Section 2: Governing Policies for Student Organizations

University Policies

All LIU students and student organizations must adhere to all University policies. A collection of the Long Island University policies and procedures can be found on the University Policy site of Long Island University at https://liu.edu/about/university-policies.

This site contains the most up-to-date versions of all Long Island University Policies and Procedures. If you believe that there has been a violation of University policy or law, please submit an EthicsPoint Report Form at https://liu.edu/about/university-policies.

Student Activities Policy

Long Island University fosters a robust and dynamic student life program that includes student organizations, fraternities and sororities, student events, campus recreation, and other co-curricular programs.

Student Affairs coordinates student life activities and regulates these activities through administrative and fiscal policies and procedures that are outlined in the following documents:

• Student Handbook

• Student Organization Handbook

These policies are provided to student leaders during annual student life trainings and are available on ExperienceSharkNation , the Long Island University student life portal. All students involved in these activities are responsible for attending required trainings and ensuring compliance with all relevant policies.

Student Affairs recognizes the Student Government Association (SGA) as the representative body for LIU students and works collaboratively with the SGA on the creation, implementation, and enforcement of various student activities policies.

Guest Speaker Policy

Long Island University permits recognized student organizations to host guest speakers on campus that contribute to a free exchange of ideas and opinions. Individual students who would like to invite a speaker to campus must identify a recognized student organization to sponsor the speaker.

Prior to extending an invitation for a speaker to come to campus, the student organization is required to meet with the Dean of Students or designee. Speaker invitations will not be considered unless an event has been properly requested and approved by LIU Promise.

Approval to host a guest speaker shall not imply acceptance or endorsement by the University of the views expressed.

The ability of guest speakers to contribute to the free exchange of ideas is, however, subject to reasonable restrictions of time, place, and manner. Speakers will not be permitted on campus if their presence or participation is deemed by the Dean of Students or Director of Public Safety to:

• impede or disrupt normal University operation

• present a potential risk to the wellbeing or safety of the University community or facilities

• violate federal, state, or local laws

• violate Long Island University policies

Any guest speaker who is found to violate this policy or access Long Island University grounds or facilities without proper approval may be removed from the grounds and permanently trespassed. Student organizations may be subject to the Student Code of Conduct and/or loss of privileges to host future guest speakers.

Notice of Student Assembly Policy

Long Island University supports the rights of students and recognized student organizations to exercise freedom of expression, free speech and peaceful assembly. In order to avoid disruptions to academic classes and protect the freedoms of the entire community, the University does have the right to review and approve a request for planned assembly, demonstration or picketing and modify the event for time, place and/or manner, if necessary.

Approval of an event may be contingent upon the availability of University support services. Community members may not advertise an event until approval has been granted.

The following are required steps to receive approval for a planned assembly:

• Complete a Planned Assembly Request Form with Student Affairs at least three (3) weeks prior to a planned assembly. No Planned Assembly requests will be considered for events held during study days, final exams, or at times when classes are not in session.

• Hold a planning meeting with the Dean of Students, or their designee, to discuss the event logistics. An approved location for the planned assembly will be at the discretion of the Dean of Students.

• The Marketing and Communications Department must be notified prior to any coordination with outside media outlets or organizations.

• The Department of Public Safety must be notified.

• All publicity for the event must be approved by the Dean of Students or their designee. The event organizers must remove all publicity immediately after the event.

An approved planned assembly is for LIU students only. Non-LIU individuals, including non-LIU organizations, are not permitted on-campus to participate in an assembly.

LIU Promise Student Organization Conduct Policy Statement of Policy

In addition to the specific sanctions listed in the Long Island University Code of Conduct, a student organization and/or individual may face additional, or different, sanctions levied by LIU Promise for its conduct and/or conduct of one or more of its members.

Authority

LIU Promise is the authority that oversees the recognition process for all student organizations,including fraternities and sororities. LIU Promise reserves the right to take action upon any recognized organization or individual involved in a violation of departmental or University policies.

Sanctions

In determining the sanction for a student organization and/or individual, LIU Promise will consider the severity of the violation, the impact the violation had on the community, and thedisciplinary record of the organization. Examples of disciplinary sanctions for a student organization or individual include, but are not limited to:

• Fines - The University and LIU Promise may assess a fine in conjunction with any other sanction.

• Probation of a Stud ent Organization and/or Member - Probation is a period of reviewduring which the organization/member must demonstrate the ability to comply with University rules, regulations, and all other stipulated requirements.

• Deferred Suspension of a Student Organization and/or Member - Deferred suspension of an organization/member is a period of review during which the organization/member must demonstrate an ability to comply with University rules, regulations, and other stipulated requirements. During the period of the deferred suspension, if the organization is responsible of violating another University rule or an order of a disciplinary bodyor administrative hearing officer, then the organization, its registration, privileges, and chapter status, are suspended. Members are subject to increased sanctions applied by LIU Promise.

• Suspension of Recognition/Organization Privileges - A student organization’s privileges, status, and recognition may be limited or suspended for a specified time. Upon theend of the suspension and before a group returns, students may submit a petition to LIU Promise, which demonstrates in a sufficient manner, the following:

o The issues leading to the organization's suspension have been remedied

o Those wishing to revive the organization's status understand the University'spolicies and procedures and are willing to and capable of following them;

o The organization and its members have complied with the suspension, have notengaged in conduct aimed at ignoring or frustrating the suspension; and,

o Have committed no intervening violations of the Code of Conduct.

• Terms of Suspension - In the event of suspension of a student organization from the University, the organization maynot do the following during the term of the suspension:

o Recruit members

o Engage in social functions of any type

o Use University buildings, facilities, property, and equipment

o Use University resources, services, or funds

o Participate or attempt to participate as an organization in any University event; or,

o Co-sponsor or participate as an organization in another recognized organization’s activities.

o In a case where a violation has been found but no suspension has been imposed upon the offending student organization or individual, any one or more of the privileges set forth above may be suspended.

• Removal from Leadership Positions - LIU Promise may remove students from leadershippositions if found responsible for improper actions or violation of University policy

Conduct Policies

Any action by a member of or members of a formally recognized (or one that has applied for membership) student organization, casting an unfavorable reflection on their respective student organization, or LIU, may be considered to be sufficient reason for a conduct case. LIU Promise conducts all cases. All conduct cases shall come under the heading of one or any combination of the following:

• Violation of the Long Island University Code of Conduct

• Violation of the policies in this Student Organization Handbook

• Violation of any University policies listed at https://liu.edu/about/university-policies

3: Terminology

Club and Organization Terminology

Active Membe r: any member of a student organization who attends at least three (3) general meetings and/or events each semester. Must be a full or part-time LIU undergraduate or graduate student in good standing with the university.

Advisor: a staff/faculty member who supports the student organization and completes required approvals on behalf of the organization. This individual will complete required trainings facilitated by the Promise office, regularly attend organization meetings and events each semester, approve all organizational events and spending, and ensure organizational purchases are made in adherence to financial policies in partnership with Promise. Acts as a resource for executive officers regarding recruitment and retention strategies, leadership development, etc.

Emerging Organization: a new student organization that has not yet met the standards required to be a Blue Pillar organization. Emerging organizations must earn the minimum Blue Pillar ranking by the end of a three (3) month probationary period. Should they fail to do so, the organization will be suspended immediately and lose recognition with LIU Promise and Student Government Association. Emerging organizations must appoint a Student Government Senator to work in collaboration with SGA towards permanent funding, but do not have voting rights while on Emerging organization status.

Recognized Student Organization: a student organization that has earned at least the minimum Blue Pillar ranking at the end of a three (3) month probationary period. Recognized student organizations are in good standing with LIU Promise and the University. Recognized student organizations may request funds from the Student Government Association (SGA), have voting rights in the Student Government Senate, and are eligible for Student Organization Awards at the annual Student Leadership Awards Ceremony.

Probationary Organization/ Unrecogni zed Organization: a student organization that has fallen below the Blue Pillar ranking or a Probationary Organization that has failed to meet the minimum requirements of their probation. LIU Promise does not recognize Suspended/Unrecognized Organizations; therefore, they must immediately cease all functions and surrender all finances to the Student Government Association. Students wishing to re- activate Suspended/Unrecognized Organizations must follow the New Student Organization Process.

Fraternity & Sorority Life Terminology

Active Member: a member who has been initiated into lifelong fraternity or sorority membership and participates in chapter activities at the collegiate level

Alumni/Alumnae: initiated fraternity or sorority members who have graduated from college

Badge: the pin of an initiated member

Bid: a formal invitation to membership in a particular fraternity or sorority

Big: an active member of a fraternity or sorority who serves as a mentor to a new member, guiding him or her through the new member program and initiation

Call/Chant: audible sounds used by members to acknowledge or gain the attention of other members. Calls may vary regionally within organizations, and some organizations may use more than one call

Chapter: a local group of the larger (inter)national organization, designated by a special Greek name

Establishing Chapter : a local group of the larger (inter)national organization that has not fully established on a campus, designated by a special Greek name

Greek: any member of a Greek-letter organization

Initiated Member: any member who has completed the new member process and has gone through the initiation ceremony

Initiation: the formal ceremony that marks the beginning of active membership. Each chapter has a different set of requirements in order to be initiated

Intake: the process chapters conduct to recruit, interview, choose, and educate new members

Line: the members of a cultural Greek organization new member class

Little: a new member of a fraternity or sorority who is the mentee of a big

Membership Recruitment: the mutual selection process that prospective members and chapter members go through during the recruitment period to get to know one another

NALFO (Natio nal Association of Latin Fraternal Organizations): the representative body governing historically Latino/Latina Greek Letter organizations

New Member: a member of a fraternity or sorority who has not been initiated

Neophyte or Neo: a new member of a cultural Greek organization

New Member Presentation: a formal presentation of a new line to campus. Usually done in a public forum after members have been initiated

New Member Program or Education: period of learning about fraternity and sorority life prior to initiation; this period should not exceed 6 weeks

NIC (North American Interfraternity Conference): governing body for 72 national member men's fraternities and alumni associations.

NPC (National Panhellenic Conference): the umbrella organization for 26 women's fraternities. NPC supports its chapters by promoting values, education, leadership, friendship, cooperation, and citizenship

NPHC (National Pan - Hellenic Council): national organization composed of four sororities and five fraternities whose membership is historically African American

Pinning: a ritual ceremony that designates the start of a new member process.

Preferencing: during the last part of Panhellenic sorority recruitment, a potential new member determines which particular sorority she is willing to join; the potential new member lists three sororities in her order of preference

PNM (Potential New Member): a college student who is interested in joining a Greek Organization and is taking part in the recruitment process

Quota: the specified number of potential new members to which each sorority may extend a bid

Recruitment Counselor: a Panhellenic sorority member who has temporarily disaffiliated from her chapter during formal membership recruitment; they are specially trained to help potential new members and answer any questions they may have about sorority membership

Social: get-together event with another Greek organization

Stepping: a historically black tradition characterized by synchronized hand foot movements, along with singing, dancing, chanting, and acting

Stroll: a line dance done by members of cultural Greek organizations; usually done at a party or step show

Total: the allowable chapter size, including both new and initiated members, as determined by the Panhellenic Council

Section 4: Recognition

Student Organizations | Recognition Process

Maintaining recognition as a student organization with LIU Promise requires the following:

• Established for purposes that do not violate local, state or federal law; are consistent with the broad educational mission of the University; and are supportive of the regulations, guidelines and policies of LIU. The University recognizes that some studentorganizations may have a purpose to advocate for a change in existing law and this provision does not prevent the student organization from exercising its First Amendment Right to do so.

• The organization must meet all mandatory requirements to obtain Blue Pillar ranking within the Pillars of Excellence Student Organization Recognition Program and complywith all LIU Promise policies and procedures.

• Must not enter the University into any contractual agreement without the knowledge and approval of LIU Promise.

• Must be non-profit in nature.

• Must complete all appropriate paperwork correctly and in a timely fashion.

• A student can only be President of one (1) recognized student organization at any given time and may serve as an officer on a maximum of three (3) executive boards.

• Must create a safe environment at all sponsored events and meetings.

• Must have open membership and allow participation to all students without regard to race, color, sex, age, religion, national origin, sexual orientation, gender identity, marital status, disability, or status as a U.S. veteran.

Student Organizations | Loss of Recognition & Organization Suspension

In order to remain an accredited Student Club/Organization recognized by LIU Promise, allorganizations must remain compliant with the Pillars of Excellence Student Organization Recognition Program.

At all times, a student organization must maintain at least a Blue Pillar ranking within the Pillars of Excellence Student Organization Recognition Program. LIU Promise will evaluate the ranking of all student organizations (excluding Fraternities, Sororities and Departmental organizations) at the end of each academic semester.

Student organizations that do not earn Blue Pillar Ranking will be placed on probation with LIU Promise. Should the organization fail to meet the minimum requirements of a Blue Pillar Ranking by the end of the consecutive semester, they will lose recognition from LIU Promise and the organization will be suspended for the subsequent academic semester (Fall orSpring). Probationary Organization/Unrecognized organizations will have access to only 40% of their annual budget and must work to be reinstated within one academic semester.

Reinstatement: Probationary Organization/ Unrecognized organizations can be reinstated withinone academic semester provided they do each of the following:

• Host at minimum of 3 events

• Co-Sponsor one of the 3 events with another organization

• Conduct Bi-weekly general and executive board meetings

• Attend a minimum of 2 LIU Cares events

• Participate in at least 1 campus wide Promise Event.

• Submit all required documents provided by LIU Promise

• Participate in a leadership training workshop

Student Organizations | New Student Organization Process

Students who are interested in starting a new student organization must submit the New Student Organization Petition through Experience Shark Nation during the first three weeks ofthe semester. The petition process is determined by LIU Promise and outlined below:

1. Review the list of active organizations online to ensure that an existing organization doesnot have a similar purpose.

a. The proposed organization must meet the following criteria:

b. Be open to any LIU student who wishes to participate

c. Be beneficial and necessary to the enrichment of the LIU community

d. Fill a unique niche in the LIU community

e. Be supported by a qualified advisor who is a faculty or staff employee of LIU

f. Be supported by sustainable student leadership; and,

g. Align with the mission of LIU

2. Students who are interested in starting a new student organization must have 15 interested members who have filled out the “New Organization Interest” form through Experience Shark Nation by the first three weeks of the semester.

3. Once the interest form hits 15 interested members, the coordinating student/students will be prompted to fill out our “Organization Request” form. The New Student Organization Request will request the following:

a. General information including name and nickname if applicable

b. Organization mission statement (A mission statement shouldincludethepurpose andvaluesof theorganization to itsmembersandtheLIUcommunityandsetoutthemainobjectivesthe organizationwillaccomplish.Themissionstatementshouldbebriefandclearlystated.)A successfulmission should betwotofoursentenceslong.

c. Membership requirements if applicable

d. Constitution and By-Laws

e. Organization Roster (Must havea minimumoften(10)members,withfour(4)ofthose membersconsistingofapresident,vicepresident,treasurer, andsecretary)

f. New organization questionnaire including the following questions:

i. How willyour organization benefitthecampuscommunity?

ii. How willyourorganizationfosterpersonalgrowthanddevelopment?

iii. Howwillrecognitionaidyour organization inaccomplishingits individual mission?

g. Proposed budget request

h. A complete roster of officers and advisor.

4. The Student Involvement Team will contact you within a week (five business days) of your submission to provide feedback on the proposal.

After submission of any required edits, The Student Government Association will review for official approval. Once approved, all executive officers and the advisor of the organization are required to complete a New Student Organization Training through Promise. Once the training is complete, the organization will be recognized as an Emerging Organization and will have access to all resources provided to Emerging Student Organizations. Promise will provide funding for the 3-month period of Emerging Organization status of up to $300.

Student Organizations | Emerging Organization Requirements

During Emerging Organization status, student organizations must meet the following requirements:

• Hold at least two (2) events

• Host bi-weekly general body meetings and bi-weekly executive officer meetings

• Maintain a minimum of fifteen (15) active members

• Attend all mandatory events and workshops

• Meet with LIU Promise monthly to review their progress

After three (3) academic months, if all LIU Promise and Student Government Association requirements are successfully completed, LIU Promise will officially grant the student organization as Recognized status.

Emerging Organizations who fail to meet the recognition requirements in the allotted time will be required to begin the New Student Organization Recognition Process again for the next consecutive semester and will not receive additional funding. If an organization is unable to transition into a registered organization after a year, the organization will be required to cease functioning.

Fraternity & Sorority Life | Recognition Process

Each fraternity/sorority must also meet the following requirements for maintaining full recognition: Must adhere to all rules and regulations maintained by the University (https://liu.edu/about/LIU-policy/policyby-category-listing) including, but not limited, to the Student Code of Conduct Policy and the appropriate Greek governing council constitution and bylaws.

• Must remain in compliance with all Standards of Excellence expectations and requirements.

• Must follow all Event policies as outlined in this handbook.

• Must maintain a minimum membership of at least five (5) individuals. Organizations falling below this number will be on probation and given an opportunity to increase their membership before losing recognition.

• Academic Requirements: LIU will hold the recognized Greek organizations accountable to reasonable standards of academic performance. This will include minimum requirements for active members, new members and prospective members. Chapters/Colonies must maintain a cumulative and semester Chapter/Establishing Chapter GPA of at least 2.5. All GPA are subject to review by LIU Promise. Chapter and community GPA will be published in semester grade reports. To be considered an active member of a fraternity or sorority, the member must be a full-time, registered, undergraduate student at LIU.

• Must have a representative at each council meeting, respectively.

• Must have a Chapter/Establishing Chapter Advisor, as well as a Campus Advisor. A Chapter/Establishing Chapter Advisor is an individual appointed by the appropriate national fraternity/sorority officials to serve as the primary advisor for the Chapter/Establishing Chapter. The

Campus Advisor is a member of the Faculty or Staff that serves as an additional resource for Chapters/Colonies.

• Fully participate in LIU Promise required programs.

• Must notify LIU Promise within forty-eight (48) hours of any membership status changes. The chapter’s roster on Experience Shark Nation should always be up-to-date.

• Must submit a Certificate of Insurance/Liability to their primary advisor each academic year.

• Must adhere to all University policies and procedures, as well as, all inter/national policies and procedures. University policy supersedes all national organization policies. In cases where national/umbrella organizations or executive governing bodies impose stricter guidelines (e.g., grades, number of members, etc.), the stricter of the two will prevail as long as the University policy will not be violated or compromised.

A student cannot be the President, Vice President of Recruitment, Recruitment Chair, or New Member Educator or its Chapter/Establishing Chapter-equivalent, of their organization and serve as an executive board member on a governing council(s) concurrently.

Fraternity & Sorority Life | Privileges of Recognized Organizations

Recognized Chartered Organizations and Recognized Interest Groups or Colonies, who are in good standing with LIU Promise, may enjoy the following privileges:

• The ability to reserve locations on campus for events, meetings, conferences, and programs, in accordance with LIU Promise’s policies.

• Access to advisement, educations, training, and support from LIU Promise.

• Approval of event flyers for posting and distribution for on-campus events.

• Access to the Greek flyer boards.

• Member and Chapter/Establishing Chapter participation in recognition events, including the Greek Awards Banquet, Student Leadership Receptions, Greek Sing, Greek Formal, Greek Week, Honor Societies, etc.

Fraternity & Sorority Life | Auxiliary Organizations

Auxiliary organizations to the main organization are not permitted (i.e., Little Brothers, Little Sisters, Sister and/or Brother Organizations, etc.). Such organizations open the University to increased legal liability, imperil the organizations with whom they are associated, and are contrary to University, National Panhellenic Conference and North American Interfraternity Conference, Inc. policies.

Fraternity & Sorority Life | Community-Based Chapters

Long Island University – Post does not recognize student’s membership in fraternity/sorority communitybased Chapters/Colonies. It is not permitted for LIU Post students to join fraternity/sorority community Chapters/Colonies. Students are encouraged to explore membership in on-campus recognized organizations.

Fraternity & Sorority Life | Council Membership

Greek Advisory Board:

The Greek Advisory Board (GAB) is the student-run programming and advisory board for the fraternity/sorority community and stands to promote Greek unity within the community and the campus community at large. All fraternities and sororities are required to be members of GAB and are represented by their Chapter/Establishing Chapter President or their delegate. GAB is organized by the GAB Chairs who include the Presidents and Vice Presidents of Programming of the Panhellenic Association, Interfraternity Council, and Multicultural Greek Council. GAB organizes events such as Greek Week, National Hazing Prevention Week, Meet the Greeks, and LIU Goes Greek.

Panhellenic Association:

The Panhellenic Association (PHA) is the governing body of all Panhellenic sororities at LIU, and serves as the liaison between National Panhellenic Council (NPC) and LIU Greek Life. All sororities that fall under the NPC umbrella organization are required to be members of PHA. PHA is composed of an executive board and one representative from each member organization. The goal of PHA is to unite the member sororities and promote academic achievement in these organizations. PHA must follow all policies set forth by the University regarding governance and expansion. PHA also runs and regulates formal recruitment for its member organizations.

Interfraternity Council:

The Interfraternity Council (IFC) is the governing body of all fraternities that fall under the North-American Interfraternity Conference (NIC) at LIU, and serves as the liaison between NIC and LIU Greek Life. All fraternities that fall under the NIC umbrella organization are required to be members of IFC. IFC is composed of an Executive Board and one representative from each member organization. The goal of IFC is to unite the member fraternities and promote academic achievement in these organizations. IFC must f ollow all policies set forth by the University regarding governance and expansion. IFC also runs and regulates recruitment for its member organizations.

Fraternity & Sorority Life | New Organization Expansion

Expansion to LIU is not automatic; the University must grant approval/permission before a new fraternity/sorority forms. The following criteria are the basis for consideration for expansion:

• Long Island University may only recognize fraternities & sororities associated with a national umbrella organization such as the National Panhellenic Conference, National Interfraternity Conference, National Pan-Hellenic Council, National Association of Latino Fraternal Organizations, etc.

• The University and/or specific council must be open for expansion/extension.

• Consistency with the mission of LIU.

• Evaluation of the submitted materials and determination of the national organization’s ability to implement its plan for colonization.

• Students and/or national organizations who are interested in Greek Life expansion/extension should contact LIU Promise. An interest list of at least 5 students is required.

• The organization should schedule a meeting with the Fraternity and Sorority Life Coordinator to discuss an expansion agreement and plan for a successful expansion.

• The University will not consider organizations currently suspended from campus. (Please visit LIU Promise for a complete list of suspended organizations).

Non-recognized organizations that function outside the governing parameters of LIU are a detriment to recognized student organizations. Participation in sponsored activities of these groups gives them legitimacy, and thereby hurts LIU student organizations. Any non-recognized organization acting as a recognized LIU organization will be in violation of University Policies.

Individual students who join non-recognized organizations and/or act as a recognized organization will be subject to sanctions as per the University Code of Conduct.

Fraternity & Sorority Life | Failure to Comply

LIU Promise reserves the right and responsibility to take action against any Chapter/ Establishing Chapter/interest group not in compliance with University-related requirements. LIU Promise shall reserve the right and responsibility to levy sanctions as a result of non-compliance with requests for submission of required paperwork and dues to LIU Promise or either of the councils and violations of fraternal practices that are not otherwise violations of the University’s Code of Conduct.

Section 5: Organization Officers

Executive Officer Descriptions

Recognized Organizations must have the following officers in order to maintain recognition. Adding additional officers is at the discretion of the organization in accordance with their bylaws

President: Leads the organization, sets short term and long term goals, and maintainsawareness of all organization matters, delegates tasks, attends student leader retreats, meets with Advisor/LIU Promise on a regular basis, runs Executive Board meetings, etc.

Vice President: Acts as President in their absence; assists the President in the leadership and management of the organization, follows other duties as assigned by the President.; Runs General Membership Meetings

Secretary: Manages administrative tasks including: scheduling processes for meetingsand events, taking and uploading meeting minutes, distributing minutes to members, advisor and LIU Promise, tracks attendance at organization meetings and events.

Treasurer: Manages financial aspects of the organization including: keeping track of allfinancial records, maintains accurate account of funds, and gives reports to necessary

Each officer is responsible for their specific duties; however, all officers and members should work together to benefit the organization and each other’s development. Each organization may also have additional officers, provided the position descriptions are unique to the respective organization.

Executive Officer Eligibility

Student leaders must maintain at least a cumulative 2.5 grade-point-average on a 4.0 scale. LIUPromise withholds the right to remove Executive Officers that do not meet these eligibility requirements from their respective office.

Organizations whose Executive Officers are removed by Promise will have a maximum of onemonth to fill the vacancy. Clubs that fail to fill the vacancy will run the risk of being placed on probation with LIU Promise.

Section 6: Organization Resources

Mailboxes

All Recognized Organizations can have mail sent to LIU Promise. All mail is available for pickup at LIU Promise during business hours.

Organizations must notify LIU Promise when they are expecting a package. Once received, LIU Promise will notify the organization to pick-up their package(s). The organizationwill have two (2) days to pick up their package(s) unless the organization makes other arrangements with LIU Promise.

Flyers and Advertisement

LIU Promise facilitates printing of all flyers for all Recognized Organizations.

• Student organizations must have flyers approved and stamped by the Promise Office. Post approved flyers only within designated flyer boards.

• Contact LIU Promise to request flyers at least five (5) business days prior tothe event to ensure ample time for approval/advertisement.

• Student organizations may print a maximum 40 flyers for a single event. (20 forResidence Halls, 20 for academic buildings).

• When requesting flyers, please indicate the size, number of flyers, and if they should bein full color or black and white.

• Flyers should include the name of the organization, the name of the event, time, date,location, and contact information.

• Student Organization Budgets are billed based on the amount of the flyers printed.

• No student organization may hang flyers without permission of the Promise Office. Any flyers hung on campus without the Promise Office approval will be removed.

• Remove all flyers the day after the event.

• All organizations should utilize the Marketing Guidelines resources found in the hub foreffective marketing best practices.

Organization E-mail

All Recognized Organizations are eligible for an LIU email address. This can be used to communicate with the campus on a weekly basis. Unrecognized/Suspended Organizations will not have access totheir club email address. To receive an official LIU email, organizations must work with LIU Promise and the IT department of LIU.

Room Reservations

Recognized Organizations may reserve space for sponsored events and meetings through their organization Advisor and LIU Promise. To reserve space, complete a Room Request Form online at the Hub. It is recommended that requests are submitted to your Advisor at least twenty-one (21) days prior to the event/meeting to ensure adequate time to receive space approval and market your event. Once you have a confirmed space, submit your Program Request Form (more information in Section 3: Events) to LIU Promise. Executive Summary

The purpose of the Pillars of Excellence student organization recognition program is to support student organizations in achieving institutional standards that cultivate a community of belonging for LIU students. Pillars of Excellence provides structure for baseline expectations of all recognized student organizations funded by the Student Government Association (SGA) and provides opportunities and benefits for aspirational growth. There will be three recognized Pillars of Excellence that distinguish student organizations that achieve, exceed, and exemplify institutional standards for student organizations.

Blue Pillar Requirements

Administrative Requirements for Blue Pillar

To earn and maintain a Blue Pillar ranking, each student organization must fulfill all administrative requirements, on time. Exact due dates will be distributed to student organization executive officers and advisors at the start of each semester.

Attendance Requirements for Blue Pillar

To earn and maintain a Blue Pillar ranking within LIU Pillars, each student organization must fulfill all attendance requirements. Student organization executive officers will receive exact dates for each requirement prior to the start of each semester.

The Campus Involvement Fair is the best opportunity to recruit new members for your organization. At least two (2) executive officers must be present.

• Student Organization Leadership Training | Occursatthestartoffall

LIU Promise provides a mandatory training program for the Executive Officers & Advisors of all student organizations. The training explains the Pillars of Excellence Student Organization Recognition Program as well as all expectations and required procedures of student organizations. At least two (2) executive officers must attend Student Organization Leadership Training.

• Student Leadership Awards Ceremony | Occursattheendofthespringsemester

The Promise Office will host the annual Student Leadership Awards each year in April. At least two (2) Executive Officers from each student organization must attend. Student Organization Award recipients are recognized at the Student Leadership Awards. Professional attire is encouraged.

LIU Promise sponsors various large-scale programs that are open to the entire campus community each year. Student organizations must attend or form a team for the following events:

All organizations are required to hold five (5) General Membership Meetings during the fall and spring semester, which can be done in person or virtually. Organizations must track attendance of general membership meetings in Experience Shark Nation to account for active members. All general membership meetings must be requested an approved through the linked Event Registration Form in Experience Shark Nation.

All organizations are required to hold a minimum of five (5) Executive Board Meetings each semester, which can be done in person or virtually. It is recommended that club advisors be present at Executive Board Meetings.

Plan and implement at least three (3) events each semester that are open to the entire campus community. Events can be hosted in person or virtually. Events may be requested on campus using the linked event registration form. Programs can be any event that engages the campus community in connection to the mission and or goals of the student organization. Collaborating with other clubs and organizations, oncampus departments, and outside resources is encouraged.

Blue Pillar Benefits

Organizations that fulfill the requirements of the Blue Pillar will continue to maintain an active status at LIU

Silver Pillar Requirements

Complete all requirements of the Blue Pillar and;

• General Membership Meetings

Hold eight (8) general membership meetings each semester, which can be done in person or virtually.

• Executive Board Meetings

All organizations are required to hold eight (8) Executive Board Meetings each semester, which can be done in person or virtually. Club Advisors should be present at most Executive Board Meetings. Student Organizations must submit executive board meeting minutes on Experience Shark Nation within one week of each meeting using the linked upload form.

• Events and LACES Programming

Plan and implement at least five (5) events each semester two (2) of which must be utilizing the LACES programming categories listed below:

Silver Pillar Organizations are required to host a co-sponsored event with any other recognized student organization or LIU Promise approved University entity or initiative each semester. A cosponsored event can count toward any social or LACES program and be one of your five (5) total programs.

• LIU Cares

The organization conducts at least sixty (60) total community service hours per organization each semester and raises and donates at least $125.00 towards a philanthropy of their choice per semester.

Silver Pillar Benefit

Silver Pillar: a student organization that exceeds the expectations of a recognized student organization. Organizations that earn a Silver Pillar ranking are privy to all the rights and benefits of a recognized organization plus:

• Recognition at the annual Student Leadership Awards

• Award of $200 towards club branded swag

• Ability to be added into a lottery to gain access to storage

• Receive a credit of $50 for printing

Gold Pillar Requirements

Complete all requirements of the Blue and Silver Pillar rankings, and;

Evaluation Deadlines

Pillars of Excellence rankings will be evaluated annually in April and the earned ranking will stay with the organization for the following academic year if the organization remains in good standing. Spring semester reports must be turned in before April 15 for rankings to be determined prior to the annual Student Leadership Awards Ceremony and Gold Pillar Reception.

Fraternity & Sorority Life | Standards of Excellence

Purpose of Standards of Excellence

The following information is provided to assist chapters and colonies in understanding and fulfilling all requirements of the Standards of Excellence chapter accreditation program. Please review all instructions carefully to ensure your chapter is able to earn the status of “Achieving the Standard” or better in each of the standard categories, as well as be eligible for community recognition and awards.

The purpose of the Standards of Excellence (SOE) program is to assess chapter performance based on the six standards of Fraternity and Sorority Life (FSL) at Long Island University. The six standards are: Scholarship and Learning, Leadership and Values, Community Service and Philanthropy, Safety and Risk Management, Brotherhood and Sisterhood, and Diversity and Inclusion.

Additionally, the SOE aims to:

• Promote and uphold the expectations and operational standards set by the LIU Promise Fraternity and Sorority Life Team

• Provide chapters with a comprehensive guide of best practices that encourage continuous improvement and goal setting strategies

• Recognize high-performing chapters and identify areas of development regarding pillars where chapters do not “Achieve the Standard”

• Ensure that Fraternity and Sorority students are gaining a positive, holistic experience by engaging as a member of their chapter

Overview of Standards of Excellence

• All chapters and colonies affiliated with the Interfraternity Council (IFC), Panhellenic Association (PHA), or the National Pan-Hellenic Council (NPHC) are required to participate.

• The program will review chapter performance over one (1) academic year (fall to spring) through the submission of narratives, event summaries, chapter programs, and other detailed supplemental materials via Experience Shark Nation (Presence) Standards of Excellence reporting form.

• Submissions are broken down by the six standards: Scholarship and Learning, Leadership and Values, Community Service and Philanthropy, Safety and Risk Management, Brotherhood and Sisterhood, and Diversity and Inclusion.

• Each standard is worth 20 points total. Each pillar consists of four (4) subsections which are worth 5 points each. Successful completion of each subsection will include all details and relevant information to obtain full points. Partial points may be awarded for a subsection.

• Chapter will decide which standard they feel as though they excelled OR improved the most in throughout the academic year and give a presentation to Fraternity and Sorority Life staff in April. Presentation days and times and more details will be communicated with chapter Presidents in February from LIU Promise FSL staff. Presentation will be worth 10 points.

• Submissions will be reviewed and scored by the Fraternity and Sorority Life staff and external evaluators.

Instructions

Standards of Excellence forms will be completed via Experience Shark Nation (Presence). Please review each standard early in the fall semester and organize yourself and your organization’s officer’s responsibilities accordingly. For example: a lot of questions under each Standard ask for attendance sheets. Please keep track of attendance at ALL events hosted by the chapter throughout the academic year.

Further instructions will be provided to chapter Presidents and the Greek Advisory Board in the spring semester to start the submission process and start planning for the presentation portion of the Standards of Excellence process.

Method of Evaluation

LIU Promise Fraternity and Sorority Life Staff will be used to determine the Standard Status of each chapter based on points awarded, conduct review, and council standing.

Volunteer evaluators will award up to 5 points per question based upon the documentation materials and descriptions to support the answer. The external evaluators and internal LIU Promise FSL staff will total the final scores for each pillar.

The overall Standards of Excellence status assigned to each chapter is determined by an average of the ratings earned in each pillar category.

Chapters that receive “Achieving the Standard” or better overall will be eligible to receive group and individual awards at the Student Leadership Awards Ceremony and will be recognized for their excellence in the six pillar areas.

Chapters that receive the “Approaching the Standard” status will be placed on Probation 1 for the following academic year. Probation 1 sanctions include: completing a chapter improvement plan with chapter leaders and advisors, as well as mandatory monthly meetings with FSL staff. Probation 1 status will be reassessed when the chapter submits the following year’s Standards of Excellence annual report.

Chapters that receive the “Below the Standard” status will be placed on Probation 2 status for the following academic year. Probation 2 sanctions include: completing a chapter improvement plan with chapter leaders and advisors and attending bi-weekly meetings with FSL staff in LIU Promise. If chapter does not show improvement by the end of the following academic year’s SOE cycle, the chapter may be suspended or removed from campus with no guarantee of approved return.

It is the responsibility of the organization to apply for all awards online before the assigned due date.

Section 8: Fraternity and Sorority Life New Member Recruitment and Education

Recognized organizations are permitted to recruit new members and conduct new member education and intake processes. However, these processes can only be conducted during the fall and spring semesters. No bids or invitations of membership can be distribute d during the winter or summer breaks, or during spring break.

Interfraternity Council (IFC):

At the beginning of each semester, the IFC holds an Open House where prospective members can learn more about and meet the men of each IFC organization. The Open House is not mandatory; however, it is strongly encouraged for any student interested in joining one of the IFC organizations that semester. Students can register in advance online (https://liu-post.presence.io/form/fraternity-and-sorority-recruitmentregistration-form) or at the event. If a conflict arises, students should contact the IFC 24 hours prior to the start of the event Bids will be distributed during Fraternity Signing Day through LIU Promise. Students may receive a bid from more than one organization; however, they can only accept one bid. Any student who rejects a bid or does not receive a bid can receive a bid through Continuous Open Bidding periods of the same semester, or recruitment week of the next semester.

National Pan - Hellenic Council (NPHC)

Each NPHC organization follows their own guidelines for recruitment/intake. NPHC organizations usually hold information sessions during each semester where they will explain their intake/recruitment process. Information sessions are advertised through flyers, social media and word of mouth. If a student is interested in joining an NPHC organization, fill out the interest form. A representative from the organization will contact the student with more information (https://liu-post.presence.io/form/fraternity-and-sorority-recruitmentregistration-form)

Panhellenic Association (PHA):

In the fall semester, the (PHA) holds a formal recruitment process that takes place on campus. Students interested in joining one of the PHA organizations must register either in advance (https://liupost.presence.io/form/fraternity-and-sorority-recruitment-registration-form ) or at the Open House round of Formal Recruitment. Students must attend all recruitment events in order to be eligible to receive a bid. If a conflict arises, a conflict form must be submitted at least 24 hours prior to the start of recruitment. Students may be extended only one bid from one organization, which they can either accept or reject. Any student who rejects a bid is not eligible to participate in the informal recruitment process in the spring semester; they must wait until the next formal recruitment to go through the recruitment process again.

In the spring semester, PHA holds an informal recruitment process that takes place on campus. Students looking to join one of the PHA organizations must register online (https://liupost.presence.io/form/fraternity-and-sorority-recruitment-registration-form). Organizations can hold their own events throughout the week. Prospective students can choose which events to attend and do not have to attend all of them, however students are encouraged to attend as many as possible. Students may receive a bid from more than one organization; however, they can only accept one. Any student who rejects a bid or does not receive a bid can go through the recruitment process again in the fall semester.

New Member Eligibility

In order to be eligible to join a Greek organization, students must be a full-time, registered, undergraduate student at LIU and have at least a 2.5 cumulative GPA on a 4.0 scale. Some organizations require a higher minimum cumulative GPA. The higher GPA policy will apply. Students must also meet the requirements as outlined by each individual Chapter’s/Establishing Chapter’s national/local offices.

Exceptions:

• New, first-year students may join a Greek organization if their high school GPA is above an 80% (2.5 GPA equivalent).

• Transfer students may join a Greek organization if their cumulative GPA is above a 2.5 on a 4.0 scale from their previous institution. Transcripts must be submitted to LIU Promise from their previous institution before they can be approved for a bid invitation.

No bids (promise of membership) may be given out to a student before the student’s credentials are approved by LIU Promise. Organizations found responsible of bidding a student who has not been approved by LIU Promise will be subject to sanctions by LIU Promise.

New Member Education Policies

• New Member programs must not exceed 6 weeks. Upon completion, newly initiated members must complete appropriate paperwork in a timely manner and be granted all rights & privileges of full membership.

• All students must carry their LIU ID on them at all times and must present said ID upon request by Public Safety, Administrators, Resident Assistants, or any staff member at LIU.

• No New Member Activity that interferes with the academic operations of the University.

• All students must properly identify themselves upon entry to a residence hall, each time they enter or exit. All students must be signed into the residence hall if they do not live there.

• No New Member activity may take place after midnight.

• All New Member Education Processes must prohibit new members from the use, consumption, and being in the presence of alcohol and recreational drugs.

• LIU has a policy of 24-hour courtesy hours. Excessive noise or disturbance is not appreciated. After 9pm, particularly on weekdays (and 11pm on weekends), you may receive a sanction for noise violation.

• No one who is not a current student at LIU may participate in any New Member activity, unless the organization receives written permission from LIU Promise.

• Social probation is considered a form of hazing which is illegal in the State of NY. While one always has the right to choose to refrain from socializing, prohibiting communication is not tolerated. Individuals or organizations found to be practicing social probation or codes of silence will be sanctioned accordingly.

• Wearing uniforms or “gear” of any kind is considered hazing, which is illegal in the State of NY. New Member pins are the only exception. Individuals or organizations found wearing or enforcing gear will be sanctioned accordingly. Special provisions will be made for probates/surfacings as needed.

• Probates/surfacings must be scheduled with and approved by LIU Promise.

• Any illegal activity whatsoever that is the “choice of the New Member(s)” is automatically considered the responsibility of the Chapter/Establishing Chapter, and appropriate sanctions will be taken.

• New Member activities must not interfere with a person’s personal living space, personal needs, sleep, health, hygiene, or academic, extracurricular or employment responsibilities.

• The New Member Education Program must be submitted online and must be approved by LIU Promise for an organization to undergo a New Member Education program.

Hazing Statement

Hazing is against New York State Penal Law and is prohibited at Long Island University. Hazing is considered any action that, either intentionally or recklessly, endangers the mental, emotional, or physical health or safety of a student, or which damages or removes property, for the purpose of initiation, admission into, affiliation with, or continued membership in, a Long Island University athletic team, student organization, fraternity or sorority, or other group. Long Island University students may not consent to being hazed. A student who voluntarily or willfully participates in hazing activities is in violation of the hazing policy.

Hazing is:

• Any beating or physical abuse

• Forced wearing of clothing *except an official membership pin

• Forced confinement

• Forced eating or drinking

• Forcing a person to be the object of malicious amusement, ridicule or verbal abuse

• Binge drinking

• Encouraging a person to not engage in personal hygiene

• Sleep deprivation

• Servitude

• Sexual assault or nudity

• Creation of excessive fatigue or stress

• Abusive tricks designed to subject a person to ridicule

• “Drop offs” or “dumps” in unfamiliar locations

• Forcing or encouraging any person to violate any LIU policy or any federal, state or local law

• Forcing a person to carry unnecessary objects at all times

• Any other activity that causes harm, emotional stress, or makes the individual feel uncomfortable

Sanctions and Penalties:

Section 9: Advisors

LIU Promise believes the advisor of a student organization is an integral part of an organization’s development and success. The advisor should bring excitement and professional support to the student organization. The advisor recognizes and supports participation in student organizations for its contribution to the educational and personal development of the students. The advisor should take an active role in the formulation of organizational policythrough interaction with its members.

Club Advisor: a staff/faculty member who sponsors the club/organization and completes required approvals on behalf of the organization. This individual will complete required trainings facilitated by the Promise office, regularly attend organization meetings and events each semester, approve all organizational events and spending, and ensure organizational purchases are made in adherence to financial policies. Acts as a resource for Executive Officers regarding recruitment and retention strategies, leadership development, etc.

*AllRecognizedOrganizationsmusthaveaClubAdvisor. The advisor must be a full-time University faculty or staff member and employed by the University for at least one (1) semester. LIU Promise and Enrollment Services staff members cannot serve as an advisor. It is every student organization’s responsibility to keepthe advisor(s) fully informed and involved in all student organization matters.

Selecting & Recruiting an Advisor

Before approaching a potential advisor, keep in mind to find someone who:

Will have time to devote to your organization Will take the role willingly and seriously Has knowledge or skills related to the mission/purpose of the organization.

When approaching your potential advisor for the first time, make sure you and they have a clear understanding of your organization’s purpose, and what requirements pertain to their role, duties, and time commitment involved. Be open and honest with the potential advisor about the types of activities in which the organization may participate and ideas they may have for future programs.

Allow the person a reasonable length of time to consider the decision.

If possible, choose someone who shares some of the same interests as the organization, and with whom the leadership of the organization has previouslyinteracted.

When starting an organization based in academia, find someone in the respective academic department to act as an advisor.

The student organization has the right to impeach (remove) an advisor in accordancewith their bylaws.

Role of an Advisor

By sharing both knowledge about the University and personal experiences, the advisor canassist the organization in the conduct of its activities. In addition, this fosters valuable and mutually rewarding cocurricular relationships between students and advisors.

The relationship between an advisor and an organization will vary from year to year and individual to individual. However, the student/advisor relationship can be crucial to the success of the organization. The following list contains possible roles of an advisor. It is important the advisor and the organization communicate their expectations to each other. The advisor shouldbe very clear about the things they will do, as well as those things they will not. Of course, the expectations will vary according to the needs of the organization and the advisor.

• The advisor acknowledges and supports participation in student organizations for itscontributions to the educational and personal development of students.

• Advisors should work with student organizations but not dictate the group’s programs or activities. However, advisors should be frank in offering suggestions, considerations or ideas, and discussing possible consequences.

• Inform your advisor about the plans and activities of the organization. The expectation isthat the advisor will attend some meetings and will consult frequently with the organization’s officers.

• The advisor should assist the group in setting realistic goals and objectives each year and should help the group evaluate its progress.

• The advisor should have a thorough understanding of the organizations’ constitution andbylaws and provide interpretation when necessary.

• The advisor provides a source of continuity within the organization and is familiar with the organization’s history. In addition, the advisor assists in making sure that officers of the organization understand their responsibilities, as well as, explaining the policies andregulations established for student organizations.

• The advisor should be familiar with University policies and procedures and help the organization comply with them. This includes policies pertaining to student organizations at LIU, as well as rules and regulations governing LIU students.

• The advisor may advise the organization in the exercise of responsibility, but will not have the power to control the policy of such organizations, except in situations where such policy violates established regulations of the University or the organization.

• The advisor must be involved in the spending approval process in cooperation with LIU Promise.

• The advisor should be aware of the general financial condition of the organization, and encourage good record keeping.

• The advisor should help ensure that the organization’s activities justify expenditure ofstudent’s time, abilities, energy, and funds.

• The advisor is responsible for securing space reservations for the organizations events.

• The advisor may aid in the area of program content and purpose by helping studentsuse their best judgment in selecting programs.

• The advisor can encourage the organization to provide opportunities for educational andpersonal development for its members.

• The advisor should suggest recruitment strategies, give direction to the group, andintroduce new program ideas.

• The advisor should discourage the domination of the organization by an individual or group.

• The advisor should be aware of the liability issues (i.e. hazing, alcohol, etc.) and advisethe organization to make reasonable and prudent decisions regarding these issues in planning activities.

• The advisor should help in training new officers and help them develop their leadershipskills.

• The advisor should be prepared to deal with major problems or emergencies within theorganization.

• The advisor should monitor group functioning and encourage members to fully participate, to assume appropriate responsibility for group activities and co-curricularcommitments.

• The advisor should be available to meet with officers of the organization on a regular basis for advice and consultation.

• The advisor should be able to attend the group’s events and must chaperone thestudent organization to off-campus conferences/events.

• The advisor must be able to verify activities by signing any documentation required by LIU Promise.

• The advisor must positively promote the organization and should not speak negativelyabout the group.

How to Work with Your Advisor

• It is best to meet with your advisor at least one (1) day before your meetings to go overthe proposed agenda and topics for discussion.

• Be open to suggestions and criticism from your advisor, they are here to challenge and support you. Their knowledge, background, and experience will be helpful in developing solutions and implementing organizational procedures.

• Consult with your advisor well in advance of all activities. The advisor has the right torefuse to endorse activities of the organization.

• If an advisor cannot attend your meetings, meet with them after the meeting to briefthem on what transpired. Advisors can be a great resource; take advantage of their experience and insight.

• Work with your advisor to plan your events, identify space and secure roomreservations, plan spending, and complete financial processes.

The Organization’s Responsibilities to the Advisor

• Keep in mind the advisor is voluntarily associated with the organization. It is the organization’s responsibility to inform the advisor of the activities of the organization.

• Notify the advisor of all meetings and events.

• Consult them before making any changes in the structure of the organization, or thepolicies of the organization, and before undertaking major projects.

• Understand that although the advisor has no vote that they do have speaking privileges.

• Remember the responsibility for the success or failure of the organization and itsendeavors rests ultimately with the group, not the advisor.

• Talk over any problems or concerns with the advisor.

• Acknowledge the advisor donates their time and energy and express appreciation.

• Be clear and open about your expectations for your advisor’s role.

• At the end of each semester, evaluate your advisor and give appropriate feedback.

Resignation or Absence of Advisor

An advisor may resign at any time, but whenever possible and appropriate, the resigning advisor should give assistance to the organization in locating a new advisor. During the time that the organization is without an advisor, LIU Promise will assist the organization in identifyinga new advisor. The advisor should turn over all organizational records, charters, etc., to LIU Promise. Notify LIU Promise in writing immediately if there is a change in advisors.

Section 10: Events

LIU Promise Event Policies

The policies listed below allow student organizations to understand the regulations set by LIU.

• All meetings/events should be conducted in a professional manner following allUniversity governing documents (i.e., student code of conduct, etc.).

• Student organizations can only program (i.e., hold space for a meeting or event) during the fall and spring academic semesters. It is a violation to host programs/events when classes are not in session (i.e., Columbus Day, Thanksgiving Break, Winter Recess, President’s Day, Spring Break, etc.) without advance permission from the Promise office at least thirty (30) days in advance of the requested program.

• All events require a program request form that must be submitted at least twenty- eight (28) days prior to the event date. LIU Promise has the right to deny/cancel any event that violates any University policy or procedure.

• Advertise all events at least two (2) weeks prior to the entire campus community.

• All events funded by SGA-allocated funds must be open to all students.

• Student organizations may not host and/or fund departmental or University events.

• All events are alcohol-free.

• All events are drug-free.

• Candles are not permitted in any indoor space. Electric candles arerecommended.

• All non-LIU vendors must be checked in as guests with Public Safety at least 48 hours prior to the event.

• If an event has no or low attendance, Public Safety and/or the On-CallAdministrator will determine whether the event will end early.

• In case of bad weather or extreme circumstances, the On-Call Administrator will determine whether the event will continue as planned.

Guest Speaker Policy

Long Island University permits recognized student organizations to host guest speakers on campus that contribute to a free exchange of ideas and opinions. Individual students who would like to invite a speaker to campus must identify a recognized student organization to sponsor the speaker.

Prior to extending an invitation for a speaker to come to campus, the student organization is required to meet with the Dean of Students or designee. Speaker invitations will not be considered unless an event has been properly requested and approved by LIU Promise.

Approval to host a guest speaker shall not imply acceptance or endorsement by the University of the views expressed.

The ability of guest speakers to contribute to the free exchange of ideas is, however, subject to reasonable restrictions of time, place, and manner. Speakers will not be permitted on campus if their presence or participation is deemed by the Dean of Students or Director of Public Safety to:

• impede or disrupt normal University operation

• present a potential risk to the wellbeing or safety of the University community or facilities

• violate federal, state, or local laws

• violate Long Island University policies

Any guest speaker who is found to violate this policy or access Long Island University grounds or facilities without proper approval may be removed from the grounds and permanently trespassed. Student organizations may be subject to the Student Code of Conduct and/or loss of privileges to host future guest speakers.

Notice of Student Assembly Policy

Long Island University supports the rights of students and recognized student organizations to exercise freedom of expression, free speech and peaceful assembly. In order to avoid disruptions to academic classes and protect the freedoms of the entire community, the University does have the right to review and approve a request for planned assembly, demonstration or picketing and modify the event for time, place and/or manner, if necessary.

Approval of an event may be contingent upon the availability of University support services. Community members may not advertise an event until approval has been granted.

The following are required steps to receive approval for a planned assembly:

• Complete a Planned Assembly Request Form with Student Affairs at least three (3) weeks prior to a planned assembly. No Planned Assembly requests will be considered for events held during study days, final exams, or at times when classes are not in session.

• Hold a planning meeting with the Dean of Students, or their designee, to discuss the event logistics. An approved location for the planned assembly will be at the discretion of the Dean of Students.

• The Marketing and Communications Department must be notified prior to any coordination with outside media outlets or organizations.

• The Department of Public Safety must be notified.

• All publicity for the event must be approved by the Dean of Students or their designee. The event organizers must remove all publicity immediately after the event.

An approved planned assembly is for LIU students only. Non-LIU individuals, including non-LIU organizations, are not permitted on-campus to participate in an assembly.

Guest Policy

Students can host up to one guest (1:1) to any on campus activity where the guest policy is ineffect. This is subject to change and at the University’s discretion.

• LIU students must accompany their guests to the event, or the guest cannot enter.

• LIU students must accept full responsibility for their guest’s actions and behavior per theStudent Code of Conduct.

• Student guests must be at least 18 years of age. A parent/guardian must accompany aguest under the age of 18.

• Upon entering the building all students and their guests are required to present photoidentification (driver’s license, government issued photo identification or LIU I.D.) andmay be subject to a magnetometer detector and bag search.

• There will be no re-entry to a venue; all exits from an event are final.

Advanced Ticketed Events

The Guest policy is not in effect for ticketed events and/or campus community events.

• Attendees must be at least 18 years of age unless approved by LIU Promise and PublicSafety.

• No one under 18 years of age may be present when alcohol is present at an event without prior approval of the Director of Public Safety or designee.

• Photo I.D. is required for proof of age and attendees will be subject to all search procedures including magnetometer detection and bag searches.

• If ticketed, guests must present a printed original ticket with the date and event listed.

• Selling of tickets can occur at the Campus Concierge and/or at the door.

• If any infractions occur, the organization is responsible.

Note: The Department of Public Safety and LIU Promise have the sole discretion to alter the above regulations for any safety and security issue that may arise.

Public Safety Policies

Public Safety is responsible for securing the event by searching bags, checking IDs, monitoring the parking area, as well as other precautions. Once an organization has completed the program request, LIU Promise will indicate Public Safety needs. Please note that the Department of Public Safety and/or the Associate Director of Student Engagement within LIU Promise may request Public Safety to be present at an event. In addition, an event’s size or purpose mayrequire use of DSS Security (outside agency) at the expense of the hosting organization.

Public Safety will be required during the following events:

• Large events;

• Concerts;

• High profile entertainers, public figures, etc.; and,

• Student organizations are responsible for all security costs.

Food/Catering Policies

Aramark Catering:

If student organizations use Aramark to cater their event or meeting, they should submit the food order when reserving their room. Organizations can submit additional orders until ten (10) business days prior to an event by speaking to LIU Promise.

Student organizations who do not order food through Aramark at least ten (10) business days cannot place an order. The student organization must have the allotted budget to purchase food.

It is required to place all catering requests through the Catertrax system.

Off-Campus Food:

Student organizations can purchase food from an off-campus vendor. In order to cater an eventoutside of Aramark, the organization must provide LIU Promise with a W-9, invoice and Certificate of Insurance at least 21 days prior to the event.

Food Eating Contests:

No student organization may host any kind of food eating contest (speed eating, large quantities, etc.).

Travel and Conferences Policies

Student organizations who attend conferences must abide by the following criteria. It is the organization’s responsibility to comply so the conference preparation will run smoothly. All attendees and chaperones need to meet with LIU Promise at least six (6) weeks prior to the registration deadline. Please review the policies below.

Financing a conference and/or travel:

Up to sixty percent (60%) of the total cost can come out of the student organization allocated funds from the SGA and LIU Promise, or any other university departments.

At least forty percent (40%) of the cost will be responsibility of attendees. Student organizationsmust deposit raised funds into the organization’s budget prior to the payment due date.

Proximity Clause for Sleeping Arrangements

When traveling to a conference/meeting/event within 30 miles of campus, student organizations may not stay at a hotel. Student organization members and chaperones must commute between locations.

To Attend a Conference, Members Must:

• Be Active Members of the Recognized Organization

• Be full-time registered students

• Maintain at least a 2.5 cumulative grade-point-average on a 4.0 scale

Timeline for Off-Campus Travel

Six (6) Weeks Prior to Your Trip

• Get approval from LIU Promise for attending a conference

• Complete Off Campus Trip Conduct Agreement

• Develop a roster of attending Active Members

• Identify a chaperone (typically Organization Advisor)

• Create a transportation plan

• Create a budget of costs associated with conference and travel (registration fees, travel, housing accommodations, meals, etc.)

Four (4) Weeks Prior to Your Trip

• Submit all paperwork required for conference (Off-Campus Liability Waivers for all attending students, Direct Payment Requests for travel expenses & registration fees,etc.) to LIU Promise.

• Submit copies of driver’s licenses/passports of all attending students to LIU Promise.

• Request class unexcused absence memo from LIU Promise.

Two (2) Weeks Prior to Your Trip

• Meet with attendees and chaperone to review travel itinerary, packing/material lists, andLIU/Office of LIU Promise guidelines

• Identify what, if any, travel expenses are reimbursable upon return

While Away at the Conference

• Anyone who violates LIU or conference polices will be sent home at their own expense.

• Violators will be subject to disciplinary action by LIU Promise.

• Retain all receipts for reimbursement upon return. Receipts must be itemized.

• Individuals may not purchase un-approved items. If emergency-related instances occur, LIU Promise will consider a special consideration for reimbursement.

Upon Returning to Campus

• Submit travel expense forms, receipts, unused funds, and the Travel Evaluation Form toLIU Promise within five (5) business days

• Make up missed work with your professor(s) to remain in good academic standing.

Keep in Mind

• Anyone who commits to attending a conference and withdraws attendance is responsible for reimbursing the organization for lost funds.

• All funds designated for the conference are only for conference use and all affiliatedcosts.

• If you have any questions or concerns regarding travel or conferences, please contact ther LIU Promise within a timely manner.

Best Practices for Event Planning

• Meet with the organization Advisor to discuss your event idea

• Choose a date and an alternate date

• Request and confirm a location and alternate locations (consider size of group, purpose of event, etc.)

• Determine adequate setup/breakdown times (at least 30 minutes prior to starttime and post event end time are recommended, some events may be require more)

• Consider space layouts and unique facility requests

• Consider Audio Visual/IT Requests (what do you have and what might you needto request/rent/purchase)

• Consider Approval Workflow (i.e., Events requested within some academic buildings may require approval first by LIU Promise, then by the respective academic department

• Establish a realistic budget

• Plan to purchase all necessary supplies in accordance with campuspolicies

• Delegate roles to members and/or cosponsoring members

• Create a marketing plan to publicize the event. All events must be submitted to thecampus calendar once approved.

• After the event, evaluate it from the planning process to execution to learn from the experience and to improve upon future events. Submit a Program Evaluation Form for all events.

Best Practices for Co-Sponsoring Events

• Involve all sponsoring organizations in event planning process

• List of what each organization is doing (for the event evaluation form later).

• Exchange contact information

• Budget breakdown (indicate who is paying for what on your program request form)

Off-Campus Programs

Student Organizations may hold events off-campus, such as, service trips, Broadway shows, sporting events, etc. with prior approval by LIU Promise. Student Organizations must request permission from LIU Promise to hold a program off-campus at least four (4) weeks prior to an event. The student organization Advisor may be required to chaperone programs held off campus.

Contact LIU Promise at least ten (10) business days before sales begin with thefollowing information:

• Name of Program

• Date, Time & Location of Program

• Cost of Ticket

• Ticket Limit

• Transportation, if any

Organizations may sell tickets for no less than 1/3 of the actual ticket cost (i.e., a $90.00 retail- value ticket can sell for $30.00). Students who purchase tickets must complete a waiver and payusing their LIU ID. No cash, credit, or checks are accepted. All proceeds earned from ticket salesmust be deposited into the sponsoring organization’s account.

Off-Campus Trips

Student organizations are required to have a chaperone, who is a staff or faculty member attendany offcampus trip. Furthermore, each student attending the trip must complete and submit the “Off-Campus Trip Conduct Agreement” and “Travel Waiver and Release from Liability Form” to the Promise Office.

Student organizations cannot host and/or fund off - campus banquets or dinners without express per mission from the Promise Office. The request must be made at least four (4) weeks in advance of the desired date.

Copyright Infringement

It is illegal to download, distribute, or use any copyrighted material without the permission of the copyright holder Copyrighted material includes, but is not limited to, music, videos, movies, software, articles, and other written information. This includes any information found on the internet, the library, or an individual student’s possession. Any individual student found usingcopyrighted material without the permission of the copyright holder will be subject to University disciplinary action, as well as a criminal or civil action.

As outlined in the Student Handbook & Code of Conduct, advertisements cannot deface or damage university property. This includes taping posters to walls. Advertisements thatviolate this policy will be removed at the expense of the student organization. In addition, the organizations will be charged for all repairs and the organization will be sanctioned.

Suggested Vendors

LIU Promise approves all vendors. Paperwork for new vendors is due at least six (6) weeks prior to the event date. Students and advisors do not have the authority to enter a contract with any vendor. Vendor/speaker contracts must be facilitated with the organization’s advisor and LIU Promise.

Student organizations may request quotes for services from vendors. All quotes must be approved by Promise before an official order is made. Unless otherwise listed, students can visitthe company’s website to request a quote.

LIU Promise recommends the following vendors. These vendors are already on file and therefore, will make the event planning process easier. Please understand an organization mayuse any new vendor with prior approval from the Promise office; however, they will be required to submit necessary tax paperwork and information.

Section 11: Finances

Financial

Accounts

Information

All Recognized Organizations have a budget account with the University. LIU Promise overseesthe account and its policies.

Pleasenotethatitistheresponsibilityoftheorganizationtokeepaccuraterecordsofall financesandshare themwiththeorganization advisor andnewlyelectedexecutive board.

Depositing Money

All student organizations MUST deposit all raised funds into an organization’s account within 48 hours. Deposit money with LIU Promise. All transactions need two (2) club memberspresent to sign a club deposit form to complete the transaction.

Prizes

Student Organizations can use their budgets to give away prizes at virtual and campus events. An organization can only spend 60% of their allocated budget on prizes. There is no limit to prizes bought with funds raised by an organization. Virtual gift cards must come from online vendors so Promise can verify the winner and send the gift card totheir LIU email.

There are two forms involved in this process. The Prize Request Form is designed for student organizations to report to the LIU Promise 24 hours after their event who won their prizes. This form is public and processed by LIU Promise. The Prize Recipient Formis designed for the actual prize winner to confirm and accept their prize. This form is not public,it should be sent to the prize winner by the organization once LIU Promise approvesthe Prize Request Form.

It is the organization's responsibility to get the prize to the winner. LIU Promise can assist inmailing, however, the organization must have all the details and paperwork (labels, postage, etc.) and provide them to LIU Promise prior to mailing.

Prize Request Process for Student Organizations:

• Request spending in your Event Registration form. Be sure to use the Prizes Tag!

• Once LIU Promise approves your event and budget, you can beginadvertising the prizes at your event.

• At your event, collect the prize winner name, email, and ID numbers. Tellyourwinnersthatyour organizationwillemailthemaPrizeRecipientFormandthattheprocesscantakeabout 2-3 weeksto process theirwin.

• All prize recipients must be current LIU students

• Submit the Prize Request Form within 24 hours after your event. One Prize Request Form is required for each prize recipient

• LIU Promise will confirm that the winner is currently registered and willapprove the Prize Request Form and contact the requesting organization.

• The requesting organization then sends the Prize Verification form to the student tocomplete.

• Browse, Bookstore and other off-campus sites (Amazon, Target, BestBuy, etc.) prizes must be coordinated in advance with LIU Promise. Browse and the Bookstoreare able to ship prizes but shipping costs come out of the organization budget.

Budget & Allocation Guidelines

All student organizations, excluding fraternities and sororities, are entitled to request an annual budget for the academic year from the Student Government Association. LIU Promise and the SGA govern the budget and allocation process. Only Recognized Organizations are eligible to receive allocations. Recognized Organizations will receive a Budget Request Form, known as a Budget Kit (see important documents section for example) from Promise before the beginning of the semester. Once submitted, LIU Promise forwards these Budget Kits to SGA. SGA evaluates and allocates funds to organizations based solely on what is submitted in the Budget Kit. Any additional funds earned through Pillars of Excellence are allocated by LIU Promise prior to the first week of classes.

Qualifications, Requirements, and Allocation Considerations

• Student organizations must be in good standing with both the SGA and LIU Promise to request allocated funds for the next academic year.

• All organizations must be open to the entire campus community and programmingtowards their mission to receive allocated funds from the SGA.

• Submit the online Budget Kits online via the link provided by LIU Promise) by theassigned deadline. There will be no consideration for submissions after the final deadline.

• New Student Organizations cannot submit a Budget Allocation Request for their establishing year. Instead, New Student Organizations must wait until the following spring semester to request a budget. This will be done via a budget kit as mentioned above.

Allocations for the following year will be based on:

• Responsible use of current budget;

• Fundraising;

• History of events;

• Itemized budget;

• Future plans for current budget; and,

• Current standing with LIU Promise, SGA, and theUniversity

Expense Guidelines:

• All programs must be open to the entire LIU student community.

• Student organizations may not use their budget to fund departmental or Universityevents. Any reimbursements for departmental or University events will not be accepted.

• The organization president and advisor must authorize all expenditures. LIU Promise must give final approval for all expenditures. No orders or purchases should take placewithout first consulting LIU Promise.

• Student Organizations may transfer funds to other accounts through completing theproper paperwork with LIU Promise.

• Use the Tax-Exempt Form when making purchases off-campus. Student Organizations will be responsible for reimbursing the University for any taxes paid. TaxExempt Forms are available in the LIU Promise office.

• Student Organizations may not use budgets to pay members of an organization, issueany loans, scholarships, or any other form of income.

• LIU Promise must authorize any negotiations of contracts for food and services . Students are not able to represent the University and therefore are notauthorized to enter into contracts with any outside agency or individual. Any such unauthorized contracts will be considered null and void.

• SGA will not allocate funds for events or programs that fall outside theprogramming dates established by LIU Promise.

• Any item that you wish to request funding for MUST have a corresponding quote.Quotes can be in the form of web page printouts, receipts, or e-mails. Ensure all quotes are itemized.

• Student organizations may not use allocated funds to sponsor any off-campusmeals or events unless approved by LIU Promise.

• Cost of drapes or banners may not exceed $200 or 20% of organizations allocatedbudget. Submit all items to LIU Promise for approval by the LIU Marketing Department.

Budgets are NOT for the following:

• Events hosted by a University department;

• Off-campus banquets or dinners;

• Items for the personal benefit of individuals, student organizations, or private corporations (i.e. tuition remission, club member salaries, personalized clothing, etc.);

• Supporting religious or charitable organizations. Donations to charitable organizations can only be from fundraised money;

• Personalized or individual apparel items;

• Any activity contrary to local, state, or federal regulations or laws or University policies;

• National fees or dues for personal membership;

• Off-campus meals or other social outings for organization officers and members; and,

• Publications, unless part of the organization’s mission.

Promotional items and apparel

• LIU Promise must approve all promotional items prior to ordering.

• All items purchased should appeal to the entire LIU student population.

• Allocated funds are not for personalized or individual apparel items. Organizations canpurchase apparel that will be sold/given to the general student body.

• No more than 20% of budget allocation can be used to purchase promotional items and apparel

Income/Fundraising

• Student organizations must deposit all raised funds into their respective Universityaccount through LIU Promise within 48 hours of receiving funds.

• All remaining account balances are returned to the SGA at the end of the academic year.

General Account Policies

• Student organizations may not purchase items prior to the first day of classes each semester.

• Student organizations may not purchase items after the last day of classes eachsemester.

• Organizations are responsible for maintaining appropriate financial documents andrecords.

• Student organizations must submit a copy of the event flyer alongside financial paperwork to receive funding, including reimbursement, for student organization events/meetings.

• The student organization president, an executive officer, or the campus advisor must submit all financial paperwork to LIU Promise.

• Proper paperwork and original vendor invoices are required to process checks. Checks typically take three (3) weeks to process.

• All financial policies apply to reimbursements.

• LIU Promise policies govern all funds, including allocated and fundraised funds.

• LIU Promise conducts periodic audits of all organization accounts.

Section 12: Academics Student Organization Academic Policies

LIU Promise is dedicated to the overall success of all LIU students. While campus leadership is an integral part of that success, academic success is also greatly valued. All Club and Organization executive board members must maintain a 2.5 cumulative GPA. Executive board members who fall below a 2.5 cumulative GPA will be removed from their leadership position.

Greek Academic Policies

Alongside fellowship, service, and leadership, scholarship is one of the core values of fraternity and sorority life. In addition, leaders of our Greek community described “education” as one of their community values. As such, LIU Promise greatly values the academic success of all Greek organizations and their members.

GPA Report

LIU Promise compiles and distributes a Grade Report at the end of each semester to all recognized organizations. The Grade Report includes an average of all cumulative and semester grade-point-averages (GPA) of the active members and new members of the respective organization. The Grade Report includes the Chapter’s/Establishing Chapter’s cumulative and semester GPA in comparison to their respective Council’s average, as well as their ranking among the Council constituents.

Minimum GPA

All active and new members must continue to meet the minimum cumulative and semester GPA requirements of LIU Promise and their respective organization. LIU Promise minimum cumulative and semester GPA requirement of all active and new members is 2.5 on a 4.0 scale. Some organizations may require a higher minimum GPA. The higher GPA policy will apply.

Greek Academic Probation

All active and new members that fall below the minimum semester GPA requirement will be deemed “AtRisk .” All active and new members that fall below the minimum cumulative GPA requirement will be placed on “Greek Academic Probation ”. A list of At-Risk and Greek Academic Probation members from each organization will be distributed to their respective Chapter/Establishing Chapter leaders.

Active and new members on Greek Academic Probation are not permitted to: Hold a leadership position within their organization or on one of the community’s councils. Participate or attend the organization’s New Member Education Program, including “Big/Little” programs.

• The participation of members placed on Greek Academic Probation in internal Chapter/Establishing Chapter events must be decided by the Chapter/Establishing Chapter. Internal Chapter/Establishing Chapter events include but are not limited to:

• Retreats

• Brotherhood/Sisterhood events

• Recruitment events

• Community service events

All additional limitations of members on Greek Academic Probation, as well as the Chapter/Establishing Chapter’s steps to ensure the academic success of their members, must be submitted with the Chapter/Establishing Chapter’s Annual Report.

Students on Greek Academic Probation may appeal the conditions of their probation. Appeal letters should be submitted via email to the organization’s primary advisor. Appeals should include any pertinent background information, a plan to improve GPA moving forward, and any supporting documentation that is deemed necessary. Appeals may be granted at the advisor’s discretion. However, the student will remain on Greek Academic Probation until their cumulative GPA is above 2.5.

Appeals are less likely to be granted for members placed on Greek Academic Probation in consecutive semesters.

Honor Societies

Applications for Gamma Sigma Alpha, Order of Omega, and Rho Lambda will be made available to all members of recognized Greek organizations in the beginning of each spring semester. All qualified applicants are encouraged to submit an application. Inductions for all three honor societies will take place towards the end of the spring semester. Gamma Sigma Alpha

Gamma Sigma Alpha is a National Greek Academic Honor Society that recognizes Greek leaders who have achieved a high level of academic excellence. In order to be eligible to join, the individual must be a registered student at LIU, an active member of a recognized organization, have completed at least 60 credits, have a cumulative GPA of a 3.5 or above and be of strong moral character with no violations of University, Inter/National or governing council policy. New members are selected by LIU Promise’s selection committee. The membership fee for Gamma Sigma Alpha is a one-time payment of $65 and includes your membership certificate, pin and graduation cords.

Order of Omega

Order of Omega is a National Greek Leadership Honor Society that recognizes Greek leaders who have excelled in the areas of scholarship, leadership and service to both the Greek and campus communities. In order to be eligible to join, the individual must be a registered student at LIU, an active member of a recognized organization, have completed at least 60 credits, have a cumulative GPA in the top 35% of the Greek community and be of strong moral character with no violations of University, Inter/National or governing council policy. A maximum of 15 new members will be inducted each annually. New members are selected by the current Order of Omega active membership through a blind selection process. The membership fee for Order of Omega is a one-time payment of $65 and includes your membership certificate, pin and graduation cords.

Rho Lambda

Rho Lambda is a National Greek Academic Honor Society that recognizes sorority women who have distinguished themselves as leaders in the Greek and campus communities. In order to be eligible to join, the individual must be a registered student at LIU, an active member of a recognized organization, have completed at least 60 credits, have a cumulative GPA of a 2.5 or above and be of strong moral character with no violations of University, Inter/National or governing council policy. A maximum of 10% of the total sorority women at LIU will be inducted into Rho Lambda annually. New members are selected by LIU Promise’s selection committee. The membership fee for Rho Lambda is a one-time payment of $65 and includes your membership certificate, pin and graduation cords.

Conferences

The Northeast Greek Leadership Association (NGLA) builds community among students from a variety of fraternal experiences, challenges members to align their actions with fraternal values, and empowers advocates to transform and improve their communities. Each year, LIU takes a select few, nominated students to the NGLA conference. The conference provides Greek students in the northeast with leadership development skills on how to improve their Greek experience.

Post Campus Fraternity and Sorority Life Housing

LIU Promise provides Greek Life housing to the members of the Post Campus in an effort to highlight the community’s unity and fellowship. Greek Life Housing is located on-campus in the Gold Tower of the South Residence Complex (SRC). To participate, your organization must submit a registration form by the provided deadline each spring semester. All members participating in Greek Housing must abide by all University Policies, the Student Code of Conduct, and all Residence Hall policies.

The online FSL Housing Registration Form is located at https://liu-post.presence.io/form/src-housingapplication. Once approved, organizations will be placed in suite by LIU Promise.

Requirements

Greek Life Housing maintains all the same rules and regulations as traditional student housing, including alcohol, drugs, guest, noise, and other policies. Residents must choose a meal plan. Housing will be monitored by Resident Assistants. Non - Greek affiliated students may not reside in Greek Housing. Suite applicants must be members of a single organization.

Rooming

Each suite contains 4 double rooms. Students have the option to buy-out the double room and will be charged a single rate.

In order to participate, organizations must be able to fill one (1) complete suite. To fill a complete suite, organizations must commit at least 4 students from the single affiliation and must maintain at least 4 students within the suite throughout the academic year. LIU Promise may impose a maximum number of students who may reside in Greek Housing depending on space availability. If at any time duri ng the academic year the number of students within the suite drops below 4 members, the organization must replace the empty space(s) or be subject to standard consolidation policies.

Suite Layout Options Include:

• 4 double rooms (8 residents)

• 3 double rooms & 1 single room (7 residents)

• 2 double rooms & 2 single rooms (6 residents)

• 1 double room & 3 single rooms (5 residents)

• 4 single rooms (4 residents)

Cost
