A Note From The FMC Chair And Chief Executive Officer

Dear Gamma Phi Beta Sisters and Friends,

We’re excited to share this year’s Facilities Management Company (FMC) Annual Report. Fiscal Year 2025 was full of momentum — some of it fast-moving, some of it more behind-the-scenes — but all of it rooted in one goal: to create spaces where Gamma Phi Betas can live, connect and belong.

This year, we’ve focused on strengthening our operations while also looking ahead. We rolled out residential agreements earlier than ever to better compete with local housing, continued our move to a more user-friendly platform (StarRez) and made thoughtful updates to our medical accommodation process to better support members. Our Housing and Facilities Conference once again hit the mark, and we welcomed new staff members to help us grow.

On the ground, we completed key infrastructure projects at several properties and continued building partnerships with vendors to bring chapters better services at better prices. And we’re especially proud of our new Affiliated House Corporation (AHC) Development Committee — a clear sign of how much we value the volunteer leaders who help us sustain our housing model.

At the board level, we spent a great deal of time talking

about what’s next: recruitment trends, rising insurance costs and how to plan responsibly for the future. It’s this behind-the-scenes work that helps us stay steady, nimble and focused on long-term success.

We’re truly grateful to every volunteer, every staff member and every sister who supports this work.

About The FMC

From a traditional standalone facility to university-owned residence halls and suites, Gamma Phi Beta collegiate sisters make lifetime memories in a wide variety of living arrangements. We know a Gamma Phi Beta facility is a place to grow, learn and support others while receiving the same True and Constant support in return.

Formed in 2012, the FMC is the international housing entity for Gamma Phi Beta, supporting our ever-growing properties and AHCs.

The FMC is overseen by the Board of Managers (BOM), who are responsible for the strategic direction of the company and ensure the FMC supports the mission and vision of both the FMC and Sorority.

The FMC owns properties across the United States. All new Gamma Phi Beta chapters installed after August 1, 2013, are automatically managed by the FMC, giving our new chapters access to top-notch facilities and resources.

Mission: To foster welcoming, inclusive spaces that promote sisterhood by providing innovative, industry-leading properties and asset management services for Gamma Phi Beta and her members.

Vision: For collegiate Gamma Phi Betas to have access to living, learning or gathering spaces that foster community and belonging.

The BOM

The BOM (listed below for Fiscal Year 2024-25) supports the work of the FMC and provides mission-based leadership and strategic governance. Board members develop policies, procedures and regulations for the operation of the FMC and monitor and evaluate the FMC’s finances, programs and performance

Impact

The Facilities Management Company (FMC) continues to play a critical role in Gamma Phi Beta’s mission by ensuring that our properties remain safe, competitive and enriching environments for our members. Currently, the FMC owns, manages and supports 64 chapters — representing 47% of all Gamma Phi Beta chapters. Of these, 29 chapters have housing facilities, including 17 freestanding houses, eight dormitories and four chapter rooms, while 11 chapters have storage facilities. In total, our properties house 922 members, accounting for 24% of Gamma Phi Beta’s members living in Sorority facilities.

During the 2024-25 fiscal year, the FMC focused on key priorities, including operational improvements, timely communications with residents, infrastructure upgrades and long-term planning. Below are the major highlights of the fiscal year.

Refined Medical Accommodation Process

The FMC reviewed and updated its medical accommodation process with the support of legal counsel. Instead of a single request form, residents now complete separate forms for emotional support animals, meal plan modifications or room accommodations — making it easier to provide accurate information. A new staff accommodations committee now reviews and determines requests, aligning with best practices and improving fairness and consistency.

Earlier Residential Agreements

Residential agreements for the 2025-26 academic year were sent to residents in early October 2024 — more than a month earlier than the prior year. This earlier timeline allows chapters to better compete with local housing options and fill facility spaces before members sign off-campus leases.

StarRez System Implementation

The FMC transitioned from Armatic to StarRez, a student housing management platform. While still being phased in, StarRez will centralize tasks such as facility payments, maintenance requests and move-in forms — streamlining the experience for residents and increasing customer service efficiency.

Successful Housing and Facilities Conference (HFC)

A total of 65 volunteers and staff attended the FMC’s annual HFC, which earned high marks across nearly all learning objectives. Of the 35 objectives measured, 33 met or exceeded a 95% agreement rate for learning success, with 31 receiving a 100% “agree/strongly agree” rating — affirming the conference’s effectiveness in preparing volunteers for housing-related responsibilities.

The FMC continued to grow its relationships with national vendors, including Cintas and Wayfair, to secure discounted products and services. These partnerships support AHCs and improve facility quality while keeping costs down.

Staff Expansion

To meet growing operational needs and enhance service delivery, the FMC expanded its staff this year. New team members increased capacity to support chapters, provide elevated customer service, maintain property standards and drive continuous improvement.

New AHC Development Committee

Recognizing the vital role AHCs play in maintaining Gamma Phi Beta’s housing portfolio, the BOM established a new AHC Development Committee. This group will work with AHCs to understand key drivers of AHC health, develop resources to help keep AHCs healthy and viable and provide education and resources to help sustain volunteer leadership and property stewardship.

Strategic Oversight of the FMC Portfolio

The BOM continued its focus on long-term sustainability by evaluating the health and value of FMC-managed properties. This includes reviewing capital improvement priorities and ensuring that insurance coverage keeps pace with rising property values, labor and material costs. In collaboration with our partners at MJ Insurance, the FMC also tracked climate-related risks and trends to inform future planning.

Planning for the Future of Sorority Housing

In keeping with its charge, the BOM engaged in generative discussions on trends shaping the future of sorority housing. Topics included evolving National Panhellenic Conference recruitment patterns and the preferences of the next generation of college students. These conversations help the FMC proactively adapt its offerings to meet the needs of future members and remain competitive in a changing higher education landscape.

As part of our ongoing commitment to facility improvement and safety, the FMC prioritized the following infrastructure projects this year, enhancing both functionality and the overall member experience.
