Reedy Creek Carnival Day 2025 - Food Vendor Agreement

Please thoroughly read through the following Terms & Conditions.

The King’s Christian College Carnival Day will run on Saturday 9 August 2025 from 12pm – 4pm in the school grounds at 68 Gemvale Road, Reedy Creek QLD 4227.

1. Contribution Fee

We appreciate that your stall represents your business and livelihood. As a contribution to the event, we kindly request 10% of your total takings for the day. This amount will be collected by members of the Marketing Team at 4:15 PM

2. Documentation Requirements

Public Liability Insurance and Food Licensing documentation, must be submitted via email to carnivalday@kingscollege.qld.edu.au no later than three weeks prior to Carnival Day.

3. Power Supply for Food Trucks

Power will be supplied by the school for all food trucks on Carnival Day. To ensure proper setup, all power requirements and the dimensions of your food truck must be advised at least six weeks prior to the event. This allows us to allocate space and resources accordingly. Vendors are responsible for bringing their own power leads, signage, cash floats, EFTPOS machines and any other equipment needed to operate their site on the day. Please ensure that all any displays are securely weighted, as the use of pegs or stakes is strictly prohibited on school grounds.

4. Bump-In Schedule & Site Map

A bump-in schedule and site map of the Food Vendors' setup area will be emailed to you one week prior to Carnival Day. Please note that the map will ot indicate the exact location but will be a guide to where food vendors will be operating on Carnival Day. Your placement will be assigned by staff on your arrival.

5. Unloading and Vehicle Removal

Due to the high volume of stallholders and vendors during bump-in, vehicles must be moved from the unloading area immediately after unloading and Unhitch before you begin setting up your site. All vehicles must be cleared from the unloading zone by 11:00 AM sharp

6. Pack-Down & Vehicle Access

Pack-down may begin no earlier than 4:00 PM. Vehicle access to the loading area will not be permitted until after 4:15 PM, or once clearance has been given by the Event Manager.

7. Clean-Up

Please ensure your stall area is left clean and free of rubbish by disposing of all waste in the bins provided.

8. Stallholder Responsibility & Insurance

All stallholders are responsible for their own property and must ensure their activities do not compromise the safety or security of anyone attending Carnival Day. King’s Christian College accepts no liability for personal injury, property loss, or damage arising from stallholder activities. Stallholders are strongly encouraged to seek independent advice regarding public liability insurance

9. Behaviour Expectations

All stallholders and their representatives are expected to conduct themselves in a respectful, courteous, and professional manner at all times. This includes interactions with staff, volunteers, other vendors, and attendees. Disruptive, inappropriate, or disrespectful behaviour will not be tolerated and may result in immediate removal from the event at the discretion of the Event Manager. King’s Christian College reserves the right to refuse participation in future events to any stallholder who does not adhere to these standards.

10. Unable to Attend

If you are unable to attend due to unforeseen circumstances, please notify the Marketing Department at least 48 hours in advance by emailing carnivalday@kingscollege.qld.edu.au. If you are unable to attend on the day, please contact the Marketing Department on 0435 792 385 before 8:00 AM

11. Wet Weather Plan

In the event of extreme weather, a wet weather plan will be activated. Updated details including the site map, revised bump-in and pack-down times, and new locations, will be emailed to you as soon as possible prior to the event.
