
Carnival Day 2025 - Stallholder Agreement
Please thoroughly read through the following Terms & Conditions.
The King’s Christian College Carnival Day will run on Saturday 9 August 2025 from 12pm – 4pm in the school grounds at 68 Gemvale Road, Reedy Creek QLD 4227.
1. Stall Fee & Prize Donation
There is no stall fee required for the day. Instead, we kindly request a prize donation for our Cent Auction, which will take place during the event. This is a fantastic opportunity to promote your business within our school community, both in the lead-up to Carnival Day and on the day itself. Donated items must be delivered to the Main Administration Building at the school between 9:00 AM and 2:00 PM, no later than one week before Carnival Day. If the donation is not received by this deadline, a stallholder fee of $100 will be invoiced
2. Stall Setup Requirements
Stallholders are responsible for bringing their own shade/shelter (umbrella, marquee, etc.), tables, chairs, and any other equipment needed to operate their stall on the day. Please ensure that all shelters and displays are securely weighted down, as the use of pegs or stakes is strictly prohibited on school grounds.
3. Power
There will be no power available for stallholders. Please make alternative arrangements if your stall requires power and advise the event coordinator accordingly of what that is
4. Bump In Schedule and Stallholder Map
A bump-in schedule and site map of the stallholder setup area will be emailed to you one week prior to Carnival Day. Please note that the map will not indicate the exact location of your marquee. Stall placement will be assigned by staff on the day when you arrive
5. Unloading and Vehicle Removal
There is a high volume of stallholders and food vendors during the bump-in time, and vehicles must be moved from the unloading area immediately after you have unpacked from your car. Please move your vehicle before you begin setting up your stall. All vehicles must be cleared from the unloading zone by 10:30 AM sharp. Parking will be provided for Marketstall vendors.

6. Pack-Down & Vehicle Access
Pack-down may begin no earlier than 4:00 PM. Vehicle access to the loading area will not be permitted until after 4:15 PM, or once clearance has been given by the Event Manager.
7. Clean-Up
Please ensure your stall area is left clean and free of rubbish by disposing of all waste in the bins provided.
8. Unable to Attend
If you are unable to attend due to unforeseen circumstances, please notify the Marketing Department at least 48 hours in advance by emailing carnivalday@kingscollege.qld.edu.au. If you are unable to attend on the day, please contact Toni Colbron on 0435 792 385 before 8:00 AM
9. Stallholder Responsibility & Insurance
All stallholders are responsible for their own property and must ensure their activities do not compromise the safety or security of anyone attending Carnival Day. King’s Christian College accepts no liability for personal injury, property loss, or damage arising from stallholder activities. Stallholders are strongly encouraged to seek independent advice regarding public liability insurance.
10. Wet Weather Plan
In the event of extreme weather, a wet weather plan will be activated. Updated details including the site map, revised bump-in and pack-down times, and new locations will be emailed to you as soon as possible prior to the event. 11. Stallholder Approval & Content Guidelines
King’s Christian College reserves the right to decline any stallholder applications that do not align with the school’s ethos. All items for sale or display must be suitable for all ages. As a Christian school, we ask that stalls reflect values consistent with our Christian beliefs. The College reserves the right, at its sole discretion, to request the removal of any items on the day that are deemed inappropriate.
12. Product Exclusivity
We aim to provide our vendors with the most exclusive experience possible. While we cannot guarantee complete product exclusivity, we will make every effort to ensure that stalls do not offer identical items.
13. Behaviour Expectations
All stallholders and their representatives are expected to conduct themselves in a respectful, courteous, and professional manner at all times. This includes interactions with staff, volunteers, other vendors, and attendees. Disruptive, inappropriate, or disrespectful behaviour will not be tolerated and may result in immediate removal from the event at the discretion of the Event Manager. King’s Christian College reserves the right to refuse participation in future events to any stallholder who does not adhere to these standards.
