What can you learn from fighter pilots about meetings?

our life goes faster than a jet plane and your industry is so competitive it looks like a war zone… so wouldn’t it make sense to take fighter pilots as your role model, to help manage your life and meetings? That is the idea behind the new venture of Pierre-Henri “Até” Chuet, who spent 13 years as an officer in the air combat arm of the French navy and flew missions in Iraq. His company Mach 3 Management does corporate training and teambuilding events. He will be bringing three VR flight simulators to IBTM World, so you can get a taste of flying a fighter aircraft during the show. Prepare for take-off!

Good news: Max Fellows, director of Client Services at MCI, will moderate a session on this essential subject. We talked to him ahead of this not-to-be missed occasion.

« You have to make very quick decisions but the key to that is planning ahead » You draw a parallel between combat and business, can you give us an example? Stress. Going to a board of directors meeting can easily be as stressful as a flying a training mission and you have to be prepared. Another is that people rely on you and expect you to make good decisions. When you fly above Iraq, lives are at risk and several thousand sailors, technicians, and ground personnel expect you to make an impact. So what lessons can we learn that we can apply in the boardroom? One example is visualisation and readiness. Every time you perform a mission, you go through a preparation phase, you think of what is expected of you, which tactics to use and what could go wrong: you visualise the mission. In an aircraft you have to make very quick decisions but the key to that is planning ahead. Of course, it never goes as planned but, ahead of the mission, you take time to think about what could happen. In the aircraft, you are either too task saturated or don’t have the time, so you must have thought of possible scenarios and ways to deal with them beforehand.

What do you find business people can mostly improve upon? • Leadership: a lot of managers don’t take ownership of their mistakes. You have to lead by example, take ownership and take the blame. If it goes well, distribute appreciation but still look for ways to be even more efficient. • Standard operating procedures. If you organise meetings, you should have sufficient detailed standards and plans that anyone could jump into the project and help. We do this in the military in case someone is hurt and has to be substituted. It also reduces stress and improves efficiency, as everyone has a specific set of tasks. • Lack of debrief. People think they debrief but they usually fail to ask themselves the right questions. A thorough debrief is where you really learn and improve. It requires application, methodology, time and training. What mistakes do agencies and other organisations do when pitching? A typical mistake is to go for any type of new business without fully qualifying it. New business is essential for agencies but at what cost? Bidding costs money and provided you have a strong team, your win ratio should be good, right? Only as long as you are going for the right business for your organisation and you are qualifying new opportunities.

Geetha Arekal, head of procurement for Mobility Services, Siemens India What are you mostly looking for at IBTM World? Providers, venues, DMCs, getting up to date about the industry, new ways of doing things… both to source new ideas and to help in my planning of specific events.

Can you share with us one or two pieces of advice for pitching? No matter how rigid the brief and the decision-making process are, there is always room to be creative and to define your point of difference in your response and how you deliver it. My second bit of advice is that many agencies do not spend enough time in the initial phase, the research. It is here that you gain insights and find the gems that will help you create that winning formula. Get to know the business, live and breathe the brand to the point where in your pitch and your solution you are telling the client something they didn’t even know about their organisation – challenges, target audience or workforce.

What events do you organise? Offsites, incentives, team meetings, conferences. What is changing in your events? Use of technology, visibility on spend and management. We are using IT tools to communicate with suppliers and get clear reporting on how much we are spending on what. We are also working on receiving information from attendees and integrating tools to measure if we achieve the intended results from our events. What do you expect from exhibitors? Technically connect me and my events end to end. We work with cvent and expect our partners, especially DMCs and hotels, to fit into this system.

Tell a tale that captures the imagination

I

f you work in meetings, your primary function is to help communicate. And since you still remember stories your parents told you when you were six, you know the power of a narrative. Enter Christophe Trappe, chief content engagement director at Stamats Business Media, who helps companies use this wonderful communication tool to ensure meetings get the message across.

• Christophe illustrates the power of story telling: “5,000 professionals go to Cleveland to attend the Content Marketing World conference. To communicate it, the organisers create, throughout the year, relevant stories for the audience, communications which carry an implicit message, “and, by the way, please come to our event”. This includes articles every day but also other formats like tweets — and this forms their storytelling.” Christophe offers a few tips: • Start early. Don’t plan your whole meeting. When designing the first mailing, try to come up with a story. Start with the story you will want to tell and to whom. • Make it relevant. The best stories are the ones which solve a problem, so tell stories about the difficulty the dele-

gate is trying to deal with. But first, you need ‘the hook’, the delegate’s headache. You need a deep understanding of their needs. Make it personal, make it real. One strategy is to create the story of one specific member of the target audience. Don’t think of the ‘brand hero’, make it simple. Creating a story that is not personal can also work but it is important to relate it to the problem. A wide range of media is accessible. If you say ‘do a video’, people think they need a crew but one person with a smartphone can record a video. So think of videos, audio broadcast, podcasts… whatever transmits your content best. Even the newest tech is within reach. Don’t be intimidated. We just bought a VR camera to do some storytelling, it is very affordable. We are also recording things in 4K – all this is financially possible. And, of course, do your homework… from defining a clear strategy to ensuring you write perfectly in an attractive and correct manner.

n our quest for inspiration, we know we should tap into other fields of arts and business. And a field of arts which is gathering steam as a source of inspiration is drama, an art in whose DNA is communication from a stage to a live audience, grabbing attention, driving interest, moving people, impressing… Chris Cook from Upstage Communications helps you grab the audience’s attention and move them.

What lessons should meeting planners extract from the world of theatre? Two tips: • Invest in storytelling. Storytelling has the power to change hearts and minds. By focussing on what really matters – your content and your audience – you can achieve real, impactful engagement. • Be bold. Don’t let your next meeting follow the same old cookie-cutter format. With advances in technology and the rise in experiential engagement, even the driest content can be transformed into something unique and memorable. You apply theatre to create impactful events, can you give us an example? The Dell Boomi President’s Club, which we delivered in Portugal in 2017, Argentina in May 2018. Rather than providing a collection of disparate event days, we created a story throughout the week, with 12 events in

« Focus on what really matters (your content and your audience) to achieve engagement » six days featuring actors, singers, dancers and local talent. These events took on the themes of earth, air, fire and water, including a welcome dinner cooked by a celebrity chef, a walking tour of the Iguazu Falls and a day on a private island transformed into an adult summer camp and filled with eye-catching art installations. This culminated in a gala dinner that literally brought the house down, when we collaborated with Fuerza Bruta to create an overhead swimming pool that housed circus performers (see photos). VisitEngland has drawn on the country’s literary history, to capture the imagination of visitors to its stand at ibtm world, where they can have literary meetings with partners to explore the possibilities for events and incentives. And giving literature a culinary spin, guests have been invited to ‘follow the white rabbit’ and enjoy an evening of Alice in Wonderland themed cakes and cocktails at a Mad Hatter’s Tea Party. The stand at IBTM World has been transformed into Lewis Carroll’s fantasy to give visitors the chance to follow Alice into Wonderland. Stand G30

Iceland now bills itself as Unconventional, building on its reputation for reliability, modern infrastructure, service excellence and good flight connections. This reflects the island’s astonishing landscape, where nature has pulled out all the stops, with 800 hot springs, 10,000 waterfalls, 125 volcanoes, Europe’s largest glacier, black beaches and the mesmerizing Northern Lights. Rwanda Convention Bureau (RCB) is exhibiting for the fifth time at IBTM World. Rwanda has excellent MICE infrastructure, enhanced by the new Intare Conference Arena and hotels such as the recently opened Onomo. In addition, the country is safe, ranking fourth in the world and first in Africa in the Gallup 2018 Global Law & Order poll; and for two consecutive years (2016 and 2017) Rwanda has been the third most popular meetings destination in Africa according to the International Congress and Convention Association (ICCA) ratings. Visit.Brussels is celebrating its success as a business and leisure tourism destination on the 60th anniversaries of the Atomium, the Smurfs and SQUARE. In April 1958, Expo 58 opened with a view to maintaining peace among all nations, based on mutual respect and bringing people together. The same year, Brussels congress centre SQUARE opened in the city centre and Pierre Culliford created the Smurfs. The Centre d’Information de Bruxelles opened as a predecessor to the Brussels Tourist Office and events were organised in Brussels, not least because the capital is home to NATO and the European Common Market. Bordeaux wins two major events Bordeaux has won two major international events, Robocup 2020 and the European Company Sport Games 2023. The games will attract more than 8,000 participants, bringing 200 plus teams from 41 national federations and athletes, who will compete in 35 sports. The successful pitch for the 23rd edition of Robocup was undertaken jointly by France and Bordeaux, with the support of Montréal. The event will take place in France for the first time, bringing 450 teams and 3,500 competitors from 50 countries, and organisers are anticipating the World Championship will attract more than 40,000 visitors. Most important, Robocup will raise France’s profile with the R&D robotic engineering and artificial intelligence sector. Stand D50

Economic development. South Africa’s Amanda Kotze-Nhlapo, chief convention bureau officer, reminds us that “our strategy is aligned with the developing sectors in our country. Meetings help us showcase our innovation and they leave an important legacy”. As an example, after a pediatric cardiology congress, a factory manufacturing medical equipment for children was set up in South Africa, and the International AIDS conference led to the development of two HIV/AIDS research centres in Africa. New skills. DMOs need new skills, especially expertise in identifying and implementing connections between public and private entities. Ahmed Mohammednoor Al Obaidli, director of Exhibitions Department at Qatar Tourism Authority sees their role as a catalyst to create collaborations between public and private

entities. Sandrine Camia, director of the Monaco Convention Bureau says her role moves “from a passive destination marketer to an active business enabler. Being a marketer is not enough; people want us to knock on the door, to impact, to be entrepreneurial”. She adds that placing business tourism in the realm of economy as well as tourism gives them a new legitimacy. The change is important and will be challenging, it will require education and awareness-building. PCMA is creating a global movement around the power of events to affect economic and social progress, organisational success and personal and professional development, as PCMA’s Sherrif Karamat told us. We are an engine of economic development; we are not here to fill beds anymore. Quite a change and quite a challenge for an industry, which frankly, may not be fully equipped for that yet. But if we have the right learning frame of mind, the future is even brighter than the (really cool) present we have!

Next year, South Africa will host the ICCA Association Meetings Programme in Durban, aided no doubt by the launch this year of British Airways´ three times weekly flights between London and Durban. Reflecting this new focus is the opening of a number of hotels, including a Radisson Blu in Durban and two further Radisson Reds, including one in Cape Town; a €98.4 million hotel and conference centre in Kruger Park´s Skukuza and a multi-star rated property in Pretoria, with 3-, 4- and 5-star accommodation under one roof, depending on which floor you book. Canada has always been a hotbed of ingenuity. In 2017, it became the first country to release a national AI strategy as part of its Federal budget. The fiveyear, C$125m investment in AI research and talent is already paying dividends, with new businesses launching Canadian operations in the epicentre of AI innovation: Montréal. The city will be home to the Neural Information Processing Systems (NIPS) conference this December, the largest machine-learning and AI conference in the World, which will be held at the Palais des Congrès de Montréal. Thailand responds to client needs The Thailand Convention and Exhibition Bureau (TCEB) has launched a marketing campaign to transform perceptions of the country called Thailand: REDEFINE your Business Events. “We will offer higher value and we are responding to the shifting demands for business events globally,” said director of meetings & incentives for TCEB Nooch Homrossukhon. The country has invested considerably in infrastructure on the east coast and is also providing incentives for further investment from foreign and local investors. And with the movement towards experiential programmes, the TCEB sees no better time to offer clients return on investment, return on time, return on effort and return on happiness. Part of this new policy will be greater collaboration with meeting, travel and incentive houses, with TCEB becoming partner, co-creator and thought leader. For organisers, this means government support for bids, site inspections and rewards. SITE is holding its 2019 global conference in Bangkok as a result of a fam trip to the country, and to bring the city to life for delegates, the programme is taking place largely outside the conference room. The collaboration with TCEB before and during the familiarisation trip was outstanding: “They pushed us to the limit, recommending unusual venues and partners we could work with,” said CEO Didier Scaillet. “At the end of the day, the vital question is, can you live your promises? In our experience with TCEB, they can.” Stand H50

The Hôtel de Paris in Monaco will reopen at the end of 2018, after four years of renovation during which its 183 rooms and meeting facilities were upgraded. Benidorm is about to raise its profile as a meetings destination. The Spanish tourism powerhouse, located close to Valencia, has more than 41,000 beds and in 2017, had an 85% occupancy rate, hosting 11 million room nights. But its presence in meetings has so far been low key. This is, however, changing, according to director of Visit Benidorm Leire Bilbao, who hosted a presentation by Benidorm DMC, the first DMC to be based in the city. Bilbao highlighted the tourism office´s ambitious action plan, involving the key local meetings hotels, which participated in the presentation: Meliá Villaitana, Barceló Asia Gardens, Hotel Deloix Aqua Center and Grand Luxor Hotel. Associations unite in Kuala Lumpur The Kuala Lumpur Convention Centre (the Centre) this year hosted the UIA (Union of International Associations) Round Table Asia-Pacific 2018. The two-day event brought some 200 leading business events industry players from 15 countries to share experience and knowledge, gain practical skills and tools, with the opportunity to network with colleagues from all over the world. UIA President Cyril Ritchie delivered the opening keynote address on the role of international organisations today, which was followed by a panel of speakers and discussion on the impact associations have on society and the environment, and the external factors that influence an association’s work. Association leaders, including those from Pan Asia Risk and Insurance Management Association (PARIMA) and International Congress and Convention Association (ICCA), also presented case studies and shared their experience of meeting current challenges. For the first time, organisers and visitors were able to see in real time volume of visitors, patterns of movement and their length of stay at exhibition stands, lectures or workshops with the help of Bluetooth badges or WayTags. These were attached to trade fair badges and provided visitors with information in the CEBIT Event app about their experience at the show. Cvent promotes better networking Although networking plays a crucial role in events, according to research undertaken by cvent, delegates could be doing more to ensure they get the most out of their opportunities. Senior marketing manager Europe Judy Elvey gives an insider’s guide to success. Networking is not just rubbing shoulders on the day and delegates often want a platform where they can connect before the event, so that they have started to build a rapport before they meet. This can be done via a mobile app or a digital platform. The same goes for after the event and a platform allows participants to stay in touch, prolonging a sense of community. Although many people are quite happy to meet and make their mark with strangers, not everyone sails through the process; fear, apathy, nonchalance, lack of direction or commitment are the key obstacles preventing most attendees from networking effectively and capitalising on new business opportunities. SERVICES Mediterranean marvels unveiled by SeaDream SeaDream Yacht Club has revealed its 2020 Mediterranean itineraries in which SeaDream I and SeaDream II combine well liked Mediterranean ports in the French and Italian Riviera, Greek isles, Spanish coast and Adriatic Sea with some new, hidden gems. Hyatt regains its youth Hyatt Hotels Corporation has announced the launch of RiseHY, a global programme designed to marry up the hospitality industry’s career opportunities with young people who need them. Hyatt properties around the world commit to hiring 10,000 Opportunity Youth between 16 and 24 by 2025, who are neither in school nor working. According to the International Labour Organization, more than 40% of the world’s young people are either unemployed or living in poverty. As reported by Measure of America, there are 4.9 million Opportunity Youth who are disconnected from the economy in the US alone. “We understand the challenges young people face and Hyatt hotels is uniquely positioned to be part of the solution. Hospitality is one of the few industries where entry-level opportunities often lead to

fulfilling, life-long careers and that can change the trajectory of someone’s life,” said chief human resources officer for Hyatt Malaika Myers. “With the launch of RiseHY, Hyatt hotels will harness technology to scale career opportunities, raise awareness of hospitality careers, setting candidates up for success from the start and expanding training programmes as a path for employment.” For example, using virtual technology, from home or a community centre, youth across the world will be able to experience what employment inside a hotel looks like. The IBTM World Media Centre, sponsored by Sri Lanka Convention Bureau, provides dedicated resources for the international media. Located on the show floor Block P, it’s the one-stop shop for all press enquiries and press conferences at IBTM World.

Cash Point

Cloakroom and Luggage Storage

There are two cloakrooms available with luggage storage facilities. Blue Cloakroom is located at the Central Bus Station and Orange Cloakroom is located at room CC.1, up the escalators above registration. Please note that at peak times these areas will be busy.

Exhibitor Scanners

Please collect your exhibitor scanners from the Livebuzz distribution point and at Accés Sud you can upload your collected data throughout the day. We are also offering complimentary lead scanning through the IBTM World app.

Travel

Fira Gran Via is easily accessible via the metro system. There are 2 metro stations close to the venue – Europa Fira, a 3-minute walk, and Fira station, which can be accessed directly from the Fira Sud entrance. Shuttle buses run between 40 plus Hosted Buyer hotels and IBTM World every morning and evening. Airport shuttles are also available from the central bus station. On arrival at IBTM World, registration and cloakrooms are available in the Accès Sud entrance.
