Analyze The first step to effective time management is analyzing your workday. Keep a time log, and notice how much time you spend being productive and how much you waste. Delegate2 jobs you really don’t need to be doing yourself.

Review Once you’ve figured out your overall uptime,3 calculate how you are dividing it up. Studies have shown that, on average, people allocate4 60 percent of their time to routine jobs, 25 percent to ongoing tasks, and 15 percent to planning growth. Ideally, these allocations should be reversed, with the lion’s share of your work dedicated to planning future growth and only a small percentage on everyday tasks. Make more time for groundwork5 and development tasks, and for the everyday duties, either delegate them or come up with ways to perform them faster.

Prioritize

Make a list of your long- and short-term professional and personal goals and group them according to urgency and importance. Start with group one: urgent, important tasks. Group two will consist1 of tasks that are timesensitive,2 but not so important, and group three of tasks that are important but don’t require immediate action. Finally, group four is made up of tasks that are neither urgent nor important. While you should try to complete at least a few group one tasks each day, the bulk3 of your time should be spent on items from groups two and three. Group four, the non-urgent, unimportant tasks, can be put on the back burner.

Another important thing to consider is what times of day you have the most energy. Some people work better in the morning, others at night.
