• Teacher's name.
3. The reports can be viewed in table or list form. To change the view mode, click on the field on the top right (below the Download)
4. To download the report in PDF format, click on the "Download report (PDF)" button.
5. If you click on an evaluation, then a separate window will open, where you can see only that specific evaluation and any comment/ observations written by the teacher (this is only required when the report is viewed as table)
In the “Real-Time Reports" tab, allows viewing the most recent evaluations added by the teacher, in real time, independently of any reports issued under Reports tab.
1. To view the details of a report in real time, use the available filters.
• Choose the report you would like to see (if more than one)
• Select Category (e.g. unit, theme), Important!: School Year (it will be already selected)
2. After you have applied the necessary filters, the page will display the details of the report, where you will be able to see the evaluated Development area & Subcategories.
3. To see the assigned Objectives and Evaluation Criteria, click on the name of the Subcategory of interest and the requested information will open.
4. To see more details, click on the Evaluation Criteria that interests you. In the window that opened you will be able to see the following information:
• The name of the evaluated objective
• Evaluation term (if configured)
• The evaluation criterion and related observations
• The date of the evaluation and the name of the teacher
