How will it be Achieved: By following the below procedure and timetable
Why is this Important: To be proactive in closing out Rockhaven communities
When a community is closeout stage:
• Cancel non-essential digital costs including digital advertising on Google ads, Facebook and paid Zillow ads
• Update to closeout on the Rockhaven Homes website
• Aggressively market closeout opportunities via blog postings, eblasts and flyers
• Update any signage to create a sense of urgency
After model home is sold:
• Alert stager to schedule destage of the model home
• Coordinate with Sales Manager last date of sales to be on site
• Close out community in Lasso after exporting contacts
After sales is no longer on site and after model home is destaged:
• Cancel WED routes, security and internet at the model home
After model home is closed:
• Have all appropriate signage removed including offsites
• Remove community from Rockhaven Homes website
• Deactivate Vonage phone number and reassign to a new community
• Make sure listing is removed from Google
Who is Responsible: The Marketing Director is responsible for assisting Sales Advisors with marketing and coordinating community events.
What is the Goal: To ensure that Rockhaven events are marketed properly and generate a high amount of attendees.
How will it be Achieved: By following the below procedure.
Why is this Important: To generate attendance to potential buyers and/or to strengthen co-op realtor relations.
After Sales Advisor/Sales Manager sets a date and time for a buyer community event, the Marketing Director will:
• Create a marketing flyer for the event
• Upload the event flyer for event on Microsoft Teams so Sales Advisors can print copies
• Assist in coordination of food/entertainment
• Assist in coordinating Vendor paid items
• Push out communication of event through social channels
• Push out communication of event through eblasts
• Create EventBrite
• Post an announcement and hyperlink on community page on website
• Alert Construction team the date of event so they can ensure model is cleaned and/or streetscape is clear
• Create/Update collateral for event and upload to Microsoft Teams for Sales Advisors to print
• Post photos of the event for social media
After Sales Advisor/Sales Manager sets a date and time for a co-op community event, the Marketing Director will:
• Create a marketing flyer for the event
• Upload the event flyer for event on RockNet so Sales Advisors can print copies
• Assist in coordination of food/entertainment
• Assist in coordinating Vendor paid items

Who is Responsible: The Marketing Director is responsible for coordinating photo shoots and uploading community, spec and model photography after completion
What is the Goal: To promote Rockhaven communities with professional high quality photography
How will it be Achieved: By scheduling photo shoots with various approved Rockhaven vendors as soon as the home is showcase ready (this is important because the home and yard are at its most presentable)
Why is this Important: To ensure the best representation of Rockhaven homes to potential buyers and co-op agents
Photography Coordination:
After a spec is complete and/or model home has been staged, follow the below steps:
• Make sure model home/spec is 100% showcase ready for photos
• Contact one of Rockhaven preferred vendor photographers and schedule date and time of photo shoot
• Communicate marketing needs including any amenity photos, streetscapes and/or local city highlights
• After date and time have been set, alert Sales Advisors, Project Managers and VP of Construction of photo shoot date so model/spec home may be appropriately cleaned and grounds and landscaping to be refreshed
Photography Distribution:
After photography files have been received, follow the below steps:
• Review all photos
• Request any necessary photoshop needs to the photographer
• Save all finished shots in the Marketing Community Photography folder on the shared drive
• Pick out Hero shots for digital ads, social and website photos
• Upload photography to website gallery, Rearview project manager folder and email Sales Advisors that photos are available on Microsoft Teams for FMLS use
Who is responsible: The Marketing Director is responsible to set up sign locations and coordinate sign installation. Sales Advisors are responsible to monitor that signs are installed.
What is the Goal: To ensure that all Rockhaven communities have appropriate off site signage to drive traffic to Rockhaven communities.
How will we achieve this: By scouting and installing signs at strategic intersections and key site locations.
Why is this important: To ensure that all Rockhaven communities are able to capture and guide in drive by traffic.
Weekend Directionals (WEDs) are temporary small popsicle stand signs that direct traffic to new construction communities on weekends. Sign are placed on Friday nights/Saturday mornings and are typically “overlooked” by code enforcement. Signs should be picked up Sunday evenings by the sign company. The weekend directional sign will show community name, pricing and appropriate arrow direction to drive traffic to a Rockhaven Community.
• Marketing Director will contact approved sign company to secure 25-30 key locations for weekend directionals. Signs will be placed on a weekly basis.
• Sign company will provide a map to show all weekend direction site location that Marketing will approve and forward to Sales Advisors (or will be provided in community binder).
• All Sales Advisors are to ride their weekend directional routes on the 1st and 3rd Saturday of every month before 11am. Sales Advisors are to mark any missing weekend directionals with an “X” on their WED map and take a photo of the marked map. All marked up maps are to be emailed to the sign company and the Marketing Director
BEFORE NOON on Saturday. The sign company will reinsert any missing signs on Saturday
• Marketing will review and process all invoices
• The Marketing Director is responsible to cancel weekend directional route after a community has closed out.
*Some municipalities do not allow weekend directionals and also may pull signs at random. It is imperative that Sales Advisors are to ride their routes to ensure weekend directionals are up as adjustments may need to be made to sign routes.
Permanent off-site directionals are large signs that are installed at strategic locations after a site owner or an “at risk” location has been secured. These signs are typically – 2 x 3, 3 x 5 or 4 x 8 depending on location and signage restrictions. Signs will have community name, pricing and appropriate arrow direction that will drive traffic to a Rockhaven Community.
• Marketing will direct the contracted sign scout to secure 3-5 key locations for a Rockhaven Community.
• Marketing and CEO will review and approve all off-site sign locations and leases.
• After locations have been approved, Marketing Director will have signs produced and installed by approved sign company.
• All sign leases will be paid on an annual basis. Marketing Director will process and maintain offsite signage payments.
• Marketing will provide Sales with an off-site directional map and spreadsheet that lists all locations for the community binder. Sales Advisors are to drive sign locations the 15th of every month and ensure that signs are still erect and are clean. If there are any issues Sales must contact the Marketing Director immediately.
• The Marketing Director is responsible to coordinate and replace any missing signs and address any signage issues.
• The Marketing Director is responsible to order the signage to be removed after a community has closed out.
*Some key sign locations may be deemed as “at risk” locations. These locations are to be used only after all other means to contact a site owner have been exhausted and the contracted sign scout has done appropriate due diligence on that site location.
Who is Responsible: The Marketing Director is responsible for creating and updating community brochure collateral for Rockhaven’s communities.
What is the Goal: To supply Sales Advisors with high quality marketing materials to target real estate co-ops and potential buyers.
How will it be Achieved: By creating materials that successfully deliver the appropriate marketing message.
Why is this Important: To ensure that prospective buyers and co-ops have a takeaway after visiting a Rockhaven Homes community.
When a Rockhaven community is announced for pre-construction selling, the Marketing Director will obtain:
• Unique Selling Points
• Plat Map
• Points of Interest
• Floorplan line up
• Assigned schools
• Included Features
The Marketing Director will create the following brochure components:
• Brochure narrative
• Site map
• Area map
• Floorplan and elevation tear sheet
• Base Price sheet
• Included Feature Sheet
• Preferred Lender list

After brochures have been created, a digital copy will be saved in Marketing community folder under Indesign Collateral. Also save a copy on Microsoft Teams A digital copy is to be emailed to appropriate Sales Advisors for printing.
Who is Responsible: The Marketing Director is responsible for creating and distributing marketing flyers for Rockhaven Communities.
What is the Goal: To supply Sales Advisors with high quality marketing materials to target real estate co-ops and potential buyers
How will it be Achieved: By creating materials that successfully deliver the appropriate marketing message while maintaining Rockhaven Homes branding.
Why is this Important: To ensure a consistent Rockhaven Homes marketing message while driving qualified on site/online traffic and generating leads.
Based upon the monthly marketing calendar received from the Sales Advisors, the Marketing Director will create the following flyers:
• Community event – CE Class, Buyer, Seminar etc.
• Marketing incentive flyer – move in package etc.
• Inventory sheet
• “Home of The Month” flyer
Flyers Creation:
• Flyers should be created in InDesign or direction is to be given to a graphic artist for flyer creation.
All flyers should have the following components to maintain brand consistency:

After creating flyers:
• Digital copy will be emailed to Sales Advisors for printing

Who is Responsible: The Marketing Director is responsible coordinating weekly paid eblasts for Rockhaven Communities
What is the Goal: To market to real estate co-ops and potential buyers
How will it be Achieved: By strategically planning weekly eblasts through Atlanta Communities and Engle & Volkers email databases
Why is this Important: To ensure a consistent weekly marketing message for Rockhaven Homes to increase SEO and online leads
On a weekly basis, plan one community per day to be featured for a daily eblast. Choosing a highlighted community should be based upon an event, incentive, price change, available inventory or any other news worthy marketing item. Rockhaven community promotion should be rotated on a consistent basis to ensure all communities receive a fair amount of marketing. Those struggling communities may require extra marketing efforts based upon the Marketing Director’s discretion.
To schedule eblasts through ANHD:
• Log onto https://rockhaven.purasales.com/secureloginv2/
• Choose the appropriate community and log into their Pura account.
• Under “Idea Center” choose from a pre-made template or create your own eflyer
• Create eblast based upon marketing message
• Make sure a TEST email is sent for review
• After completed and tested, choose the “EMAIL” icon to schedule the eblast.
To schedule eblasts through ENGEL & VÖLKERS:
• Create appropriate marketing flyer in PDF version
• Email the ENGEL & VÖLKERS Marketing Manager and Intern the following:
o Marketing PDF
o Date eblast to be sent
o Subject line of email
o URL (with UTM tag)
Important items to remember for subject lines for eblasts to ensure emails do not go to spam:
• Do not use all caps
• Do not use symbols
• Do use the word “Free”
All eblasts should have a URL with a UTM tag code for website and lead tracking.
To do this:
• Go to UTM spreadsheet under the Rockhaven URL Creator in Google “Rockhaven Project Management”
• Fill in the appropriate campaign information
• After UTM has been generated go to https://app.bitly.com and create shortened URL
After eblasts are sent out, all data must be entered into the weekly marketing scorecard
Follow up after eblasts are sent should be done on a monthly basis to gauge marketing success. Monthly reports are sent by ANHD Marketing Manager that reports on the sent, open, click through, delivery and spam.

Who is Responsible: The Marketing Director is responsible distributing Guild Quality Customer Service Survey Scores, Closing Table Surveys Scores and Guild Quality 11 Month Customer Care Survey Scores
What is the Goal: To timely distribute Surveys to gather valuable customer service feedback to identify any areas of needed improvement
How will it be Achieved: By following the below procedure
Why is this Important: To ensure that Rockhaven Homes is providing a superior home buying experience to all customers
• At time of closing all Rockhaven Homes buyers receive a welcome packet and a welcome home letter. The letter will alert the buyer that a survey will be coming via email to them in 30 days.
• The buyer will also receive a Closing Table Survey to be completed at time of closing.
o For compiling response data from the Closing Table Survey :
The Marketing Director will enter data into the “Closing Table Survey 2023 with Quarterly Percentages” Spreadsheet after receiving the survey included in the executed closing documents from the attorney’s office.
Completed surveys are sent every Monday to Sales Advisors, Builders, The Marketing Director, Sales Manager, VP of Construction, VP of Operations, VP of Purchasing and the President.
Surveys are to be reviewed in Level 10 meetings with the Sales Advisors and Project Managers. Specific 7 day action items are identified and addressed based upon survey results and feedback.
o For compiling data from the 30 Day Post Closing Surveys
The Marketing Director will schedule Guild Quality Surveys to be emailed to homeowners 30 days from closing date.
The Marketing Director will enter data into the “Customer Service Survey Report 2023 with Quarterly Totals” Spreadsheet after Guild Surveys are received.
Completed surveys are sent every Monday to Sales Advisors, Builders, The Marketing Director, Sales Manager, VP of Construction, VP of Operations, VP of Purchasing and the President.
Surveys are to be reviewed in Level 10 meetings with the Sales Advisors and Project Managers. Specific 7 day action items are identified and addressed based upon survey results and feedback.
o For compiling data for the 11 Month Customer Care Surveys
The Customer Care Coordinator is responsible for scheduling 11 Month Survey to home owners 11 months after closing through Guild Quality.
The Marketing Director will enter data into the “Customer Care 11 Month Survey” Spreadsheet.
Completed surveys are sent every Monday to Customer Care Team, VP of Operations and VP of Purchasing.
Surveys are to be reviewed in Level 10 meetings with Customer Care Team. Specific 7 day action items are identified and addressed based upon survey results and feedback.
Who is Responsible: The Marketing Director is responsible for overseeing all forms of digital marketing including Google Ads and Facebook ads

How will it be Achieved: By monitoring and giving direction on the creation of digital ads on a consistent basis
Why is this Important: To ensure the best representation of Rockhaven homes to potential buyers and co-op agents
On a weekly basis, the Marketing Director and VP of Sales will meet with 3rd Party Digital to:
• Review weekly sales and traffic and digital efforts.
• Discuss community digital performance, online lead submissions and sales ROI
• Discuss upcoming marketing campaigns and strategies
• Discuss community digital emphasis (tier system)
• Ensure new communities are showing in the appropriate locations on Google Maps
• Give guidance and approval to weekly social media topics
• If ads are not performing make recommendations for ad changes - i.e. changing the message, changing photography, pricing adjustments.
On a monthly basis, 3rd Party Digital Vendor will email a report of all current digital performance metrics as well as a digital snapshot of all current ads. After these reports are received, the Marketing Director is responsible to:
• Review all metric reports and evaluate performance of each community ad.
• Review each ad for accuracy including pricing.
• Request photography updates if new pictures are available.
• Request new ad layouts as needed to keep ads new and fresh.
• Request new and different avenues for digital advertising.
• Decide on budgetary increases/decreases.
• Upload community events including URL in the shared Event Tracking Sheet.
• Email community events and specials to appropriate 3rd party vendor.
Who is Responsible: The Marketing Director is responsible for coordinating staging, moving destaging of all decorated Rockhaven Model Homes.
What is the Goal: To ensure that Rockhaven model homes are decorated and appropriately reflect target consumer group.
How will it be Achieved: By providing stagers with appropriate direction.
Why is this Important: To ensure the best representation of Rockhaven homes to potential buyers.
Model Home Staging Coordination:
When model home is at framing stage:
• Contact one of Rockhaven preferred vendor stagers and communicate:
o Model and sales center needs
o Floorplan – including square footage, bedrooms and any specific design differentials
o Buyer Profile
o Estimated scheduled completion date
• Request contract for model home staging costs
One month prior to model home completion date:
• Request and review story board from stager
• Obtain appropriate signature and approval for staging contract
• Request Rockhaven Accounting have appropriate payment ready one week prior to staging date
• Schedule model staging date with stager – this date should be scheduled one week after construction is completed and model home is 100% showcase ready
• After staging date is set, alert construction team and sales about date
• Request that construction coordinate the model home is to be cleaned a week before staging date
One week prior to staging date:
• Walk model home to ensure it is clean and 100% showcase ready
• Confirm model staging date with stager
• Ensure that staging check has been mailed out by Rockhaven Accounting
• Remind construction team and sales about staging date
After model home is staged:
• Walk the decorated model home
• Address and issues/changes that are to be made with stager (if needed)
• After a confirmed closing date has been set alert stager to tentatively schedule destage
• After contract contingencies have been removed, alert stager to schedule destage date
• Alert construction team and sales when destage date is set
• Remind all one week prior to destage date
Who is responsible: The Marketing Director is responsible coordinating New Sales Advisor On Boarding
What is the Goal: To ensure that all Sales Advisors have been trained before Sales Advisor is on selling site.
How will we achieve this: We will achieve this goal by following the sales advisor on boarding process and action items are followed through to completion.
Why is this important: To ensure that Sales Advisors will have an understanding of all Rockhaven Homes policies and procedures to begin selling new homes.
After on boarding is complete at Engel & Völkers coordinate Rockhaven on boarding:

After Rockhaven on boarding is complete:
• Update community Vonage number to be directed to Sales Advisors’ cell phone
• Create a Lasso log in and training

Social media topics should be based upon an event, incentive, price change, available inventory or any other news worthy marketing item. Rockhaven community promotion should be rotated on a consistent basis to ensure all communities receive a fair amount of marketing. Those struggling communities may require extra marketing efforts based upon the Marketing Director’s discretion. The weekly process is as follows:
• 3rd Party Digital Vendor will supply a PDF of daily social media topics for the upcoming week to Marketing Director no later than Wednesday.
• Marketing Director will review and make necessary adjustments as needed.
• 3rd Party Digital Vendor will email PDF proof of social posts to Marketing Director by noon on Friday to approve or modify as needed.
• Marketing Director to encourage Sales Team to like, share and comment on all Rockhaven Homes social channels.
Who is responsible: The Marketing Director is responsible for implementing and overseeing the utilization of ChatGPT across various marketing channels.
What is the Goal: To guarantee the utilization of ChatGPT across diverse marketing channels.
How will we achieve this: We will accomplish this objective by providing training to new sales advisors on the platform, conducting regular audits of sales advisors' utilization of the platform and using in company branded marketing collaterals.
Why is this important: Utilizing this platform will significantly improve convenience for our sales advisors in their marketing efforts. Plus the high-quality verbiage generated by ChatGPT sets us apart from our competitors, giving us a competitive edge in the market.
ChatGPT is a processing tool driven by AI technology that allows conversations with the chatbot that will generate marketing content.
Sales Advisor Training:
• The Marketing Director will train new Sales Advisors on this platform. This will include:
o Going through the presentation located in Teams
