INTRODUCTION
As a specialist arts union, Konstkåren strives to offer students as many creative and social events as possible. Our aim is to host various events throughout the year and gather students across disciplines to create unforgettable moments and unique communities.
Through our events, we want to weave the faculty more closely together, and create a sense of belonging for our students.
This handbook is created for our members that are interested in creating informal events under the Konstkåren umbrella.
INTRODUCTION
Use the step-by-step guide as a starting point for the creation of your event.
We highligh and dive deeper into some important steps that are easily overlooked, like finding your purpose, publishing the event and reflecting on your experiences after the event is over.
We have also created a list of activities you can add to the event, that can help you get started with your unique gathering at HDK Valand.

FIND YOUR PURPOSE
Having a purpose for your event means knowing why you are gathering students. Perhaps you are a film student and simply want to screen a specific film to raise awareness around a topic. Or you want to arrange a coffee meetup with students interested in Anime and hope it leads to regular meetups .
Reflect on your needs, and figure out the ingredients needed for a bold and meaningful purpose. Be specific in your choices! A more narrow and specific purpose will attract more attention from the right kind of people, than a broad and generic purpose.
What are the ingredients needed for a meaningful purpose to you?
I want to help students release stress.
I want arts students to overcome their crippling fear of public speaking.
WHO
Organising Team: What are the skills needed to organise your event?
Participants: Who is your target audience and what are their interests?
WHERE
WHAT
Consult our map of rooms available for booking by students. Think about how accessible the location is for your target group and if the chosen room supports your activities and purpose.
DANCE DANCE BABY!
Begin designing your event and make sure your plans are aligned with your original purpose. Think about the activities, icebreakers, budget, tools, materials, food/drinks needed to run your event.
WHEN
Have a clear start/end time for your event that you stick to! Create a schedule if your event is longer than an hour to let people know what will happen when.
PUBLISHING
Inform if the event requires registration or not, if yes, add information on how to register.
Choose a short and catchy title
Use a 24-hour clock and words to express dates and time.
Be more specific than the title so people can see themselves attending your event
What will the participants do?
What should they bring and what are the requirements to participate? Will you serve food and drinks? Let them know! Be precise when you inform about the location.
Specify the language used in the event.
Address, floor and room numbers are helpful.
