Rely on our experts to review and apply constantly changing legislation to your unique maintenance schedules
Introducing SFG20 Facilities iQ – a smart software solution to intelligently manage your building maintenance compliance Including full access to SFG20’s extensive library of maintenance schedules that set the industry standard

In the past FM software was perhaps seen as a back-office tool, primarily used by managers to plan maintenance schedules, track assets, and generate compliance reports. But as estates become smarter and the workforce more mobile, the real opportunity lies in putting technology directly into the hands of frontline teams. In 2025/26, mobile-first FM solutions, from apps and digital checklists to IoT-enabled monitoring, are reshaping how facilities are managed day-to-day…
Facilities professionals rarely sit behind a desk. Engineers, caretakers, and cleaning staff are constantly moving between sites, equipment, and service requests. By equipping them with mobile apps, organisations can streamline communication, reduce paperwork, and capture data at the point of action.
Tasks such as logging a repair, completing a compliance checklist, or scanning a QR code to pull up asset history can all be handled in real time. This eliminates the lag of manual reporting and ensures managers have a live view of what’s happening across the estate.
Paper-based inspection sheets are being rapidly phased out in favour of digital checklists, which guide staff through step-by-step processes and automatically flag anomalies. Whether it’s a fire safety check, a legionella inspection, or a daily cleaning routine, mobile tools ensure consistency and accountability.
Completed checklists are stored instantly in the system, providing an
auditable record for compliance and easing the burden of preparing for CQC, HSE, or internal audits.
IoT Integration on the Ground
Mobile solutions are becoming even more powerful when combined with IoT-enabled sensors. For example, an engineer might receive an alert that a boiler is running outside normal parameters, with sensor data accessible directly through their mobile device.
This predictive maintenance model enables faster response, reduces downtime, and helps avoid costly failures. For cleaning teams, occupancy sensors linked to mobile apps can trigger dynamic cleaning schedules, ensuring resources are deployed where they’re most needed.
Mobile-first platforms don’t just improve efficiency, they also enhance workforce engagement. Staff feel empowered when they have the right tools to do their jobs well, and real-time communication reduces frustration caused by delays or unclear instructions.
For managers, the ability to see job status, location updates, and digital audit trails improves oversight and resource planning, reducing costs and boosting service quality.
For 2026, the facilities function is moving beyond centralised planning towards distributed, datadriven operations. By embracing mobile-first solutions, FM leaders can empower their teams, improve compliance, and respond dynamically to the needs of modern estates.
For organisations juggling shrinking budgets, rising expectations, and complex estates, mobile-first FM is becoming the default operating model.
5 Features to Look For in a Mobile FM Solution
1. Offline Access
Ensure staff can complete tasks and capture data even in areas with no connectivity, with automatic syncing once back online.
2. QR/Barcode Asset Scanning
Enable quick access to asset histories, maintenance logs, and manuals by scanning codes directly from a mobile device.
3. IoT Integration & Alerts
Connect with building sensors to provide real-time data on equipment performance, occupancy, or environmental conditions, triggering instant tasks for engineers.
4. Compliance Workflows
Digital checklists and automated reporting aligned to standards (CQC, HSE, ISO) help ensure consistency and reduce audit preparation time.
5. Analytics Dashboards
Mobile access to performance data, KPIs, and work order status allows managers to make informed decisions on the go.
6. Pro Tip: Prioritise platforms with intuitive interfaces: the easier the app is to use, the more likely frontline teams will adopt it consistently.

THURSDAY 23RD OCTOBER
08.45 – 09.15

Alex Atherton
Speaker
09.20 – 09.50

Andrew Hulbert Chair of the Board Institute of Workplace & Facilities Management
In today’s rapidly evolving job market, attracting and keeping top talent from Generation Z has become a critical challenge for organisations across all industries and the future of work in general. Gen Z is the most significant generational shift so far. Many organisations are struggling to recruit and retain the best of this generation. Traditional methods of recruitment no longer work, and problems with retention are more acute than ever.
• Key characteristics of Gen Z
• Making professional development more personal
• How to enable more opportunities for gen z to contribute
• Importance of Authenticity
Alex Atherton is an experienced educator and leadership coach. He is the former secondary school headteacher who heard the word ‘snowflake’ once too often to describe his former students.
He spent over a decade immersed in the mindset of this misunderstood generation, getting to the core of what makes them tick.
Alex blends his experiences, research, and a hefty dose of reality to shatter the myths around Gen Z. He equips leaders and managers with proven strategies to overcome generational divides and effectively recruit, develop, and retain top young talent.
“Exploring the opportunities of transformational tech in FM”
This session explores how transformational technologies, including artificial intelligence, data, and automation, could reshape facilities management, creating smarter workplaces, improving sustainability, and unlocking new opportunities for people and organisations.
• Artificial Intelligence in FM – practical applications today (predictive maintenance, energy optimisation, smart workplaces).
• Data and Analytics – turning information into actionable insights to improve performance and decision-making.
• Automation and Robotics – efficiencies in cleaning, security, and building operations.
• Sustainability through Technology – using digital tools to drive net zero and environmental responsibility.
• The Human Impact – how tech frees people to focus on value-adding, customer, and wellbeing experiences.
Andrew Hulbert is the Chair of the Institute of Workplace and Facilities Management (IWFM). A recognised entrepreneur and advocate for diversity, equity, and inclusion, he has championed initiatives that deliver social impact and sustainability. Andrew is also at the forefront of technology in the sector, embracing innovation and artificial intelligence to drive smarter, more effective solutions. Widely respected for challenging outdated approaches, he inspires others to find their voice and contribute to a more inclusive, forward-thinking workplace and facilities management industry.
13.40 - 14.10

Lena Thompson Keynote Speaker
THURSDAY 23RD OCTOBER
Walk away with tangible, actionable tools to apply immediately—no theory, just practical strategies to begin using today.
• How to boost energy on demand – Simple tools to stay focused and avoid crashes caused by constant digital stimulation.
• Learn to turn overwhelm into flow – Practical strategies to think and act clearly under pressure
• Discover quick reset tools – Fast techniques to neutralise stress and regain clarity
• Tackle real energy drains – Identify the hidden causes of fatigue and learn actionable ways to overcome them for sustained performance.
After 15 years of consulting for global organisations, Lena Thompson made a life-changing decision to leave her career & start a business. It was a leap of faith that launched her into an extraordinary journey of self-discovery.
She immersed herself in personal growth, studying human behaviour, metaphysics, Reiki and NLP. What began as curiosity grew into an obsession—and through this transformative journey, she discovered two life-changing principles: the power of emotional resilience and clarity of a personal path.
These principles didn’t just shift her perspective; they redefined her purpose & became the foundation of her work.
Now, as a mentor and speaker, she helps people master their emotions & make decisions aligned with their values and vision—guiding them to break free from limitations and reach their full potential.

FM and engineering teams focus on operational efficiency, compliance, and technical performance, but may not fully appreciate how their work directlyimpacts asset value, capital planning, and ultimately the financial health and strategic direction of the organisation. The presentation will challenge attendeesto think beyond the day-to-day technicalities of FM and consider the broader business impact.
• The FM value chain: how FM feeds into capital planning, which affects asset condition / value, which impacts P&L / longer term property strategy
• Missed opportunities: lack of integration between FM and wider real estate strategy
• Breaking down silos: shared objectives between FM, Property and Finance
• The role of technology: how digital tools help bridge this gap
• Call to action: what practical steps can be taken to elevate the role of FM in shaping asset and organisational value
Frank Lee advises public and private sector clients on real estate operations - helping organisations navigate constraints such as budget, resources and competing priorities to deliver solutions that support their strategic objectives. He leads the team’s FM strategy and procurement engagements, leading to wider asset value creation and workplace transformation.
