Plan Your Perfect Day

Find out what needs to be done when planning your wedding with The Knot’s month-by-month guide.

12+ months out

• Start by envisioning your wedding and determining your style. Next, draw up a budget.

• Assemble your "planning team".

• Once you pick your ideal wedding date and time, check with venues, officiant and important guests (like family members) before finalizing.

• Once you have some venue options and your date down, you can start planning the guest list. Start officially booking your ceremony site and reception site.

• Next, choose your wedding party—ask friends and relatives to be part of your day.

8 to 10 months out

• If you're planning on wearing a wedding gown, start shopping so you have time for alterations.

• Start envisioning what food you want at your reception.

• Decide what type of entertainment you want. A pianist for the cocktail hour, strolling violinists, a DJ or band?

• Now's the time to start researching, interviewing and booking your vendors: photographer, videographer, reception entertainment and florist.

• Research a wedding insurance policy to protect your deposits and reserve hotel rooms for out-of-town guests.

• Register for gifts and make a wedding website.

• Contact rental companies if you need to rent anything for the ceremony or reception, such as chairs, tables and a tent.

• Send save-the-date cards.

6 to 8 months out

• Start booking your ceremony musicians, ordering—or telling your wedding party to order—wedding party attire, and starting to plan that honeymoon, if you're aiming to jet off right after your wedding.

4 to 6 months out

• Attend prewedding counseling, if required.

• Shop for and order invitations and wedding rings.

• Shop for and rent formalwear, if necessary.

• Renew or get passports, if necessary.

• Envision your wedding cake and research, interview and book a cake baker.

3 months out

• It's time to officially order your wedding cake.

• Attend your shower! (It may be earlier, depending on when your hosts decide to have it.)

• Hire wedding day transport (like limousines or party buses).

2 months out

• Mail your invitations.

• If you're writing your own vows, get started.

• Purchase gifts for parents, attendants and each other.

• Book your hairstylist and makeup artist and go for a trial run with both.

one month to go!

• Apply for a marriage license— check with the local bureau in the town where you'll wed.

• If you're wearing a wedding dress, have your final fitting. Bring your maid of honor (or other wedding party members) along to learn how to bustle your dress. Have the dress pressed and bring it home.

• Call wedding party members to make sure they have their outfits ready for the wedding.

• Make any last-minute adjustments with vendors.

• Create a wedding program to hand out at your ceremony.

• Order and plan in-room welcome baskets for out-of-town guests.

2 weeks out

• Review final RSVP list and call any guests who have not yet sent a response.

• Deliver must-have shot lists to your photographer and videographer.

• Deliver your final song list to your DJ or bandleader, and make sure to include special song requests and songs you don't want played.

• Get your last prewedding haircut and color, if necessary.

one week out

• Give your reception site and/ or caterer your final guest head count. (Include vendors, such as the photographer or band members, who will expect a meal!) Ask how many extra plates the caterer will prepare.

• Supply the location manager with a list of vendor requests such as a table for DJ or setup space needed for a florist.

• Plan the reception seating chart, and print place and table cards.

• Call all wedding vendors and confirm arrangements—give the ceremony and reception site managers a schedule of vendor delivery and setup times, plus contact numbers.

• Get your hair trimmed, if necessary.

• Attend your bach parties if you haven't yet.

2 to 3 days out

• Depending on what you're wearing, have your gown pressed or steamed, or go for a final fitting for your formalwear.

• If necessary, make sure all groomsmen attend fittings and pick up their outfits.

• Determine wedding party positions during the ceremony and the order of the party in the processional and recessional.

• Hand off place cards, table cards, menus, favors and any other items for setting the tables to the caterer and/ or reception site manager.

• Reconfirm final details with all vendors. Discuss any necessary last-minute substitutions.

• Call the limousine or car rental company for pickup times and locations, and arrange for guests without cars to be picked up from the airport or train station. Ask friends, attendants or relatives to help.

• Deliver welcome baskets to the hotel concierge; include names and delivery instructions.

it's tomorrow!

• Provide all wedding professionals with an emergency phone number to call on the day of the wedding.

• Write checks and/or talk to wedding hosts about any final balances to be paid at the end of the reception.

• Rehearse ceremony. Meet with wedding party, ceremony readers, immediate family and your officiant at the ceremony site to rehearse and iron out the details.

• Bring unity candle, aisle runner, yarmulkes or other ceremony accessories to the site.

• Give your marriage license to your officiant.

• Attend your rehearsal dinner.

• Present attendants with gifts at the rehearsal dinner. You'll want to do this especially if the gifts are accessories to be worn during the wedding.

and finally, it's your wedding day...

• Present parents and each other with gifts.

• Give wedding bands to the best man and maid of honor, if applicable, to hold during the ceremony.

• Give the best man the officiant's fee envelope (to be handed off after the ceremony).

POLICIES & FAQ

What is the maximum capacity for a wedding event?

For our Beach Elopement Package, our maximum seating is for 25 guests. After our ballroom renovations, we are expecting to accommodate up to 200 guests depending on the venue space booked for your event.

What is your deposit?

$1,000 deposit is due when the contract is signed and returned.

Do you have any required minimums we must meet?

For our Beach Elopement Package, we have a food and beverage minimum of $750. Our Ballroom Wedding Packages on page 5 have the food and beverage minimums dependent on the date and day of the week.

Can we set up a room block?

Contact our Director of Sales Nicole Young to set up your room block.

How long do we have the ballroom?

You will have access to the ballroom on your wedding day until midnight. We do a last call at 11:30 p.m.

When can we start decorating?

You will have access to the ballroom at 10:00 a.m. on the day of your function. Couples are responsible for all their own decorating for items they bring in. We suggest that the couple assigns a few wedding helpers that are outside of the wedding party to be in charge of set up and take down of décor. Ballroom must be cleared night of event.

s Frequently Asked Questions

POLICIES & FAQ

Do you have decoration limitations?

• We do not allow confetti, glitter, rice, smoke/fog machines, or fireworks in any of our rented spaces.

• Organic items are allowed to be spread or thrown on the ceremony site but we do not allow anything that does not biodegrade within a short period of time.

• We do not allow candles or glass of any kind to be hung from the ceiling.

• We allow candles but they must be properly contained to minimize fire hazards. This means the flame is not exposed and the wax is not dripping on the table/linens.

• We do not supply ladders or other equipment as we authorize only licensed vendors to put up ceiling décor.

Do you have a wedding planner?

We have a Corporate Group Sales & Events Director that will work with you on setting the date, the contract, and putting the room block together. Our Event Coordinator will assist in planning in terms of menu selection, room set details, timeline, organizing the set up of the room, staffing, bar, etc., as well as provide basic contact information for local vendors, etc. We do not have a wedding planner on site that will be arranging flowers or other decorations, cake delivery or DJ services. Please assign helpers for this, or if you need recommendations for Event Planners, we do have those listed on our vendor list.

Where can we hold our rehearsal dinner?

• Private Space: If you would like a private space for your rehearsal dinner please let us know! We can portion off the ballroom to create a perfectly sized space for the number of guests you will have. There is a venue space rental fee associated with this which is dependent on the size of your group. Minimum of 25 guests. A signed contract and deposit are required for booking.

• Vue North: If you would like to host your rehearsal dinner in our restaurant, we offer a semiprivate space in our restaurant. There isn’t a venue space fee associated with this but we do require a $250 deposit and a signed contract to confirm this space. Maximum of 30 guests.

s Frequently Asked Questions

POLICIES & FAQ

Can we bring in any food and beverage items?

Superior Shores requires that all food and beverage be provided through our kitchen, however we do allow you to bring in your own specialty wedding cake. Due to MN Health code laws any wedding cakes brought in must be purchased from a licensed vendor.

Can we have a bar?

Absolutely! We can provide a hosted bar, cash bar, or a combination of the two. An indoor bar and bartender are provided with your wedding package with a $200 bartender/set-up fee per bar. If you would like an outdoor bar, we can do that as well and require a $300 purchase minimum at all outdoor hosted bars. Please refer to our banquet menu for options and pricing. Please note that we are not able to accommodate beverages brought in by group members.

Can we take home any leftover food/beverage?

MN Health Code laws maintain that we cannot allow any excess food to be brought off the premise of the ballroom. Because we have an on-sale liquor license only, we cannot allow excess beverages to leave the premises.

What is the back-up plan if it rains?

If inclement weather is the case, the ceremony will be held in your reception room. The set up will depend on the number of guests attending, and your personal preference.

Can we have a bonfire?

A campfire is built each summer evening at dusk, weather permitting. Our campfires are open to any and all guests staying at our resort. Enough wood is provided to replenish the fire until 10:00 p.m. Beverages are allowed on the beach, provided they are in plastic or aluminum containers. We ask that you remove any empty plastic bottles, cans, or other garbage. Guests are welcome to take bar drinks to the beach at the main lodge, but should request a plastic cup.

s Frequently Asked Questions

POLICIES & FAQ

Can we arrange a food tasting?

We’d love to arrange a food tasting to allow you to sample some choices as well as meet our Banquet Event Coordinator and discuss the details of your wedding! Your wedding package includes a food tasting for two. The food tasting is designed to choose between a couple of items you’d like to offer your guests; we do not allow for full buffet meals at our food tastings. It is not feasible to taste-test the full buffet-style meal options. We require a 10 business day lead time on ordering and preparing the food for our tastings. Any additional entrees ordered for food tastings will be charged full menu price, and payment on-site is required.

Are there any additional fees?

Our wedding packages, food, and beverage are subject to a 25% taxable gratuity. Minnesota state sales tax is currently 8.375%, and Minnesota state liquor tax is 10.875%.
